PREFACEANDOVERVIEW

Inthefall2018term,NewRiverCommunityandTechnicalCollegeimplementedZoomasourplatformfordeliveringIVN(InteractiveVideoNetwork)classes.ZoomalsoreplacedBlackboardIMinDecember2018asthecollege-widesolutionforinstantmessaging.ThesechangesaresavingtheCollegemoneywhilealsoprovidingnewoptionsandfeaturesforallusers.

Simplyput,Zoomiseasytouse,anditoffersanumberofusefulfeaturesandoptionsnotpreviouslyavailabletousforvideoconferencingandinstantmessaging.ZoomisalsocompatiblewithourcurrentLifesize®systemswhichmeansthatZoomandLifesizeequipmentcaninterconnect.TwonewIVNclassroomswerecreatedinthesummerof2018(R126andF214).These“ZoomRooms”areabout10yearsnewerthanourLifesizeequipmentandwillprovideabettervideoconferencingexperience(betterqualityvideoandaudioaswellasadditionaloptions).Asfundingallows,wewillbeginreplacingoutdatedLifesizeroomswithnewZoomRoomsthroughouttheCollegeandweexpectthistotakesomeyearstocomplete.

ImplementingZoominvolvessomechangestotheresponsibilitiesofIVNinstructorsandstudentswhomustnow(1)startclassmeetingsand(2)endclassmeetings.Inthepast,ourIVNsystemconnectedmeetingsautomaticallyandIVNinstructorsandstudentsonlyneededtoentertheroomtobe“connected”totheotherclassrooms.Unfortunately,ourolderLifesizeIVNroomsnolongerhavethisfeaturewhichmeanssomeoneineachclassroommustacttostartandendeachclassmeeting.Asaresult,somebasicfamiliaritywithoperatingtheequipmentisessentialforbothIVNinstructorsandstudents,particularlystudentsinremoteclassroomswithoutaninstructoronsite.

ThismanualprovidesdetailedinformationforusingZoomandhasbeencreatedwithourNewRiverenvironmentinmind,meaningthattheinformationisspecifictoNewRiver.Whilethismanualisanexcellentgeneralresource,wehavealsocreatedadditionalinformationforIVNinstructorsandstudentstofurtherassistwithusingZoom(https://web.newriver.edu/training/it107/index.html).Also,ourHelpDeskcontinuestobeanexcellentsourceforassistanceandguidanceforusingourIVNsystem([email protected]).

ZOOMINTRODUCTIONANDOVERVIEW

ZoomisavideoconferencingandinstantmessagingsolutionavailabletoallNewRiverstudents,instructors,andemployees.ZoomistheplatformnowusedfordeliveringourIVNclassesandfor instantmessaging.WeuseZoomtomanageourIVNclasses,butitisalsousefulforenhancingweb-basedclasses(itisintegratedwithBlackboard).Itisusedforscheduledmeetings(itintegrateswithOutlookforcalendaring)andforimpromptumeetings(likevirtualofficehoursorone-on-oneandgroupstudymeetings).ZoomisintegratedwithourActiveDirectoryandportalsothatsinglesign-onauthenticationworks.

TwoAccountTypesTherearetwoaccounttypeswithZoom.Knowingyouraccounttypeisimportantsincethereareatleasttwokeydifferences.

• Basic(Free)–Themajorityofouruserswillhavethislevelofaccount.Itallowsaccesstoallthefeaturesdescribedinthismanual.Tworestrictionstothisaccounttypeare(1)anyvideoconferencecreatedwiththisaccounttypeasthehostcanonlylastfor40minutesand(2)recordingsgotothelocalcomputerinsteadoftotheCloud.

• Pro–Wehaveonly20oftheseaccounts(wepayforthem)andweareusingthemtocreatetheIVNscheduleofmeetings(sincetheydonothavethe40-minutedurationlimitformeetings).WehaveassignedsomePROaccountstoIVNinstructorsbutwesimplydon’thaveenoughforeveryIVNinstructor.

