Every company, large or small, relies heavily on the business letter to keep the organization running smoothly. Business letters ask for and give information, order goods and services, request appointments, make complaints, and deal with all routine matters. Although telephone calls have their place in the business world, letters have several important advantages.

Why are these important?Letters provide a permanent, written record.
Letters are like written promises and clearly indicate who is responsible.
Letters allow busy people to send and receive information when it is convenient for them.

Letters allow time to think about and research a topic or situation before writing or responding.
Letters allow the reader the chance to reread and review complicated material as often as necessary.

THREE SECTIONS OF BUSINESS LETTERSThe introduction consists of the
heading (the sender’s return address)
date (the month, day, year on which the letter was prepared)
inside address (the name and address of the receiver)
salutation (a greeting like Dear Ms.)

The body of the letter contains the message the writer needs to send.
The conclusion consists of a complimentary closing (like Yours truly or Sincerely)

The Do’s

Follow rules of layout and format of a standard business letter.
Slant letter toward what you can offer employers, not what they should be offering you.
Whenever possible, address to an individual, with his/her correct title.

Hand-sign in addition to typing your signature (unless the letter is sent electronically).
Use quality paper. Be brief, concise, and to the point.

Spell, punctuate, and format correctly in print and email communication.
Write in your own words and use conversational language.

The Don’t’s

Use overly formal language or use words incorrectly.
Use gimmicks in an attempt to be original or clever.
Lead with constant use of “I.”

Be arrogant or indicate the employer would be lucky to hire you.
Be excessively emphatic about your reliability, capacity for hard work, or intelligence. This kind of self-appraisal is usually best understated. The appearance and tone of your letter and résumé can say more about you than you can gracefully say about yourself.

writing; name the position, field, or general career area in which you are interested. Tell how you heard of the opening or organization (this is especially important if you were referred by a mutual contact). Provide information about what you know about them and their position.

The Body 2nd Paragraph • Mention one or two of your
qualifications that you believe will be of greatest interest to the organization, slanting your remarks to their point of view. Tell why you are particularly interested in the employer, location, or type of work. If you have had related experience or specialized training, be sure to point it out. Refer the reader to the enclosed application form, résumé, or the fact that the XYZ Career Center has your full credentials on file and will send them to provide additional information concerning your background and interests. Make sure to explicitly express why they should hire you!

The Body 3rd Paragraph • Close by making a request for
an opportunity to talk with the employer. Indicate that you will follow up with a phone call or email about the possibility of a meeting. If your request is not concerning an interview, but more information about the organization and current job openings, you can request that the information be sent electronically. Prior to requesting this information, make sure it is not readily available on the organization’s website. Thank the employer for his/her consideration of your application materials.
