General Overview The Streamline E-Commerce module is a powerful and robust application that seamlessly delivers data between Visual Streamline and the Visual Streamline client’s website. It is available as a separate module that will bring many added benefits to the existing Streamline application. Streamline E-Commerce is explained in detail in the White Paper for Streamline E-Commerce. This white paper is intended to address the means and methods of administering the E-Commerce Product Categorization module. NOTE: This functionality is only available if the E-Commerce sub-module CAT (Product Categorization) has been purchased and activated. The Streamline E-commerce product categorization module will allow unlimited product categories and relationships to be created for the e-commerce platform, creating a more cosmetically appealing and user-friendly shopping experience for the web users. Categorization is accomplished through the creation of categories and the creation of a hierarchy of category relationships which will allow the web user to drill into successive sub-levels of categories until presented with a manageable list of products from which to order. It is important to note that categories are only linked to products… not to web users. Web users will only see categories that are linked to products to which they have been granted access. New to Visual Streamline Releases 10.1.1.0000, and higher, is the ability to toggle the Categorization module between 3 distinct modes: Disabled company-wide; Enabled company-wide; Enabled, but web user specific. There is a program for toggling the mode that can be launched from the Streamline Web User Browse screen with Ctrl-F12, however, it is linked to the Streamline developer right and, as such, is not available to typical Streamline users. With this new capability of enabling/disabling categorization at the user level from within Streamline, the ability to enable/disable categorization via the BrowseBy Category or Product dropdown in E-Commerce has become unnecessary and has been removed.

Setup in Visual Streamline ................................................... E-Commerce Categories Overview Clicking on the Categories Maintenance option from the menu will launch the program from which these E-Commerce categories can be created and/or modified. Originally, this menu option was only available from the Streamline E-Commerce > Master Files… menu and, as such, was only accessible to users with user right RTWS (Right to Streamline E-Commerce). But, when this menu option was moved to Inventory > Inventory Master Files… menu, it became necessary to assign an unique user right to Categories Maintenance. Users require user right RTECATEG (Right to E-Commerce Categorization) in order to maintain categories and/or category relationships. Initially this program will display (as shown in the screenshot on the right), in Category Code sequence, a table of all Categories currently on file. Upon the initial set up no relationships or product lists are created. Both of these functions are described later in this document. There are some important things that must be understood about categories: there is no limit to the number of categories or the depth to which categories can be nested; categories must be identified as one of the following three possible types:

 Master Index, of which there can only be one and which is, by default, the top of the hierarchy; Parent Category, which will have at least one category above it in the hierarchy and can only have other

categories (not products) as its children;  Final Category, will represent the final category in a hierarchy and can only have products as its children;

Since relationships cannot be maintained while maintaining categories, and categories cannot be maintained while maintaining relationships, it is crucial that you have a plan before you start. For purposes of this document, we are going to be setting up a category hierarchy for Television and Home Theatre Systems, which will include Blu-ray, DVD Players, Video Recorders, Digital Satellite, Digital Cable, IPTV, Home Audio & Speaker Systems, Home Theatre Accessories, Media Streaming, Projectors & Accessories, Stands & Mounts and Televisions.

Setup in Visual Streamline ................................................... E-Commerce Categories Maintenance (Modify, New or Delete) To create or modify a Category record, click on the New or Modify button from the screenshot shown on the previous page. The system will then display a screen, similar to the one shown in the screenshot below, which will enable you to enter or edit information for your Category record. The category shown here has been identified as the Master Index. The information required in a Category record is as follows: Category Code: This field uniquely identifies

the category. Type: This field contains the category type:

Master; Parent; or Final (as defined on previous page).

Numerical Sort Index: The presence of a value in this field will over-ride the default alphabetic sort by category code.

Children per Page: This field is not used by any Streamline E-Commerce build of 3.0 or higher, and has even been suppressed from this screen in Visual Streamline version 10.2.3.000. NOTE: For sites that still need to maintain the Children per Page field, the Import functionality (see page 5) will still import to this field.

Effective Dates: These fields allows for seasonal categories to be identified and only displayed in E-Commerce when appropriate.

Category Description: This field contains a description of the category. This is the key description that will appear in E-Commerce and will serve as the web user’s means of drilling to the desired products. This field will accept HTML enabled text or regular text (for some examples of HTML enabled text, see the HTML Text Formatting section of this document).

Image File: This field contains the name and location of the image file that represents the category. This is the image that will appear in E-Commerce. Any image will work… The ideal size is 320 X 300 pixels, and images of proportions similar to that work best.

