Housekeeping

Accounts Receivable

Customer Configuration Notes:

• You can establish multiple customer group types to speed up the task of adding customer records.

• Customer functions are restricted based on the security profile attached to the system user within Sage Accpac security groups.

Accounts Receivable

Customer Configuration Process:

• Open accounts receivable / AR customers / customer groups.

• On group tab: enter group code, description, account type, account set, terms code, billing cycle, and interest profile.

• On invoicing tab: enter tax group, and salesperson code if applicable.

• Enter additional information on credit, and optional fields tabs if applicable.

• Click save.

Accounts Receivable

Customer Configuration Process:

• Open accounts receivable / AR customers / customers.

• On address tab: enter customer number, name, group code, and address details.

• On processing tab: enter account set, terms code, billing cycle, interest profile, payment code, delivery method, check language, and additional detail if required.

• On invoicing tab: enter price list, tax group, and additional details if required.

• Enter additional information on contact, comments, and optional fields tabs if applicable.

• Click save.

Accounts Receivable Notes:

• You can use accounts receivable to process invoices, debit notes, credit notes, receipts, and refunds.

• Accounts receivable is integrated with general ledger.

AR Invoice Process:

• Open accounts receivable / AR transactions/ invoice batch list.

• Click new to create new batch or click open add transactions to an existing batch.

• Enter batch description, type, entry description, customer number, document type (invoice), date, item or GL account, and amount.

• Enter optional data in order, customer, taxes, sales split and optional fields sections .

• Click add, and print invoice form if required.

• Post batch to update customer account and general ledger.

• Open accounts receivable / AR transactions/ invoice batch list.

• Click new to create new batch or click open to add transactions to an existing batch.

• Enter batch description, type, entry description, customer number, document type (credit note), date, apply to document, item or GL account, and amount.

• Enter optional data in order, customer, taxes, sales split and optional fields sections .

• Click add, and print credit note form if required.

• Post batch to update customer account and general ledger.

AR receipt Process:

• Open accounts receivable / AR transactions/ AR receipt batch list.

• Click new to create new batch or click open to add transactions to an existing batch.

• Enter batch description, batch date, bank, type, receipt date, entry description, customer number, payment code, receipt amount, and click go button, and select documents to apply receipt.

• Enter optional data if applicable.

• Click add, and print receipt form if required.

• Post batch to update customer account and general ledger.

AR refund Process:

• Open accounts receivable / AR transactions/ AR refund batch list.

• Click new to create new batch or click open to add transactions to an existing batch.

• Enter batch description, batch date, entry description, customer number, refund date, select document, payment amount, and click print check option.

• Enter optional data if applicable.

• Click add, and print cheque form if required.

• Post batch to update customer account and general ledger.

Accounts Receivable

Additional Notes:

• Common customer reports: statements, and customers.

• Common transaction reports: invoices, receipts, deposits, customer transactions, and aged trial balance.

• Drilldown functionality in accounts receivable, and general ledger.

• AR sub ledger should be reconciled with control account on a regular basis.
