TAM 9.1 Overview

Talent Acquisition remains a key function in maintaining current workforce,

supplying successors, and exploring new initiatives. In today’s business

environment, recruiting, like most other key organizational functions, faces the

challenge of improving efficiency without compromising quality. As workforce

dynamics continue to fluctuate, recruiters and hiring managers need to be able

to quickly identify the top candidates for their positions and engage them

quickly.

Recruiting Solutions 9.1 extends the Talent Acquisition Manager and Candidate

Gateway applications, enhances the reach of existing features, and introduces

innovations that enriches usability and productivity.

now have the option to rich text

formatting.

• The embedded RTF Editor enables the

user to leverage common formatting

elements including font style and size,

bolding, underlying, text and

background coloring and many other

HTML based features.

professional compelling layouts.

Schedule interviews for multiple applicants

without leaving the Interview Schedule page

- You can now schedule interviews for more

than one applicant at a time



For each applicant of a Job opening, an

Interview Schedule can be created, with

the Venue, Interview Meeting Request and

other information all being created at the

same time.

Calendar Integration With MS Outlook

One cool new feature that was

introduced in TAM 9.1 is the

interviewing scheduling integrated

with Microsoft Outlook.

There are two levels of Calendar

integration that can be achieved:

Full Calendar Integration –

this relies completely on

MS Outlook for Interview

Scheduling

Partial Calendar Integration

– This provides one-way

scheduling using iCalendar

appointments


Calendar Integration With MS Outlook

Full Calendar Integration:

Here Talent Acquisition Manager, uses the PS Enterprise Desktop Integration framework to pass interview

data to MS Outlook, and to receive updated information from MS Outlook into PeopleSoft.



Full Calendar Integration:

The Outlook Add-In from PeopleSoft

provides a Scheduling assistant that

receives notifications from PeopleSoft and

creates Meeting Invitations on the Outlook

Calendar and sends to all participants



When all the participants accept the invitation, the system updates the overall interview status as

“Confirmed”. This status is then reflected in the PeopleSoft Interview status

• Configure the system to support

online job offers for internal and

external applicants

• When this functionality is active,

applicants can review the offer, accept

or reject the offer online.


Prepare a Job Offer

• Select an Applicant who has been

selected in the Interview process

• Against that applicant, Select

Action as “Prepare Job Offer”


Prepare Job Offer

• Enter the Job offer components and change

the status to “Extend”

• The Generate letter, Email applicant links

are enabled


Prepare Job Offer

• Click on the Generate letter

link and click on Open

• A new window with a

preview of the Offer letter is

opened.


Offer Letter Preview

• The offer letter preview shows the

contents of the offer letter as being

sent to the applicant

• In order to send the offer to the

applicant, click on the email link to

notify the applicant about the offer

online.


Email Offer

• Correspondence can be sent to the applicant as well

as other interested parties by entering the email ids

in the To, Cc and Bcc sections

• The email body text can be composed and also

related Job offer documents can be attached and

submitted.

• Click on the “Post” button in order to post the Job

offer online.


Post Online Job Offer

• Review the Offer details and Job components

and click on Submit to post the offer online.

• System notifies that the job offer has been

posted online


View Offer Online

• In order to view the Offer

letter, the applicant needs to

login into the careers link

• Links are posted on the Careers

home page notifying the

applicant of the offer

• These are links provided to the

actual Offer letter sent from the

hiring company.

• Click on the Job Offer link to

view the Job Offer Online


View Offer Online

• The link to the Job Offer letter

along with the Offer date and

the expiration date are posted

under the Job Offers section.

• Click on the link to view the

Job offer


View/Accept Job Offer Online

• The Job offer can be viewed online and

also, the applicant is provided with options

to Accept/Reject the offer.

• On Accepting the offer, messages are

posted as well as the Applicant disposition

is changed to 071- Offer Accepted


Accept Offer Online

• Acceptance of the Job Offer online changes the disposition to 071- Offer accepted

• The hiring process then follows the normal cycle

Multi-tiered Screening



Recruiter Alerts



• While preparing an applicant for hire,

users now have the option to forward the

Offer letter to HR.

