ConsentAgenda

• Approval of May 2018 minutes and the Treasurer’s Report: Lucy Dosker made the motion,secondedbyBethKarweick,andthemotionpassed.

Leadership:

• Visitor:AnumberofvisitorstoSt.Jameshavebeenidentifiedandwewereencouragedtocontinuetobewelcomingtothesenew&/orreturningguests.ThosementionedareBeckyReid,WaldiGault(whoseailinghusbandwillbesentahealingblanket),JulieandOlga(students),andSteveDamronandKeithAnderson(whohasexpressedaninterestinfoodministry).

• Security:JeffWebbsharedthatheisdevelopingacommitteeofvolunteers,sofarconsistingofEdHeymann,SallyLehman,andAllisonFunk.Othervestrymembersmentionedthattheyhaveheardothercongregantsexpressadesiretobeinvolvedwiththisprocess,andJeffwillreachouttothem.

Budget:CommitteeformationthusfarincludesBethKarweickasleader,andmemberswillbeAlanLodge,EricMartin,andvolunteerparishioners,andvariousindividualswhowillbeapproachedaboutserving.Reviewofthebudgetatthisjuncturerevealsthatthechurchisspendingmore(about$3000thismonth)thaniscomingin,butthesituationremainsthatwehavenottappedintotheLizzieFundsofar,anditisatransitionyear.

• Thequestionofraisesforpreschoolstaffwasmentioned,andsincethePreschoolDirectorhasnotre-addressedthistopic,AlanwilldiscussthebudgetwithherandbringanyquestionsorconcernstotheVestry.

• TheBiblein90Days(B90)Update:InadditiontotheSunday,July1startdateforTheBiblein90Days,DeaconMaryAbramshasaddedaWednesdayGroupanditissettokickoffonWednesday,July11.Ascheduleofdailyreadingsegmentsofthebiblicalpassagesforeachprogramwasdistributed.

CalendarofEvents:

• Installation: CelebrationofNewMinistry/MutualMinistry. TheBishophas approved thedateofFriday, September 21, 2018 for this event, which will be held at 6:45pm at St. James EpiscopalChurch. Rev. Back has been developing an Installation Committee and has been working withvariousparishionerstobegincoordinatingplans,and is inhopesofselectinganeventcoordinatorsoon.ElizabethisenlistingtheECWtoprovidethereception,andhasinvolvedmanyindividualsindiscussions of creative elements, photography options, clergy coordination, invitations, bulletins,signage, childcare, out-of-town guest accommodations and gift bags, and various other tasks anddecisions.Rev.BackhasselectedRev.FrankWadefromWashington,DCtodeliverthesermon.Thefees involvedareestimated tobe$800 forhis transportationandaccommodations,whichwillbefactoredintobudgetingforthisentireproject.

• VacationBibleSchool: St.JameswillhostVacationBibleSchoolonTuesday,July24,2018from6-8pmforchildren,andadultsarewelcome.WewillbepartneringwithSt.ThomasandRev.KatherineDoylewillbeheretoassist.Rev.JerryCappelwillpresentinformationonour“eco-spirituality”topicfocusingonCreation.Ericwillbecookingburgers.

• St.JamesDay,Sunday,July29:PlansaredevelopingtocelebrateSt.JamesDayonSunday,June29,2018withoneservicefollowedbygamesforyoungstersandquizzesforadults.St.Jameswillsupplya main dish of barbeque and side dishes and desserts will be solicited from the parishionersaccordingtothehistoricalformat.Promotingtheoccasionandsendinginvitationsandinformationalsigns to area facilities such as Magnolia Springs and Friendship Manor was discussed andencouraged.

• VestryRetreat:AfulldayretreatfortheVestrywillbeheldatalocalvenue(tobedetermined)onSeptember8,2018,toenhanceandmotivateleadershipandprovidespiritualenrichmentforourVestry.

