description

This NCDD Tech Tuesday featured Zilino, a web-based solution that enables practitioners to host deliberative online forums and other types of well structured, well facilitated engagement processes. The webinar was hosted by Tim Bonnemann, founder and CEO of Intellitics, Inc., a long-time NCDD organizational member and co-sponsor of the 2012 NCDD Conference. Intellitics is a digital engagement startup based in San José, CA that helps its clients apply technology to support, enhance and extend participatory processes. Intellitics is currently working with a non-profit on the East Coast to translate their in-person citizen deliberation process (National Issues Forum approach) into a meaningful online experience using Zilino. This session aimed to provide a brief overview of the tool and present insights from this ongoing project.

Hello, everyone. Thanks for joining us today! We’ll start with a brief conceptual overview of Zilino followed by a recent case study and live demo. We have plenty of time reserved for discussion. If you have any questions, please raise your hand or post in the chat box.

But first…

We usually hate to do this but since NCDD insisted that today’s presentation be a sales pitch… here ya go! ;-)

* We’re kidding, of course. Pennsylvania residents do not need to apply sales tax.

Chapter 1: Context

Now with the sales pitch out of the way…

Let us tell you a little bit about who we are and what we do.

Page 4: Zilino NCDD Tech Tuesday presentation

“GROUP PROCESS IS LIKE BUILDING GREAT PLAYGROUNDS: THE KIDS LOVE IT, ANYTHING IS POSSIBLE, AND EVERYBODY GETS HOME SAFE.”

Unknown source

Unfortunately, it’s not known who spoke these wise words (or maybe it’s just something I made up myself this morning). At any rate, it’s useful because it helps us illustrate how we think about digital engagement.

… participatory processes.

Duct tape So sparkly! Longest slide EVAR!!

In short, we are looking at technology very broadly (not just “web”) and believe it can play an important role in a variety of contexts and at various stages during a participatory project or program. Especially for those efforts that include conventional in-person components, technology can be applied to “support, enhance and extend” the work you do.

Page 6: Zilino NCDD Tech Tuesday presentation

Plus, let’s not forget about the many, many ways in which technology is creating entirely new opportunities for engagement today that weren’t even available just a few short years ago. Let that sink in for a moment. The possibilities!

Got Strategy?

Sure, it’s always oh so tempting to get giddy over the latest gadget, but to us that’s never where the real conversation starts. Like you, we know it’s key to first understand the big picture: What are we trying to accomplish? With whom? In what kind of environment and under which circumstances?

Many factors must be considered, and only a thorough assessment will inform which tools and technologies may be an appropriate choice. Realize that if we were talking to you today about applying Zilino in an actual project context, we normally would have already gone through the exercise of figuring out whether it’s a good fit to begin with.

Chapter 2: Zilino

It’s our baby. We’re pretty psyched about it!

A web-based solution for hosting deliberative online forums and other types of well-structured, well-facilitated participatory group processes.

Our current one-sentence product description. What do you think?

In A Nutshell

1. Web-based software

2. Built specifically for dialogue and deliberation

3. Developed for, and with, practitioners

4. Modular = BYO process(supports a broad range of custom engagement scenarios)

The modular toolkit approach is something we gleaned from countless conversations with practitioners, people who do this kind of work for a living. This level of ongoing exchange has been fundamental to our journey so far and it’s a key part of our product strategy.

From Methods To Modules

Large group discussion Small-group dialogue Harvest

Expert panel Exit survey

etc.

Now, how did we end up with modules in the first place? Quite simply, we looked at many of the common group processes and methodologies out there and were able to identify a few common building blocks.

Zilino

Zilino provides a growing selection of modules, each of which supports a specific function (or functions) commonly associated with various group processes. Modules can be freely mixed and matched, scheduled and sequenced. This enables practitioners to either emulate their preferred in-person methodology or design a custom experience that best fits their needs and the needs of their participants.

