Remote Clinical Services

● Shore also offers remote occupational therapy, speech therapy, physical therapy and behavior consultation.

● Shore nursing is available for remote health assessments, clinical support and guidance.

● Participants who are not interested in remote video service may elect to schedule a 1:1 phone call (or Facetime call) from a familiar member of Shore’s staff 1-3 times per week as a continuation of remote service.

● At home caretakers may be asked to help facilitate communication in certain circumstances.

Commitment toParticipation Individuals who do not ever plan to return to Shore for

in-person services, even after a vaccine and/or effective treatment for COVID-19, remote services will be discontinued on September 30, 2020.

In accordance with MassHealth policies, individuals who never plan on returning must be discharged from Shore on September 30th.

Commitment to Participation

The majority of our individuals hope to return to Shore Day Programs at some point in the future. In these cases, participants will remain on our rosters, and may participate in remote and/or pop-up service options.

These individuals will not lose the opportunity to return to Shore in- person programs whenever they feel ready and able to do so.

PLEASE CONTACT THE PROGRAM TO CONFIRM HOW YOU WILL PARTICIPATE IN SERVICES MOVING FORWARD… This will help us a great deal to plan for the BEST services possible.

Enrollment forIn-person Services

● Our MAXIMUM capacity for our first phase of re-opening is 20 participants per program site.

● Currently, enrollment #’s are very low at our Chelsea and Woburn programs. Peabody only has a few spots remaining.

● If any participant is interested in returning next week on Thursday/Friday, we must have confirmed approval by this Friday, August 21st!

○ Otherwise, we will postpone the participant’s start date to the week of August 31st for the purposes of safety planning and staff training.

MASKS● All Shore staff will be required to wear a surgical

masks in program buildings and during Pop Ups (or other outdoor in-person visits).

○ Shore has an inventory of N95 masks for the situations that may arise that require additional layers of protection.

● Participants will be encouraged but not required to wear masks

○ Participants may wear their own cloth masks from home

○ Shore will provide disposable masks as needed○ Our schedule will allow for “mask breaks”

throughout the day

Social Distancing

● Social distancing is particularly critical when masks are not worn. People will maintain (6) feet social distancing from one another, whenever possible, while at Shore.

● Tables and chairs have been spaced so that all participants are at least 6 feet apart. The maximum capacities of our program rooms are based on 113 square feet per person.

● Staff will accompany individuals to bathrooms and any other areas to which they need access, so that social distancing measures to the extent possible are maintained.

● One tool we’ll be using to teach social distancing is 6’ long “pool noodles” to provide a visual to both staff and participants as to how far apart we should stay from one another.

Hand Hygiene

● Handwashing or applying hand sanitizer is required by all, frequently, throughout the day.

● Handwashing is required at these particular times:

○ Upon arrival and departure ○ After using the bathroom ○ Before and after eating. ○ Before and after using or playing with shared

equipment, materials, or other activity items.○ After sneezing, coughing, blowing your nose

● Hand sanitizer dispensers have been installed in numerous spots throughout each of our programs.

● Staff will wear aprons during their shift that have hand sanitizer, extra gloves & masks, and sanitation wipes for surface cleaning.

● We have lots of fun hand hygiene activities for on-going practice and learning.

Air Quality & Ventilation

Shore has (always had) preventative maintenance contracts for all of our buildings’ HVAC units that includes quarterly inspections and:

● Filter changes● Tune up equipment● Ensuring all air distribution systems are in

proper working order

In addition, we hired WB Engineering and Consulting to perform an independent “Indoor Air Quality Feasibility Study” for all of our buildings’ systems.

WB Engineers were at our sites last week and will prepare reports in the next two weeks that we will share with you.

EnhancedCleaning &Disinfection

Shore employee(s) will be designated as exclusively cleaning staff at each site during the day. They will regularly rotate cleaning and sanitizing high-touch surfaces such as:

● Handrails● Door knobs● Light switches● Bathrooms● Relaxation rooms● Health treatment rooms● Medical waiting rooms● Kitchens● Common areas

Direct care staff will complete routine cleaning checklists in the program rooms.

Custodial services will perform their cleaning services with enhanced disinfection measures at night after program hours.

Deep sanitation with electrostatic sprayers will be used in the early morning hours prior to staff arrival each day.

Program Participant & Staff Training

Shore has already incorporated some COVID-19 prevention training & practices into our Remote Service Schedule, and this will be an even bigger piece of our In-Person curriculum.

We have revised our Positive Behavior Support (PBS) expectations to include reinforcing the positive use of COVID-prevention activities and skills.

Shore staff are reporting to work on August 24, 25 and 26th for three, full days of intensive training prior to opening day.

Staff will receive frequent, on-going training and compliance monitoring to ensure we don’t “drift” from following health & safety procedures correctly.

DailyPre-Screening

● Before entering any Shore buildings, EVERYONE must, out of respect for fellow Shore community members, thoughtfully monitor their own health.

● In reporting to work, our staff are verifying that they:

○ are not experiencing any commonly known symptoms of COVID-19

○ Have not traveled out of Massachusetts to a state that requires quarantine upon return

○ Have not had close contact with anyone positive, or presumed positive, for COVID-19

● We’ll be asking you to verify that you assisted your individual/family member to pre-screen in the morning before leaving the house and we’ll take temperatures of all staff and participants before they enter our programs.

● Anyone who answers “yes” to our screening questions will not be permitted entry into the program building.

ATTENTION SHORE PARTICIPANTS & CAREGIVERS: Before leaving home to attend Shore for day program,

please carefully consider and answer the following questions:

● Fever (100.0 or higher), felt feverish or had chills?● Cough?● Sore throat? ● Difficulty breathing?● Abdominal pain?● Unexplained rash?● Fatigue?● Headache? ● New loss of smell/taste?● New muscle aches? ● Nausea or vomiting?● Diarrhea?

➔ Have you come in contact with anyone positive or presumed positive for COVID-19?

➔ Have you or anyone in your household traveled outside of Massachusetts in the past 14 days?

Call the program to speak to a nurse, who will let you know how to proceed.

Transportation● When will transportation start? We are currently

working with transportation providers to begin routes as quickly as possible. We will continue to keep you posted, as we are awaiting on updates from HST.

● When dropping off/picking up an individual, you will be asked to pull in to a spot and remain in your vehicle until a Shore staff member comes to assist you.

PersonalBelongings

● Participants are asked to limit the personal belongings they bring to Shore to only the necessities for the day.

○ Lunch/snacks■ Preferably sent in a disposable paper

lunch bag■ Food MUST be sent in pre-prepared

to texture (in accordance with their physician’s diet recommendations)

○ Seasonal Outerwear (coats, hats, etc.) ○ Backpack or Purse with

■ An extra mask■ A change of clothing■ Personal care items■ Communication device(s)

● Personal belongings cannot be shared with others ● Everyone’s personal belongings will be stored in a

way that prevents touching others’ belongings ● At the end of each day, storage spaces for personal

belongings will be sanitized and ready to use again the next day.

Cohorting● A Cohort is a Group of People. ● Each group/room of participants and staff will

be considered a cohort that will stay together all day, and if possible, all week.

● This is similar to the way we’ve always operated, except that we’ll be strict to adhering to these group assignments and less flexible (unfortunately) about visiting and joining people in other groups for lunch, activities, etc.

● This limits the number of people we each interact with closely and for an extended period of time.

● Should someone become ill, we will be better able to identify who had close contact with him/her/they.

Lunch &Snack Times

● Individuals will eat lunch and snacks in small groups with increased social distancing measures.

● Tables, chair armrests, and/or wheelchair lap trays will be disinfected prior to the start of meals and again after eating.

● Hand hygiene will be completed before & after eating

● Participants will use disposable plates, utensils and napkins unless they require adaptive dining equipment.

○ Adapted dining equipment will be washed in the dishwasher (by staff only) after use each day.

○● Participants will be reminded to not talk while

chewing and to cover their mouths as needed

For participants requiring physical assistance during meals....

● Cohort staff will assist participants on a strictly 1:1 basis for dining -from start to finish.

● Staff will don extra layers of PPE to assist with dining (i.e., a face shield and gown in additional to surgical mask and gloves)

● Participants who are prone to coughing when eating will be appropriately distanced from others, while ensuring they do not feel excluded.

● When special circumstances call for it, Shore will utilize tabletop plexiglass dividers between participants seated at the same table.

Using the Bathroom ● Reduced Capacities inside Bathrooms will be monitored by staff.

● Shore staff will accompany each participant to the bathroom, regardless of level of independence, in order to ensure:

○ Capacities are not exceeded○ Participants engage in proper hand hygiene

after using the facilities○ No bodily fluids are left behind

● Bathrooms will be cleaned and sanitized at least hourly (more often during “busy” times) by specially-trained cleaning staff wearing extra layers of PPE.

Assisting with Personal Care Routines

Participants requiring physical assistance with personal care routines will be assisted by cohort staff on a strictly 1:1 basis, in the bathroom, or in a private room identified solely for the purpose of changing and personal care routines.

Staff will don extra layers of PPE (including Nitrile gloves, face shield and gown, in addition to mask) and carefully follow the safety protocols (which are posted for easy reference).

Staff will also follow the protocols for cleaning, disinfecting and properly disposing of used items.

Activities atShore ● Participants will have their own kit of commonly

used activity supplies to prevent sharing of materials.

● When equipment (an iPad, for example) or items (tossing a ball) are shared, everyone involved in using items will wash their hands before and after using.

● Shared items will be cleaned and disinfected between use.

Communication We will contact guardians/families/residential care providers directly and as quickly as possible when a participant:

❖ Is symptomatic ❖ Has been in close contact with someone who

has tested positive for the coronavirus

In addition, we will email you (within 24 hours) if any Shore program has had a person who has tested positive. We’ll generally let you know of the circumstances and actions we put into place.

We feel it is important to let you know of these situations directly and honestly from us rather than through the “rumor mill”.

We will always respect and maintain the confidentiality of our participants.
