This has to be seen in our day to day activities as it reflects on everything we do and in the long run lead to achieving our goals both on individual levels and as an organisation. Being organised is all about making decisions. For example, if a piece of paper crosses your desk, do you pick it up, wonder what you want to do with it and put it back again? The best approach to this should be for you to decide what you want to do with it, schedule time and then do it! Either place it in a marked file or bin it. The same applies to emails. Get into the habit of keeping your emails organised. Deal with anything urgent immediately and create folders for important emails that you will need to come back to. You can even use the colour-coded flags so you will not forget to follow them up. A few months ago, we all took part in the Pride & Care competition where the staff who showed pride and care in their daily routine were rewarded. One category on the competition was how organised and clean your work environment was. More important than the reward, this was to serve as a lesson on being organised. Super achievers are called that for one simple reason, they get things done and usually those super achievers are super organsied! In an organised manner, you will realise that a lot more gets done, effortlessly and on time. So go forth and be super organised! How many of us underestimate the

importance of being organized? We literally spend hours each day looking for something already in our possession. WHY? Because we are disorganized and we haven’t taken the time to put things in its proper place, hmmm!

Well dear colleague, time is money! Did you know that being organized can not only save you money

and time, but it can also alleviate stress?

How many times have we run late to work or a meeting or anywhere for that matter, because you were looking for something? How many times have you purchased the same thing more than once, because you weren’t organized enough to know you already had it!

This month’s edition of Redefi ning Business is packed with some simple tips of how to get organized – tips that will not only save you time and money and help alleviate stress; but will also help you to form positive habits at work as well as at home.

It has been a fairly busy month at Pwani so the ‘The News’ section is fi lled with reports on various activities that have taken place here this month. Special thanks to the new additions to the Wordsmiths team at Jomvu for their contributions. With their help we have managed to incorporate some articles in Kiswahili much to the request of some of our readers. Na shukuru sana! We are also running a competition for a quiz which you will fi nd on the last page.

I would like to leave you with some food for thought as I go back to the theme of the newsletter. Did you know that on average, most people waste up to two years of their lives searching for things they’ve misplaced? Don’t let this happen to you! Usikubali hii itendeke kwako! Reclaim those two years and start being organized.

Eight Tips to Help You Get Organized at Work

1. WHAT’S IMPORTANT? Focus on your long-term goals and change them if necessary. Set mini goals and make those a priority to meet your Bigger Goals.

2. PREPARE A TASK LISTMake daily, weekly and monthly to-do lists of important tasks. Review your daily priorities at the beginning of each day.

3. TIME MANAGEMENTDo the hardest things fi rst - usually you will fi nd your energy is higher and when you put them off procrastination will set in. Keep a notebook in your car, purse or briefcase to plan your day’s activities especially if you commute. This will give you time to think.

4. INVEST IN A CALENDARS OR DAILY PLANNERBalance your work activities with your personal and family activities to avoid confl icts. Pencil things in on your calendar/ planner, if they aren’t set in stone yet.

5. DELEGATE TASKSAssign tasks to others if it’s not your area of expertise. Give them a chance to shine.

6. MANAGE YOUR MAIL AND PHONE CALLSSort mail in the morning divide into categories of importance. Check voice mail 2-3 times a day morning, lunch and before you leave for the evening, identify level of importance.

7. REDUCE CLUTTERKeep your workspace clean, only the most important items and information you need on a daily basis should be on top of your desk.

8. STAY ORGANIZEDOrganize fi les by priority. Spend time at the end of each day clearing yourdesk and time the next morning planning your day’s activities.

Take the time and implement these tips. You will fi nd that you not only have more time during the day because you are more organized, but you will feel better because you have a clear direction of where you are going. Not allowing yourself to become side tracked will give you more time to use to your best benefi t as you determine, not having the situations and circumstances dictate what you should do next. The adage, “Time is Money” is true and wouldn’t you feel better having more of both to spend?

