    Exhibitor Check-in Procedures

    Please bring along the exhibitors badge and business card (stamped with company chop) and present it to the Exhibitor Check-in Counter on the move-in day (10 January 2016) to collect the Fair Official Magazine, Booth Curtain*, Name Card Drop-box and important on-site circulars.

  • Circular 6 Special Move-in and Move-out Arrangement

    Special traffic arrangements will be implemented to minimize pressure to traffic caused on the move-in day (i.e. January 10) and move-out day (i.e. January 13) of the HKTDC Hong Kong International Licensing Show 2016. These measures would be beneficial to both our valued exhibitors as well as the general public. Exhibitors are recommended to pay attention to the details of the new arrangement as below: Special Move-in Arrangement (January 10, 2016)

    Special traffic arrangements will be implemented to minimise pressure to traffic caused on the move in day (10 January 2016) and move out day (13 January 2016) of the Hong Kong International Licensing Show 2016. These measures would be beneficial to both our valued exhibitors as well as the general public. Exhibitors are recommended to pay attention to the details of the new arrangement as below:

    Special Move in Arrangement

    All roads of the Hong Kong Convention and Exhibition Center (HKCEC) will be blocked off for move in from 9am on 10 January 2016. Control point will be set up at the entrance, only the following vehicles will be allowed to enter HKCEC Phase II:

    i) Large Vehicle / Lorry / Light Goods Vehicle

    Goods vehicles will only be allowed to enter into the HKCEC loading areas with a. Vehicle Permit issued by HKTDC AND b. Trip Ticket issued at the designated vehicle marshalling area

    Move in procedure

    1. Hong Kong Trade Development Council (HKTDC) issues a Move in Vehicle Permit to all exhibitors.

    2. Before proceeding to the HKCEC loading area, all vehicles MUST first report to the designated vehicle marshalling area according to the time specified on the vehicle pass issued by HKTDC. The vehicle marshalling area will be opened at 9am until all the move in activities finished. The exact location of the vehicle marshalling area to be announced.

    3. Upon arrival at the vehicle marshalling area, the drivers MUST first present the Vehicle Permit issued by HKTDC, queue up and wait for further instructions given from the attendant of HKCEC. The waiting time at the vehicle marshalling area may vary and would depend on the total number of vehicles, move in speed and the prevailing traffic condition.

    4. According to the traffic condition, a Trip Ticket will be issued to the drivers at appropriate time. The driver must then proceed to HKCEC loading area via Expo Drive within 2 hours with a) HKTDC Vehicle Permit AND b) Trip Ticket.

    5. Drivers failing to present the above 2 permits will NOT be allowed to enter into HKCEC loading area.

  • ii) Private Car / Taxi

    Move in procedure Private cars and taxis entering HKCEC Phase II will NOT be required to present any Vehicle Permit nor report to the vehicle marshalling area. However, drivers must enter HKCEC Phase II via Expo Drive (opposite to Grand Hyatt Hong Kong) and unload their goods at the Expo Drive Entrance. NO waiting or parking at the HKCEC Phase II is allowed.

    Special Move-out Arrangement (January 13, 2016)

    (A) Exhibitors may use their own vehicles or other forwarders service. A move out permit with entrance time of After 6:30pm would be issued to each request accordingly in late December with the following details:

    i) Large Vehicle / Lorry / Light Goods Vehicle

    Entries of the HKCEC will only be allowed to the vehicles with a. Vehicle Permit issued by HKTDC

    Move out procedure

    1. Control point will be set up at the entrance of HKCEC, only the vehicles with the Move out Vehicle Permits issued by the HKTDC are allowed to enter the HKCEC loading area via Expo Drive after 6:30pm on the 13 January 2016.

    2. If the vehicle loading area becomes overloaded, further measures will be implemented at discretion.

    ii) Other Transportation

    1. Private vehicles and taxis will be allowed to enter into the HKCEC at the discretion of the traffic control attendants during the move out period. No waiting or parking at the HKCEC is allowed.

    (B) Hong Kong exhibitors may also use the centralised move out service provided by the Organiser.

    Details will be announced in separate circular.

