Introduction

Saint Mary of the Immaculate Conception Parish in Milton, WI is a vibrant community that dates

back to 1890. For over 130 years, our church has been ministering to the needs of our

community. And while facilities and faces have changed over the years, one thing remains the

same…our commitment to Christ, to one another, and to the betterment of our community.

As a result, our church today is an active community comprised of over 940 households. Led by

a dedicated pastor and strong corps of lay leaders and volunteers, there are many ways that

people of all ages can participate in the spiritual, educational, social and service ministries of our

church.

Yet, despite our accomplishments and strong heritage of activity, some significant challenges

remain.

God calls us to care for and cultivate all that He has given us…

not to be complacent, but rather, to constantly strive to be better, to build on and

improve what we have… always trying to realize our God-given potential.

Our Needs

Repair, Remodel, Remove or Replace the Old Rectory

Our original parish rectory building, which is now over 50 years old, and once also served as our

parish office building, until extensive and expensive mold and maintenance issues forced us to

move our offices to the Parish Center. This old rectory building needs to be either extensively

repaired and renovated for another use, or be removed or replaced. That’s because this building

is virtually uninhabitable and essentially only serves as parish storage space now. Problems with

this building are multiple and include:

• It is improperly ventilated and has and holds moisture that, even when the mold is

remediated, returns.

• All of its windows are old and

inefficient and need to be replaced.

• The roof above the garage and south

end of the building is aging, has

various “hot spots” that are visible

due to heat escaping, and needs to

be replaced.

• The building was originally

designed as a residential building

and has a layout and operating

systems that support that use, which

are not easily or inexpensively

changed for another use.

Expand & Improve the Parish Offices

Similarly, our existing parish offices in the Parish

Center also need to be expanded and improved

because:

• They were constructed in a make-shift space, not

meant to be permanent, and they do not provide

privacy nor adequate office, work, conference,

meeting and storage space for our parish staff.

• As a result, some offices are overly large, and

others are too small.

• And for some staff members and key volunteers,

we have no office or workspace for them at all,

forcing them into other, out of the way places

and spaces within or outside of our parish facilities.

Expand & Improve Our Fellowship Space

Moving our Parish Offices into the Parish Center

also:

• Cut into our needed fellowship space and

reduced the foot-print of our social hall.

• This also reduced and limits the number of

people we can simultaneously seat and serve

for various large group parish and community

activities and events.

Expanded & Improved Parish Kitchen

Also, the parish kitchen added in 1977, needs to be improved in various ways too. Many

appliances are reaching the end of their useful life and the existing kitchen is not compliant with

many current building code requirements. Specific areas of concern include the facts that:

• The current wooden cabinets and countertops need to be replaced to conform to commercial

kitchen codes and for easier cleaning and to help prevent food contamination issues.

• The current dishwasher is nearing the end of

its useful life and it needs a hood above it as

well as fan to route exhaust out of the kitchen

space.

• The existing ovens and convection ovens are

nearing the end of their useful life and will

soon need to be replaced.

• The Modine heaters currently used also need

to be assessed for code compliance.

• A fire suppression system is also needed

above the stove to prevent any fire damage

that may occur and to help prevent any fire

that starts in the kitchen from spreading.

• Finally, the kitchen layout itself is

inefficient. The space is narrow and people

working in the kitchen tend to get in each

other’s way as a result. This is also made more challenging by not having adequate storage

within easy reach of various work areas for those working in our kitchen, which compels

them to walk to different areas to find what they need.

God asks us to care for and improve on all He has entrusted to us. This is the

essence of what it means to be good stewards of God’s various gifts.

Expand & Improve Our Meeting & Classroom Space

And since our existing fellowship space also serves as our parish’s main meeting and classroom

space, which is created by using movable partitions:

• Relocating our parish offices to the

Parish Center also reduced the number

of meeting and classrooms we are able

to create within this space.

• In addition, the flimsiness and lack of

soundproofing of these partitions can

result in a noisy environment that is not

conducive to undistracted speaking or

hearing during meetings or teaching and

learning in a classroom setting when

these makeshift meeting and classrooms

are being simultaneously used.

Other Improvements Needed for the Parish Center Building

There are also multiple other problems with our Parish Center facility, including the fact that it

too is almost a 50 year old building, with many additional problems including:

• Interior lighting fixtures and an interior lighting system that is both outdated and ineffeicient.

