11. Terms and Conditions

A. The Booking ProcessAll event bookings must be submitted through DC Booking. All bookings will be actioned within two working days.Once your event has been confirmed you will be assigned an Event Coordinator who will be able to assist with anyqueries. All forms must be provided with an invoice address, forms submitted without this will be rejected.

B. What happens if I cancel?Our cancellation charges are as follows:

Cancellation between 4 - 6 prior to scheduled event 20% of total booking valueCancellation between 2 - 4 prior to scheduled event 40% of total booking valueCancellation less than 2 weeks prior to scheduled event 60% of total booking value

C. Could you cancel my booking?We may only cancel if:

i.) Any part of the RLDC is closed or unavailable due to circumstances beyond our control.ii.) Your number of attendees increase significantly enough to cause a health & safety issue and no

other suitable accommodation is available.iii.) The RLDC also reserves the right to withdraw services if you have previously been found to have

misused the facility.

If in the unlikely event that this should happen, the RLDC will have no further liability regarding your booking. D. Can I change the number of guests attending the meeting or event?RLDC require 48 hours notice of any changes to your booking. If your guest numbers reduce or increase the, RLDCreserves the right to allocate you an alternative room more appropriate to the size of your event.

E. How do I pay?DVLA Accounts and Revenue Unit will provide you with a detailed invoice. Separate payment terms and conditionsare detailed on this invoice. All accounts are payable upon presentation. All accounts where a query has not beenraised within 7 days of presentation shall be deemed to have been approved as presented. RLDC accept no liability forcircumstances were a third party supplier has been involved on your behalf, subsequently all payments must be settledbetween you and the supplier.

10. Parking

All reserved car parking spaces will incur a non-refundable £1.90 plus VAT fee. Parking at the RLDC is extremely limited. Your preferred allocation will be assessed and your Event Coordinator will inform you of our availability nearer the time of your event. You will be charged for any extra spaces taken outside of this area and your management will be notified. Any offsite parking is undertaken at your own risk.

The electric car charging station will be required (Please note there is only one charge station available)

9. Room Etiquette:Please leave the room as you found it, as all rooms have an allocated quantity of furniture and equipment. Please do not add or remove items, all cables and IT equipment are to be left as they were found. If there is a fault with any equipment or the room is untidy then please contact Reception.

Please ensure that no food or drinks are taken into your room.

Your allocated number of spaces will be cordoned off and you are strongly advised to park only in yourcordoned area. You will be charged for any extra spaces taken outside of this area and your management will be notified.Any offsite parking is undertaken at your own risk. At no time are you allowed to park on the Richard Ley DevelopmentCentre pavements, on yellow lines or any other area outside a designated parking bay.

G. Can I make use of the RLDC equipment?Details of what is included with your booking will be reiterated to you by your Event Coordinator. Your Event Coordinator willadvise you of any extra charges.

H. Can I bring my own equipment?Provided you have informed us and the item(s) have been tested safe to use. Copies of electrical testing certificatesand insurance policies must be available upon request. The DVLA accept no liability for any equipment you bring intothe RLDC and cannot be held liable for any compatibility issues. You must comply with the rules that are set out in theHealth and Safety at Work Act etc 1974. Should you want to set up an exhibition at the RLDC your Event Coordinator willask you to provide your plans and details seven days before your event to ensure we can accommodate you. Any thirdparty contractors visiting the RLDC (such as entertainers) under your instruction must ensure current and adequate PublicLiability Insurance is in place.

I. Can I use the DVLA or RLDC logo in my invitations or advertisements?We strongly require sight of all publications bearing our name or logos prior to any distribution.

J. Who is liable for injury, loss or damage?DVLA Richard Ley Development Centre accepts no liability for injury, loss or damage unless it can be proved beyond alldoubt it has been incurred due to our gross negligence.

K. Health and SafetyWhile DVLA is ultimately responsible for ensuring health and safety of the site, it is the event holder’s responsibility toensure the health and safety of the delegates. The event holder should advise delegates of the need to read, understandand comply to all Fire Regulations, Health and Safety and Licensing regulations. Details can be found in the areas theyvisit. All event holders must hold and maintain a register of delegates in case of an emergency. In the event of an accidentor near miss, an accident book is available. Please ask at reception and record any incidents accordingly.

L. SecurityYou will be required to supply an attendance list of all delegates no later than seven days prior to your event. All delegates,trainers and organisers that attend the RLDC must display their security passes clearly. If you have not been issued with asecurity pass please contact your Event Coordinator immediately who will arrange this for you. Anyone found not clearlydisplaying a security pass will be escorted off site by our security officers.

M. CateringAll catering is chargeable. RLDC require 48 hours notice of any changes to catering orders. Any cancellations with less than48 hours notice will incur a 30% fee of the total charge. Cancellations with less than 24 Hours notice will incur 100% charge(Tea and Coffee excluded). All prices quoted in the booking form are exclusive of VAT.N. Wi-Fi useAll Internet activity involving the DVLA Guest Wi-Fi network is automatically recorded and stored. All users accessingthe Wi-Fi link do so at their own risk and should only use their own personal devices for that purpose. The DVLA takesno responsibility for any damage or loss of data resulting from that use. It is the responsibility of the user to keep anyconnecting device free from malicious code (i.e. viruses, etc.) and secure it against unauthorised access (i.e.’hackers’). Youare strongly advised to take precautions such as installing up-to-date anti-virus software and applying any security ‘patches’issued by your operating system vendor.

All guests that require access to the DVLA Guest Wireless Network must fully accept the terms and conditions outlined in the user agreement policy which will be sent from your event coordinator.
