Mechanical and plant engineering companies require flexibility in their ERP system that provides for robust functionality in billing and material manage-ment, flexibility in product and variant structures, and the ability to mana-ge real-time production on the shop floor. Firms that range from machine fabricators, valve producers, and precision part manufacturers, pumps and motors, engineered component manufacturers all require unique functiona-lity that enables growth, productivity, and superior customer service.

abas supports multiple manufacturing methodologies from configure to order, assemble to order , engineer to order. Companies can plan and schedule components at each level within the BOM (Bill of Material) structure. Multiple tasks, operations, and activities need to be coor-dinated to ensure efficient and on time production. Integration to 3rd party systems like CAD and CAM systems can also optimize produc-tivity. In addition, successful companies implement ERP systems with state of the art technology, partners with industry expertise and a proven implementation methodology to adhere to a strict on time and on budget project. Enterprise Resource Planning (ERP) software is a core component to all competitive businesses. ERP influences and enhances every business process, enhancing productivity, reducing costs, and enabling growth. Consequently, selecting the correct ERP system is critically important – not only is it a significant investment, but the correct system will allow a company to meet key business goals and objectives.

“We have decided in favor of abas, because we are able to upgrade and modify on our own with this software. We have an internal team that works permanently on ADA‘s continuous improvement process. Due to such a flexible business software we were able to represent all changes we have defined in the system. With other systems I have previously worked with, upgrading took up to several months. Using abas Business Suite, the new release is installed over a weekend. This is quite cost beneficial since only few IT capacities are needed in comparison to other systems.” Karl Perino, Head of IT, ADA Group

The abas Automotive & Supply solution is especially designed for the automobile supply chain. The abas Automotive solution supports com-panies in managing complex supply chains and coordinating logistical processes between suppliers and manufacturers. The online integration of standardized Electronic Data Interchange (EDI) processes provides a significant competitive advantage based on exceptional flexibility, quality, reliability and delivery.

This solution simplifies standard processes in the automotive and supply industry by administering blanket orders, forecast delivery schedules, and JIT delivery schedules. The abas Automotive & Supply solution also controls cumulative quantities, storage means, returnable packaging management, lot and serial number management, and various EDI formats according to VDA, ODETTE, EDIFACT, or ANSI X12.

“Each of our business areas has different production methods and different distribution channels. We wanted to optimally map these methods and processes with the new business software. For example, three forwarders with different requirements from four business areas had to be able to work in one common scheduling module. A key advantage of the abas in comparison to other systems is its flexibility. Because of that we didn‘t need to commit ourselves during the detailed planning of the system. We can make changes and customizations at any time without sacrificing system upgrades.” Dr. Ulrich Wolf, Head of IT, Elkamet

“We especially like the fact that abas Business Suite covers special EDI functions, as well as the container management. Furthermore, abas seemed to be the most sophisticated one. Further criteria were the experience and the know-how of the abas team, the price-performance ratio and the implementation method.” Agustí Álvarez, IT Manager, Ruffini S.A.

SchedulingScheduling material and production capacities is one of the core tasks of an ERP system and is a central focus for many firms. On time fulfillment of sales orders is often the primary basis for a high level of customer satisfaction. Scheduling generates procurement suggestions for purchasing, plans machi-ne loading and scheduling, checks delivery deadlines and determines the ear-liest possible delivery date if a change made to an originally planned deadline. Scheduling ensures that sufficient production material and capacity is availab-le to process orders on time. In abas, scheduling generates procurement sug-gestions for purchasing, as well as matches capacity with requested dates to determine the earliest possible delivery.

PurchasingFrom blankets, requisitions or purchase order suggestions to purchase orders, from goods receipts, three way match to invoice validation – purchase order processing is a central component in abas, providing a consistent and highly integrated system. In a role-based workbench, the buyer can view, manage and create all the transactions assigned to him in one overview, accessing any relevant report or query. Material valuationsMaterial valuation assesses quantitative movements within the materials management process, recording these movements as financial entries whenever stock levels change. Material costs determined by material valuation are then transferred to cost accounting.

Software

abas is a pioneer in the area of sustainable technology. From early imple-mentation of Linux, the multi-tiered structure of the software architec-ture with our own abas database, to abas business apps, abas remains on the cutting edge of remarkable and innovative software and technologi-cal best practices.

Tiered architecture as the basis for flexibility and upgradability abas achieves flexibility and transparency through the use of a tiered software architecture, with a solid object-oriented database as its foundation. The appli-cation tier builds from the database, and contains core functions. The flexible user interface is designed using abas tools, and enables virtually any modifi-cation, which carry over after the recommended annual upgrades. These tiers form the kernel of abas. The top tier is the Flexible User Interface, which is the visible and adaptable presentation interface. It consists of the Flexible Stan-dard User Interface, and the Individual User Interface.