• When this option is selected, HR is

provided access to a link to view the Offer

letter on the Manage Hires Detail page

• The Check box appears only if the

applicable Hire type has been configured to

send the Offer Letter to the HR System.

This is done through the Data Transfer to

HR Setup.

Several new screening capabilities have been introduced:

Prescreening of Applicants

Online Screening

Open-ended screening questions

Multiple correct answers for screening questions

Question ordering

Randomize Questions and Answers



Pre-Screening of Applicants Prescreening introduces the capability to

automatically filter out unqualified applicants

before they reach the point of completing the

online application form

Prescreening is entirely questionnaire based-it

can contain one or more multiple choice

questions

In order to enable pre-screening, enable the

Prescreening template definition specifying the

actions to be taken if an applicant passes / fails

the pre-screening.

Questions can be selected – these will be

presented to the applicant before he fills the job

application form


Pre-Screening

When the applicant applies for the Job

opening, he is presented with the Job description

On viewing the Job description, the applicant

decides to apply for the job and hits the Apply

Now button.

The resume options enables the applicant to

upload his resume in text or document format.


Pre-Screening

On continuing the application process, the

applicant is presented with the pre-screening

questions that have been included as part of the

screening process.

Once the applicant responds to the pre-

screening questions, his responses are

immediately evaluated by the system


Prescreening

Once the applicant responds to the pre-

screening questions, his responses are

immediately evaluated based on the answers

to the prescreening questions

If his answers are correct, he is allowed to

continue to file his application for the job

the prescreening questions

If his answers are not correct, a

message is displayed regarding his

non-suitability to the Job Opening


Online Screening

Online Screening of Applicants The online screening process helps in filtering

out unqualified applicants after they complete

their job application

This is not applicable to applicants who apply

without selecting a job

The screening results are published as soon

as the applicant submits his application

The results are published for each application

submitted(multiple jobs).

The disposition that is indicated in the

screening level definition is assigned to the

applicant.

Oracle delivers a Reject Online Screening

disposition to use for applicants who fail

prescreening


Open Ended Screening Questions

With 9.1, you can now define open ended

screening questions that can be evaluated by

recruiters.

While defining a question, select the “Open

Ended Question” check box to classify the

question as open-ended.



When the applicant applies for the job, he

needs to provide a descriptive answer to this

screening question within the limit of characters

specified

Once the answers are submitted, the open

ended questions are evaluated by one or more

evaluators

Evaluators use self service to evaluate these

answers and manually enter a score for each

response.

The evaluators do not have any information

on the job opening nor the applicant during the

evaluation process



The evaluator assigns evaluation points to the

answer and submits his evaluation through self

service

If there are multiple evaluators, then the

applicant score is taken as the average of all the

evaluations submitted in the system.


Multiple correct answers for screening questions

A question can now, with 9.1, have multiple

correct answers for a screening question

In such cases, points are assigned to each

answer

The applicant’s score is the total of all the

points for the selected answers.


Randomize Questions and Answers

Questions and Answers can be presented in random order to the applicants.

This reduces the applicants on spotting patterns in questions and collaborate on the answers.


Question Ordering

In this release, we can define the order in

which the screening questions appear to the

applicants

Questions are ordered based on their default

order in the question set

Configurable Record Printing

Printing capabilities have been enhanced for

Job openings

The option provides the ability to choose

which sections to include in the printout.

This presents the user with a valuable tool

for presentation of information for self and

others



After clicking on the Job Opening

link, the user can select which sections

of the job opening to include in the

printout.

Sections that do not contain any data

even though they have been selected

for printing do not appear in the final

printed document.



On clicking the Preview Printable

details link, you can further control

how much content is printed, by

expanding / collapsing the subsections

Sometime, after submitting a Hire

request, it might become necessary to

withdraw the applicant from the hiring

process

To cater to this situation, the new 9.1

release has provided a new “Withdraw

from Hire” action.

This is applicable to application who

have a “Ready” disposition