CreatingaZoomAccountandLoggingInTocreateyourZoomaccountandloginwithyourNewRiveremailaddressandpassword,go to the New River portal (https://portal.newriver.edu) and click the Zoom link thatappearsintheleft-sidenavigation.

Youcanalsogodirectlytohttps://newriver.zoom.usandclick“Signin”–youwillbepromptedforcredentials.YouwillneedtouseyourfullNewRiveremailaddress([email protected])andyourNewRiverpassword.



NavigatingandCustomizingYourZoomAccountOnceyousignintoyourZoomaccountyouwillbetakentoyourProfilepage(seebelow).Onthispageyoucanuploadanimageoravatar(optional)butyoumustchoose your Time Zone (thedefaultisblank).Ifyoudon’tchooseyourTimeZone,youmaybeconfusedbymeetingtimesasyoucreatethem.OnlythePROaccountscaneditthe“PersonalMeetingID”(wehaveonly25PROaccounts).



ThenextsectiontocustomizeistheMeetingSettings(locatedunder“Profile”intheleft-handnavigationpane).Youdonotneedtochangeanyofthesesettings,buttheyareavailabletoyou.Thispageiswhereyoucustomizeyourmeetingexperienceforanymeetingsyoucreate(somesettingsaresetbytheorganizationandyouwon’tbeabletochangethem).TherearetabsatthetopwhichcategorizethesettingsintosectionscalledMeeting,Recording,andTelephone–clickeachtabtocustomizethesettingsforthatsection.Withineachofthesesections(locatedontheleftatthetopundereachtab)isaclickable“subheading”linkthatallowsyoutojumpquicklytothatsection.



NextisMeetingswhichislocateddirectlyunderthe“MeetingSettings”linkintheleft-handnavigationpane.OptionshereincludethreetabsforUpcomingMeetings,PreviousMeetingsandPersonalMeetingRoom.Youdon’tneedtomakeanychangesonthispage,butitiswhereyoucanviewallofyourmeetingrecordingsaswellasseeascheduleoffuturemeetings(seebelow).

NextisRecordings,locateddirectlyunder“Meetings”intheleft-sidenavigation.Onceyouhavesomemeetingsrecordedtheywillappearinthissection.Therearetwotypesof



recordings:Cloudrecordings,whicharerecordingsthatarestoredonaZoomserver,andLocalrecordingswhicharestoreddirectlyonyourcomputer.WehavelimitedspaceavailableintheZoomCloud,sowemustprioritizeuseofthespacewithIVNcourseshavingthehighestpriority.Personalmeetingsshouldbesavedaslocalrecordings.OursupportstaffwillneedtoperiodicallypurgeCloud-basedrecordingstoensurethatwemaintainenoughspaceforIVNclasses.Wewillpurgetheoldestnon-IVNrecordingsfirstuntilsufficientfreespaceiscreated.

AtthebottomofyourZoomaccountpage,thereareusefullinks(inagreenbox)thatincludetraininginformation(VideoTutorials,AttendLiveTraining,andKnowledgeBase).Also,attheverybottomofthepage(inblack)youwillfindlinkstodownloadthevariousclients,pluginsandextensions.

ZoomDownloads(Free)IfyouonlyuseZoomfromoneoftheIVNclassrooms,youdon’treallyneedto

downloadanything.Zoomisalreadyinstalledintheserooms.ButifyouplantouseZoomfromyourpersonalcomputer(athome),thenyoushoulddownloadtheZoomClientforMeetings.

IfyouplantodoalotofschedulingforZoommeetings,thenyoumightalsowanttodownloadtheZoomPluginforMicrosoftOutlook.ItintegrateswithMicrosoftOutlooksothatasyouschedulemeetingsyoucanchoosetomakethemZoommeetingsbyclickingtheZoomiconinOutlook.Thisautomaticallycreatesalloftheconnectiondetailsforinviteestojoinyouandputstheinformationintoyourinvitation.

