4.1 DBBL WITH NEW ICT INFRASTRUCTURE FEATURES

The concerned IT resources worked relentlessly over the months played a significant role behind the successful implementation of Flex cube banking software in DBBL branches.

Previously DBBl was not in a situation like it is at present. It was not an online bank from the very beginning, rather from January, 2005, DBBL adopted online technology into their system. DBBL Head Office is now connected with the branches all around Bangladesh. Here is a breakdown of what the data communication infrastructure looks like today:

4.2 DATABASE MANAGEMENT SYSTEM (DBMS) OF DBBL

As database is the key to create and maintain an information system, organization uses

different types of DBMS software that best fit their organizational structure. DBBL uses

Flex Cube software to create and maintain their Database Management System. DBBL’s

strength is the state of the art technology, which gives the institution an edge over the

competitors in the market. DBBL’s Main back bone is the software “FLEXCUBE” of ‘I-

FLEX CO.” Flex cube has two modules, one is Flex cube Retail and another is Flex cube

Corporate. IT department also takes care of the IT related inventory management. The

main backbone of IT department depends on the servers of DBBL which are thirty nine

in numbers. The main categories of the servers are live, mail, file, support, transaction,

Internet banking, ATM, intranet, and OBU (Off-shore Banking Unit) server is on the

process of installation.

A world class banking software “Flex Cube” was selected to provide Online Banking,

Internet Banking, Automated Teller Machine (ATM), Telephone Banking, Point of Sales

(POS) dispenser, Debit Card facility, etc., to the customer to satisfy their demand of the

21st century. Necessary steps were taken by the IT Department to select and procure the

compatible hardware, software, communication links, network system equipment (LAN,

WAN), etc.

4.3 USES OF DBMS SOFTWARE IN THE FUNCTIONS OF DBBL

All the divisions of Dutch-Bangla Bank Limited are using the database software called “Flex cube”. All the divisions are linked with a host server situated at IT division. The major divisions and the departments of these divisions are given in the following chart.

4.4 DIVISIONAL INTEGRATION THROUGH DBMS

Every department of these divisions is using the database in their daily activities. DBMS has made their work easy to conduct and also has made efficient at their work. DBMS is created by IT division and interact with the divisions in the following way:

4.5 DATABASE ENVIRONMENT

DBBL maintains their database environment through three parts. These are: (1) sources of data; (2) process and store; (3) output.

(A) SOURCES OF DATA

The DBMS of DBBL collects or gathers data from internal and external data by their various departments. Basically they collect from the two sources – internal & external.

Internal sources:

The internal sources are: TPS, KWS, and ESS. Data are collected through these system and goes to IT division for process and store.

TRANSACTION PROCESS SYSTEM

The data of day to day transactions of various departments are collected through TPS. The employees whose are engaged in collecting primary data are called data worker. Thy serve the operational level of the organization.

KNOWLEDGE WORK SYSTEM

KWS is the source of low-volume, summary transaction data, and simple models to gather and analyze the data that are used in decision making.

EXECUTIVE SUPPORT SYSTEMS

Senior managers use ESS to help tem make decisions. ESS serves the strategic level of the organization. They address non-routine decision requiring judgment, evaluation and store the necessary information in Flex cube.

EXTERNAL SOURCES

The external sources are other commercial banks, Bangladesh bank, financial institutions, customers and stakeholders.

B) PROCESS AND STORE

IT department of DBBL uses Flex cube software as DBMS to process the data that are collected from the two sources and stores them in the data warehouse. The data warehouse stores both the raw data and the information that are used by different departments to conduct queries and make report. They may include legacy systems, relational or object oriented DBMS applications, and systems based TML or XML documents. The data form these diverse applications are copied into data warehouse database as often as needed – hourly, daily, weekly monthly.

C) OUTPUT

The out put of the process data are used in the divisions as per their necessities. Different departments of these divisions use the different application programs of Flex cube to conduct queries and to prepare several reports. The departments use basically SQL, and Microsoft Office to conduct queries in the DBMS.

4.6 DIVISIONS

4.6.1 OPERATIONAL DIVISION

An operational division of a bank always plays very vital role in performing its activities. It links all the activities of the bank with other departments. The departments of the operational division have direct access to flex cube software to input or process various data. The departments also collect the necessary information from the database to make several reports as per their necessities. The departments are using database management system or flex cube by following the instructions from head office, that is, they follow the instruction of head office to use the DBMS software. The data and information that is processed through flex cube are stored in the data warehouse (IT division). DBMS or flex cube helps the company to easily conduct the following activities:

4.6.2 HUMAN RESOURCE DIVISION

Different application programs of Flex cube are used in the Human resources division. These are: MS Excel, MS Access, SQL, etc. The departments of HR division maintain the employee’s personal information, payroll system, performance appraisal system and rewarding system. There is also a HRM data ware house to keep and maintain this information.

4.6.3 INFORMATION TECHNOLOGY DIVISION

There are three basic functions of IT department. These are: (1) DBMS maintenances; (2) networking; (3) internet banking.

DBMS maintenances

IT division not only stores all the data but also its duty is to maintain and monitor the data base system. This division also put data in a Disaster Recovery Site (DRS) in a different place, in case of any accident or disaster this DRS helps by backing up all the information.

5.1 BUSINESS VALUE CHAIN OF DBBL

Information processing system accelerates the functions of management activities by using DBMS. Information processing systems through DBMS includes data collection & storage, transformation into business system and dissemination. This system helps the management to make better plans, coordinate and control the activities efficiently by using advanced technologies which leads them to take decisions effectively. The use of DBMS helps to conduct management activities in easier way and also helps to reduce costs which give them higher profitability and strategic position to gain competitive advantage over the rivals.
