A Hiring Manager’s Guide to Logging on to the Online Recruiting Centre and General Navigation

Glossary of terms

Hiring Manager

For Schools, it is anticpated that the Hiring Manager will be the Principal who will be responsible for creating the Staff Requisition and completing the recruitment activities to fill the vacancy.

For EA Corporate recruitment, it is anticipated that the Hiring Manager will be the Line Manager or Service Manager.

Hiring Manager Assistant

For Schools, it is anticpated that the Hiring Manager Assistant will be the Principal’s nominee who will assist with recruitment activities

For EA Corporate recruitment, it is anticipated that the Hiring Manager Assistant will assist the Line Manager or Service Manager with recruitment activities.

RecruiterThe Recruiter will be the Team Leader within each locality team who will approve the requisition and nominate a Recruiter Assistant to oversee the recruitment and selection process.

Recruiter AssistantThe Recruiter Assistant will be the Team Leader within each locality team who will over see the recruitment exercise and advise and guide the Hiring Manager through the recruitment and selection process.

Welcome Centre The Welcome Centre is a home page that is displayed to users immediately after they log in.

Recruiting Centre

The Recruiting Centre is the main page within the Online Recruitment Centre that is used by Hiring Managers/Hiring Manager Assistants, Recruiters and Recruiter Assistants to navigate between requisitions, candidates, offers and tasks.

Logging on

The online recruiting system is cloud-based and can be accessed by users on demand via the Internet. To access the online recruitment centre, enter the following URL into your browser: https://eani.taleo.net

Please note that this webpage is not compatible for use on mobile devices.

Tip: Frequent users may find it beneficial to add this URL to their browser favourites for quick and easy access. For guidance on how to do this, please refer to the following document: Launching Online Recruitment and Adding the Webpage as a Favourite

The following screen will appear. Enter your username and password. Click the Sign in button.

If you require assistance with your User Name or Password, please contact the system administrators at [email protected]

If the following message appears and does not bypass to the next screen, you may have to click “Get ADOBE FLASH PLAYER” (NB: Adobe Flash is not supported on iOS devices, including the iPad, iPhone, and iPod Touch, in order to access the Recruiting Centre, you will need to have Google Chrome installed).

Password Rules:

Passwords are case sensitive and must contain between 6 and 32 characters. Passwords must contain at least 1 letter and 1 numerical value and must not contain more than 5 identical consecutive characters (e.g. AAAAA...). Passwords must not contain your user name.

When resetting passwords, they must be different to a previously used password.

The Welcome Centre

The Welcome Centre is a home page that is displayed to users immediately after they log in. The Welcome Centre will contain basic navigation information; details of where to find supporting documents and any news items e.g. system downtime, that you may need to reference:

The Recruiting Centre

To access the Recruiting Centre (also known as Centre Stage) click on either of the Recruiting links, found in the Welcome Centre, as illustrated.

Tip: The Quick Access panel found on the Welcome Centre provides an alternative “one-click” access to items without having to click through to the Recruiting Centre.

Tip: If you ever need to return to the Welcome Centre, either click the House icon on the Core Navigation bar or click on the Home link at the top of the page.

The Hiring Manager’s Recruiting Centre has four channels, Requisitions, Candidates, Offers and Tasks, as shown below:

The communications channel can be accessed from the right of the Recruiting Centre. Within this channel you will find helpful information and support details.

This is a refresh button. When pressed, the statistics in the Recruiting Centre will be the most up-to-date. Statistics are also updated immediately after login.

NB: You can click these headings to access any information or items that you are named on as the associated Hiring Manager, Hiring Manager Assistant or Panel Member.

Tip: You can hide the communications channel by clicking on the double arrows at the top of the pane. Once hidden you can click the double arrows again to re-display the communications channel.

You can minimise and maximise statistics under each channel by clicking on the adjacent collapse button for that channel.