    According to the traffic conditions, the police may implement traffic diversions at the vicinity of HKCEC on the move-in and move-out day.

    Exhibitors requiring the use of the 40 ft. container size lifts for the transport of bulky stand materials should apply in advance with the HKTDC for special vehicle permits. Please note that vehicle passes are not parking permit. All vehicles / trucks must leave the loading bay after the loading of their exhibits.   • Circular 7 Move-out Regulations

    Please note that many buyers/visitors have to utilize all opening hours in the 3-day event to

    schedule and complete their visits at the Fair. We have received complaints about exhibitors

    who had removed all the exhibits well before the official closing time. In order to maintain a

    good image of the Fair including exhibitors professionalism, and to protect all exhibitors and

    buyers/visitors as well as their interests, move-out of exhibits is prohibited before 6:30 p.m. on 13 January 2016. According to the exhibition regulation no stand or exhibits shall be dismantled or removed before the official closing time. Our staff will conduct on-site

    spot-checks on 13 January 2016, those exhibitors who violated such rule will be served a

    warning letter. It may affect the booth selection priority at future editions of the Fair for those

    exhibitors who violate the rule. In addition, the Organiser reserves the right to reject their future

    participations at the Fair. Grateful for your understanding and cooperation.

  • Circular 8 Use of Badges and Vehicle Permits

    (A) Use of Badges In a bid to step up the security at the fairground, access to the venue has been tightened, only badge holders are allowed to enter the exhibition area. Exhibitor and contractors must wear proper badges to enter the fairground during the move-in and move-out periods. Exhibitor Badges

    The number of exhibitor badges issued to exhibitors is in proportion to the size of the exhibition stand according to the following scale:

    All exhibitors and their staff assigned to man the booth are strictly requested to wear exhibitor badges at all times during move-in, move-out and throughout the entire exhibition period. Exhibitor badges are issued to the representatives, agents and staff of the exhibitor only and they should not be transferred to others including visitors, guests or members. The Organiser reserves the right to verify the identity of the badge holder whenever necessary.

    Contractor Badges

    Contractor badges are only valid during the move-in and move-out period, and they cannot be used to enter the fairground during the exhibition period.

    (B) Use of Vehicle Permits ONE vehicle permit will be issued to each exhibitor for entering the loading/unloading area of the Hong Kong Convention and Exhibition Centre on the move-in day and move-out day (i.e. 10 January and 13 January 2016). The permit must be displayed on the windscreen to facilitate inspection, and is only valid for use at the specified date and time indicated on the permit. Vehicles will be given a ticket with the clock-in time when entering the loading/unloading area on 10 and 13 January 2016. With an aim of alleviating the traffic congestion due to a high usage of loading/unloading facilities, the free-of-charge loading/unloading time is limited

  • to 45 minutes. The HKCEC will impose charges on vehicles with extended stay on 10-13 January 2016. The charges are as follows:

    1st 45 minutes : Free 1st hour (of part thereof) after Free Period : HK$100/hour or part thereof 2nd hour (of part thereof) after Free Period : HK$200/hour or part thereof Lost Ticket : HK$500

    Payment (if any) will be collected at the exit control booth in the Truck Marshalling Area with official receipt. Please note that vehicle permits are not suitable for parking purpose, and is not valid for private cars. The above measure has been implemented in a number of exhibitions, and was proven to alleviate the traffic congestion. Please contact the Organiser for any further inquiries.     Issues related to Trade Mark

    During the Hong Kong International Licensing Show, Hong Kong Customs and Excise Department will take proactive actions against suspected trade mark infringement activities. Such as authentication of the infringed trade mark with the trade mark owners, attend the venue to handle infringement complaints, etc. Customs will vigilantly monitor infringement activities to protect the rights of intellectual property rights owners. Customs would like to pass the message through HKTDC to remind all exhibitors, to ensure that all products sold are genuine to avoid breaking the law.     Immigration Regulations to be Observed and Followed by Exhibitors 1. Exhibitors from outside Hong Kong (Including Chinese Mainland Exhibitors)

    According to the policy of Immigration Department of Hong Kong, foreign visitors are allowed to remain in Hong Kong for the purposes of sightseeing, shopping, as well as conducting contracts, attending meetings and conferences, etc. For the purpose of immigration control, visitors are subject to certain conditions of stay specified in the Immigration Regulations. These conditions preclude a visitor from taking up employment, whether paid or unpaid and he is not allowed to establish or join in any business. Those who wish to be engaged in day-to-day business operations or investment activities in Hong Kong will have to apply for a work permit.