Category Narrative: This field contains a lengthy narrative of the category. This will appear when this category is the currently selected category on the Products page in E-Commerce. This field will accept HTML enabled text or regular text (for some examples of HTML enabled text, see the HTML Text Formatting section of this document). NOTE: The Category Narrative in the screenshot above contains some HTML enabled text. The resultant display can be seen in the screenshot on page 8 of this document.

To delete a Category record, click on the Delete button from the screenshot shown on the previous page. If the category is in the category relations tree or has been removed from the tree but still has products linked, then the Delete button will be disabled.

Setup in Visual Streamline ................................................... E-Commerce Categories New Features Several new features have been added to the Categories Maintenance program in versions 10.1 forward: the ability to create and modify categories via Import.

The creation and maintenance of many categories is more easily done in an Excel spreadsheet, after which a .txt file can be created that can easily be imported into Streamline via the new Import button on the E-Commerce Categories browse screen (see pages 5-7).

 the ability to manually publish category updates to the web; Even though a number of enhancements have been made on both the E-Commerce portal and the backend SQL logic to help with performance when product categories are configured with the categorization module, dynamic publishing to E-Commerce was hindering E-Commerce Category maintenance functions. For this reason it was necessary to remove the backend triggers that dynamically publish categories to E-Commerce in order to optimize the Category Maintenance routine for speed. With the removal of the backend triggers, it was necessary to provide a means of allowing the user to manually publish categories to E-commerce via the Publish to E-Comm button on the E-Commerce Categories browse screen (see page 8).

 the ability to view Product lists; In addition to being able to view products that are linked to a final category via the View Links on the E-Commerce Categories browse screen (page 9), there is a warning when the category, on which the user is currently parked, contains products yet is unrelated to any other categories.

These new features will be explained more fully in the pages that follow.

Setup in Visual Streamline ................................................... E-Commerce Categories Importing Categories The ability to create and modify categories via import was written so that global maintenance can be performed in an Excel spreadsheet, then imported into Streamline. Shown below is a spreadsheet containing data for the creation/maintenance of categories for an E-Commerce site that sells the various types and sizes of televisions. This spreadsheet will be used to create the actual .txt file that will be used by the import function.

The following pages will show the steps required to import the categories identified in the spreadsheet above.

September 2018 Page: 6 TECSYS Visual Streamline White Paper Series

Setup in Visual Streamline ................................................... E-Commerce Categories Importing Categories…continued The Import button from the E-Commerce Categories browse screen (on the right) will launch the Import Web Categories function. The Import Web Categories screen (on the right) presents the user with options: Import File: Specify the .txt file from which

the categories will be imported. Test Mode: Running in test mode counts

records and identifies errors without updating the categories table.

Clear Existing File: If no category relationships have yet been created, all existing categories can be removed prior to import.

Overwrite Existing Records: This allows for existing categories to be maintained by incorporating changes into the spreadsheet..

After the user has chosen to Proceed from the Import Web Categories screen, a message window (on the right) is presented summarizing the record and error count. This window is presented regardless of the mode (Test or Live) in which the process was initiated. If errors were reported in the message, the user will be presented with a Web Category Import Errors window (on the right). This window will display those records that were identified with errors in the previous message window. Errors identified are as follows: bad category types; bad date ranges; duplicate records, unless Overwrite

Existing Records was checked. Errors NOT identified are as follows: negative Sort Index or No of Children…

sign is stripped; invalid dates, they just aren’t written to

the table;  invalid images.

Setup in Visual Streamline ................................................... E-Commerce Categories Publish to E-Commerce A number of enhancements have been made on both the E-Commerce portal and the backend SQL logic to help with performance when product categories are configured with the categorization module. Even with these enhancements, it was still necessary to remove the backend triggers that dynamically publish categories to E-Commerce in order to optimize the Category Maintenance routine for speed. With the removal of the backend triggers, it was necessary to provide a means of allowing the user to force the publication to E-commerce. The screenshots below demonstrate the Publish to E-Comm functionality.

Clicking the Publish to E-Comm button launches a warning dialog. Clicking OK from that warning dialog will then trigger the initialization of the publishing process. This may take a couple of minutes after which time, a message will appear allowing the user to continue with further maintenance, while the processing continues in the background. NOTE: There is no longer any automatic process that will publish category changes to E-Commerce. If a category is linked to a product line, then products subsequently added to that product line will NOT appear in E-Commerce until a user manually clicks the ‘Publish to E-Comm’ button.

