3.1 Overview of MSMM – Minutes of Shipboard Management Meeting

Purpose:

• To discuss voyage performance.

• To implement procedures and standards for all pending reports such as Non-Conformance

and Deficiency reports.

• To check onboard maintenance etc.

• Ascertain training requirements.

• Prepare a report for all issues discussed in the meeting.

3.1.1 Creating A New MSMM Report

• To create a new report Click on Create.

3.1.2 MSMM Title Screen

• Reference No.: This number is automatcally generated.

• Date: The date field will default to the current date. Click on symbol to

change date/view calendar. A Date greater than the current date cannot be

selected.

• Title: Click on ( symbol) to select required option:

Routine/Non-Routine.

• Click OK to continue.

• Click Cancel to return to the summary screen.

Select the required Date and the

Title.

Click OK to continue.

3.1.3 Entering Data in an MSMM Report

Action Required By Vessel

• If Action Required by Vessel is selected the Action Due On date must be

selected. Double click on Action due on date to display calendar. The date selected must be greater than the date on which the report was created.

If Action Required By Vessel is

selected, the Action Due On date field must also be selected.

Action Taken Onboard

• If the Action Taken Onboard details are entered then a date for Action

Taken On must be entered. Double Click on Action Taken On to view

calendar and select date.

If ActionTaken Onboard is selected, Action taken On must be selected.

Action Required By Office

• If action is required by the Office Click on Action Required by Office.

Create A New Agenda/Description

• Click on Add Agenda button to create a new agenda.

• Enter required data.

Saving an Agenda Item

• Click OK to continue or Close to return to the summary screen.

New Agenda/Description Listed

• The new Agenda can be viewed in the Agenda/Description field.

Click OK to continue

Deleting an Agenda Item

• To delete an agenda item, select the agenda by just clicking inside this box

This symbol will be displayed and now click on the Delete Agenda

button.

Note:

• Default Agenda items can only be deleted in the Administrative

Module. Only Agenda Items created in this screen can be deleted.

Click on Delete Agenda.

Saving a Report

• Click on the Save button to Save the Report. A Pop Up Screen will appear

asking if the report should be Saved as Draft or Approve and Send.

Saving a Draft Report

• When a report is saved as draft it can be edited/updated. A draft report

cannot be transferred to Office.

Approve and Send a Report

Note:

• Only the Master can approve and senda report. When a report is saved as

Approve & Send, the report cannot be updated/edited with the

exception of the following:

- If the Action Taken on Board and Action Taken On fields are not

filled for a selected Agenda Item these fields can be edited at any

stage whether the report be active or closed.

Click here to Save as Draft.
