The core objective of this document is to list out the process of Physical

Inventory in Warehouse. The document consists of business process

mapped in SAP along with screen shots and transaction details.

Inventory of Goods is an essential part of WareHouse Management. The

movement of Goods is continuously tracked by the system. But in reality

there could be differences between physical and system records. To keep

this difference to a minimum, physical inventory has to be done on a regular

basis.

2 . 1 C R E A T E P H Y S I C A L I N V E N T O R Y D O C U M E N T

1. Use Transaction LX26 as shown in the following Screen 1.

2. Enter the warehouse number, Storage type, Storage bins and theinventory in period and click on Execute button.

3. A list of Storage bin will be shown.

4. Make a note of the Bin and the Article for which Inventory is to be done.

5. Select the entire record and click on the Activate button, indicated in redcircle, as shown in the screen below.

6. System will return a unique Inventory number as shown in screen below.Make a note of the number.

7. Check the status of the bin by using transaction LS03N.

8. Enter the Warehouse number, storage type and the storage bin and pressenter button.

9. The information about the bin is displayed as shown in screen below.

10. Inventory has been activated is shown by the Red Indicator and nowthe bin status will be blocked.

1. Use transaction LI03N to display the Inventory record.

2. Enter the warehouse number and the Inventory Number as shown inscreen below and press enter button.

3. The system inventory record is displayed as shown below.

4. Use transaction LI04 to print the document as shown below.

5. Enter the warehouse number, inventory record number and click on theCheck box Print list.

6. Make a note of the List Name. Click on the Enter icon.

7. Click on the Preview button to see the print Screen.

8. This print out is given to the person who will physically do the count andwrite the figures in the space provided.

1. Use Transaction LI11N to enter the Inventory count as shown below.

2. Enter the Warehouse number, Inventory Record and press enter.

3. In the screen shown, enter the actual count and the name of the personwho has done the counting.

4. Click on the Enter Button. Next screen will show the result as apercentage difference between actual and bin quantity.

5. if the difference is minimal, then counting is done again, as it could bedue to mistake in counting. The new count is entered through Change

Inventory screen which is same as screen 10.

6. To do the changes use transaction LI12N. Enter the new count quantityand save the record.

7. If the difference is too much, then recount has to be initiated. Usetransaction LI14 as shown in screen below.

8. Enter the Warehouse number, Inventory record and press enter.

9. Select the Bin and click on the Initiate Recount Button as shown.

10. System will return a Recount version. Make a note of it.

11. Again use transaction LI11N. Enter warehouse number, Inventoryrecord number and the Recount version as shown in screen below.

12. Press the enter button to go to the next screen as shown below.

13. Enter the counted quantity and the name of the person and click onthe enter button.

14. Again if difference comes, then it is shown as a percentage.

15. As difference is still persisting, it will have to be cleared fromWarehouse as well as from Inventory, now press save button to save the

1. Use Transaction LI20. Enter the Warehouse number and the Inventoryrecord and press enter.

2. Select the bin and click on the Write Off Button to send the difference to999 storage type.

3. System will return the message of 1 Bin cleared.

4. Use transaction LS03N to see the status of the bin in Warehouse.

5. Enter the warehouse number, storage type and the storage bin and pressenter.

6. The Inventory indicator will not be there, which means that bin is free forpick and putaway.

7. The column Total stock will show the quantity as entered previously.

1. Use Transaction LI21. Enter the Warehouse number and enter 999 instorage type as shown in screen below.

2. In the list shown search for the Inventory Number in the column Storagebin.

3. Select the record and click on the Write Off button.

4. System will generate material document as shown in the screen below.

5. Double click on the Article Document Number to go to the Article

document display screen as shown in screen below.

6. Click on the Accounting Documents button to see the accountsinformation as shown in the screen below.

7. Double click on the Accounting Document Number to see the amount asshown in screen 24.

8. This is the amount that has been written off.

1. During TO confirmation if entire quantity is to be confirmed then bin willbe empty. Here system will do a zero stock check as shown in followingprocess.

2. Following screen shows a TO which is to be confirmed. Click on enterbutton to go to the next screen.

3. In this TO Press the Confirm Internally button.

4. The quantity in the bin is same as Pick quantity. Hence system asks forconfirmation as shown in next screen.

5. If physically the bin is empty after pick, then click on the Confirm Empty

Bin.6. If physically the bin is not empty, then enter the actual quantity found in

the Remaining quantity field and click on the Confirm Rem. Quantitybutton.

7. System will propose another screen which is the confirmation of Difference screen as shown below.