The abas database provides three unique advantages:

• First, no administrator is needed to maintain the database.

• Second, database and ERP system always have the same version. This ensures that new functionality reliably corresponds with the database.

• Finally, abas always remains upgradeable even after customized adjustments, since the object-oriented approach of the software ensures that no rules will be broken when making adjustments.

“We want to provide our users in different countries with the highest level of comfort possible. However, we cannot realize this only using our IT department in Hamburg because there are language barriers. Therefore, we require the support of the foreign abas partner on location who knows the local requirements, who can correctly implement the software, who can communicate in the same language and who can provide our subsidiaries with knowhow during the respective working time. We rely on the abas Business Suite as part of this.” Wolfgang Reher, Head of IT, Weinmann

“In addition to the value of abas, other key points for the decision for us was our assessment of the company abas. We see abas an SMB with the same philosophy as Lékué. It was important to us that abas Ibérica is going to be a partner that understands our needs. Lékué is an international company that needs a comprehensive ERP solution to implement in various subsidiaries worldwide.” Rafael Sebástian, Operations Manager, Lékué

User feedback “The availability of abas in over 28 languages – in operation and as output languages – is as much of a plus for internationally operating companies as the processing of different currencies. The hardware plays a major role when we think of expansion: we also deliberately decided to go for a system, which would give us flexibility as we have already developed hardware structures which we would like to continue to use. Taking this into account, nothing stands in the way of a further expansion at SKF Economos.”Mario Brückner, employee in international sales, and responsible for the implementation and support of ERP software at SKF Economos

Globalization presents midsized companies with unique opportunities to compete on an international level. With abas, you have the foundation to support existing or future international growth.

abas is multi-currency capable and offered in over 20 languages, with additi-onal languages available upon request. Customers can work within the same database, but in different languages, enabling simplified workflow and com-munication between foreign subsidiaries. This is also a benefit for companies that deal with customers or vendors in foreign countries. Our network of inter-national partners and localization expertise are ideal for any company looking to expand abroad and integrate their ERP solution globally.

The importance of ERP in midsize companies facing resource challenges cannot be underestimated. How satisfied are users with their solutions and the benefits their ERP systems provide? To answer these questions, Trovarit, together with their partners, performed their sixth study since 2004 to see exactly how ERP systems are being used. The study brought to light details about which systems companies are actually implementing and exactly how satisfied users are with the daily operation of these systems. The study was based on a survey conducted between the end of March and middle of July, 2012. The survey included 2,518 companies. After a rigorous quality review, a total of 2,159 evaluations were used to determine the final ratings.

Selecting the correct ERP system is critically important – not only is it a significant investment, but the correct system will allow a company to meet key business goals and objectives to remain competitive in the changing market conditions long-term. A high market share or extensive function range of the ERP software package are not always a guarantee for long-term customer support or customer satisfaction. References provide the best security when selecting a software. Talking to users of an ERP software about their experience in daily operation provides valu-able information. Results from market surveys can provide orientation to companies looking for a new ERP software and help them to optimally secure their decision. Studies like ERP in practice, i2s focus on aspects of satisfaction: How satisfied are ERP users with the implemented solu-tion? How do users rate their software vendors? Last, but no least: What is important to the ERP users?

The focal point of this method is the successful realization of corporate goals and objectives. abas GIM achieves this success by aligning personnel, econo-mic resources, and budget with a carefully outlined schedule. Individual requi-rements are taken into account – strengths and weakness analyzed in order to optimize business benefits.

abas GIM: 7 Steps to Success Our implementation methodology has been proven over the years to successfully deliver an on time, on budget abas ERP system by focusing on the user needs, business priorities, and challenges associated with change. An ERP implementation presents the entire company with a challenge – it is more than just a technical process but an opportunity to improve processes, data and organizational design. Therefore, it is criti-cal that your implementation partner directs the process with a proven strategy based on experience and years of success. To ensure the high-est level of security and efficiency when implementing abas Business Software, abas has developed a successful, global method: abas GIM.

Advantages:• Smooth and efficient implementation, mapping business requirements against the abas footprint• Implementation times typically are 30% below the market average• Cost transparency and budget compliance• Quick ROI• Predictable and reliable results

International ERP projectsAs companies become more integrated into the global market, they also require software that is both international and multilingual to optimize workflow and communication between foreign subsi-diaries. As an internationally operating midsize company, abas is well positi-oned to understand the demands our customers. abas ERP is multi-company, multi-language and multi-currency and is supported by an international partner network and a methodology designed to leverage your ERP investment across borders

Methodology

Organization

The Beginning: The introductory phaseThe first step of any successful partnership is getting to know each other. A kick-off meeting is scheduled to launch the project and introduce the critical parties. Company goals and objectives are identified and documented. A project committee will assign roles and determine objective, tasks and con-ditions. Adoption of a rough time schedule and capacity plan will complete the introductory phase.

