Dear United Way Employee Campaign Coordinators,

Thank you for taking a leadership role in your businesses’

workplace campaign. Your energy and enthusiasm are

greatly appreciated, and critical to the success of the United

Way’s efforts to support our mission of mobilizing commu-

nity resources and building partnerships.

The Employee Campaign Division of the United Way

campaign generates approximately 35% of the overall funds

raised during the annual fall campaign. Your leadership in

your organization’s workplace campaign can make a differ-

ence, and help change the lives of thousands of Douglas

County residents.

When it comes to the education, health and financial stability

of our community, United Way doesn’t just donate or make

quick fixes. We work with more than 30 community partners

in Douglas County to figure out what this place needs and

make real change.

When all of us invest in the life-changing work of United

hoW to use this manualWelcome and thank you for volunteering to lead your

company’s workplace campaign to support United Way’s

mission. Please know that we value your time and support

your fundraising efforts.

This guidebook is designed to aid you every step of the

campaign and provide the materials you need to succeed. It

is divided into five sections:

Plan

Gear up

run

The Plan section is for you to get your head around the campaign. We will outline the steps needed to succeed and get the ball rolling. What We Do explains the why behind our fundraising effort. What You Do is an overview of the campaign coordinator position. Campaign Checklist is a sample to-do list so that you don’t miss a milestone.

Once you have the plan in place, Gear Up will help you gather materials and get the ball rolling. 10 Steps to Success outlines best practices in this stage of the game. Campaign Resources lists all of the materials and online resources that are available to you. Go-To People lists contact information of United Way volunteers and Community Partner representatives who are available to provide support and encouragement, and share success stories of United Way funded programs.

The Run section is for the peak of your campaign, when all of your planning and organizing pays off. Incentives and Activities lists all of the fun ways you can encourage your co-workers to participate in the campaign. A Sample Pledge Form shows you how to complete the envelope and get your campaign results to the United Way. Don’t forget to tell everyone about the Caring Club Card and the great year round discounts.

Close is the wrap up stage of the campaign. Campaign Events are activities that are happening throughout the year to help motivate and inspire your campaign. Campaign Awards lists the ways that employees and businesses are recognized for outstanding performance. Thank You Postcards are a great way to show appreciation to donors and remind them how their financial contribution is benefitting our community.

The section Ongoing describes the year round work of United Way and how you can get involved with individual and group Volunteer Opportunities. Use the Notes section to write down plans and inspiration as they come to you for future reference.

1941–Community Chest, raised $12,185 to fund 7 local agencies.

1957–United fund, raised $53,000 to fund 13 agencies.

Community PartnersThe United Way connects with a variety of Community Partners specializing in education, health and self sufficiency to develop collaborative approaches for addressing the complex challenges facing our community. We set measurable outcomes for each Community Partner and regularly assess their progress, targeting areas of improvement. As a result of these partnerships, we are seeing innovative programs develop and thrive that achieve greater results using fewer resources.

suCCess storyWe are seeing great successes as donors, com-munity partners and the United Way come together to address the community impact goals of education, self sufficiency and health.

Our collaboration with the Ballard Center helps kids

enter school ready to learn. When parents engage in their children’s early educa-tional, social and emotional development, their children are much more likely to succeed in school. The United Way is working to ensure preschoolers in Douglas County will thrive in kindergarten by partner-ing with the Ballard Center and funding a Family Connections Coordinator dedicated to strengthening family participation. As a result, parent involvement at Ballard has skyrocketed, with 80% of parents attend-ing conferences and other school activities.

Be sure to get the CEO’s endorsement, and promote leadership giving in your organization. Schedule a campaign rally, and plan some fun activities and special events to keep the campaign top of mind. suCCess storyOur collaboration with Lawrence Community Shelter, Health Care Access Clinic and Independence Inc. ensures homeless people receive health care, dramatically reducing visits to the ER.

In order to provide medical care for the homeless

and uninsured, HCAC agreed to reserve a block of appointments for shelter guests every week. Independence Inc. donated a van to LCS so they could transport guests to follow up visits, dental exams and mental health services

When the program began in February 2013, LCS guests had 28 ER visits in the first quarter. As a result of guests getting regular care at HCAC, ER visits have plummeted to as low as 8 visits per quarter.

Your Campaign ambassador volunteer will provide additional support, and will work directly with you to develop a campaign plan, make presentations at campaign events, and come up with fresh, new ideas to engage your associates.

MonEy MattERS ClaSSESUsing United Way

funds and support, Housing and Credit Counseling, the Salvation Army, Ballard Community Services and the Lawrence Community Shelter worked together to create a series of classes that teach financial skills, like budgeting, debt repayment and renter preparation. 34 unique individuals benefitted from the four sessions held in April. Case Managers also attended, and are following up with their clients to chart their progress.

suCCess storyOur collaboration with the Lawrence Public School District, Boys and Girls Club and others helps elementary students achieve math and reading proficiency.

In 2013, United Way spearheaded collaboration

at Kennedy Elementary School, where 75% of students are economically disadvantaged, to give kids the support they need to win. As a result, more than 90% of Kennedy kids are proficient in math (up from 54% in 2011), and 83% are proficient in reading (up from 74% in 2012). These at-risk students are now on track to succeed!

employee solicitation, it’s also okay to have a little fun! Many

companies incorporate extra events into their campaign to

encourage participation and boost results. Take advantage

of the following ideas as incentives for employees to turn

in pledge cards, ways to increase gifts and participation, or

tools to educate and inform.

inCentiVesCampaign coordinators can use incentives to encourage the speedy return of pledge cards, increase participation and encourage payroll deduction or Leadership giving. Some popular incentives include:

Casual Day–Charge employees $5 to wear whatever they’re comfortable in: jeans, tennis shoes, flip flops, sweats, etc. Donate all money to United Way.

Chili Cook-off–Employees cook their favorite chili recipe and enter it into a cook-off contest. This activity can also add “spice” to a Community Fair. Charge employees a fee to try the chili. A panel of chili experts can select the Official Chili Champion – be sure to offer a prize to the winner.

pizza party–The department with the best participation (most returned pledge cards) is rewarded with a pizza party with the CEO.

Recycled Goods–Turn recycled paper, cans, bottles, etc. and exchange them for money for United Way.

Silent auction–Gather gift items and create bid sheets, being certain to provide a minimum bid for each item.

Spaghetti luncheon–Host a spaghetti meal with all the fixings. Feed and charge for each bowl with all donations going to United Way.

tug-of-War–Have an interdepartmental competition. Each team pays a fee for entry and award prizes.

FooD pantRy ClIEntSUnited Way funds

supported the work of Just Food, the Salvation Army and Ballard Community Services to collaborate on food assistance programs. The three agencies now share client data to increase efficiencies and avoid duplication, which has reduced by 40%. A Choice Based system at the food pantries allows clients to select the food that they will use, reducing waste. With freed up resources, the agencies are now able to focus on case management, tackling the issues that led their clients to be food insecure.