Managing your Account Setup

To edit your account setup, click Resources on the top right hand corner of the screen while you are in the Recruiting Centre and then select My Setup:

You can access the My Setup screen from the Welcome Centre however; you will be provided with a read only overview of your account and will be unable to edit the contents.

Items listed in the flag column are specific to each user. They represent the items that are new or that have been updated by another user since you last viewed them.

From this screen, you will be able to edit your preferences, add frequent panel members and add frequent approvers:

My Setup - Preferences Tab

To edit your user preferences, select the Preferences tab from the ‘My Setup’ screen and click the Edit button:

The Preferences page is split into 3 sections:

Please contact your system administrator ([email protected]) should you wish to make updates to any element held under the ‘General’ tab.

Tip: It is recommended that you Enable eShare Email for Response Centre Access and also select to receive the Workflow Event Notifications. This means that you will automatically receive email notifications about approvals, job postings about to expire and notifications when a job posting has closed.

Tip: A Default theme, colour and text size have been applied to your account. You can modify these by choosing a different selection from the drop down options. It is recommended that visually impaired users select Dark (inverted) as the default under the Selected Item Default Colour field as it is a high contrast colour scheme.

When you have completed all amendments to this tab, click Save and Close.

Tip: It is recommended that you add your name to the Default Hiring Manager field so that you do not have to manually select this each time you raise a requisition. If you always send requisitions to the same resourcing team, you can also add their name to the Default Recruiter field (e.g. Corporate Resourcing Team – Corporate positions, South West/North/East Resourcing Team – School based positions).

My Setup - Frequent Panel Members

School based Hiring Managers – Skip to page 12 (Frequent Approvers)

NB: Boards of Governors will not have access to the online recruitment system and will not therefore be selectable as panel members. Names of BOGs acting as panel members will be recorded on the final shortlisting summary grid and final order of merit interview recommendation, which must be attached to the e-requisition.

Corporate Hiring Managers - If you are regularly using the same panel member(s) for your recruitment activity, you can add them as frequent panel members so that they can be quickly added to requisitions in the future. To do this, select the Frequent Panel Members tab under ‘My Setup’ (details of how to access ‘My Setup’ is explained above) and select the Add button:

The ‘Panel Members’ pop up will be displayed. Use the Select button beside the relevant panel member(s) name to add them to the top pane:

When you have added all your frequent panel members to the top pane, click Done:

After clicking Done, you will return to the ‘Frequent Panel Members’ page where you will now find the selected names displayed:

Tip: If you have selected a panel member name in error, hover beside their name and an x button will appear. Click this to remove the name from the top pane of the pop up.

To edit your frequent panel members, select the Modify button. The ‘Panel Members’ pop up will be re-displayed and you can remove/edit your selection.

An ‘Approvers’ pop up is displayed. Use the Select button beside the relevant approver(s) name to add them to the top pane:

If you have more than one approver, you can reorder them in the top pane of the ‘Approver’ pop up by selecting the drop down and choosing your preferred order:

When you have added your frequent approver(s), click Done:

You will return to the ‘Frequent Approvers’ page where you will now find the selected names displayed:

Offer Approval

Please note that the Education Authority do not send offers for approval. This functionality will not be used.

General Navigation Tips

Tip: If you have selected an approver’s name in error, hover beside their name and an x button will appear. Click this to remove the name from the top pane of the pop up.

Do not use the Back and Forward buttons of your internet browser. For security reasons, you may find that the page you are looking for cannot be displayed.

A tooltip is a short explanatory text. Access tooltips by hovering over a button, icon, tab etc. More information relating to the area you are hovering over will be shown.

Always log out of the system using the Sign Out button before closing the browser window. If you do not do this, you may find a delay in logging in the next time you launch the website.

Where displayed, use the Up button to take you back to the previous page.

Displays the previous page.

Displays the first page.

Displays the next page.

Displays the last page.

This is a selector button. Use this to display selection lists throughout the system.
