Welcome to the 2020 FRINGE WORLD Festival VENUE REGISTRATION PACK.
This Pack is here to provide you with the information you need to help you on your way to becoming an independent Fringe venue to participate in the largest annual event in Western Australia.
If this is not your first time as a Fringe venue, we still encourage you to read this Pack carefully as it contains new information including a new venue registration fee, introduction of a standard split ticketing agreement and stats that relate to the 2019 Festival that will help you get a picture of the financial results of independent venues in the Fringe.

WHAT IS FRINGEWORLD?There are over 200 Fringe festivals around the world and FRINGE WORLD is the third largest Fringe in the world in terms of tickets sold. Whilst FRINGE WORLD shares similarities with other Fringes, ours is also uniquely adapted to suit Perth’s marketplace and is run by West Australian not-for-profit registered charity, Artrage Inc.
Since 2012, FRINGE WORLD has developed a model that draws the best from a range of Fringe festivals around the world, with the aim of providing a platform that supports and encourages artists to present their work to the Perth audience.

OPEN ACCESSIndividuals, companies and venues choose to participate in the Fringe and they decide what type of show they want to present; FRINGE WORLD doesn’t curate the program for the Festival. It’s up to the artist to decide whether Fringe is the most suitable platform for their work and in what venue they would like to present their event. It’s up to the venue to decide if Fringe is the right platform for their business and to confirm a program that is presented in the venue. Artists and venues should consider all risks and rewards before they choose to participate in FRINGE WORLD.
VARIETY OF VENUESArtists decide what venue they want to perform in. Around 30% of the program is in venues that are managed by FRINGE WORLD Festival (i.e. the Fringe Hub venues such as The Woodside Pleasure Garden and Ice Cream Factory). The Fringe Hub Venues are programmed by the Festival through an Application process. All other venues are independently managed and known as ‘Independent Venues’. Artists look for venues that can offer an affordable and flexible space with good potential of passing traffic. One of the great things about Fringe is that there is an opportunity for non-traditional performance venues to be part of the Festival. Artists are always on the look out for unique new spaces to performer and present in. In past festivals, we have seen swimming pools, town halls, cemeteries, hotel rooms and book stores all host Fringe performances much to audience and artists delight!

There is nothing else like the energy of Fringe time. Taking part can have financial benefits for your business as well as engaging you with the wonderful network of Fringe artists and the massive and broad Fringe audience.
Our audiences love the opportunity that Fringe offers them to explore and enjoy lots of shows and visit venues in their neighbourhoods and further afield. Being a part of an event that registers such positive cultural and social benefits can have long-term benefits for your business.

EVENTS, VENUES AND THE FESTIVAL SHARE THE RISKFRINGE WORLD markets the Festival overall, including managing an advertising campaign, website and sales platform, and producing key print materials such as the Festival Guide. The promotion of individual events and independent venue programs is the responsibility of the event and the venue. As such events, venues and the Festival share the responsibility of putting their best efforts into marketing.
FRINGE WORLD SUPPORTS ITS PARTICIPANTSVenues and artists that participate in the Festival have direct access to the Program Team who are able to assist with general information and tips on how to maximise your Festival experience.
NOT-FOR-PROFITFRINGE WORLD is a Not-for-Profit registered charity. Any profit generated by the Festival is invested into further developing the Festival and hence supporting the local cultural ecology. Our core purpose as an organisation is to enrich and evolve the culture of Western Australia.