• In-floor heating coils that are beyond their useful life. They are leaking and failing in places-

which has forced us to turn these coils off. This has adversely affected the effectiveness of

heat distribution to various parts of the Parish Center and it makes the other coils work harder

to maintain the desired room temperature throughout this facility.

• Our rooftop airconditioning units are also original, are failing.

• And the roof itself in this building is also aging and failing, has leaks in multiple places and

has multiple moisture isues that are causing spongy areas next to the rooftop HVAC system

units due to excessive condensation. The roof is also visibly sagging and has multiple “hot

spots” or places that, when there is frost, you can literally see heat from the building escaping.

Add a Covered Drop Off Area to Our Church

We also have no covered drop off area at or near the main

entrance to the church. This means that:

• Parishioners and visitors alike have to drop their elderly,

handicapped and other passengers off in areas that can

sometimes be icy or wet, which can be a slip, trip and

injury hazard, or can be both uncomfortable and unsafe

during rain, ice or snow storms.

Expand Our Church Entryway & Gathering Space

Right now too, the space beyond our central entryway isn’t

going into our church and we do not have a sizable indoor

area where people can meet and greet and get to know one

another after Masses and other special and sacred

celebrations held in our church.

• We only have mostly small and narrow corridors or

entryways currently that lead into our worship space,

which is not conducive to gathering and building

improved cohesiveness as a community.

Expand Our Paved Off Street Parking Lot

We also have very limited off-street parking currently. There are very few spaces close to the

main entrance. The rest of the parking spaces are quite a distance from the church making it

difficult for those who have trouble walking.

• This can dissuade people from coming to Mass when the parking lot is full because it forces

people to park on the street, which in some cases can be a long distance away and sometimes

forces people to cross the street, which can be unsettling and unsafe for people.

Our Plans

To address these needs, we believe we have an exciting plan which will decisively address the

multiple challenges we have to resolve.

Instead of doing short-term, piecemeal repairs on our buildings that would just be a band aid

approach to bigger problems that will undoubtedly lead to continued, costly repairs every few

years and building structures that still don’t ideally meet our needs, we plan to:

• Demolish the old rectory building to create a space where we can build a new, expanded

Parish Activities Center to house our parish offices, social hall and kitchen, and multi-use

class and meeting rooms in its place.

• Then, once this new Parish Activities Center is completed, we would like and plan to

demolish the existing Parish Center building and expand our church entrance and add new

and needed, additional paved off-street handicapped accessible and general parking in its

place.

New Parish Activities Center

Our proposed new Parish Activities Center will feature:

• A new Parish Office Center

with ample offices, work,

meeting and storage space

for our entire parish staff;

• A new Parish Fellowship

Center with a social hall,

commercial kitchen and

ample storage for kitchen

items as well as tables and

chairs; and

• A new Parish Meeting &

Education Center with an

ample number of

appropriately sized, multi-

use soundproofed classrooms and a classroom storage room.

This new Parish Activities Center will also connect with and be easily accessible to and from the

south-side of our church, and will also have handicapped accessible men’s and women’s

restrooms that are centrally located within this new facility.

New Parish Office Center

Our new Parish Office Center will have a new parish office suite comprised of:

• A reception area where parishioners and visitors alike can be properly received, greeted and

seated when coming to the church to get information or wanting and waiting to meet with

various parish personnel,

• A work room for various office equipment and

supplies,

• A secure storage room for parish office and

parishioner records,

• Seven (7) staff offices for our parish personnel

including our Pastor and parish Business

Administrator,

• A small conference room,

• A larger meeting room, and

• A break room for our staff and volunteers.

All offices would be soundproofed, secure and wired properly for internet. Plus, these new parish

offices would bring our entire parish team together under one roof, which will enhance team

building and efficiency of office operations.

New Parish Fellowship Center

Our new Parish Fellowship Center will be comprised of:

• A large group social hall capable of comfortably accommodating 256 people at tables and

chairs and even more at just chairs, which will be wonderful for

hosting various larger group parish and local community

activities and events. This space will be especially useful for

hosting our annual Harvest Festival, our Rummage Sale and other

larger scale parish and community activities and events. This

space will also be available for rental and will be used by a

variety of other groups like the Boy Scouts, Knights of

Columbus, Belles of St. Mary and others.

