KNOW YOUR PIPELINEHere is a quick rundown of every step in your ‘Apply Challenge’ pipeline:

BACKGROUND FOR RUNNING AN ‘APPLY CHALLENGE’

LABS TEAM The Labs team, who are responsible for executing on key Apply Challenge prep activities, as well as management and follow through.

EVALUATORSIndividual(s) with expertise in the technology aiming to be applied, who are capable of evaluating the ideas that are submitted. These individuals may reach out to participants for clarification.

FINANCIAL ANALYST Individual with expertise in assessing an idea’s financial impact on the business. This can be a borrowed resource from within the company. PARTICIPANTSIndividuals who submit ideas and/or collaborate with other Participants in an attempt to assess which approach is best for this new technology.

KNOW YOUR ROLES Here are the individuals associated with an Apply Challenge:

❶ RATE IDEAS As potential ideas are

submitted by participants, they are automatically added into this initial step. Single Scale action items are

triggered to Evaluators to quickly rate.

❷ EVALUATE IDEAS After a quick rating, the top selected ideas are added to this step. Scorecard action items are then triggered to Evaluators to assess the ideas’ potential impact and feasibility.

❸ PRIORITIZE IDEAS In this step, the top rated

ideas are moved here to be stack ranked by the Labs Team.

❹ IMPLEMENT PROJECT The idea moved into this

step is now a ‘project’ to be implemented. The Labs Team Leader ensures follow up to ensure progress of the project.

❺ TRACK BUSINESS IMPACT

The project in this step are now implemented, or close to implementation. The Labs Team Leader will work in partnership with the Financial Analyst to track the business impact of this new application.

KNOW YOUR PREREQUISITES

Cross these items off your list, prior to kicking off a new ‘Apply Challenge’:

Identify the Opportunity for the TechnologyAn Apply Challenge is meant to assess how a specific technology can be best applied to the business. Therefore, the Challenge topic should be =clear as to how to apply this technology in the most efficient and impactful way possible.

Connect to any pre-existing ‘Monitor Forum’ If there is an existing ‘Monitor Forum’, in your Brightidea Innovation Cloud, you may want to consider moving existing trends to your Apply Challenge.

SET UP YOUR ‘APPLY CHALLENGE’Once all prerequisites are met, let’s now set up the actual ‘Apply Challenge’.

PLAN → SET UP → RUN → CLOSE → REPORT SUCCESS

REQUIRED TO-DOS

Create Your ‘Apply Challenge’Select the Apply App in the Apps Pillar. The App Creation Wizard will guide you through all key components needed (title, participants to invite, etc.) Note: An Apply Challenge should be opened to all possible Participants, but also can be restricted to a smaller group or used internally with the Labs team..

Edit Your ‘Challenge Brief’ & ‘Additional Details’ Thoroughly sharing the details of your Apply Challenge will ultimately help your Participants understand the requirements for submission. We recommend you clearly state the call-to-action in this area. Include any images or examples to help clarify.

TIP! Include all background information on how the Challenge surfaced.

Add ‘Evaluators’ in Two StepsNavigate to your Apply pipeline, and select ‘Configure Single Scale’ under the ‘Rate Ideas’ step to add Evaluators who can quickly vet submissions.

Second, select ‘Configure Scorecard’ under the ‘Evaluate Ideas’ step to add Evaluators to fully review in depth.

Update the ‘Phase Widget’By default, the Apply App will install the ‘Phase Widget’ on your home page. Via Widget Setup Mode, ensure you accurately reflect phases of your Challenge, with the proper dates. This widget will help share where you are in your overall process to your Participants.

Update Your Idea Submission FormThere is a default submission form when you create a new Challenge from the Apply App.

If there is a need to collect additional information, feel free to update this form. Here’s how.

Refine Your Evaluation Questions & AnswersThere is a default evaluation scorecard template ready to go, when you create a new Apply Challenge.

DAY OF LAUNCH

Announce the Challenge!Make sure Participants are aware of this new Challenge, by sending a newsletter, or using internal channels (e.g intranet announcement or weekly email).

TIP! Along the way, sustain engagement and keep your audience up to date by sending newsletters and blog posts.

RUNNING THE CHALLENGE

Keep your Scheduler Settings in MindTo help keep your Challenge on track, the Scheduler automates enabling and disabling of submitting, commenting and voting at the same time as the end date.

TIP! If you prefer to, you can disable the Scheduler.

Ensure Action Item CompletenessIf the Evaluators are delayed in completing their action items, it could also delay the final idea selection.

Tap the Action Item Reminders feature in the ‘Manage Initial Screen’ view and select ‘Send Reminder’. Track Idea Progress in your Pipeline At any point, the Labs Team may need to check-in on where potential ideas are in the pipeline. Ensure all potential ideas are where they need to be in the pipeline, and follow up to Participants and Subject Matter Experts to unblock progress

RUN YOUR ‘APPLY CHALLENGE’Congratulations! You finally launched your Apply Challenge to your participants! Here are the tasks to guarantee success:

The Challenge is Over! When reaching your end date, your Challenge will automatically switch to ‘Closed’ status.

Announce the Chosen Idea & Thank Participants! Hooray! Accolades are in order for the person who submitted the winning idea! Take the time to show appreciation for everyone’s contributions. Leverage the Newsletter or Blog Post to send communications to the Participants.

Track Business Impact In partnership between the Labs team and the Financial Analyst, projected and actual impact should be recorded in the ‘Business Impact’ tab on all relative projects. This can include both qualitative outcomes (i.e. employee engagement, customer satisfaction) or quantitative impact (benefits and costs).

Leverage Analytics Dashboards to keep the team up-to-date.

Keep the Labs Team up-to-date with the latest Apply site engagement numbers. We recommend sending a quick rundown of how many logins, submissions, and votes the site has generated.

Utilize the Engagement & Innovations dashboards to pull these stats.

CLOSE YOUR ‘APPLY CHALLENGE’You have successfully ended your ‘Apply Challenge’.

REPORT SUCCESS TO YOUR STAKEHOLDERWe recommend a follow up with your Stakeholders after the ‘Apply Challenge’ has closed. Here are some suggestions:

SHARE IDEA ‘BUSINESS IMPACT’

Showcase to the top projects that are generating the most projected and actual value. Leverage the Business Impact Dashboard to pull these numbers.

SHOWCASE THE CHOSEN IDEA (AND THE TOP RATED ONES)

Leverage the Project Gallery to showcase the implemented idea, as well as the top rated ideas that could be considered for the future. Remember to use the side panel to filter attributes like statuses and stages.