TheZoomExtensionforBrowsersworkswithFirefoxandChromeandintegrateswithGooglecalendars.SinceweuseOutlookatNewRiver,youdon’treallyneedthesedownloads.

ZoomMobileAppsareavailableforiOSandAndroiddevices(andtheyworkgreat!).IfyouhaveamobiledeviceandwanttouseZoom,werecommenddownloadingtheZoomMobileApp.

Simplytypeinnewriverforthedomain(seeabove)andyou’llbetakentotheNewRiverloginpageforZoom(https://newriver.zoom.us)whereyou’llneedtoenteryourfullNewRiveremailaddress([email protected])andyourNewRiverpassword(seebelow).



AfterloggingintoZoomyoumayseethefollowingdialogboxopen:

Ifyouseethisbox,click“ZoomMeetings”,youcanalsoclickthe“Remembermychoice”boxandthenclick“Openlink”whichwillthenopenthedesktopclient.DoingthiswillensurethatfuturemeetinglinksyouclickwillopentheZoomClientforMeetingsapplication.



ThisistheHomescreenoftheZoomClientforMeetings.Fromthisscreen,youcanStart,Join,andSchedulevideoconferences.YoucanalsoShareScreentoaconferencealreadyinprogress(withoutjoiningitdirectlyonthatdevice).Yournameisdisplayedatthetop(wherethisoneisvisitor)andyouwillalsoseeyourcurrentstatusindicator(greendothere,showingthatyouareavailable)ifyouclickthedownarrowbesidethestatusindicatoryouwillseethefollowingmenu.



Thismenuiswhereyoucanchangeyouravailability,logout,orexittheapplication.TheSettingsiconatthetoprightofthescreenallowsyoutobrowsethroughandselectvariousoptionsyoumaywanttoenableordisableforyouraccountandyourmeetings.AudioandVideooptionsarehereandeasytoconfigure.



Atthebottom(inblack)youwillseefouroptions.Intheimageabove,youcanseethatHomeisselected,butMeetings,Contacts,andChatsarealsooptions.

MeetingsClickthisoptiontoviewUpcomingandRecordedmeetings.ItisalsowhereyoucanquicklylocateyourPersonalMeetingID.



ContactsClickthisoptiontoviewallNewRivercontacts(CompanyContacts)andalltheZoomRooms.UsetheFavoritesgrouptokeeptrackofyourfrequentcontacts.Youcanright-clickandCompanyContactandAddthemtoFavorites.Groups(bothprivateandpublic)arealsofoundunderContacts.Ifyouopenanyofthedropdownsyouwillseethelistofusersassociatedwiththatsection,hoveringovertheuserbringsupoptionstoeither“Meet”



(startavideoconference)or“Chat”(willopenchatwindow).Youcanalsoaddgroupsandcontactsfromthistab.

ChatsClicktheChatsoptiontoviewalistofallofyourrecentchatsortobeginanewchat.YoucancontinueapreviouschatbysimplyclickingintoitoryoucanclickNewChatandselect



someonetobeginanewchatwith.OnefeaturethatworksgreatwithChatisaddingattachments—afeaturenotavailableinBlackboardIM.

OutlookCalendarIntegrationCalendarIntegrationishelpfulforanyonecreatingmeetingsorattendingmeetingsonaregularbasis.IntegrationallowsyoutoseeyourscheduledmeetingsrightintheZoomappandyoucansimplyclick“Start”onthatmeetingtoenterit.

USINGZOOMFORIVN

UsingZoomtomanageourexistingLifesizeequipmentprovidesopportunitiesforintroducingnewtechnologies,whileleveragingourexistinginvestmentinLifesizeequipmentanduserexpertise.