Work in Zilino is organized around projects, i.e. time-bound, outcome-oriented engagement efforts. We’re starting out with a basic feature set of project blog, project library and two core dialogue modules (for large-group and small-group settings).

We also have some of the other stuff that’s necessary to run social applications (user profiles, email notifications, direct messaging, activity stream yadda yadda).

Theater Role play

Not a complete list, by any means, just a little taste of what we are currently exploring. Some of our upcoming modules are quite generic (e.g. group ideation) while others are a bit out there (e.g. paired commenting, a root cause analysis game, or support for an “ambassador” program to help participants seek and share input from those community members who can’t join online).

In the end, we’ll see what sticks. We can’t wait to find out how you will apply Zilino and see what processes you will design.

Page 18: Zilino NCDD Tech Tuesday presentation

To sum it up, think of Zilino as kind of like a canvas that will—as it grows and matures over time—enable you and your fellow practitioners to create beautiful participation experiences for the people you serve in your organizations and communities.

First Three Years

• West Virginia Center for Civic Life

• State-wide dialogue on early childhood development

• 30+ in-person events 2012/2013 (NIF format)

• Objective: create equivalent online experience using Zilino

• Kettering Foundation research grant

This is an ongoing project. Round two just completed successfully, and the third and final round is set to take place in the Fall. One of the areas where Zilino will provide strategic value-add for this particular non-profit is the ability to host high-quality citizen deliberations among people from different geographic areas of the state (convening large-scale in-person events is considered cost-prohibitive at this point).

Engagement analytics! This is just one of the areas where we believe online environments can truly shine. Web applications generate lots of data, and we are turning this information into actionable insights to help practitioners manage and optimize their engagement flows. We’ve started to prototype around a first set of metrics and expect the first version of our facilitator dashboard to roll out this Fall. Here are four examples.

First, who is contributing and how much?

Second, how long does it take participants to activate, i.e. join the conversation? Our goal with Zilino is to provide visibility into these kinds of dynamics in order to support the work of the facilitators.

Fourth, here’s another way to apply word count metrics. Too many very long posts generally tend to make the conversation difficult to follow. From graphs like this it’s easy to identify and reach out to the “culprits” (we mean, of course, those participants who are most passionate about the issue at hand) and help them improve their online dialogue skills and habits. Everybody wins!

Page 26: Zilino NCDD Tech Tuesday presentation

Chapter 4: Demo

Finally! Let’s jump right in…

Page 27: Zilino NCDD Tech Tuesday presentation

During the live demo we’ll walk you through the project space used during round 2 of the West Virginia project (http://firstthreeyears2.zilino.com). We’ll also show you how it takes less than 5 minutes to create a new project. Of course, planning and preparing may take quite a bit longer, but you knew that already.

Page 28: Zilino NCDD Tech Tuesday presentation

Chapter 5: Business

Public participation, community engagement, dialogue and deliberation—whatever you want to call it, it’s usually a very consulting-dependent line of work. These things don’t ever run on autopilot. We’re building Zilino with the keen understanding that the tools still require someone who’s in the driver’s seat, someone skilled in group process. You can hire us, of course, but we don’t want to be the only ones putting this tool to work. Instead, we want other practitioners and consultants to use it and take it to their clients (and then tell us what works and what doesn’t).

While we’re starting out positioned squarely in the civic space (local government and non-profits) we are convinced that the underlying mechanics of online dialogue and deliberation apply across all sectors of society and across an increasingly wide range of public participation, collaborative governance and civic engagement scenarios.

For example, let’s say you are a local library and want to host a week-long online dialogue with up to 50 participants and 1 facilitator. The “size S” package is for you. That’ll be a one-time cost of $200.

Or maybe you are in charge of running a 3 months long online consultation with up to 500 stakeholders and a team of 4 facilitators. In that case, you’d be looking at the “size XL” package at $1,100/month before discounts.
