    A request for maintenance work on an asset (capital or rebuildable).

    Business Process is as follows :1. A user reports a problem with an asset by

    raising a work request.2. The work request is approved.3. Create a work order and link to the WR.4. The work order is processed.5. The work request is completed automatically

    when the order is completed.

    EAM PARAMETERS - Work Requests Zone:

    1. Auto-Approve : WRs are automatically approved on creation.

    2. Default Asset from Employee Location : defaults applicable if using Oracle Property Manager.

    3. Extended Log : If selected, system keeps an audit trail of records when creating, updating WRs.

    4. Asset number mandatory : Asset number has to be entered when creating WR.

    A WR goes through the following stages:1. Open Status : On creation

    1a. Additional Information (if approval req)Approver requires more info

    or if approver approves).2. On Work Order. After WR linked to WO.3. Complete. WO is complete. WR also

    completes.

    - WO Num auto-generated but updateable.- WIP Class defaults from Asset.- Asset Number, dates, status are all required.- Activity is optional. If provided, the WO inherits the

    activities Maintenance BOM (materials), Route (operations), Attachments, Quality Plans.

    - Status can be :- Unreleased- Released- On-Hold- Draft

    - EAM Parameter Enable Workflow for Workorders. Determines if approvals required for Work Order.

    - Pending Checkbox is checked if awaiting the above workflow.

    are discussed later)- Parent/Child - End-to-Start Dependency- Cost- Follow-Up

    ROUTINE WORK ORDERS:Form

    - Check Shortage Checks material shortages (both Direct and Stocked).

    - Firm Checkbox when checked, planning and scheduling will not automatically adjust the schedule regardless of material or resource availability.

    - Approval History : Can see approvers if the WO workflow is being used.

    - If Failure Entry Required Checkbox selected, then need to enter Failure Codes for Failure Analysis.

    - Costs can see the following costs : Actual, Estimates, Variances, Material, Labour, Equipment.

    - Create Work Order Option is available only if EAM_WO_DETAILS_MODE function added to the responsibilities menu.

    - Without this function can only view work orders.

    - Same inputs required to create Work Orders in Self Service as in Forms.

    - Work Orders which are generated automatically based on meter readings, and date rules (to specify runtime interval rules, calendar day rules)

    - Advantage of Preventative Maintenance reduce the possibility of asset breakdown and degradation by ensuring proactive maintenance/servicing of asset.

    - Two ways to generate the PM Work Orders :

    1. Run Generate Preventive Maintenance Work Orders.This concurrent program triggers Wip Mass Loadprocess execution in background. This createdforecasted work orders in unreleased status.

    2. Run the Forecast Work Orders option from theMaintenance Workbench. From here, you can launchthe Preventive Maintenance Scheduler to implement the work orders.

    - Select Forecast Work Tab - Enter Start Date and Cutoff Date this is the period

    (or Horizon) over which the work orders will be created.

    - Choose Run to create work order suggestions.- Select the checkboxes for the orders you wish to

    release (or select all).- Click Implement to release the Forecasted Work

    Orders. This runs the Preventive Maintenance Scheduler.

    REBUILD WORK ORDERS:

    - Created as Child Work Orders (linked to Parent WO)- Two Business Processes :A. Process 1 :- For example, create WO for servicing car engine.- During the service, note that battery damaged.- The Battery is a rebuildable item.- Replace the battery using Material Issue from

    Inventory process.- This creates a new child rebuild work order for the

    replaced rebuild item. Battery sent to subinv on completion of rebuild WO. Asset Genealogy is updated to reflect the new rebuild item.

    B. Process 2 :- For example, create WO for servicing car engine.- During the service, note that battery damaged.- The Battery is a rebuildable item.- Decide to repair and then replace the battery.- Manually create a new child rebuild work order for

    the repair of the battery (rebuild item).- On completion of the child work order, the battery is

    replaced into the engine and not sent to a subinventory.

    - Asset Genealogy is not therefore updated.

    Tab>Express Work- It enables quick entry of a work order- Automatically created at a Released status - enabling

    you to execute work immediately.- You can do this by request Material and Charging

    labour.

