The children again excelled with the quality of their craft & pet entries. It is obvious that Pet Day is still as popular as ever. Thank you to the PTA for their delicious Hay Bale Café and for running the BBQ – all food had sold out by the time Pet Day was over. The Snocones and the Coffee Shot Expresso were kept busy throughout the day also. Thank you to all our judges for the time they donated to judge the children’s pets & crafts and to everyone who assisted to make the day a success. Thank you to Val O’Loughlin for all her work organising the judges and children’s awards. Senior Pupils’ Long Distance Athletic Races: are being held here tomorrow from 2 – 3.00 pm. All welcome. Powhiri- 27 October: The school will be holding a Powhiri to welcome all new students, their families, new board members and staff on the 27th October at 12.30 till 1.30pm. If your child has started school this year at West Eyreton and you would like to be welcomed as part of the Manuhiri (visitors) then please assemble outside the school gate by 12:15pm. If your child has attended West Eyreton School for over a year and you would like to be part of the Tangata Whenua (hosts) please be in front of Rooms One and Two by 12.15pm. The adults will be sharing Kai (food) afterwards so please bring a plate to share. All children will gather together to eat their kai once the powhiri has finished. REPEAT HEALTH & SAFETY MESSAGE: Car Parking Along Cycle Track on North Eyre Road: WDC Road Safety Coordinators, Kathy Graham & Ian Kennedy, were invited to school last week to advise us on the car parking along North Eyre Road. NB: The following recommendations from Kathy Graham now need to be followed by parents: Thank you for inviting us to the school yesterday to discuss the ongoing parking issues at the school and observe first-hand the challenges. As we discussed and agreed following the visit yesterday, the immediate concern is the safety of the children departing from the school grounds onto North Eyre Road. While we were there in the afternoon period during pick-up time, it was extremely concerning to witness parents/caregivers parking their vehicles fully across the shared path just east of the school. Aside from being illegal, parking on the shared path impacts on the ability of the students to use this shared path. This is of major concern as it leaves nowhere for the children to walk other than on to the road when they exit the school and head east. We witnessed a young boy on his bicycle who had no option but to go out onto the roadway to get past the vehicles as they were parked up into the hedge line. Thankfully a teacher was able to assist him past the vehicles, however, as we all know the risk to a small child walking out into a traffic lane or at the rear of vehicles that may reverse out with limited visibility is high. The shared path is a facility for all of the community and no doubt a positive factor in the risk assessment of those parents who can choose to let their children walk or bike to school, a behaviour we are trying to encourage. North Eyre Road has recently been upgraded, effectively widening the road. There is room for vehicles to park on the left hand edge of the road parallel to the shared path. This enables the children to still have access to the shared path and to enter vehicles from the left hand side away from the roadway. It will also indirectly assist with lowering speed in the area as it will naturally narrow the width of the roadway, which slows traffic down. Ideally, alerting the parents/caregivers to the safety concerns raised above will achieve an immediate change in behaviour, however, as the children’s safety is the over-riding concern here we may need to look at the enforcement options that exist to reinforce this message if required. Preschool Transition Class: The transition session for 3 and 4 year olds held in the New Entrant classroom on Monday afternoons from 2-3pm will resume on Monday 31st October due to the school Pet Show and Labour Day on for the next two weeks. Long Distance Races: On 21st October, we will be holding our competitive long distance races for 8 - 13 year old students (birth date @ 1st Oct). This event will be held in the school domain and will begin at 2pm. Senior Athletic Sports: Our senior athletic sports will be held on Tuesday 25th October and the postponement day will be on Friday 28th October. Age as at 1st October 2016. Athletes must be in Year 5, and at least 9 years old on this date. Information 1. 9 year olds will compete in shot put and discus in the school athletics competition 2. 9 year olds will NOT be able to move through to the next event in shot put and discus 3. The Pegasus athletic sports will be held on Tuesday 8th November 4. All students MUST wear shoes during all throwing events (shot put and discus) 5. Students have the choice to go in bare feet for all running and jumping activities 6. High jump will be held in the hall 7. Shot put will be held in between the netball court and mound 8. Long jump will be held behind the senior playground 9. Discus will be held next to the tennis court 10.Sprints will be held on the domain Important a. Teachers will be running all stations b. Junior Athletic Sports: This year’s athletic sports will be held on Monday 7 November for Rooms NE – Room 4. Pupils who are 8 years and under on 1st October 2016 will enter these sports. If pupils are 9 years and older, they will enter the Senior Sports on Tuesday 25th October. Rangiora High School Orientation Day: Year 8 pupils, enrolled at Rangiora High School for 2016, have their Orientation day at the high school on Friday 28 October. Please read the notice and bus timetable regarding this day further on in this newsletter. Bible in Schools Christmas Concert: Parents are informed that Rooms NE – 4 pupils will be attending a concert performed by the Oxford Bible in Schools on Friday 9 December, at 11.00 am here at school. Parent Concerns Procedure: It is a requirement of the school that parents are kept regularly informed of important school procedures. This week the Parent Concerns procedure is enclosed. Please be aware that the school’s procedures receive ongoing evaluation and are often updated so please ask at the school office for the most up to date version. School Office News: A karate yellow fabric belt/tie has been handed into the school office. If it belongs to you please call in to collect. ALSO: A pair of Specsavers reading glasses have been handed into the office. The frames are hard plastic with a caramel/black ‘mottled’ design on the outside, and plain black on the inside. A gold piece of metal is attached to the end of both frames as a decorative piece. School Photo Orders: We are still in the process of getting all the classroom photos named and sent off to the photographer. We hope to complete this job by the middle of next week and then email through to Langwoods Photography. Once they have processed them, we will forward them on to families who have ordered. Lucky Book Club: Issue 7 is out now. You can either order online through the LOOP system, or fill out the form and return to the school office by 9am Wednesday 26th October. To assist with a positive and smooth transition to Rangiora High School, our Orientation Day is on Friday 28 October 2016. Students are required to wear their primary school uniform on this day. Orientation Day is an important part of their transition to high school and it is anticipated that all students will attend. Students travelling by bus will be picked up from their respective schools in the morning (please check with your school if you are unsure if this includes your child). On arrival at RHS at 10.00 am students are to report to Gym 1 which is across the road from the Admin Building on East Belt. At 12.30 pm a BBQ lunch and fruit will be provided or students can bring their own lunch and snacks if preferred. The afternoon programme will end at approximately 3.00pm. Bus students can travel home on the normal RHS school bus routes. Other information: Uniform Shop: The RHS Uniform Shop is located at 115 East Belt (next door to the school). PARENT CONCERNS PROCEDURES