    In the case of a trade exhibition, whether an exhibitor needs a work permit would depend on the nature of the business of the exhibition booth he/she mans and his/her activities therein. In general, if the exhibitors activities are focused on promotion without engaging in retail sales, he will not need to apply for a work permit. However, if an exhibitor from outside Hong Kong is engaged in retail sales activities, a work permit will be required.

    2. Exhibitors from Chinese Mainland

    Where Chinese Mainland exhibitors participating in trade fairs are concerned, it should be noted that they must apply for exit permission from the relevant Chinese Mainland authorities. For business visits, Mainland residents have to apply to the PSB Office in their place of domicile for permission to enter Hong Kong under the Business Visit Scheme. The PSB will issue an exit-entry permit with a business visit endorsement to Mainland business visitors. Exhibitors from Chinese Mainland are required to meet Hong Kong Immigration regulations as stipulated in Item 1 of the above.

    3. Hong Kong Exhibitors

    If any local exhibitor is planning to deploy or hire any personnel from outside Hong Kong at the booths during fair period (including move-in and move-out days), the above regulations (Items 1 and 2) will also apply.

  • Circular 11 Special Safety Reminder

    In order to maintain the site safety of events held at the Hong Kong Convention & Exhibition Centre, with immediate effect, a new safety measure has been implemented. This new measure is in-line with the relevant regulations implemented by Labour Department and Occupational Safety & Health Council. Details are as below: - 1) If the construction/dismantling work is carried out at 2 meters or more above the ground,

    contractors should use high reach equipment, such as metal scaffolding. In addition, the scaffold shall not be used on a construction site unless the Form 5 (Scaffolds-Reports of Results of Fortnightly or other inspections) report has been made by a competent person. This form should be displayed in a prominent location of the scaffold, specifying the location, the extend of the scaffold on the site and a statement to the effect that the scaffold is in safe working order, strength and stability.

    2) Workers are required to wear safety belt while construction activities are carried out at 2 meters or more above the ground.

    3) If this rule is not observed, HKCEC and the Organiser will have the right to stop the relevant construction activity immediately.

    Standard Booth Decoration

    Standard Booths are provided by the Organiser's official contractor and are of a standard design. No variation of the Standard Booth shall be allowed unless prior written approval is given by the Organiser. No decoration, booth fitting or exhibit shall exceed 2.5m in height or the height of the Standard Booth, whichever is lower. No stickers, poster hangers or other materials will be allowed to hang on fascia. The Organiser reserves the right to remove any exhibits or publicity materials at the exhibitors expenses which are considered not conforming to the standard and set-out of the exhibitor or do not fall within the exhibit description of the exhibition.

    Measures on Custom-Built Stand We have summarised the changes below and would like to draw your attention to them. You are strongly advised to download the full version of the Exhibitor Manual & Order Form at http://www.hktdc.com/fair/hklicensingshow-en/s/3866-For_Exhibitor/HKTDC-Hong-Kong-International-Licensing-Show/Exhibitors-Manual.html and go through the details. Drawings submitted must be in reasonable scale of at least 1:100, fully dimensioned and must contain information such as floor plan, stand elevation, electrical fittings, carpeting, colours and materials to be used, moving exhibits, audio-visual equipment, weights and point loading of exhibits etc.