Whatisdifferent?StudentsandinstructorsinLifesizeIVNclassroomswillhavetomanuallyjoinandendeachclassmeeting.ThestepsforthiswillvaryslightlyfromroomtoroombutwillbeprintedanddisplayedineachIVNclassroom.Regardlessofthespecificsteps,thegeneralstepsinvolvesomeoneateachlocationusingtheLifesizeremotecontroltoopenthedirectoryofmeetingsandchoosethemeetingtheyshouldjoin.Andtoendameeting,someoneateachlocationmustsimplyusetheHangUpbuttonontheLifesizeremote.Instructors(andstudents)inoneofthenew“ZoomRoom”locations(R126andF214)willbeautomaticallyconnectedanddisconnectedforeachIVNclass.Noactionisrequired.

IntheZoomRoomsthereisaniPadthatisusedtocontrolmeetings.Tobeabletoshareyourscreenintheserooms,theinstructorwillneedtologintotheZoomApponthecomputertheywishtosharefrom(yourlaptoportheinstructorcomputer)andclick“Sharescreen”onthehomepageoftheapp,dependingonthetypeofdevice,youwilleitherbepromptedtoenterthesharingcode(ormeetingID)whichwillbelocatedoneithertheTVsintheroomortheiPad,orthedevicewillautomaticallypairupandaskwhatyouwouldliketoshare.



Boththenew“ZoomRooms”andtheoldLifesizeroomswillhaveenhancedfeaturesandadifferentlayoutregardinghowotherparticipantsareviewed.ThenewZoomroomsareabletodisplayupto49differentroomsdifferentwhiletheolderroomswillstilllookandfunctionmuchthesameastheyalwayshave,buttheywillhaveanextramenuthatcanbeutilized.Whatistheextramenu?OneofthebiggestdifferencesisthatitispossibletojoinaZoomIVNconferencefromanywhereyoucantakeyourdeviceandhaveinternetavailabletoyou.Whilethisoptionisuptotheinstructorandadministrationtoallowthestudenttoutilizeitisstillanoptionthatwasnotreadilyavailablewithourprevioussystem.

SchedulingIVNClassesCurrently,mostschedulingforIVNClasseswillbedonebytheITSdepartmentusingourZoomPROaccounts.Todothis,GarychoosesaZoomProaccounttologinwith,thenhecreatesarecurringOutlookmeetinginvitation,andaddsZoomtothemeeting.Hethen

SchedulingZoomMeetingsOne-to-oneandsmall-groupmeetingscanbescheduled(1)directlyinOutlook(usingtheOutlookplugin),(2)throughthedesktopZoomappor(3)usingtheZoomwebsite(https://newriver.zoom.us).Anyoftheseapproacheswillletyouselectyourmeetingtopic,starttime,duration,andotheroptionsasshownbelow:



Pleasenotethecheckboxforrecurringmeeting.Usingthischeckbox,youcancreateameetingthatoccursdaily,weekly(includingmultipledaysperweek),monthlyandmore.Youcanalsorequireapasswordtobeenteredbeforeausercanjointhemeeting,toaddalevelofsecuritytoyourmeeting.



Onceyouconfirmtheoptionsforyourmeeting,clicktheSchedulebutton(orSaveontheZoomwebsite).Regardlessofyourselectionforthecalendaringprogram(weuseOutlook),youwillbedirectedtoameetinginvitation(seebelow).OutlookisourdefaultemailprogramatNewRiver,buttheabilitytopersonalizeyourmeetinginvitationandselecttheattendeesarethenextstepsforanycalendaroptionyouchoose.IfyouchooseGoogleoranyothercalendarinsteadofOutlook,you’llbetakentothatwebsiteforyoutologin.

WhenusingtheZoomwebsite,youwillbetakentoanotherpagewhereyou’llbeaskedtoselectacalendar(chooseOutlook)wherethemeetingwillbeadded.IfOutlookisselected,itwilldownloada“meeting”filethatwillopenwhereyoucaneditthemeetingdescriptionandthenclick“saveandclose”toaddittoyourOutlookcalendarandsendittoattendeesyou’vechosen.

