menu selections for up to four guests approximately three months prior to the big day.

In order to make the most of your menu tasting experience, please review the following guidelines

before your tasting.

Complimentary Menu Tasting up to 4 guests based on a $15,000 Food and Beverage

Minimum. We are happy to accommodate additional guests with advance notice. Each

additional guest is $100 per person.

Sample two first course options, three entrée options and a slice of your wedding cake. Cocktail

hour selections are not available at tastings.

Wedding Policies

M E N U T A S T I N GIn order to make the most of your menu tasting experience, please review the following guidelines before your tasting. We are happyto accommodate additional guests with advance notice. Each additional guest is $100++ per person. Complimentary menu tastingup to four guests based on a $15,000 food and beverage minimum. Cocktail hour selections are not available at tastings. Tastingsmust be scheduled in advance with Catering department.

M E N U S E L E C T I O N SMenu selections and prices are subject to change based on product availability and market conditions. Menu selections should beconfirmed with your Catering Sales Manager at least four weeks in advance of your event to ensure availability of menu items. Yourcontracted food and beverage minimum must be met when planning your menu. For pre-selected choice-of entrée dinners, entréeselections must be noted on escort/place cards for ease of service.

G U E S T C O U N TFinal attendance guarantees and quantity guarantees for menu selections must be received no later than five (5) business days priorto the function date. Such will be considered a binding guarantee and is not subject to reduction. If no guarantee is received by thedeadline, the expected number on the banquet event order will be submitted as the guarantee. If attendance exceeds the guarantee,the actual attendance will be charged. Please keep in mind that a delay in service may result if additional meals are required. Allmenu changes submitted within 5 business days of the event may be subject to service fees. Menus are designed with specificminimum guest attendance requirements. A surcharge may apply should attendance fail to meet the minimum designatedguidelines as stated. As well, should a guarantee increase by more than 5% within 5 days of the function, a service charge will applybased on the guarantee.

F O O D & B E V E R A G E P O L I C I E SGrand Hyatt Nashville is the sole supplier of food and beverage. No food or beverage products can be brought into the hotel and/orconsumed in its public space. The hotel is responsible for the quality and freshness of the food served to its guests. Due to healthregulations, food may not be taken off the premises after it has been prepared and served to its guests. Any exceptions must beapproved by the Director of Catering and may include your wedding cake and kosher meals. The hotel reserves the right to chargefor any such food or beverage brought into the Hotel.

S E R V I C E C H A R G E & S A L E S T A XFood, Beverage, Room Rental, and Rental Items are subject to current service charge & sales tax in effect the date of the event(currently 25% service charge and 9.5% sales tax). Service charge is a taxable item under current regulations. In the event that anorganization is tax exempt, state law requires a copy of the organization’s Federal Tax-Exempt Certificate to be on file with the hotelprior to the event. P A Y M E N T S & D E P O S I T SFull pre-payment must be received in accordance with the deposit schedule outlined in your agreement. An initial non-refundabledeposit of 25% of your combined banquet food, beverage and room rental plus taxes and service charge is required to confirm yourdate, along with a signed contract.

W E D D I N G P L A N N E RWhile our experienced Catering Sales Managers are experts in planning every aspect of your food & beverage, room arrangementsand hotel details, Grand Hyatt Nashville requires a professional wedding planner to oversee all of the details of your wedding. Youmay select from the list of trusted professionals noted within our recommended vendor list or you may select a professional vendoroutside of the list. In the event that you have not hired a wedding coordinator to assist you 30 days prior to your wedding date, yourcatering manager will assist you in securing a coordinator and payment for wedding planning services will be added to your finaldeposit.

L I Q U O R L A W & R E G U L A T I O N S The Tennessee Alcoholic Beverage Commission regulates the sale, service and consumption of alcoholic beverages. All alcoholicbeverages must be purchased through the hotel and must be served on hotel premises, by hotel staff, in accordance with these rules.Alcoholic beverages cannot be removed from the property. Any exceptions must be approved by the Director of Catering. Anyoutside alcohol brought to the event is subject to a corkage fee. A 15% Tennessee State Beverage Tax will be added on liquors andwines selected.

