Accounts
ACCOUNTS• Three types
• Posting – For storing periodic balances of financial results
• Unit – For storing periodic balances of statistical data, like number of patients or customers
• Allocation – For breaking an entry into different accounts using predefined percentages or unit account ratios

POSTING ACCOUNTS
• Accessed via Cards >> Accounts
• Must be unique
• Can be changed using PSTL
• Can be imported using Integration Manager
• Can be created using Mass Modify
POSTING ACCOUNTS
• Inactive – Can make an account inactive if it has not been used
• Allow Account Entry – Prevents user entry
• Pay attention to posting type!

POSTING ACCOUNTS
• Level of Posting – Drives the detail based on posting settings
• Include in Lookup – Determines if users see the accounts by default in subledger modules
• Category – New categories can be created –Useful for financial reporting
• User-Defined – Can be used in lookup windows or other reporting solutions
UNIT ACCOUNTS
• Provides a way to track quantities of items on a periodic basis
• Can be entered in Transaction Entry or imported using Integration Manager
• Do not have to balance on an entry• Budgets can be maintained• Key field – Check the box for Clear Balance
During Year-End Close if you don’t want beginning balances

FIXED ALLOCATION ACCOUNTS
• Used to take an amount entered & break it into parts
• The original amount is not saved
• Based on predefined percentages
• Best practice – Enter an account outside of your posting account range
VARIABLE ALLOCATION ACCOUNTS
• Used to take an amount on a transaction & break it into other accounts
• Based on unit accounts

MASS MODIFY
• Enables you to modify & create accounts based on existing accounts
• Options available• Copy• Inactivate• Delete • Update• Move
RULES FOR ACCOUNTS
• Moving & Deleting rules• No activity for an open period • No account history amounts • Not part of an allocation or unposted transaction • Not part of an unposted transaction • No multicurrency data • No transaction history records

Distribution Reference Enter text if you use the distribution reference (3rd row) on line items
Account Number Must be formatted like your accounts in GP
Debit Amount Enter a number if the line item is a debit

Alias Only used with Analytical Accounting
• You do not need column headers
• Create a spreadsheet & copy the data to be pasted without the column headers

THINGS TO KNOW
• You must enable posting to history in GL Setup to post to a closed (historical) year
• You must enable Voiding/Correcting of Subsidiary Transactions to void or correct a transaction from a subledger module
• Prevent users from deleting transactions by unchecking the Deletion of Saved Transactions