PleasekeepinmindthatifyouareusingaBasic(Free)account,yourmeetingwillbelimitedto40minutesduration.Youcanrestartthatmeetingattheendof40minutesbysimplyclicking“Start”fromwithinthedesktopclientunder“Meetings”orclickingthelinkintheschedulereminderagain.



ConnectingandDisconnectingIVNMeetingsConnectingtoanIVNmeetingwillbedifferentdependingonwhichplatformyouare

connectingfrom.PleasenotethatwhetheryouareconnectingfromaLifesizeIVNroom,aZoomRoom,orevenifyouareconnectingviatheDesktoporMobileClient,youwillneedtoknowthePersonalMeetingIDofthemeetingtomaketheconnection.

• Lifesize:ForIVNclasses,wewillinputthemeetingsinthedirectorywhichisaccessedbyhittingtheyellowbuttonontheLifesizeremotewhileonthehomescreen(seebelow).

Onceinthedirectoryyouwillfindyourclass(usingthePersonalMeetingID),selectitandpressthe“ok”buttontoplacethecall.



Ifforanyreasonyourmeetingisnotlistedonthedirectoryyouwillneedtoselect“VideoCall”fromtheLifesizehomescreen,thenyouwillneedtodial162.255.36.11followedby“##”andtheMeetingID(Example:162.255.36.11##1234567890)oncethenumberhasbeenenteredcorrectlyyouwillthenpressthe“Call”button(seebelow).

• ZoomRoom:ForIVNclasses(orotherpre-scheduledmeetings)yourmeetingshouldstartautomatically.Nouseractionsareneeded.Ifyouarejoininganon-



scheduledmeetingyouwillneedtolocatetheiPadintheroom,select“Join”andthenentertheMeetingID.

Ifyouhaveascheduledmeetingbutitispastthestarttimeandyouhavenotyetjoined,pleasecheckthe“MeetingList”ontheiPadandifthemeetingisshowingupontheschedulewitha“Start”button,pleasepress“Start”.

• Desktop/Mobile:Ifyoureceivedanemaildetailingthescheduledmeetingyoucanclickonthelinkinthee-mailtojoinfromweb,thiswilllaunchtheclientandstartyourmeeting.Otherwiseyoucanselectthe“Join”optionfromthehomepageoftheclientandentertheMeetingID.Yetanotherway,ifyouhaveintegratedyourOutlookcalendartoyourZoomaccount,youwillseethemeetingonthe“Meetings”



tabandyoucansimplyclickon“Start”whichwillappearafterhoveringoverthemeeting.

NewLifesizeNavigationOptionsInadditiontothenavigationoptionspreviouslyavailableintheLifesizeIVN

classrooms,thereisanowanewmenuavailable.Whileinacallifyouhitthenumber1ontheLifesizeremote(youmayalsoneedtohitthe button(itlookslike4circlesoracloverbutton)themenuwillappearonthedisplayintheroomandwilllookasfollows:

SomeoftheseoptionswillrequireaHostIDcode.ThesewillbegiventoinstructorswhowillbeoriginatingfromaLifesizeroom,howeverifyoumisplacethecodeandneedit,pleasecontactITsupporttoobtainthiscode.

ZoomRoomNavigationWithinaZoomRoomyouwillhaveaniPadthatcontrolstheroomandshowsyou

thescheduleforthatroom(allmeetingsthatarescheduledforthatday).ItwillalsoshowyouroomandmeetinginformationsuchasMeetingID,SharingID,andmore.TheiPadallowsyoutoconnecttoameetingordisconnectfromameeting.IfthereisadesktopcomputerintheroomtheiPadshouldbelocatednearit.

applicationwindowonyourcomputerscreen.Dependingonhowyouarejoiningthemeetingtherearedifferentwaystosharethisinformationwithyourparticipants.