    1. Draft : Cannot Charge Labour or Request Materials.

    2. Unreleased : Cannot Charge Labour or Request Materials. Scheduling can take place.

    3. Pending Scheduling : The status shown when Oracle Manufacturing Scheduling application concurrent program calculates dates/durations when status is changed to released. The status then changes to Released on completion.

    WORK ORDER STATUSES:

    4. Released Status : Can execute a WO. Can charge labour. Can

    request materials. Scheduling takes places (calculation of start and

    end date). WO transactions must be >= WO Release Date Start date in future : Release date is the sysdate

    (current date). Start date in past : Release date is scheduled start

    date. Can post transactions after this date even in past if period is open.

    WORK ORDER STATUSES:

    5. Complete :Does not require completed ops. Can still charge labour. Can Uncomplete a complete WO back to Released status.

    6. Complete No Charges : Does not require completed ops. Cannot charge labour or update materials, resources, costs, asset/wo hierarchy.

    7. Closed : Cannot charge any accounts at all. Cannot charge labour or update materials, resources, costs, asset/wo hierarchy. Unclosing orders closed at released or complete takes WO back to previous status unclosing any other orders takes WO back to unreleased status.

    PLANNING OF WORK ORDERS :

    EAM uses MRP to calculate net material requirements for WOs from gross material requirements. Evaluates MDS, BOM, Incoming Receipts, On-Hand balances, Lead times.

    Oracle Manufacturing Scheduling : This application calculates WO/Operation duration and dates based on Forward or Backward Scheduling. Example enter a start date and the end date will be calculated. This is Forward Scheduling.

    The concurrent program schedules work orders and operations.

    It is triggered when work order is released. Status is moved to Pending Scheduling until program completes then moves back to Released

    - Operations (or tasks) are instructions to perform maintenance activities.

    - Each Operation is assigned to a Department.- Each Operations has assigned resource(s).- Resources are the people, third party suppliers,

    equipment who will carry out the operation.- When operations are assigned to a work order (see

    next slide), you can view and update these operations from the work order.

    - There may be a need to update these operations for a particular job to prepare the operations. See below.

    - Options exist to update and view operation details.

    WORK ORDER TRANSACTIONS:

    - Two types of transactions for Work Orders :

    1. Resource Transactions- This is when you charge resources to a work order

    e.g to indicate how much time a resource spent on an operation.

    - Resources can be people or machines

    - 2. Material Transactions- This is when you issue material from inventory to the

    WO.

    - Resources are charged in 4 ways (the values in Charge Type field in Resource Setup Screen) :

    1. Manual : The resource charge is entered manually (see next slide)

    2. PO Receipt : When a PO is receipted for an Outside processing item, the resource is charged.

    3. PO Move : When a PO is receipted for an Outside processing item, the resource is charged and assembly is moved to queue step of next operation

    4. WIP Move : Resource is charged when an operation is completed.

    Operations do not need to be complete Providing completion information for a WO. You can complete and uncomplete WOs In Complete Status>can select Complete or

    Complete-No Charges (see statuses section) Oracle Quality Integration :Collection Plans requiring

    update at completion appear in Quality Plans. Meters Section : Meter readings are mandatory at

    WO Completion for PM WOs if a meter is associated with the asset. For non-PM WOs, meter readings can be optional.

    Rebuild Work Orders created in 2 ways :1. New Rebuildable Item issued from Inventory to be

    placed into asset. Rebuild WO is created automatically for the rebuildable that is replaced. In this situation, the child WO can complete independent of parent.

    2. Rebuildable item is removed, repaired and installed. Manual rebuild WO created for repair. In this situation, child WOs must complete first before parent WO is completed.

    Status must be Complete or Complete No Charges On closing WO, cost variances are posted to the WIP

    Account codes for the job. If the asset is linked to asset route (for example when

    same maintenance done to several assets), all the assets in the route will have variances posted.

    You can unclose closed work orders. You can close one WO or several WOs at one time. Close and Unclose options are available from :

    CAPITALIZING OF WORK ORDERS:

    Can capitalize all or part of the cost of maintaining an asset.

    This increases the assets books value in Fixed Assets Also increases Useful Life value in Fixed Assets. Can only capitalise WOs in Complete No Charges

    or Closed status. Enter Capitalization % and enter calculate amounts to

    see the costs capitalized. Then click Initiate Capitalization to run concuurent

    program to update Fixed Assets with the capitalized amounts.