  • Fire services certificate should be certified by Registered Fire Services Installation Contractors. For the List of Registered Fire Services Installation Contractors, please visit http://www.hkfsd.gov.hk/home/eng/source/FSIC_list_eng.pdf. Any alterations after drawing submission should be addressed to the Organiser and relevant parties for review. Contractors badge and vehicle pass will be distributed at HKTDC, 83 Chun Yat Street, Tseung Kwan O Industrial Estate, Tseung Kwan O, Kowloon, Hong Kong. However, no contractors badge or vehicle pass will be issued for entry of Exhibition Venue and no construction will be permitted at the Exhibition Venue unless custom-built participation contractors information, construction drawings, lighting plan, site work deposit (including late charge, if applicable) and a copy of valid insurance policy have been received by the Organiser. Hanging Truss (For lighting purpose only) The suspension of Stands or lighting devices from the ceiling structure of Exhibition Venue is not permitted.   • Circular 14 Safety Regulation on the Use of Trolleys

    Trolley rental service will NOT be available for exhibitors at the fair. Exhibitors are advised to make your own arrangement in advance should you need to use any trolley in the fair. For safety reasons, exhibitors should take all precautions to avoid causing danger to others when using trolleys at the exhibition venue. All trolleys must be equipped with rubber protection borders and there must be two accompanying staff when transporting your goods at the exhibition venue. To avoid any injury resulting from the falling of goods, exhibitors are not allowed to use trolleys to transport goods exceeding the size of 1m x 1m x 1m. If the exhibition venue is too crowded, the Organiser reserves the rights to stop exhibitors from using trolleys and to follow additional safety measures. Trolley rental service will NOT be available for exhibitors at the fair. Exhibitors are advised to make your own arrangement in advance should you need to use any trolley in the fair. For exhibits move-in and move-out of the exhibitor venue, exhibitors are recommended to appoint professional forwarders to provide the transportation service.     Sound Level Restriction and Crowd Management The use of PA systems or loudhailers is not recommended. In the event that such facilities are to be engaged, please make sure that the sound level will not cause undue disturbances or inconvenience to other exhibitors and visitors. The Organiser will take steps to ensure that the demonstration sound level of loud speakers should not exceed 75 dB(A) at the boundaries of your display sound level. Demonstration of exhibits found to be objectionable due to noise level will be closed down on the third warning and the exhibitor shall not receive a refund or damage compensation from the Organiser. Exhibitors are responsible for supervising the actions of all employees operating audio/ visual equipment located in their exhibit area.

    To safeguard the interests of all exhibitors and enhance the orderly flow of visitors at the fairground, should any exhibitor wish to organise special events, or invite movie stars, celebrities or singers to attend marketing functions, prior written approval from the Organiser is necessary. Prior to publicising and marketing such special events, exhibitors should ensure that sufficient security guards will be hired for crowd control, so that the events will not cause any inconvenience to other exhibitors.     Guidance to exhibitors for on-site usage of electricity

    - The electrical appliance used by the exhibitor on-site

    should be a 3-pin plug which complies with the electrical safety requirements (as shown in the picture).

    - Exhibitor should check which type of socket you have ordered and its power limitation. Each socket can only be plugged in one electrical appliance only. The fuse will be broken if electricity consumption exceeded the power supply limit. Fuse re-installation charge on-site is HK$50.

    - No multi-plug or extension cord are allowed to be connected to the socket. HKTDC staffs will inspect it constantly and reserves the right to suspend the electricity supply until the problem is rectified by the exhibitor concerned.

    - Exhibitors who have rented the fridge from their own suppliers, please check carefully the power consumption and specification of the equipment to avoid any electricity overload on-site and cause the broken of fuse. (Those exhibitors who ordered 24 hours power supply should pay special attention)

This is in line with best international practices and the wishes of visitors and event participants.     Caution on Third Party Promotional Offers from Fair Guide/Expo Guide The Hong Kong Trade Development Council (HKTDC) has learnt that exhibitors have been receiving invitations from Fair Guide (owned by Construct Data) for listings in its guide at the exhibitors' expense. It has also come to HKTDCs attention that another company under the name Expo Guide (owned by Commercial Online Manuals S de RL de CV (Commercial Online Manuals)) has sent similar invitations to exhibitors inviting them to update or correct their data with its fair directory for free listing. The HKTDC would like to stress that neither the Fair Guide nor the Expo Guide has any connection with the HKTDC or any of our fairs.

