Venue Hire Fees From 1 February 2019, Cairns State High School will be assuming responsibility for all Venues Hire and Management. Rob Wood, will still be your contact with the School and will continue to be located in the Cairns State High School Shop. Venue Hire Fees

From 1 February 2019, Cairns State High School will be assuming responsibility for all Venues Hire and

Management. Rob Wood, will still be your contact with the School and will continue to be located in the Cairns

State High School Shop.

Key Information:

Standard refundable bond amount is $500.00; FAC_BOND

For any hire where alcohol will be consumed of the activity is deemed to be (by the School) a high risk, the bond

Technical Equipment and Assistance Upon request:

The Sound System and Lighting can only be accessed if you

engage the school tech assistance students.

Senior tech students operate the sound and lighting equipment at

$20.00 per student per hour with a minimum requirement of 2

hours work. A Teacher is also required to be present to supervise

and assist students and is paid an honorarium of $30.00 per hour

(min 2. hours).

We would recommend a student for the sound system and 1 for

the lighting, however the hirer can reduce cost by having 1

operator for both.

2 x Catering Kitchens which can be hired out by external

organisations upon special requests;

Kitchens are to be left in a clean and tidy state;

All rubbish is to be placed into the industrial rubbish bins

near the hall;

No food stuffs are to be left in the kitchens or the school

fridges on site unless a pre-existing arrangement exists.

fans. Classrooms are air-conditioned including the

weights room.

25m Swimming Pool with 6 lanes;

Change rooms and amenities available;

Hirer needs to ensure that they have a fully certified pool

life guard on at all times;

This is a council legislated requirement which protects not

only the swimmers but only the hirer and the school

community;

Hirer needs to provide the following information to

o Pool / Life Guard Full Name; and

o Pool / Life Guard certification details and

certificate of currency (Including Date Achieve

and Expiry Date).

Oval Hire – FAC_OVAL

1 full size playing field;

1 outdoor basketball court;

1 outdoor volleyball court;

Sporting facilities such as long jump pit, shot put and

discus facilities;

Hirer needs to provide their own equipment;

Access to power is from the Sports Shed on the Sheridan

Street side;

Access to amenities and change room facilities can be

access from the Sport Complex upon request and a

potential additional hire fee.

It is noted that maintenance of the playing field takes

place over the Christmas / New Year period and

accordingly hires will not be permitted during this holiday

period.

Storage Hire – FAC_STOR

Cairns State High School may be able to offer some storage on a

long-term basis to hirers upon request.

This service may be available as consideration to regular hirers

who do not wish to bring equipment each week. It is noted that

the hirer retains responsibility for replacement of any items if they

are stolen or damaged and needs to maintain their own contents

insurance.

Cairns State High School Catering – Outside Hours

Catering for outside of school hour events may be considered under the following circumstances:

If the event catering is deemed to be financial beneficial;

If agreed upon, the hirer is to acknowledge the canteen will be the sole provider of food and drinks and the hire

agreement will be adjusted to reflect this condition.

Please contact the Event Coordinator if you wish to consider the school canteen undertaking the catering.

Cairns State High School Security Policy for Hirers

It is noted that as a part of the Booking Agreement Form you will be required to acknowledge your consent to each of

these items:

By signing the key register you have read & understood these conditions

Keys are not to be copied or left lying around or un-attended

3

The Security code you are issued is to be kept exclusively for the hirer & not given to others.

The key or security code is not to be used by any person other than the person the key or code is issued to. You

always retain full responsibility for the key & security of the premises and the code is to be kept secret.

You must report the loss of the key directly to the School Office 40503033 as soon as possible.

The key holder accepts the liability for the loss of the key & forfeits their right to refund of bond.

The key holder is the last person to leave a facility & is to take responsibility for the security of that facility

which includes ensuring that the alarm system is set correctly. Failure will ensure loss of full bond.

The key is not to be issued to or left with a student.

The key is not to be marked or identified in any way that it is a Cairns State High School key.

If keys are lost or security breached due to non-compliance of these conditions hirer is liable for key

replacement & re-keying the area/s it covers, should a bond not be held.

This form relates to the involvement of technical theatre students / staff and does not constitute a hall

booking. Assistance is only available to corporate and large functions, and if approved by the Performing

Arts Department.

Background:

Please give a copy of the backing tracks etc to the technical theatre staff at least TWO weeks prior to your event

for it to be checked and copied to the audio hard drive. Failure to do so may result in you being unable to utilise

DVDs, CD etc that have not been checked for compatibility in advance.

Use of Alcohol when Hiring Cairns State High School Venues

If you intend to have alcohol at your function, please complete the following form and sign your understanding and

consent to the conditions:

Intention to allow alcohol consumption is to be reviewed by Cairns State High School and the P & C Association under

the following provisions:

At least one person is required to hold an RSA (Responsible Service of Alcohol) certificate.

The bond increases from the usual $500 to $1000.

Your guests must not consume alcohol outside of Crosswell Hall or other facility hired, and caution should be

taken when guests depart the function to ensure this does not occur.

A nominated person must be allocated at the main entry reminding guests of the no alcohol outside the venue

policy, and also place signage at all exit doors.

The above named hirer is responsible for the behaviour of all persons at the function and agrees to keep such

behaviour under control, keeping in mind the neighbours of Cairns State High School.

All evidence of alcohol consumption must be removed from the venue and school grounds. Glass and cans

must be removed from the premises.

If alcohol is to be sold, the above named hirer has the appropriate liquor license and strictly adheres to the

conditions of that licence.

Failure to adhere to the above conditions will result in forfeiture of bond monies.