Success is a result of long-term planning and daily action. Good organization helps you gain control of your time so you can plan and complete the tasks needed to achieve your goals. Here are eight

HOUSE KEEPING, key to mindset change

The basic concept of housekeeping started from keeping a domestic

house clean and gradually extended to maintaining high standards of cleanliness and maintenance at commercial levels. It included maintaining a house on a daily or long term basis or looking after its cleanliness, tidiness, upkeep and smooth running. In today’s industry, good housekeeping contributes to saving in costs of labour, cleaning material and equipment, furnishings and the like in every type of establishment.

What is the importance of workplace Housekeeping?Effective housekeeping can eliminate some workplace hazards

and help get a job done safely and properly. Poor housekeeping can frequently contribute to accidents by hiding hazards that cause injuries. If the sight of paper, debris, clutter and spills on the fl oor are accepted as normal, then other more serious health and safety hazards may be taken for granted.

Housekeeping is an important aspect in 5S or 5K as it is in Kiswahili – Sort (Kuchagua), Set in order (Kupanga), Shine (Kusafi sha), Standardize (Kudumisha), Sustain (Kufundisha). The 3rd ‘S’ (Shine) involves a lot of cleaning work. During this step, all hidden hazards and damages in machines are seen and can be corrected.

Effective housekeeping is an ongoing operation: it is not a hit-and-miss cleanup done occasionally. Periodic “panic” cleanups when we expect a visit by the directors or CEO are costly and ineffective in reducing accidents.

Let us begin to change our mindset and work together with Wanyoni and his team to clean up after our own mess!

At Pwani, some very good examples of high standards of housekeeping are Bhupesh Vasveliya’s work area and offi ce at our Kikambala factory as well as the perfector area in Jomvu. All are highly encouraged to visit these areas and emulate their style.

What is ARCHIVING? In laymans terms, archiving would mean storage of

documents. In the current world, proper storage of documents is very essential for future reference and easy retrieval when required with a minimum timeframe. Storage can be in many ways….dumping documents in a box can also be storage and orderly fi ling in a fi le which is properly labeled and stacked on a shelf is another more civilized way of archiving hard copy documents.

A R C H I V I N G

Proper fi ling of current documents and subsequent archiving of the older documents plays a very important role in an organization’s success or failure.

Our fi rst temporary archiving facility was at Kikambala in a commercial container…a very economical way of creating a space for storing. We now have a permanent facility at Kikambala. It is a solid building with two sections.The old archives were shifted from the Containers to the Solid store in April 2012.

The Team led by Aarti Malde that is involved in Archiving includes Betty Atieno, Ann, Hussein, Rakam Kamar and Vishal Shah. In the future, representatives from other

departments will be part of the archiving team as we develop and organize the Pwani archive.

Kudos!!.....Heartiest Congratulations to Chairman Mr Rameshchandra Malde who was honored on Friday 20th April 2012, the title of honorary patron for his selfl ess and dedicated services to Pandya Memorial Hospital over the past years

Just imagine, having Chapatti straight from the frying pan! Allow me to slip into a little nostalgia:

As a boy growing up in the village, my encounter with Chapatti came as often or as rare as Christmas did. Well, details of the encounters are a story for another day.

Saturday 12th May 2012 marked a special day for the ‘Chapatti Lovers” at Pwani. This was the day when Pwani teams represented from all the three locations – HO, Jomvu and Kikambala – gathered to not only learn but also to partake in making ‘World-class Chapattis’ made using Fry Mate by a reknown chef from our Jomvu Kitchen, Mr. Gadson Ojiambo. What a fun filled afternoon we had! Indeed, words cannot vividly express the manifestation of joy on the faces of the attendees – the photos tell it all….

The Marketing team which organized the event gave a hint that we should watch out for the next ‘specialty meal’ sponsored by one of our brands, it could be held at a venue near you – be on the lookout. Kosa uchekwe!

After DIVA was launched in October last year, we had a series of activations in Bondeni.

We could not achieve much on sell out from these outlets hence the idea of market seeding came up to ensure availability and visibility.

We requested for funding to gauge the universe, placement of hero brands with focus on DIVA and creating visibility by affixing POS materials.Talanta Kenya was identified to execute the activity with a team of 10 champions for 25days. The team was trained and briefed on product knowledge amongst other things. We rolled out on 8th of May. The target is to see close to 11,000 cartons within 25 days.

