CONGRATULATIONS!
Congratulations on your engagement, and thank you for considering Lake Macquarie Yacht Club as
the venue for your Wedding! Our stunning waterfront function rooms can cater for many different
style Wedding Receptions ranging from 30 to 160 guests.
To book your Wedding please follow the steps below:
Step 1. Choose your function room. Take a tour of our function rooms on our website or make an
appointment with our Functions Manager for an inspection at the club Tuesday to Saturday.
Step 2. Lock in your desired date. Enquire with our Function Manager about the date(s) you wish to
book your Wedding. Enquiries can be held for no longer than 14 days without a deposit. A deposit
and completed booking form with terms and conditions is required to secure your date.
Step 3. Inviting guests. Please ensure that you inform your guests of the entry requirements to
Lake Macquarie Yacht Club. Please note the minimum and maximum capacity of your area.
Step 4. Order catering and bar requirements. Our on-site caterers Crusoe’s on the Lake provide
delicious options from cocktail style to a formal seated meal. Catering choices are due 21 days before
your function. LMYC bar offers bar packages to suit every budget and friendly service with a smile.
Step 5. Decorating. The professional decorator team from Newcastle Wedding and Events are
contracted to decorate Weddings at our venue, however you may hire your own decorator or gain
some inspiration from our list of recommended vendors.
Step 6. Finalise. Final details including room layout, catering and bar are due 14 days before the
event. Total payments are also due no later than 14 days before your event.
Step 7: Get Married! Our Functions Manager will be there with you on the day with a specialised
run-sheet of events to ensure the smooth execution of your Wedding.

ON-SITE CEREMONIES
Weddings at LMYC have an option of a waterfront outdoor ceremony for up to 80 guests.
A fee applies for the area including 30 chairs, signing table, signing chairs and linen tablecloth.

Please note the following sailing activities that take place in the area around the Marquee and Ceremony Deck:

- Saturdays April-October 1:30pm –4:30pm ‘windwarriors’ model boats club behind the marquee
- Thursdays September-March 4:30pm-7:30pm ‘windwarriors’ model boats club behind the marquee
- Fridays during daylight-savings Tender boat operation near Marquee 5:00pm-6:00pm
The closing of evening Weddings during summer is anytime after 11pm. The function organiser will be
informed of the closing time by the bar manager working on shift during the event.

DECORATING
DECORATIONS PACKAGES— Newcastle Wedding and Events
The decorations outlined in each Wedding Package can be tailored to your requirements or
upgraded in certain packages. Tracey Irving creative director of Newcastle Wedding and Events will
arrange to meet with you and discuss your options. Head to their website for examples and ideas
www.newcastleweddingandevents.com. Pricing is subject to change more than 12 months in advance.
Please note:
Minimum charge for Newcastle Wedding and Events is 60 persons for sit down packages and 70 for
cocktail. You are required to pay a $150 refundable deposit to Newcastle Wedding and Events , this
will come off the total bill if there are no damages or stolen items.
Significant damage or stolen items may result in further fees.
THE BRIDAL BLANK CANVAS
Newcastle Wedding and Events can decorate your reception space in beautiful white bridal style
without table runners or centrepieces, this gives you the option of sourcing your own centrepieces
or featuring fresh flowers on the tables
BRIDAL BLANK CANVAS INCLUDES: White linen tablecloths, Linen napkins (optional extra cost),
Full bridal backdrop & fairy lights, wrought iron signage stand with frames.

USING ANOTHER DECORATING COMPANY
You are more than welcome to hire your own decorator for your wedding, please speak to the
functions manager as soon as it is confirmed as they will need to complete and sign a contract.
D.I.Y DECORATING
“Do-it-yourself” decorating is accepted and must be very well organised. The functions manager is
able to help suggest suppliers and strategies for self-decorating but is not to be responsible for the
decorating of the wedding on the day. You must provide your own helpers for D.I.Y decorating.
Our contracted decorator OUSHA Events provides several options to make the room look beautiful

LINEN HIRE A standard napkin is included if you require linen napkins there is a cost of $1 each
Tablecloths = $13 each HEX for round tables or rectangle for trestles
MUSIC AND ENTERTAINMENT
It is the responsibility to provide a method of playing music or entertainment for your wedding. You
are welcome to provide your own speakers.

Social Membership at Lake Macquarie Yacht Club allows
you to sign in your guests that live within the 5km radius
and are not members of our affiliated club Belmont 16s. If
membership is not provided and you have guests within
the area, they will either be asked to join and pay for their
own membership to gain entry the Club.
Benefits of becoming a social member of LMYC include 5%
discount at the bar and restaurant (excluding function
catering) and access to our email newsletter for updates
on upcoming events.