To ensure that there are clearly defined channels of communication if parents ever wish to express concern about any aspect of the education of their children or the running of the school.

In dealing with any concern it is important that both parties are able to express their views to each other, either directly or through a third party, in the certainty that they will be listened to and given serious consideration.

For the purposes of these procedures “concern” refers to an issue that, in the staff member’s professional judgment, should be dealt with in a formal interview. In such cases the staff member approached will set an interview time with the parent raising the concern, and outline these procedures.

If an incident has occurred regarding a pupil / pupils during school-time then the most appropriate school staff member must be approached to deal with this – parents should not deal with the matter out of school.

PROCEDURES 1. Initial meeting (a) A parent may request a meeting with the class teacher, or support staff member, considered to be the most appropriate person in respect of a particular concern or complaint.

If the issue lies with a member of the teaching staff then that person may ask the Principal or a senior member of the teaching staff to be present. If a teacher does arrange for someone to be present then the parent must be advised of this before the meeting takes place.

If the issue lies with a support staff member then that person may ask the Principal, or one of the teaching staff, to be present at the meeting. If a support staff member does arrange for someone to be present then the parent must be advised of this before the meeting takes place.

(b) Staff should request that parents make an appointment at a time outside the demands of the teaching day, and that the parent provides an outline of the questions or concerns so that a response may be prepared.

(c) The most senior staff member attending the meeting must ensure that a written record is kept of the discussion at the meeting, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting.

(d) The written record must be kept in the child’s file and if necessary (i.e. where the

issue relates to the running of the school rather than a classroom issue) a copy should be given to the principal who will place it in the confidential file kept by the principal for that purpose.

Note: If the issue is initially brought to the attention of a staff member who feels that another staff member is the one who should be approached in the first instance then that staff member should direct the parent to the appropriate person.

2. Involving the Principal (a) If a parent or a staff member feels the issue was not adequately resolved at the initial meeting then the Principal should be approached.

(b) The Principal must gather all necessary data from both sides before attempting to resolve the matter. If necessary, or appropriate, an external adviser may be consulted to provide assistance in resolving the matter. The Principal may be able to resolve the issue without bringing all parties together, but the outcome must be agreed to by them all.

(c) The Principal must ensure that a record is kept of any meeting, or discussions, held to try and resolve the matter, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting.

(d) Any written record must be placed in the child’s file and if necessary (ie where the issue relates to the running of the school rather than a classroom issue) in the confidential file kept by the principal for that purpose.

3. Involving the BOT chairperson (a) If the Principal is the person concerned and the parent feels that the issue has not been resolved, or if the parent feels the issue has not been resolved despite the involvement of the principal, the chairperson of the Board should be approached.

(b) The chairperson must gather all necessary data from all parties before attempting to resolve the matter and set up a combined meeting of the relevant people unless such a meeting is not considered to be desirable. If necessary, or appropriate, an external adviser may be consulted to provide assistance in resolving the matter.

(c) The chairperson must ensure that, if a meeting is held, a written record is kept of the discussion at that meeting, and of any action points which are agreed to. This should be signed by all parties as an accurate record of the meeting.

(d) The written record must be given to the principal who will place it in the child’s file, and if necessary, (ie where the issue relates to the running of the school rather than a classroom issue) in the confidential file kept by the principal for that purpose.

4. Involving Board of Trustees If steps 1-3 have failed a parent may send his or her complaint in writing to the Board of

Trustees who will then determine whether any further action can be taken and report back to the parent on what is proposed. Note: If initial expressions of concern are addressed to a Board member it is the role of that member to point out the correct procedures to be followed.

5. Staff Members who are Parents at the school: Staff members who are parents at the school must follow the parent concern procedure as set out above when addressing any concerns relating to their child/children.

Conclusion Every concern/complaint will be responded to within a reasonable timeframe. Parents will be informed of the resolution or about the process so far.