    UFI, an international organization which represents the interests of the exhibition industry worldwide has been warning the exhibition industry to be vigilant against Fair Guide, Expo Guide, Construct Data, Commercial Online Manuals and other similar guides and organisations. UFI has also reported that debt collection agencies work in partnership with these guides to intimidate exhibitors for payment. The practice of Construct Data has been considered as unconscionable and misleading by the Austrian Protective Association. Recent information suggests that Construct Data has shifted its operation from Austria to Mexico and/or Slovakia.

    It should be noted that the contents and wording of Fair Guides and Expo Guides letter and order form are virtually identical. It is possible that Construct Data and Commercial Online Manuals are related companies or are in some way connected. You should therefore exercise due diligence and care when being approached for such invitations so as to avoid possible unwarranted and/or unnecessary financial commitments. In order to protect your own interests, you are urged to read the contracts (including the small print) and attachments carefully, as well as seeking legal advice, before signing any such documents.

    The HKTDC does not recommend that you sign any materials that you receive from Construct Data, and/or Commercial Online Manuals. If you have mistakenly entered into contract with Construct Data and/or Commercial Online Manuals, you should notify Construct Data and/or Commercial Online Manuals in writing and inform them that you dispute the validity of the contract on the basis of mistake and/or misrepresentation. You should take legal advice as to how to respond to any demands for payment that you might receive.

  • Circular 20 Important Exhibition Regulations

    Sub-letting You are strictly forbidden to sublet or otherwise share your Space or Stand to or with any third party. Any Exhibitor found to be in breach of this sub-letting prohibition will be asked to immediately remove all illegitimate third party business cards, materials and exhibits (promotional or otherwise) from its Space or Stand at its own expenses and will also be banned from taking part in all the HKTDC trade fairs. By way of clarification, an Exhibitor is ONLY permitted to:- (i) promote, distribute or display exhibits, printed matters or graphic materials bearing its name

    or distribute name cards of its own employees; and (ii) allow its own employees to solicit business for itself, at its Space or Stand. An Exhibitor may also (i) promote, distribute or display exhibits, printed matters or graphic materials bearing the name of its wholly-owned subsidiary or any third party company having a formal agreement with itself appointing the Exhibitor as agent or distributor of that third party company or (ii) allow the employee of such subsidiary or third party company to solicit business for such subsidiary or third party company at its Space or Stand. Please however be reminded that you MUST first obtain the prior written permission from us by applying in writing to us at least 3 months before the commencement of the Exhibition if you wish to conduct the said activities for your subsidiary or any such third party company. We will expect to receive some form of documentation confirming the relationship between you and the relevant subsidiary or third party company before considering your application. Our permission is given entirely at our sole and absolute discretion and our decision is final. Please note that any Exhibitor found to be conducting the above activities for your subsidiary or any third party company without having obtained our prior written permission will be treated as "sub-letting" in contravention of the sub-letting prohibition. Please nonetheless be reminded that any of the above activities can only take place in relation to products which fall into the same product category zone as stated in the booth confirmation letter of the Exhibition. Display relevant exhibits Exhibitors are reminded that they may only display exhibits which fall into the product category zone as stated in the booth confirmation letter of the Exhibition. If we find Exhibitors using less than 60% of their display area exhibiting the appropriate product under a designated product category zone, we have the right and will have no hesitation to ask the Exhibitor to immediately relocate and/or terminate its participation in the Exhibition, without any recourse on our part. We would like to thank you in advance for your cooperation and understanding in complying with these particular rules which have been brought to your special attention. These rules exist in order to keep a fair and profitable business environment for all participants in the Exhibition.

    Free Wireless LAN service To ensure smooth Internet access during the fair period for business usage that requires stable connection (such as website demonstration, download of multimedia files, remote access to company server, etc.) throughout the Fair, exhibitors are advised to order a dedicated Broadband Line inside your booth, instead of relying on the Wireless LAN service provided by Hong Kong Convention and Exhibition Centre (HKCEC) (Please refer to FORM 5 in the Order Forms). All exhibitors are kindly reminded that the free Wireless LAN service operated by HKCEC intends only for light and causal usage by a limited number of users simultaneously. The wireless connection may fail or become slow and/or unstable during the fair period, and will disconnect if the connection is idle for over 10 minutes.