Important Club Entry Rules
All visitors and guests over the age of 18 must
legally provide photo ID with proof of address.
Failure to provide ID will result in the patron being
asked to leave the premises. They may return with
their ID to gain entry

All visitors must enter the club via the main front
doors and sign in at reception, a member is not to
lead a non-member through either side gate to
gain access to the club
Members of LMYC affiliated club Belmont 16’s are
able to sign themselves in however, their
membership cannot be used to sign in other guests
Strict dress code rules apply at LMYC
No singlets for men inside the club at any time
No hats for men inside the club
No thongs for men or women after 8:00pm
No gang colours
No offensive clothing
No dirty workwear
Uncovered swimwear is not acceptable inside
LMYC practices responsible service of alcohol. If an
individual or group of function guests are identified
at being intoxicated, aggressive or violating the
RSA code in any other way, LMYC staff reserve the
right to refuse entry
TERMS & CONDITIONS
Booking Confirmation: A deposit of $100 minimum and completed booking form is due 14 days from initial enquiry. Management of
LMYC reserves the right to cancel the booking and allocate the space to another client without confirmation.
Detail confirmation: It is expected that the organisers of the Wedding are in touch with the Functions Manager within at least 1
month of event to confirm the broader details of the event.
Room hire payment: Full room hire is payable 30 days before your event. Including all areas required and ceremony space.
Final Confirmation: confirmation of final numbers, catering, room set up and final payments are due no later than 14 days before
your function. The function may be cancelled if no payments are made by the deadline outlined by the functions manager.
Membership & Guest Sign In: If any guests reside within the 5km radius of the Club the function holder must join as a member if not
joined already. All function guests over the age of 18 must provide photo ID, without it they may be refused entry.
Children & Guests under 18: Guests under 18 are welcome and in accordance with the Registered Clubs Act must be in the presence
of a responsible adult at all times. Minors are not permitted in the bar or gaming area. Small children must be supervised by the water.
Food and Beverage: No external food or beverage items may be brought into the club without the expressed permission of the
functions manager. To bring in a self serve celebratory cake you must provide your own knife, plates and napkins unless having it
served by our caterers.
Menu changes: Our functions menu is subject to change seasonally. You are more than welcome to request a dish from a past menu
which will be approved or denied at the discretion of the head chef.
Decorations: All decorations must be approved by the functions manager. NO SPRINKLES, FAUX PETALS OR GLITTER ARE ALLOWED.

Responsible Service of Alcohol: LMYC endeavours to provide its members and guests with superior customer service. It is important
to LMYC that your function receives quality service that abides by liquor sale legislation. By law any person under the age of 18 may not
consumer or purchase an alcoholic beverage. LMYC staff have the right to refuse alcohol service to any patron that has been identified
as being intoxicated, aggressive or argumentative.
No Smoking: Smoking is not permitted in the clubhouse or any of the function areas. If you have guests in your function looking for
an area to smoke please speak with the bar manager or supervisor who will instruct you on the legal areas to smoke.
Surcharges: A surcharge applies for public holiday functions. Contact the functions manager for more information. 1% surcharge
applies for all credit card payment
Price Guarantee: Wedding bookings made with 12 months or less notice are guaranteed the packaged price per head and room hire
price provided to them at the time of booking. All other pricing including catering outside of packages, beverage prices and decorations
is subject to change. Weddings booked more than 12 months in advance may be subject to increases in package pricing.
Permissions: LMYC may take photographs or record portions of your event to use for promotional purposes, please sign below to
allow permission for this activity.
Wet Weather: Ceremonies are planned for outdoors and in the event of rain the functions manager will organise to the best of their
ability a contingency plan indoors. Ceremony fees will cannot be refunded if rain occurs on the day.
Cancellation policy: Cancellations must be notified in writing to the functions manager and will incur the following fees:
Notice of cancellation in less than 30 DAYS—No refund on room hire as a result of costs incurred by the venue and loss of business
Notice of 14 days or less—You will be liable for 50% of the projected final function account
Notice of 7 days or less—You will be liable for 100% of the projected final function account
Entertainment Terms and Conditions:
No drums are allowed at Lake Macquarie Yacht Club (LMYC). All music/ loud noise must cease at 11pm.
Booking entertainment is the responsibility of the client and LMYC will not be held responsible for payment or bad performance.
LMYC staff have the right to lower the volume or stop music if needed. Failure to comply may result in the event being cancelled.
Please note that LMYC Holds live entertainment Fridays 6:30-9:30 (during warmer months) and Sundays 1:30-5:00 on the deck or in the
auditorium. During these times, function clients in the Bayview area are not permitted to provide their own live acts.