Activity is aimed at visiting minimum of 10000 outlets in Mombasa.

Pwani has embarked

on an initiative to infl uence the staff on the need to use re-useable bags. This would be at grocery stores, at the market, supermarkets, shops – anywhere

where there is a need to bag and carry items in a re-usable, eco-friendly bag, as opposed to disposable plastic bags. We have introduced a simple, lightweight, easy to carry, canvas tote bag for this purpose.

The bags are made of Mardufu with a lesso panel to give it a coastal, ‘Pwani life!’ feel. They are light and compact, fi tting into any handbag or pocket; and are incredibly strong, easily carrying up to 5kg’s. They are longlasting and washable thereby eliminating many hundreds of plastic bags in their life cycle, and looking good at the same time. These bags are handy as children’s library book bags too, so they are perfect for your friends and family.

Each year, an estimated 500 billion to 1 trillion plastic bags are consumed worldwide. Hundreds of thousands of sea turtles, whales and other marine mammals die every year from eating discarded plastic bags mistaken for food. On land, many cows, goats and other animals suffer a similar fate to marine life when they accidentally ingest plastic bags while foraging for food. Plastic bags don’t biodegrade, they photodegrade breaking down into smaller and smaller toxic bits contaminating soil and waterways. Each reusable bag you use has the potential to eliminate an average of 1,000 plastic bags over its lifetime.

In Kenya some 300 million bags are handed out each year, with the Country’s polythene bag production at about 4000 tonnes a month. Not all rubbish in Kenya is collected so it ends up being burned. Burning plastic is dangerous as it releases toxic dioxins which can cause cancer and disrupt hormones.

An Organised Kitchen There are many benefi ts you can get if you are

going to organize kitchen cupboards. It saves time while cooking to be able to reach for an ingredient, and know right where it is. An orderly kitchen cupboard is also easy to restock and to clean.

Below are some steps to help you organise your kitchen:1. Set up an area next to the kitchen to use as your work space. The dining room table is usually a good spot. Remove all dishes from the cupboards, and stack on table according to size.Take out all the cans, boxed food, spices, such as salt and pepper, and garlic, and other goods from the cupboards.

2. Sort through the cans, boxed goods and spices and toss anything that is expired, damaged, or will never be used. Pour baking supplies into separate, sealed containers for storage. These items include bulk fl our, sugar and salt. Sealed containers will keep bugs and other pests out of the supplies and keep them fresh.

3. Wipe down the inside of the cupboards with a damp cloth and mild soap. Dry with another cloth. Add shelf liners to make cleaning the shelves easier in the future.

4. Store kitchen cleaning supplies, like dish soap and garbage bags, under the sink. Lock this cupboard if there are small children or pets in the house. Cupboards below the counter are perfect for storing baking sheets, muffi n tins, mixing bowls, and pots and pans. Other cupboards below the counter can be used for small kitchen appliances, like juicers and blenders, which are not displayed on the countertop. Place all canned and boxed goods together, organizing them by rows. Rotate the oldest food to the front to be used fi rst.

5. Continue to maintain the kitchen.

Ingredients4 hot dog rolls1 cup boiled vegetables (Kenyon Mixed Vegetables)½ cup corn off the cob (Kenyon Corn off the Cob)I green chilli choppedI tsp FRYMATESalt and crushed pepperFor the White Sauce2 tsp plain fl ourI cup milk1 tsp FRYMATE

For the topping 2 tsp grated cheeseMethod for the white sauce1. Melt the FRYMATE, add the fl our and

cook on a slow fl ame, while stirring continuously till it turns golden brown.

2. Add the milk gradually while stirring continuously, so that no lumps form and

bring it to a boil. 3. Add salt and mix well. Remove from the

fi re and keep aside.

How to proceed1. Slit each roll horizontally. 2. Spread FRYMATE lightly and grill in a pre-heated oven for about 5 minutes.

Keep aside. 3. Mix the boiled vegetables, corn, white

sauce, green chilli, salt and pepper and stuff each roll with a little of the mixture.

4. Sprinkle the grated cheese and grill in a hot oven at 200 degrees C for 8-10 minutes.
