Finance/Payroll and HR Assistant (22.5 hours p.w. – Term time plus 2 weeks) Main Purpose of Role Provide effective Finance, Payroll and HR support across the Trust, acting as a central point of contact for schools and the Senior Leadership Team for Finance, Payroll and HR Administrative related matters. Assist school offices and the Central team in providing a range of Finance, Payroll and HR information as required. Maintain central records ensuring systems are up to date and accurate at all times. Support the Executive Support Officer in delivering Trust wide Finance and HR services and assist with audits as required. Work as part of the Finance, Payroll and HR team of the Trust in supporting payroll and finance functions. Main Responsibilities Undertake day to day Finance and Payroll Admin functions, supporting other teams as necessary. Update and maintain finance reports, systems and records and support the month end process. Maintain central HR records including training, and support the completion of skills and other audits as required, ensuring that returns are completed as necessary within given deadlines such as TPS audit. Maintain a Central Staff List, ensuring contractual changes are accurately recorded and communicated as required. Support other team members in updating and maintaining the single central register. Monitor and report upon school monthly HR and Finance submissions. Support the Academy Trust in providing appropriate records for meetings and audits, such as Strategy Board Meeting. Liaise with external HR contractors and service providers and co-ordinate wellbeing services for staff. Finance

Under the supervision of the CFO and with direction, the post holder will be required to: Enter data into financial system (PSF), including general ledger, debtors,

purchasing and creditors. (Examples include journal transfers, raising and processing invoices).

Raise weekly payment runs from the finance system. Ad hoc enquiries on the finance systems to support team members,

service department clients and suppliers. Assisting the CFO in month end management accounts reporting Assisting the CFO with preparing and revising Budgets for allocated

schools; update and maintain records on BPS Orovia.

Running monthly monitoring for allocated schools and reporting to Head teachers accordingly.

Undertake routine office duties such as photocopying, mail delivery, telephone queries, filing, archiving and assisting finance colleagues.

Payroll Liaise with Payroll providers on all payroll related matters, under the

supervision of CFO Liaise with Teachers Pension Service (TPS) and Local Government Pension

Scheme (LGPS) - to communicate important information / changes to staff and ensure timely submission of appropriate documentation / reports, under the supervision of CFO

Check and submit relevant claims to Payroll Provider for absence, overtime, extra hours, supply, changes to contracted hours / pay, for approval of the CFO

Check trial payslips – providing amendment / validation for authorisation of payroll

Upload Payroll Summary Reports into budget and accounting systems (BPS Orovia and PS Financials). For Payroll Journal – making required adjustments for central / shared staff prior to import

Monthly reconciliation of actual payroll against current staffing budget Maintain accurate records in relation to any Salary Sacrifice arrangements Maintain appropriate templates for the collation of Appraisal outcomes and

ensure timely submission (after moderation) of information to Payroll provider

Review and ensure accuracy of monthly payroll reports liaising with contractors as required.

Essential Desirable

Qualifications - Finance qualification or qualified by experience.

- Willingness to undertake further training

- Payroll/HR qualification

Skills and Abilities

- Experience of working in school Finance/HR/Payroll role

- Computer literate - Experience in using

Microsoft Applications (Excel, Word & Outlook).

- Good communication skills- Self-starter with excellent

time and task management skills.

- Ability to meet strict deadlines.

- Ability to handle

- Organisational Abilities- Any previous experience

of Finance/Payroll software (PSF/BPS/SIMs)

- Good interpersonal skills