In 2019 FRINGE WORLD events were presented
in 169 venues across 39 suburbs in the Perth
metropolitan area and regional WA.
The heart of the Festival is Perth’s night-time
entertainment precinct, Northbridge, where
FRINGE WORLD attracts throngs of crowds who
fill the streets, pubs, clubs, bars, restaurants,
theatres and venues alongside pop-up festival
environments built in parks, public and privately
owned spaces.
The Festival manages and programs the main hub
venues that include; The Woodside Pleasure Garden,
The Ice Cream Factory, Yagan Square, Fringe Central
in Perth Cultural Centre and new in 2020, Girls
School, East Perth. Outside of these hubs there are
venues across all areas, from Midland to Leederville,
from Fremantle to Scarborough, from South Perth to
Joondalup and more.
The Festival welcomes new venues in all parts of
the state including non-traditional performance
spaces and local businesses.

events registering with FRINGE WORLD.

venue such as posters, guides, bunting and a
window decal.
• Venue map listing in the FRINGE WORLD
Festival guide with up to 250,000 distributed
in WA.
• Venue and space listing on fringeworld.com.au
(over 1.4 million hits in 2019).
• Presale ticketing and reporting service for all
events registered at your venue.
• Option to receive split settlement payment
direct from FRINGE WORLD post event,
pending agreement with presenter of the
events in your venue.
• Ability to nominate individuals for an exclusive
Participant Pass with access to services,
benefits and special offers.
• Program Team Duty Line number to call during
the Festival.
• Access to the 2020 FRINGE WORLD Registered
Artists & Participants Facebook Group.
• Regular Participant E-News sent to your
nominated Venue Manager.
• Access to all FRINGE WORLD Festival resources
in Toolbox.
DON’T WORRY: If your venue is unsuccessful in
securing any events, your Venue Registration
Fee will be refunded after the Event Registration
Deadline (October 2019).

As part of your registration you will be required to pay a VENUE REGISTRATION FEE. This fee is based on a sliding scale depending on your performance space capacity. The Venue Registration Fee is GST Exempt and will be due by 30 July 2019.

HOW TO REGISTER
1Register your venue in AVR (Artist and Venue Registration System) to be included in the VENUE FINDER. At registration you will be required to accept the CODE OF CONDUCT and pay a VENUE REGISTRATION FEE.
2 Artists will get in touch directly to negotiate a hire deal for their EVENT to be presented at your VENUE. You can also approach artists directly.
3 When you have confirmed an EVENT the artist will register this with FRINGE WORLD and will be known as the PRESENTER.
4 You will be required to confirm the EVENT details and settlement information that they have entered in AVR. Settlement can be split between you (the VENUE MANAGER) and the PRESENTER.
5 FRINGE WORLD will have an agreement directly with you, and another directly with the PRESENTER. You should also create an agreement directly with the PRESENTER.
6 You’re in FRINGE WORLD 2020! You can start promoting your EVENTS!

COMPLETE YOUR REGISTRATIONAVR is the Artist and Venue Registration System. Once you have decided that you would like to get
involved with FRINGE WORLD, you will need to complete a registration in AVR. In here you will enter all of
the information that FRINGE WORLD need for your participation in the Festival. This will include uploading
images, information for potential artists and information for patrons.

Venue Manager - The person that registers
will become the VENUE MANAGER and should
be the main point of contact that you would like
FRINGE WORLD to speak with regarding your
participation. Make sure you keep this up-to-date.
Terminology - A VENUE is a unique address
location and will have its own pin on the map.
A SPACE is a performance space/room within a
VENUE.
Descriptions - When entering your venue
description, you should consider how you would
like to promote and present your venue to patrons.
See toolbox for example venue descriptions.
Accessibility - You will be asked a series of
accessibility questions. You can find out more
about what these access requirements are and
how you can meet these here.
Venue Capacity - When entering your venue
capacity ensure you enter the maximum capacity
of your venue. Should you wish to reduce this at
a later date FRINGE WORLD can do so however
you may not be able to increase this.
Venue Registration Fee - As part of your
venue registration you will be required to pay a
Venue Registration Fee. This fee is payable on
registration. You must complete and pay your
registration by 30 July 2019.
Ticketing - As standard, tickets for all EVENTs
at your VENUE during FRINGE WORLD will be
exclusively issued through the Red 61 Ticketing
System, VIA. If your venue has a contracted
ticketing agreement with an external ticketing
provider, the Split Ticketing Agreement can be
activated. You can find out more about this here.
Venue Finder - The VENUE FINDER is the
venue database that FRINGE WORLD gives all
artists access to. Unless you have a program of
events already planned, you should complete this
part of the registration. Think about what artists
are looking for and how you can help to support
them. This is your ‘shop front’ to artists and will
help to encourage them to get in touch with you.