CommitteeUpdates:

• Jr.Warden/BuildingandGrounds–Workhasbeendoneinthecemeterytotrimandprunehedges.Terry remindedeveryone thatvolunteers toworkon thisprojectarealwayswelcome.TomSabin&/orSteveConnwillprovideestimatesfornecessarydeeppruning.ThemaintenancecontractwithPrudentialHeatingandCooling,dueforrenewalattheendofJune2018,wasdiscussedatlength.AmotionwasmadebyDebbieHanna,andsecondedbyJeffWebb,tonotrenewthiscontract,andthemotioncarried.Thepossibilityofacceptinganewmaintenancecontractinthefuturewillcontinueto be considered. Terry reported that therewere HVAC leaks detected in 2 condenser coils, andthesewerechargedbyKinserandKinserinMay.Itishopedthatthiswillholdforthedurationofthesummer.2estimateshavebeenreceivedforreplacementoftheunitsthatserveBoardHallandtheNursery section of Gleason Hall. Since the unit in Board Hall has been charged and is currentlycomfortable,itwasdecidedtoholdoffonreplacementofthisunitandplantobudgetforitinthe2019Budget. Iftheunitrequiresanothercharge,that ismoreaffordablethanreplacementatthistime. The Nursery/GleasonHallunithasbeenevaluated,anddeterminedtobeonethatisbeing“phasedout”,andisnot worth repairing. The area of the building is very uncomfortable, and a new unit is deemednecessary.The2bidsreceivedthisfararecloseincomparison,anda3rdbidwillbeobtained.Atthis

time, theestimatedcost foranewunit is in therangeof$4500.TerryQuinlanmadeamotiontospendup to$4500 from the Lizzie Fund to replaceUnit #3. Themotionwas secondedbyDebbieHanna,andthemotionpassed.

• Preschool–AlanLodgepresentedtheStatementofUnderstandingBetweentheSt.JamesEpiscopalChurchandtheSt.JamesPreschool,asdeliveredtotheVestrywithchangesinplace,andstateditwillberatifiedbytheSchoolBoardofDirectorsbeforethenewschoolyear. Itwasrecommendedand agreed that the signature of the School Board Chairman should be added to the document.Therefore, the signatures on the documentwill include those of the School Board Chairman, theSenior Warden, and the Preschool Director. A motion was made to accept the Statement ofUnderstandingBetweentheSt.JamesEpiscopalChurchandtheSt.JamesPreschoolasdrafted.Themotion wasmade by Lucy Dosker, seconded by Beth Karweick, and passed with the changes aspresented and with the signatures as stated above. Alan also delivered a request from thePreschoolDirectorfor$100toprovideappreciationbagsforpreschoolleaders.AmotiontoapprovethisrequestwasmadebyMaryHarding,secondedbyCherish,andthemotionpassed.

• Choir– JeffWebbreportedthat thechoir isdiscussinganotherMusicFundraiserwitha tentativedateofSeptember15,2018asapossibility.Moreinformationwillfollowasplansdevelop.

• ECW/DOK – Debbie Hanna stated that the ECW is developing upcoming events and is primarilyfocusingonplansforElizabeth’sinstallationinSeptember.TheDOKwillholdaretreatatAllSaintsonAug10-11,2018,whichwillbeledbyRev.Back.

• Worship/AltarGuild – Lucy informed theVestry that 2 new candles are being purchased and theupcomingInstallationofournewRectorisanactiveprojectofthesecommittees.

• Communityinvolvement–CherishremindedtheVestrythattheroadsidetrashpick-upprogramforOldham County is a lucrative fundraiser for St. James, and our rotation on the list should be inNovember2018orearlyafterthefirstoftheyear.DespitethefactthatCherishismovingoutofthearea, she hopes that this will continue to be a successful endeavor for our church. Cherish wasthankedsincerelyforheryearsofserviceontheVestryandforherdedicationtoSt.James.

• Lay Ministry Training update – Lucy attended the Lay Ministry Training sessions conducted byDeaconMaryAbramsandcommendedheronthisprogramandofferedspecialthanksforallofhereffortsinthisendeavor.

• Elizabethgaveverypositive feedbackonherrecentFiresideChats,and isplanningtoestablishanongoingprogramofchatsonthefirstSundayofeachmonth,betweenthe2services.