Setup in Visual Streamline ............................. E-Commerce Category Relationships Overview A hierarchy of category relationships must be created and maintained in Visual Streamline and this is done through the program accessed via Streamline E-Commerce > Master Files… > E-Commerce Categorization… > Category Relationships. Users require user right RTECAG (Right to E-Commerce Categorization) in order to maintain categories and/or category relationships. The initial browse screen for maintaining these relationships will be split such that the left portion is a standard tree representation of the category hierarchy structure while the right portion shows the children of whichever category in the tree on which the user is currently parked. (see screenshot below right). More specifically, the right portion of the screen will be populated with either category codes and descriptions, if the user is parked in the tree on a category which has been identified as a parent category (as shown) or with products and descriptions, if the user is parked in the tree on a category which has been identified as a final category. The screenshot on the right shows, in the left portion, the sub-categories currently linked to the category identified as the Master Index. and in the right portion, the child categories of the TV & HOME THEATRE category, on which the user is currently parked. DISPLAY ORDER OF CATEGORIES. The order in which categories display in Streamline is based on Sort Index, then Category Code. The order in which categories display in E-Commerce is based on Sort Index, then Category Description. DISPLAY ORDER OF PRODUCTS IN FINAL CATEGORIES. The order in which categorized products display in Streamline is based on Sort Index, then Product ID. The order in which categorized products display in E-Commerce is based on the user’s settings, unless there are Sort Indices, in which case user settings will be ignored and product will display based on Sort Index, then Product ID.

Setup in Visual Streamline ............................. E-Commerce Category Relationships New Features Previously, there was no ability to manipulate entire sub-tree structures within this program, nor was there the ability to create or modify category codes from within this program, so it was mandatory to create and properly classify category codes with a clear vision of the final tree structure before attempting to build it here. To simplify this process, several new features have been added to the Categories Relationships Maintenance program in versions 10.1 forward: simple maintenance of children or products within a branch of the tree structure in the portion of the screen no longer

calls a new sub-task but can be performed directly by clicking in the body of the table displayed in the right portion of the screen;

 there is a dropdown invoked by right-clicking on any category in the tree structure with the following maintenance options:  Maintain Child categories / linked Products;  Modify Category;  Remove Category;  Global Maintenance (for Final Categories only);  Import Products (for Final Categories only);  Import Relationships (for Parent Categories only);  Export Relationship Tree (not for Final Categories);  Set Login Category;

 there are new buttons on the bottom of the screen as follows: Refresh Tree; Publish to E-Comm; Import Products; Import Relationships

All of these new features will be covered in the pages that follow.

Visual Streamline E-Commerce Categorization Module

September 2018 Page: 13 TECSYS Visual Streamline White Paper Series

Setup in Visual Streamline ............................. E-Commerce Category Relationships Simple Maintenance of Child Relationships To maintain and/or create child relationships within a category, the user must navigate in the left-hand to the category whose children are to be modified, expanding and/or collapsing categories as required. Once the user is parked on the category whose children are to be modified, simply click in the table displayed on the right portion of the screen. In the screenshot below right, the user has navigated to the BLU-RAY, DVD & VIDEO category in the left portion of the screen, then clicked in the table displaying the Blu-Ray, DVD and Video sub-categories, navigated to the bottom of the table which automatically invokes create mode for the entry of a new Blu-Ray, DVD and Video sub-category. This is, of course, dependent upon the user having the correct rights for maintaining category relationships. The standard Magic function buttons are in effect here: F3 will allow deletion of the

record on which the user is currently parked;

 F4 will insert a new record below the record on which the user is currently parked;

 F5 will launch a lookup screen for valid categories.

Logic is in place to prevent circular references.(making a category a child (or grand-child) of itself). Because the BLU-RAY, DVD & VIDEO category was defined as a Parent Category, it can only have other categories as its children. On the next page, there is an example of relationship maintenance of a final category.

Page 17: Visual Streamline E-Commerce Categorization Moduleidmhelp.tecsys.com/FAQ/Docs/White Paper for E-Commerce Categori… · Streamline E-Commerce is explained in detail in the White Paper

Setup in Visual Streamline ............................. E-Commerce Category Relationships Simple Maintenance of Product Relationships The following is an example of relationship maintenance of a final category. In the screenshot below right, the user has navigated to the BLU-RAY PLAYERS category in the left portion of the screen, then clicked in the table (specifically on the first product code) displaying the Blu-Ray Player products, which has automatically invoked Modify mode for that product. Again, this is dependent upon the user having the correct rights for maintaining category relationships. The standard Magic function buttons are in effect here: F3 will allow deletion of the

record on which the user is currently parked;

 F4 will insert a new record below the record on which the user is currently parked;

 F5 will launch a lookup screen for valid products.

Entire product lines can be added. Specific products from within these product lines can be excluded. Because the BLU-RAY PLAYERS category was defined as a Final Category, it can only have products as its children. On the previous page, there is an example of relationship maintenance of a parent category. Because products are actually linked to the category rather than the tree, final categories can reside in multiple locations in the tree without having to re-assign their products.