Terms and Conditions - When registering
you agree to the Participant Terms & Conditions
and Code of Conduct. Make sure you read these
carefully.

Toolbox - Toolbox is an online resource for all
artists and venues looking to participate in the
Festival and contains a heap of information to
help you register and program your venue for
the Festival.

IMPORTANT INFO REGARDING SPONSORS! If you are looking to engage sponsors as part
of your Fringe participation, be sure to check
out our Sponsorship Policy that outlines what
benefits you can offer your sponsors.
THINGS TO CONSIDER WHEN REGISTERING

PROGRAMMING YOUR VENUEArtists will contact you directly through the
Venue Finder and you can also reach out to your
local networks to look for events.
Consider the following:
• What questions will you ask artists when they
enquire?
• What types of shows are you looking for and
how will you decide which shows are right for
your venue?
• Who is the person in your venue that will lead
on this?
• Have you created a draft schedule?
• How much time can you make the space
available for and will this be at a time that will
suit the artists audience?
• Do you know what you will include in a draft
agreement?
You may like to consider engaging an Independent
Producer or Program/Event Manager to actively
seek programming for your venue and manage the
delivery and promotion of this. You can find out
more about seeking an Independent Producer or
Program/Event Manager here.
APPROVE EVENTS IN AVRAfter you have confirmed your program, ensure all
events taking place at your venue during FRINGE
WORLD are registered in AVR, are linked with
your venue and have been marked as APPROVED
by you. The final deadline for all events to be
registered in AVR is 1 October 2019. There are also
two early release registration dates for events; 10
and 17 September 2019.
YOUR FRINGE WORLD FESTIVAL AGREEMENTFRINGE WORLD will send you an agreement after
event registration has closed. Be sure to double
check this document and e-sign before tickets are
due to go on sale.
EXTERNAL AGREEMENTS WITH EVENTSYour FRINGE WORLD Festival Agreement will not
cover any details between you (the venue) and
the event. We reccommend creating a written
agreement that outlines your arrangements, you
can find a template here.
GET READY FOR TICKETS ON SALEUnless your event(s) has opted to be part of one
of the Early Releases all tickets will go onsale on
14 Nov 2019. Speak with your events directly to
see how you can help generate early sales.

WHAT’S NEXT?

After you have completed your Venue Registration the next steps will include the following steps.
An Independent Program is a program of scale involved in the FRINGE WORLD Festival. Independent
Programs usually have a brand/program name such as ‘Summer Nights’ or ‘Funtavia’. They usually present a
program of ticketed events and often have one main ‘hub’ style venue/location.
Additional support from FRINGE WORLD is available to all Independent Programs although the
management, programming, delivery and promotion is solely the responsibility of the Independent
Program. You can find out more about the support FRINGE WORLD provides to Indepedent Programs
here. If you are presenting an Independent Program as part of the Festival you should let Fringe know by
contacting the FRINGE WORLD Program Team on [email protected].
PRESENTING AN INDEPENDENT PROGRAM
MANAGING AND MARKETING YOUR VENUE PROGRAMIn the open-access open-market Fringe model
it is the responsibility of artists and venue
managers – like any small business, self-starter
or entrepreneur - to be responsible for budgeting
appropriately and managing all aspects of their
season including marketing the events; that is the
nature of Fringe.
PARTICIPANT SERVICESAs part of your participation you will have
access to the Participant Services, these include
Participant Passes with benefits and special
offers. More details will come in December.
POST FESTIVALAfter the Festival you will be required to report
final attendance figures, provide feedback
through the participant survey and be given an
opportunity to check the final settlements before
payments are processed. We take on board your
feedback in planning future festivals.