Smart Check: Ready for ERP?During the smart check, the second step, your organization and infrastructure will be analyzed to ensure you have the prerequisites for a successful project. For example, meaningful structures for master files and transaction data will be determined. General strategic and organizational requirements and con-dition for the future system orientation and implementation will be outlined. According to the requirement or status of the project, a representation of the actual processes can be created to outline the key aspects of the project and determine structural critical success factors.

Qualification: Acquiring knowledge to recognize possibilitiesIn the qualification phase, members of the project team from all companies are trained in the standard processes and functions of abas Business Suite in person, on-line and e-learning courses. This process prepares for efficient conceptual design and structure for your project. Only someone who understands the potential and capabilities of the system is able to define the requirements in such a way that future state designs can be realized. This way, customizations will only be created where requirements deviate from the stan-dard. For this phase, customized exercises and scenarios are created. An abas coach will provide support during this time, and will oversee scenario testing to ensure that your business processes are optimized in the system design.

Organization: The realization conceptThe qualification phase ensures that your project team and your implantation partner speak the same “abas language” and agree on the “what” is to be im-plemented. Now all target processes and applications need to be made clear, and the “how” is determined. This is followed by a specification of the require-ments and the functionality to be implemented. These steps are the basis for the creation of the implantation concept, and will contain a structured descrip-tion of the organizational and technical implantation, as well as the configurati-on requirements for the layout design.

Start

Smart Check

Qualification

Page 37: abas Business Suite

- 37 -

Configuration: ImplementationThe configuration phase implements the steps outlined conceptually in ear-lier steps. The necessary modifications and settings are made in the abas Business Suite. Together with the respective project team member, each step is tested and compared to the specification to determine success. If require-ments have changed over the course of the project, or have been estimated dif-ferently, a correction can be made at this point. Detailed testing of all business processes, functions, forms and reports are developed and presented. In many ERP projects the preparation and migration of data from existing legacy sys-tems into the new target system is an important but often underestimated part of the configuration phase. abas recognizes these challenges and accompanies you actively during the conceptual phase and also during implementation.

Training: Ready to go liveAfter a successful implementation of all organization and software-related measures, it is time for all employees to become familiar with the system and the possible new organization or processes. In contrast to the training for the project team, in order to conserve resources, on the respective areas or con-tents relating to a specific workplace will be trained. Project related training and test scenarios are created, and the in-house testing system and the abas eLearning system are made available to users.

Go Live: Jetzt geht es los!Now the system is ready to go live. Comprehensive check lists and tests en-sure that all conditions necessary for the go live have been successfully fulfilled. Our experienced software partners will accompany you every step. Once the tests and checks have been completed, all parties agree to go live.

“ProMobility required an ERP system because our antiquated systems were no longer able to keep up with our business volume. As a wireless device repair business, we receive thousands of devices each week and abas allows us to track these devices as soon as they reach us, all the way through each step of our 13 step repair process. Using abas has dramatically improved our efficiency and overall business processes.” Joseph Belcredi, CEO, ProMobility

abas is thoroughly documented, explained and demonstrated using electronic and interactive tutorials. The basis of these tutorials outlines work steps and processes in the following online formats: • Interactive simulation• Didactical web-based tutorials• Process-oriented handbook

Using these resources, a new user or an experienced user searching for additional information can find help and experience the software in a risk-free learning environment. Learning is interactive and self-directed, but is also supported by interactive messages, which react to user input with corrections and suggestions.

In the abas Knowledge center, users are able to review the course structure for available tutorials, which can be searched by language and version.

Key success factors

Key factors to successfully selecting an ERP systemeLearning and eDocumentation

What are the key factors to successfully selecting an ERP system?

This is a question that many businesses ask themselves each year. The following tips will help you find the ERP system best suited for your business:

• Speak to multiple references: the best evaluations of software comes from real users.

• Calculate ROI, including the Total Cost of Ownership for at least 10 years for short listed systems.

• Ask the provider about costs for upgrading to future versions.

• Check the industry sector knowledge of the software provider.

• Ensure you have an effective and reliable implementation method for both domestic and international projects.

• Consider the ability of the ERP system to integrate with additional solutions.

• Evaluate the user-friendliness of the ERP solution.

• Get confirmation that the modifications made in the ERP system are not lost or degraded during upgrades.

• Check, if required, whether the software has multi-language and multi-currency capability.