• Our Parish Fellowship Center will also have a small outdoor

patio for hosting various outdoor meetings, activities and events.

• It will have an ample, up-to date kitchen that is more properly

equipped and laid out to more efficiently and effectively serve

food and beverages for various small and larger sized community

and parish activities such as funeral luncheons, wedding receptions, parish breakfasts, and

coffee and rolls after Mass.

• Our social hall kitchen will also have ample kitchen storage for various food and beverage

preparation and service equipment, products and supplies.

• Plus, there will be an ample storage space for tables and chairs within our new Parish

Fellowship Center.

New Parish Education & Meeting Center

Our new Parish Education & Meeting Center will be comprised of:

• Four (4) new multi-use class and meeting rooms which

will provide ample space for our various religious

education activities as well as more ample space for

meetings of our various parish ministries.

• This new meeting and education space will also have its

own meeting and classroom storage space for storing

various additional class and meeting room furnishings,

needed equipment and supplies.

Connection & Common Area

And finally, our new Parish Activities Center will have:

• A common corridor connection that leads from the south side of our church into this new and

needed space, which will provide easy access to this space without having to go outside.

• And finally, the new parish Activities Center will also have men’s and women’s handicapped

accessible restrooms that will be centrally located within our new Parish Activity Center

facility.

Expanded Church Entrance & Parking

Then, once the new Parish Activities Center is up and operational, we plan to demolish the

existing Parish Center which will provide more space to:

• Expand the entryway of our church, and

• Expand our existing off-street parking space.

Expanded Church Entrance

Our Expanded Church Entrance space will include:

• A covered drive under canopy where

parishioners and visitors alike can drop people

off at what will become the church’s main

entrance. This will be especially convenient

for elderly or mobility impaired people

because they won’t have too far to walk to

gain acess to our church. This will also prevent

these people from having to traverse icy

walkways or getting wet during rain, ice or

snow storms.

• The expanded church entrance will also

include a more expansive gathering space

where people can meet and greet one another

after Masses and other special and sacred

celebrations held in our church, which will

help to build a more connected and committed

parish community.

• We will also have a new bride’s room in this expanded church entrance space, which is a

place where bridal parties can dress and prepare for weddings. The current location of the

bride’s room is in a dark, out of the way area of the basement

• A new reconcilation rooms and sacristy will also be placed in this space providing

parishioners and visitors alike with the chance to make private or face-to-face confessions.

• There will also be men’s and women’s handicapped accessible restrooms conveniently

located in this space, and

• An ample liturgical storage space will complete our expanded church entryway space.

And this new expanded church entryway will conveniently connect with the northside of our

church.

Expanded Parking

The demolition of our existing Parish Center will also create room for us to:

• Significantly expand our existing church parking lot creating many new parking spaces

closer to entrances here at our church.

Just as those before us have done, we are called to build a better church, and to

leave a legacy of improvement for those who follow us.

Costs & Campaign

The total cost for addressing these various needs is estimated to be in the $4,000,000 range, an

amount that we would plan to raise in a specially conducted capital campaign where members

would be asked to prayerfully consider special gifts – over and above their current gifts to the

church – in support of this special project and need.

Gifts to the campaign could be made in a number or combination of ways. Pledges over a three-

year period would be minimally encouraged and probably essential to meeting our needs since it

would be impractical, if not impossible, to reach a goal of this magnitude with one-time, out-of-

pocket gifts. Non-cash gifts such as securities, real estate and personal property would also be

accepted and encouraged as would deferred gifts, such as life insurance policies, gifts in trust and

gifts through one’s estate.

Recognize that all you are and have, are gifts from God.

Respond appropriately by sharing what you have in a loving and lasting way with those

who seek to do His will and work.

This is the essence of what it means to be a sound steward,

to emulate the example and become a disciple of the ultimate steward, Jesus Christ.

Summary

Through the prayerful, volunteer and financial support of many – and the extraordinary support

of a few – we believe that we can succeed in our task. As a result, we are also confident of our

continued growth as a community of faith and in our ability to even better do God’s will and

works. So thank you for your feedback and support in advance.