LifesizeRooms:

ThestepsforsharingyourcomputerscreeninaLifesizeroomhavenotchanged.Usethe“RoomControl”InternetExplorericononthedesktopwithinthefullsizeroomsandclickthewelcomescreen(ifitappears)whichwillturnontheTVandprojectorandtosharethecomputerscreenyouwillclick“PC”andthen“Start”,youcanalsosharethedocumentcameraintheroombyclicking“doccam”andthen“Start”;Note:the“Start”buttonwillchangeintoa“Stop”buttononceengaged.Pleasemakesureyouclick“Stop”beforeswitchingbetweenotherinputssuchas“teachcam”or“doccam”,failuretoclick“Stop”firstcanresultinamixedsignalwhichwillcausethescreentonotdisplaycorrectly.



ForroomsthatdonothavethisfeaturebutdohaveacomputerconnectedtotheLifesizeunit,youcanusetheLifesizeremotecontrolandpresstheGreenbuttonwithasquareinthemiddle:



Whichwillsharethecomputerscreenwithallparticipants.

ForroomsthatdonothaveacomputerconnectedtotheLifesizeunit,inordertoshareyourcomputerscreen,youwillneedtologintotheZoomdesktopclientonanotherdeviceandjointhemeetingtoshareyourscreen.

ZoomRoomsandDevices:

ScreensharinginaZoomroomrequiresthatyoulogintotheZoomapponthedesktopcomputerwithintheroom(ifavailable),oranotherdeviceifacomputerisn’tintheroom.Afterlogginginyouwillseea“Sharescreen”buttonlocatedonthehomepageoftheclient;clickthatandenterthesharingID(locatedonboththedisplayintheroomandtheiPad)sharingwithalaptopwillnotalwaysrequireenteringthesharingIDbecausetheZoomroomsharesthisinformationwithmostmobiledevicesintheroom.Youwillbeaskedwhatyouwouldliketoshareandyouwillbepresentedwithascreenshowingallyouropenwindowstochoosefrom.Youcanalsochoosetoshareyourentiredesktopwindowinsteadofoneparticularapplicationwindow.Thereisawhiteboardoptiontoo(itsharesablankwhitepagethatyoucanwriteanddrawon).

Belowisthewindowyouwillseewhenyouclick“Sharescreen”.Pleasenotethetwocheckboxesatthebottomofthewindow“Sharecomputersound”and“Optimizeforfullscreenvideoclip”ifyouaresharingavideooranythingwithsoundyouwillwanttoutilize



theseboxes.Ifyouplayavideoanddonotclickthem,theotherparticipantswillnotbeabletohearanysoundandthevideoclipwillbeverychoppy.

ZOOMFORINSTANTMESSAGING

Addingfavoritesissimplyamatteroffindingthecontactyouwouldliketoadd,rightclickingonthemtogetamenutopopupandclicking“Addtofavorites”fromthatmenu.



Addacontact

ToaddacontactwhousesZoom,butisnotonourdomain(allusersofourdomainareautomaticallylistedunder“CompanyContacts”)simplyclick“Addcontacts”atthetopandthenenterthatuserse-mailaddress.



Contactsaddedoutsideofourdomainwillbeaddedinaseparatesectionwithinthistablabeled“OtherContacts”.Pleasenotethatwhenyouaddacontactane-mailwillbesenttothatuserrequestingapproval.



AddaGroup

Toaddagroupinwhichyoucansendgroupchatsto,simplyclickon“Addagroup”

Thiswillbringupanotherwindowwhichhasafieldtonamethegroupandafieldtotypeoutnamesofcontactstoadd.ThegroupcanbemarkedasPrivateorasPublic.Publicgroupscanbesearchedbyanyoneandanyoneisallowedtojoin.Thereisacheckboxnamed“Membersinyourorganizationonly”whichwilllimittheusersabletojoin/beaddedtothegrouptoonlythosewithinourdomain.



Addingagroupwillcreateanothersectiononyourcontactslistwiththenameofthegroupandunderitlistthosewhoaremembers.

Onceyourgroupiscreatedyoucaneditusers,assignanewadminforthegroup,andchangeoptions.Openachatwindowandunderthe“Groups”sectionrightclickonthegroupyouwishtoeditandyouwillseethefollowingmenu:
