SENECA BALLROOM

Our Seneca Ballroom (4 ,475 sq . f t .) can accommodate events as large as 260 guests . The formal set t ing features a work ing s tone f ireplace and a cus tom buil t- in bar. An ent ire wall o f glass doors leads to the Seneca Terrace - a 3 ,500 sq . foot s tone terrace which of fers breathtak ing v iews of Canandaigua L ake .

A ll weddings held in the Seneca Ballroom have access to the at tached Seneca Terrace . The Seneca Terrace can be used for a ceremony si te , cock tails , or addi t ional room for your seated dinner. The terrace can accommodate up to 260 guests for your ceremony or cock tails , and 100 guests for seated dinner. The terrace wil l be covered wi th our deluxe, clear tent to ensure your guests are safe f rom any unexpec ted weather.

Couples host ing their wedding in the Seneca Ballroom also receive access to the Seneca Ceremony L awn , complete wi th a paved walk way and s taircase . Si tuated on the lakeside grounds of our newly renovated 31-room hotel , the Seneca Ceremony L awn has a per fec t ly si tuated ceremonial arbor, which can be decorated wi th f lorals or other adornments .

Please note, a dance f loor is required to be used in the Seneca Bal l room - you may ei ther ut i l ize our dance f loor or an outside rental .

Our Bristol Room (3 ,575 sq . f t .) can accommodate 2 17 guests and features a buil t- in bar, our classic x-back chairs , ant ler chandeliers , and a t imber-beamed ceil ing .

A ll weddings held in the Br is tol Room have access to the adjoining, covered Bris tol Terrace , which can accommodate an addi t ional 60 guests . The Br is tol Terrace also features a buil t- in bar that can be used for your cock tail hour or recept ion bar ser vice , for an addi t ional set up fee of $500.

We of fer t wo beaut i fully landscaped outdoor lake v iew ceremony locat ions- the Seneca Ceremony L awn and the Bris tol Ceremony L awn - both featur ing a breathtak ing backdrop of Canandaigua L ake,

hand-craf ted t imber beam arbor, and paved walk way.

You may also choose to hold your ceremony on the lake view Terrace a t tached to your recept ion room.

Your usage fee includes set up of our whi te lawn chairs for your ceremony.

Q: Is a deposit required to book my wedding at Bris tol Harbour? A: Yes , we require a non-re fundable $5 ,000 deposi t for the Br is tol Room and Seneca Ballroom at the t ime of book ing to reser ve the date for your event . A second non-refundable deposi t o f $ 10,000 is due at your complimentar y menu tas t ing . I f you are reser ving the Br idal Sui te , your non-re fundable room usage fee of $800 is due at the same t ime as your f irs t deposi t o f $5 ,000.

Q: When is my f inal payment due?A: F inal payment for al l charges and unpaid balances is due 2 1 days pr ior to your wedding date .

Each vendor meal includes entrée, t wo side dishes , salad or soup, rolls , and a sof t dr ink . Please note that passed and s tat ionar y hors d ’oeuvres , cake, desser ts , e tc . are not included in the vendor meal . Vendors wil l be fed pr ior to your dinner ser vice in order to ensure your vendors are able to provide you wi th the bes t possible ser vice dur ing your event .

Vendors who are provided meals must eat in Bernie ’s Cafe . Vendors may not be seated at tables in the recept ion room or any other room in the facil i t y except the t wo designated areas mentioned above, unless the br ide and groom make advanced arrangements to have them seated in the recept ion room. Bristol Harbour policy prohibits vendors from consuming alcohol on premise before, during, and after your event. Q: When must I have all of my i tems out of the reception room?A: At the conclusion of your event , i t is your responsibil i t y to remove all i tems f rom the recept ion room, including but not l imi ted to gi f ts and cards , decor, f loral arrangements , audio/visual equipment , e tc . No i tems may be le f t in the recept ion room at the end of the night . Any i tems s tored in the Br idal S torage Room will be discarded i f not claimed wi thin 48 hours of the conclusion of your event . Q: Do you of fer on-site accommodations for overnight guests, and will I receive a block of rooms?A: Yes , Br is tol Harbour has a 3 1-room, on-si te Hotel located adjacent to our Main building that can accommodate your overnight and out-of-town guests .

Weddings in the Br is tol Room and Seneca Ballroom will receive a block of 15 rooms upon receipt of your f irs t deposi t . This includes the complimentar y Deluxe Room for the br ide and groom. Your guests wi l l receive a $20 discount per room per night . Addi t ional discounts may be available; please direc t your guests to call the Front Desk at (585) 396 -2 200 x 3 to inquire about addi t ional discounts . Rooms in your block wil l require a 50% credi t card deposi t at the t ime of book ing to hold the reser vat ion . » To reser ve your wedding date at Br is tol Harbour, a $5 ,000 non-refundable deposi t is due along wi th your signed contrac t .

TIMINGSeneca Bal l room Weddings: I f you choose to have your wedding in our Seneca Ballroom and Terrace, your ceremony and recept ion wil l begin at 3 pm and close at 1 1 pm.

Bristol Room Weddings: In our Br is tol Room and Terrace your ceremony and recept ion wil l begin at 5 pm and close at 12 am.

Ceremonies: I f you are not having your ceremony at Br is tol Harbour, please advise the Wedding Manager as soon as possible .

DEPOSIT AND CANCELL ATIONBristol Room, Seneca Bal l room: A $5 ,000 non-refundable deposi t is required at the t ime of book ing to reser ve ei ther room. A second non-refundable deposi t o f $ 10,000 is due at your complimentar y menu tas t ing . Both deposi ts wil l be applied towards your f inal bil l .

I f you are reser ving the Br idal Sui te , your non-re fundable room usage fee of $800 is due at the same t ime as your f irs t deposi t o f $5 ,000.

Your f inal counts are due 2 1 days pr ior to your event date .

The balance wil l be due 2 1 days pr ior to your wedding date .

In the event of cancellat ion, the deposi t and payments wil l not be re funded.

CHARGES, TA X , GR ATUIT Y, AND ADMINISTR ATIVE FEEAl l charges are subject to change . A l l invoices are subject to appl icable New York State sales tax . A l l charges and unpaid balances must be paid in fu l l 21 days prior to your event . A 9% gratuity is added to al l Food & Beverage throughout your celebration , including rehearsal d inner/welcome par ty, bridal suite , reception , late night snack , and farewel l brunch . Final menu selections , including entrée counts , are due 21 days prior to the event . The number guaranteed wil l be charged even i f fewer guests at tend.

I f you are of fer ing your guests a choice of entrées , we require guests to have indiv idual place cards showing their entrée choice on back .

Bar Service: A l l pr ices l is ted are for guests 2 1 years and older; guests under 2 1 years are $ 10 per person.

Please note: In accordance wi th NYS laws , al l food and beverage must be provided by Br is tol Harbour. Outside food and beverage is not permit ted any where on the premises . The only exception is made for l icensed wedding cake bakeries .

FOOD AND BE VER AGE MINIMUMS Please note that Br idal Sui te food and beverage, House-baked Wedding Cakes and Desser ts , and Farewell Brunch also apply toward your required Food and Beverage Minimum.

ENTERTAINMENT/DECOR ATIONS/DISPL AYSYou may arrange for your own enter tainment . Management reser ves the r ight to l imi t the volume of your enter tainment to acceptable levels and hours . Due to the Town of Canandaigua ordinance, al l musical enter tainment must end no later than 12 am in our Br is tol Room and 11 pm in our Seneca Ballroom. Any special requirements for receiv ing or set t ing up of displays , decorat ions , f loral arrangements , computers , e tc . , should be discussed wi th the Wedding Manager in advance .

No material or decorations may be at tached to wal ls , wood trim, or the cei l ings by nai ls , p ins , staples , tape or g lue . Confet t i , g l i t ter, b i rdseed , and fake f lower petals are not permit ted . Candle f loral arrangements must be approved in advance . I f us ing candles , the f lame must be contained . Fi reworks , sparklers , sky lanterns , or pyrotechnics of any kind are not permit ted on Bristo l Harbour proper ty.

All decor must be removed f rom the facil i t y wi thin 48 hours of the conclusion of your wedding . Any i tems le f t at the facil i t y more than 48 hours af ter the conclusion of your wedding wil l be discarded. Br is tol Harbour is not responsible for i tems that are discarded af ter 48 hours .

Indoor and outdoor l ight ing equipment must comply wi th the ci t y mandated guidelines and may not inter fere wi th the v iews or enjoyment of our hotel and res taurant guests . A ll indoor and outdoor l ight ing f i x tures must be approved by the Br is tol Harbour Team.

Rental tents , s truc tures , e tc . are only permit ted on the lower Seneca Ceremony L awn i f they are removed at the conclusion of the event , and placement is subjec t to pr ior approval by the Wedding Manager.

The removal deadline for al l o ther rental tents , s truc tures , e tc . is at the discret ion of the Wedding Manager based on other events scheduled the following day, and must be discussed and agreed upon wi th the Wedding Manager at leas t 2 1 days pr ior to the event . Failure to adhere to the agreed upon removal deadline wil l resul t in a fee of $ 1 ,000.

VENDOR POLICIES

Our Approved Vendors l ist (p . 51 - 53) is provided to assist you in select ing reputable vendors that we have worked with previously. O ther vendors may only be permitted on a case -by- case basis at the

discret ion of management; Bristo l Harbour reserves the right to deny the use of any vendor not on this l ist .

Please discuss your intended vendors with the Wedding Manager prior to making vendor deposits or reservations . You wi l l be responsible for providing an accurate l ist of al l vendors and contact

info to the Wedding Manager prior to your wedding date to assist in the day- of coordination of your event .

Please review the fo l lowing pol icies for vendors working at Bristo l Harbour. Upon making your f i rst deposit , you wi l l be asked to s ign & return the last page of this document acknowledging you have reviewed and

agree to our vendor pol icies .

GENER ALI f you receive approval f rom our Wedding Manager to use a vendor not included on our Approved Vendors l is t (p . 51 - 53), the vendor must :

Sign and re turn our Vendor Policies Form at leas t 2 1 days pr ior to work ing at Br is tol Harbour.

Vendors wil l not be permit ted to work at Br is tol Harbour unless the appropriate documentat ion is submit ted in advance .

LOAD IN/LOAD OUTVendors are responsible for br inging any thing needed for set up and/or removal of your equipment , including but not l imi ted to: s taf f , doll ies , car ts , ladders , screwdrivers , hammers , nails , screws, s taplers , scissors , tape, e tc . Any requirements for receiv ing displays , decorat ions , f loral arrangements , computers , e tc . , should be discussed wi th the Wedding Manager in advance . Br is tol Harbour is not responsible for providing any mater ials for set up, repair, or removal of vendor equipment . Br is tol Harbour is not permit ted to move equipment that is not ours .

Al l set up, clean up, and sound/equipment checks must be completed 30 minutes prior to the event start t ime.

ENTERTAINMENT/DECOR ATIONS/DISPL AYSManagement reser ves the r ight to l imi t the volume of enter tainment to acceptable levels and hours . Due to the Town of Canandaigua ordinance, al l musical enter tainment must end no later than 12 am in our Br is tol Room and 11 pm in our Seneca Ballroom.

No mater ial or decorat ions may be at tached to walls , wood tr im, ceil ings , or any other sur face by nails , pins , s taples , tape, glue, or any other adhesive , including but not l imi ted to Command S tr ips .

All decor must be removed f rom the facil i t y wi thin 48 hours of the conclusion of your wedding . Any i tems le f t at the facil i t y more than 48 hours af ter the conclusion of your wedding wil l be discarded. Br is tol Harbour is not responsible for i tems that are discarded af ter 48 hours .

Confet t i , gl i t ter, birdseed, and fake f lower petals are not permit ted .

FIRE SAFE T YCandle f loral arrangements must be approved in advance . I f using candles , the f lame must be contained . F ireworks , spark lers , sk y lanterns , or pyrotechnics of any k ind are not permit ted on Br is tol Harbour proper t y. I t is not permit ted to cover, remove, or other wise obscure any ex i t s igns , smoke detec tors , f ire alarm handles , f ire ex t inguishers , spr ink ler heads , or vents .

TE AR DOWNTear down is to begin at the conclusion of the event and must be completed in a t imely, quie t , and safe manner. Br is tol Harbour s taf f is not responsible for collec t ing, packaging, and/or facil i tat ing the removal or tear down of any vendor i tems .

The removal deadline for al l rental tents , s truc tures , e tc . is at the discret ion of the Wedding Manager based on other events scheduled the following day, and must be discussed and agreed upon wi th the Wedding Manager at leas t 2 1 days pr ior to your event .

The event space should be le f t in a neat and clean condi t ion, f ree of any equipment and/or garbage . There is a $250 f ine which wil l be collec ted f rom any vendor who leaves equipment and/or garbage at the facil i t y upon complet ing tear down, including excessive fal len f lower petals , e tc . Vendor is responsible for any damages incurred by the facil i t y direc t ly resul t ing f rom set up, use of , and/or removal of vendor equipment .

STOR AGEBris tol Harbour does not provide any s torage pr ior to or fol lowing an event . A l l equipment and elements for an event must be delivered and picked up on the day of your event .

RENTAL EQUIPMENTI f you are rent ing outside equipment and/or s truc tures , including but not l imi ted to tents , arbors , arches , furnishings , e tc . , f rom a vendor who is not on our Approved Vendor l is t , a copy of our Vendor Policy Form must be signed and submit ted to our Wedding Manager at leas t 2 1 days pr ior to your event .

Rental tents , s truc tures , e tc . are only permit ted on the lower Seneca Ceremony L awn i f they are removed at the conclusion of the event , and placement is subjec t to pr ior approval by the Wedding Manager.

The removal deadline for al l o ther rental tents , s truc tures , e tc . is at the discret ion of the Wedding Manager based on other events scheduled the following day, and must be discussed and agreed upon wi th the Wedding Manager at leas t 2 1 days pr ior to your event . Failure to adhere to the agreed upon removal deadline wil l resul t in a fee of $ 1 ,000.

AT TIRE & CONDUC TAll vendor s taf f must be dressed neat ly wi th ident i f icat ion badges and/or uni forms before , dur ing and af ter the event . Shir ts , shoes , and appropriate at t ire are required dur ing set up. Any change of clothing wil l take place in our res trooms .

Vendor appearance and behavior is an impor tant par t o f the overall event exper ience . A ll vendors work ing at Br is tol Harbour must conduc t themselves in the manner in which Br is tol Harbour deems appropriate . Please respec t the facil i t y, rules , and most impor tant ly our s taf f and guests . A ll vendors are asked to fol low any ins truc t ions given by our Management team before , dur ing, and af ter the event .

FOOD & BE VER AGEVendors are not permit ted to consume alcohol at the facil i t y before , dur ing, or af ter your event . Br is tol Harbour reser ves the r ight to remove f rom the premise any vendors who are found dr ink ing or appear intox icated .

Vendors who are provided meals must eat in the designated vendor break room in the basement or in Bernie ’s Cafe , at the discret ion of Br is tol Harbour Management . Vendors may not be seated at tables in the recept ion room or any other room in the facil i t y except the t wo designated areas mentioned above, unless the br ide and groom make advanced arrangements to have them seated in the recept ion room. Please check wi th the Wedding Manager as to where vendor meals wil l be ser ved .

No outside food or beverage is permit ted wi th the except ion of l icensed wedding cake baker ies .

SMOK INGBristol Harbour is proud to be a smoke -free facil i t y. Designated smoking areas are for guests only. S taf f and vendors are not permit ted to smoke any where on the proper t y. Failure to comply wil l resul t in a $250 f ine .

LIABILIT YBris tol Harbour is not responsible for any injur y, loss , or damage that may occur to the vendor, the vendor ’s employees , or proper t y, or to any other person, dur ing or subsequent to the per iod covered by the vendor contrac t provided said injur y, loss , or damage is not caused by the wil l ful negligence or wrongful ac t of an employee of Br is tol Harbour. Each vendor expressly releases Br is tol Harbour f rom such l iabil i t ies and agrees to indemnif y Br is tol Harbour agains t any and all c laims for such injur y, loss , or damage.

By s igning this form , I acknowledge that I have reviewed the Vendor Pol icies sect ion on pages 55 - 57 of the wedding packet and understand al l information contained within , and agree to adhere to

the pol icies explained on this form .