Wedding PoliciesL A B O RA labor fee of $150 will be assessed per meal function when guarantees are fewer than 20 guests. For each chef attendant required, a$150 fee will be assessed for a two-hour period per 75 guests. A bartender fee of $150 will be applied to all bars, with one bartenderper 70 guests.

V E N D O R S & L O A D - I N / O U TUse of outside vendors must be reviewed and approved by the hotel. Please review important requirements before selecting yourvendors. All vendors including florists, decorators, audio visual companies and/or entertainers are required to provide a currentcertificate of insurance (COI). Exact insurance coverage requirements are based on scope of work. In addition, a hold harmlessagreement must be signed and on file absolving Grand Hyatt Nashville from any claims resulting from equipment used or laborprovided by the outside vendor. We require the above no later than 2 weeks prior to your event. All vendors should be instructed tocontact the Catering Sales Manager at least two weeks in advance to review details and to gain necessary approvals for decorations.Vendors must comply to hotel specified procedures and conduct guidelines. Move-In/Out times must be scheduled in advance withthe Catering Sales Manager. All move-in/out must occur through our loading dock area. All vendors are responsible for removing allof their items promptly at the conclusion of the event and are responsible for removing their own trash. The hotel cannot beresponsible for items left behind or for storage. Please refer to Entertainment and Décor section for additional information.

E N T E R T A I N M E N T & D É C O R All decorations must be approved by the hotel through your Catering Sales Manager. Outside vendors not pre-approved by the hotelare not permitted. Functions may be enhanced with décor such as flowers, music, specialty linens, etc. A range of recommendedresources for these services is available. Under no circumstances can anything be nailed, screwed or otherwise affixed to the walls,ceilings or fixtures of the hotel. Rice, bird seed, red rose petals, sparklers, confetti and glitter are not permitted. Please refer to safetyinstructions regarding use of candles. The hotel staff cannot be responsible for assembly or placement of floral arrangements, favorsor décor. Please note that a clean up fee of $250 or more may be assessed for any decorations which require additional labor to cleanafter the event. All deliveries must be coordinated through the Catering department. For your convenience, an in-house audio visualdepartment is fully equipped to supply all your audio visual needs with state-of-the-art equipment.

S I G N A G EThe hotel reserves the right to approve all signage and placement. Signage must be professionally printed. Signage is not allowed onthe guest room floors, in elevators, public areas or building exteriors. All signage must be free standing or placed on an easel. Thehotel will assist in placing all pre-approved signage and banners. Depending on labor and equipment involved, a charge for theseservices may apply.

F U N C T I O N S P A C E & O U T D O O R F U N C T I O N S Function facilities are assigned by the hotel according to the guaranteed guest attendance. Room rental fees are applicable ifattendance and respective revenues are below the hotel’s established minimums. Additional fees will apply for ceremonies, addedspaces, and events with special set-up requirements. The hotel reserves the right to determine the utilization of appropriate indoorfacilities in case of inclement weather on the day of the event. Outdoor entertainment must be pre-approved. Please be advised thatthe hotel require maintenance of appropriate audio volume levels in all function rooms.

S E C U R I T Y & D A M A G E SThe Grand Hyatt Nashville Hotel does not assume responsibility for the damage or loss of any property brought into the hotel or leftin the hotel, prior to, during or following an event. It is the patrons’ responsibility to arrange for collection of all personal items andgifts. Catering clients are responsible for all damages which occur on the premises during the period of time the function’s guests,employees, independent contractors or other agents are onsite. To comply with fire safety regulations, no open flames are allowed.Candles enclosed in votive containers are permitted. Any potentially flammable items used for the event will require approval andmay require additional licenses and permits from the city. Pyrotechnics and any devices which interfere with life safety systems arestrictly prohibited. Under no circumstances can fire exits be blocked in any area of the hotel. All diagrams will require approval fromthe hotel and are subject to hotel and city fire and safety specifications.

P A R K I N G & V A L E TValet parking is available for wedding guests at a charge of $20 per vehicle. Overnight hotel guests utilizing valet will be charged standard overnight valet rates.
