Thank you for looking into the Westerville Parks and Recreation for your rental needs! Whether it be a winter wedding or a summer family reunion, there is something for everyone in one of our four year-round facilities and many seasonal options. The Community Center is the crown jewel of Westerville. Situated on the north-west side of the City, the center has party rooms for all sizes and can host up to 200 people. It also features an indoor waterpark, climbing wall and gymnasium for even more entertainment for your guests.

The Everal Barn and Homestead is Westerville’s most popular historic site. Built in the late 1800’s, the beautifully renovated farmhouse and bank barn are hosts to weddings and events year-round. Rentals are available for the House or Barn or you can rent the entire facility hosting up to 150 people.

Located close to Uptown Westerville, are the Senior Center and Recreation Program Center. Both are perfect for smaller meetings or group gatherings.

If you are interested in an outdoor facility, the City of Westerville has a lot to choose from. Rentals are available at 11 park shelters throughout the City or choose the award-winning Highlands Park Aquatic Center, Westerville’s own outdoor waterpark. Your guests will have a day of fun using the lazy river, water slides, zero-entry baby pool and leisure pools. Rentals are available at both the cabana and patio areas.

Rentals must be made a minimum of two weeks in advance. Maple Room weekend rentals may be made up to 12 months prior to event. Approved non-profit organizations will receive a 25% discount. Use of outside patio space surrounding Maple Room(with rental of Maple Room) and table and chair set-up are included in the price of the rental. There is a 12% caterer’s fee for all rentals who utilize a catering service. All caterers must be approved by the City of Westerville. There is a no-alcohol policy on the premises. One hour set-up and one half-hour clean-up are included in the Maple Room rental. Set-up and clean-up time is not included in the Buckeye Room rental.

AFTER HOURS RENTALS:Looking for an after prom location? Perhaps a location for an after graduation party for your class? If so, the Westerville Community Center has lots to offer any type of celebration! Pool time, hang time on the climbing wall, and ball time in the gymnasium are at the top of the list of amenities. After hour rentals begin at 10 p.m. and can last until 2 a.m. Locations are staffed with park and recreation professionals, at least two chaperones are required. Set-up and clean-up time are not offered for after hour rentals.

Maple Rooms& Watering Hole

THE MAPLE ROOMSLocated at the south end of the Community Center, these rooms can host numerous events and special occasions and are popular rental spaces. The space can be rented as one 3515 square foot room with a maximum occupancy of 400 (theater style with outsourced chair rental) or can be broken into three smaller rooms, which can be individually rented. The flexibility of the space can accommodate any event from wedding receptions to corporate meetings. *Monday - Friday daytime rentals are limited due to parks and recreation programming.

Buckeye Rooms, Kitchen& CommunityCenter MapTHE BUCKEYE ROOMSLocated in the south corridor of the Community Center. Buckeye B has vinyl flooring; perfect for social events, kids birthday parties and more. This room has a large counter-top and sink area. Buckeye C is a carpeted room, great for business meetings, bridal or baby showers.

THE KITCHENThe Kitchen facility contains a large refrigerator, dishwasher, freezer, ice maker, stove/oven, double sink, warming oven, industrial sink and a large amount of counter space. It is located at the south side of the building, is accessible from the hallway or Maple Room A and can be rented with a room rental or on its own.

The Everal Barn and Homestead is located at 60 N. Cleveland Ave. The renovated farmhouse, which includes four individual rooms, can accommodate up to 30 persons in certain set-ups. The Everal Barn can accommodate up to 50 guests on the lower level (pending set-up) with additional space on an exterior brick patio area and up to 150 guests on the main floor and loft. Kitchen facilities, restrooms and audio-visual aides are available in both buildings.

Approved non-profit organizations will receive a 25% discount, up to two times per calendar year. Table and chair set-up are included in the price for the rental. There is a 12% caterers fee for all rentals who utilize a catering service. All caterers must be approved by the City of Westerville. There is a no-alcohol policy on the premises.

Highlands Park Aquatic Center 245 S. SPRING RD

Highlands Park Aquatic Center is a one-of-a-kind neighborhood focal point of Westerville. The facility is home to a lazy river, tube slide and body slide, leisure pool, tot pool, and an 8-lane competition pool complete with two diving boards. Plenty of green space and chairs surround the pool to make your time more comfortable. The center is open from Memorial Day to Labor Day with various hours and offers both season and daily passes. Hours may be found online at www.westerville.org.

Planning a summer party? How about one right inside Highlands Park Aquatic Center! Birthday parties, company picnics, or a family gathering are perfect for the patio, which has seating for up to 50 people. Rentals include access to the gas grill, small refrigerator, and special group rate on all daily admissions.