Setup in Visual Streamline ............................. E-Commerce Category Relationships Right Click Methodologies New relationship maintenance functionality has been introduced that can be invoked by right-clicking on the specific category to be maintained in the tree. There are different dropdowns presented to the user depending on the type of category from which it was invoked: Master; Parent; or Final. The screenshot below right shows the three different dropdowns that are presented to the user when right-clicking on a Master category (MASTER PRODUCT INDEX), a Parent category (PROJECTORS & ACCESSORIES) and a Final category (FULL MOTION TV WALL MOUNTS). The functionality of each option in the dropdown is as follows: Maintain Child Categories: This

option will place the user in the right section of the screen in modify mode (manually clicking in the table produces the same result);

Maintain linked Products: Same as above;

Modify this Category: This option will launch the E-Commerce Categories Maintenance screen (see page 3) for the category from which the dropdown was invoked.

Remove this Category: This option will remove the category from the tree. Only the tree links are removed, any product links to categories are left intact.

Import Relationships: This option will launch a new window that allows the importing of a hierarchy directly into the category tree. This is explained in detail in the pages that follow.

Global Maintenance: This option will launch a new window that allows global maintenance (creation, modification or deletion) of products linked to a final category. This is explained in detail in the pages that follow.

Import Products: This option will launch a new window that allows the importing of products directly into the category. This is explained in detail in the pages that follow.

Export Relationship Tree: This option will allow the user to create a tab-delimited file of the tree structure under the category from which the dropdown was invoked.

Set Login Category: This option allows the user to identify the category on which the user is parked as the default category presented to the web user when they log in to E-Commerce. (NOTE: this is a global setting and can not be modified at the web user level).

These options are illustrated with examples in the Other Options section later in this document (see page 23).

Setup in Visual Streamline ............................. E-Commerce Category Relationships Importing Relationships Category Relationships can be imported by right-clicking on a parent category in the relationship tree and selecting Import Relationships from the dropdown. This will launch a new window that allows the user to identify the .txt file containing the relationships to be imported. Shown below is a spreadsheet containing data for the creation/maintenance of the hierarchy for the TELEVISION categories imported earlier (pages 5-7) in this document. This hierarchy is going to be imported beneath the existing TV & HOME THEATRE category in the hierarchy tree.

The following pages will show the steps required to import the hierarchy identified in the spreadsheet above. NOTE: If the first level IS NOT the MASTER INDEX, then the hierarchy will be imported beneath the category on which the user was parked when the import function is launched, however, If the first level IS the MASTER INDEX, then the hierarchy will be imported exactly as specified in the spreadsheet regardless of the category on which the user was parked when the import function is launched,

Setup in Visual Streamline ............................. E-Commerce Category Relationships Importing Relationships… continued The Import Relationships option from the right-click dropdown from the TV & HOME THEATRE category will launch the Import Web Category Tree into TV & HOME THEATRE function. The Import Web Category Tree into TV & HOME THEATRE screen (on the right) presents the user with options: Import File: Specify the .txt file from

which the hierarchy will be imported.

Test Mode: Running in test mode counts records and identifies errors without updating the tree.

Clear Existing File: This option will remove the levels below the category on which the user was parked when this screen was launched..

After the user has chosen to Proceed from the Import Web Category Tree into TV & HOME THEATRE screen, a message window (on the right) is presented summarizing the record and error count. This window is presented regardless of the mode (Test or Live) in which the process was initiated.

If errors were reported in the message, the user will be presented with a Web Category Tree Import Errors window (on the right). This window will display those records that were identified with errors in the previous message window. Errors identified are as follows: bad category types; nested final categories; duplicate records, unless Overwrite

Existing Records was checked.

Setup in Visual Streamline ............................. E-Commerce Category Relationships Global Maintenance (Products) Global Maintenance of Products is launched by right-clicking on a final category in the relationship tree and selecting Global Maintenance from the dropdown. This will launch a new window that allows global maintenance (creation, modification or deletion) of products linked to that final category. The top portion (red) of the E-Commerce Category Relationships Global Maintenance screen allows the user to specify the various product ranges for processing (Product Line, Product, Description, Group, Sub-Category, Sub-Group, Supplier and Status).

The Stock Type section (green) of the E-Commerce Category Relationships Global Maintenance screen allows the user to specify the stock type for processing.

The Maintenance Options section (blue) of the E-Commerce Category Relationships Global Maintenance screen allows the user to define the action to be taken upon finding a product that satisfies all of the criteria. Users can choose whether product records are to be created, deleted or modified. They can further determine the value to assign to the Exclude Flag or the Sort Index. 8. Product View Panel – Data Pager: This section provides navigation controls to allow the user to page through the products and change the number of products to display per page. This section is at the top and the bottom of the Product View Panel allowing the user to scroll from the more convenient location.