Planning a picnic or get-together? There are a variety of shelters located in various parks throughout the City of Westerville that can be rented for a $25 refundable deposit. Deposits may also be donated/transferred to the Westerville Parks Foundation as a tax-deductible gift. Reservations are made online at www.westerville.org. Shelters are booked a minimum of two weeks prior to the intended rental date. Shelter restrooms are open mid-April through October. Parks close at dusk. Shelter reservations may be made starting the second full week of January for Residents and April 1 for Non-Residents. Call (614) 901-6513 more information.

Buckeye Room Rental orBirthday Party Package?

BUCKEYE ROOM RENTAL BIRTHDAY PARTY PACKAGE• Buckeye Room rentals are on your own. So basically,

you do the decorating and hosting.

• You get 2 hours in the room to set-up, party, and clean-up (see page 7 for more details)

• You are able to choose your own activities at your cost. Watering hole (pool), gymnasium or climbing wall.

• A room rental allows you to have a party for any age! (must follow all age appropriate pool rules.)

• Price includes cake, ice cream, paper products (themed plates, cups, napkins), and balloons

• A parks and recreation birthday party specialist will set-up the room, serve cake and ice cream, keep track of all your gifts, and clean-up the room when the party is finished. So basically, we do all the work for you!

• Five different parties to choose from (see below for descriptions)

• Birthday party child must be at least 3 years old for a package.

Policies& Procedures

Community Center rules and regulations:• Shirts and shoes are required at all times, unless in the

Watering Hole or locker rooms• Children 9 years old and under must be accompanied

by an adult at all times• Private parties are prohibited in public areas• Food is allowed in designed area’s only• Running is prohibited in the building• Profanity and rough play is strictly prohibited• Cell phones are not allowed in locker rooms

Watering Hole rules and regulations:• Children ages 9 and younger must be accompanied

by a person 13 and older who has a valid admission. Children ages 6 and younger must be accompanied by a responsible person 13 or older in proper swim attire, and the responsible person must be within arm’s reach at all times while supervising the child in the water.

• The hot tub is for patrons 16 years of age and older.• Infants and children requiring diapers must wear both

diapers and rubber pants and/or swim diapers.• Water wings are not permitted. Other floatation

devices and/or toys permitted at the discretion of the Manager on duty.

• U.S Coast Guard approved life jackets are permitted.• Food and glass are not permitted in the pool area or

Shelter Reservation Rules:• Vehicles are not permitted off roads or parking lots

unless prior arrangements have been made with Parks and Recreation Department

• Damage to park facilities is your responsibility. Holes may not be dug on the property due to liability concerns. The City may seek further payment to compensate for any damage

• Litter associated with your event is to be placed in the containers provided

• Use of fire places at Alum Creek, Heritage and the Train Depot will require a Fire Permit from the Westerville Fire Department

Payment by Check:Checks should be made payable to the “City of Westerville”. There will be a $31 service fee for all checks not honored for any reason by any bank.

Refund Policy:Room rental and Watering Hole cancellation policy - If the Licensee cancels the event and gives the City written notice of that fact more than ninety (90) days before the event, the deposit will be refunded. The event charge shall be cancelled and refunded to the Licensee at once. If the Licensee cancels the event and gives the City written notice of that cancellation 89 to 30 days before the event date, the City will cancel and refund one-half the event charge and shall retain the remaining one-half charge and the security deposit as liquidated damages. If the Licensee cancels the event and gives the City written notice of that cancellation less than 30 days in advance of the event date, the City will cancel the event; but shall retain the event charge and deposit as liquidated damages. There will be a $5.00 service fee for all refunds.

Fair Share Policy:The City of Westerville Parks and Recreation Department is largely financed through City Income Tax dollars. Therefore, to be considered a “Resident” in our registration process, you must live or work full time within the corporate City Limits of Westerville or be a spouse or child of such person. “Non-resident” applies to all others. Even though you may have a Westerville mailing address or live within the school district, you may not live within the Westerville City Limits. We ask for your understanding when registering.

Resident/Non-Resident Rates:To receive discounted resident rates, Westerville residents will be required to present identification such as a valid driver’s license, photo ID card, utility bill or pay with a check with anaddress printed by the bank. Individuals employed full time in the Westerville City Limits will need to provide proof of employment on company letterhead with the signature of the personnel director or president or a current paycheck with their employer’s name and address along with a valid driver’s license. If a household has been granted residency status due to providing proof of Westerville income tax withholding and it is later revealed that a full refund of these taxes occurred, the City of Westerville reserves the right to collect the difference between the resident fee paid originally for the activity or pass and the appropriate non-resident fee. A $5.50 resident ID card may be purchased for registration and admission convenience.

Non-Resident Fee Policy: The non-resident fee is an additional $5 to any program $20 or less and $10 for any program more than $20 and less than $60 and $15 for any program $60 or more. Seasonal and Annual Pass fees, daily admission fees and rental fees are 50 percent higher for non-residents.
