1 Introduction

1.1 PurposeThis document will guide you how to use the Field Inventory Management System (FIMS).

This document will not include the installation/description of following things:

Prerequisites of software Operating System

1.2 ScopeThe scope of the document is to: Detail of the steps involved for each process. Explain each process step-by-step. SnR screen shots of each process and pictures where applicable.

2 Offline import of data

2.1 Import CSV using iTunes:Given below are the steps for importing CSV files to the FIMS. The system can import Part Master / Party Expected Quantity / Hospital Master / GTIN Part Mapping.

1. Connect device with iTunes. Select the connected device from left hand menu and select Apps from top menu as shown below:

2. Scroll down to find the SnR Mobi app under File Sharing option

3. Click on “Add” button and browse to the folder for the desired CSV files

4. The selected files will get added under the app

5. Open application on device. The Login screen appears.

6. Clicking on Login button will start importing dropped CSV files one-by-one. On successful import the files will be moved into the ArchieveImportFile folder in iTunes

3 Cycle Count Module

This module is used for counting the Ref # / Serial # against their expected quantity at a particular Hospital. User can export / email the cycle count report using this module. This module works in two modes viz., RFID or Barcode.1. Select Cycle Count from left menu. The list of hospitals will be displayed. Select a hospital for which

the cycle count needs to be done.

2. List of all the Ref # will be shown. User can select the Ref # for performing Cycle Count or hit on “Next” button directly to skip this step.

3. On cycle count screen, the Serial/Lot # along with their expected quantities will be displayed for all the selected Ref #.

4. User needs to scan Ref # barcode using TSL reader. After reading Ref #, application prompts for scanning the Serial/Lot #

5. Once the User scans the Serial/Lot #, the actual quantity for the respective Ref #-Serial # will go up.

User can click on button to lower down the actual quantity if mistakenly scanned.

6. As user scans more of Ref #/Serial # combination the actual quantity will increase.

7. User can click on Overage button on footer bar to view the list of Ref # whose scanned quantity exceeds the expected quantity.

8. User can click on Underage button on footer bar to view the list of Ref # whose expected quantity exceeds the scanned quantity

9. User can click on scanned actual quantity to view the Description/Expiry Date of the respective Ref #. The Near Expiry items will be shown in Red color.

10. User can click on Near Expiry button on footer to view the list of all the Near Expiry items scanned till now.

11. User can click on Save Cycle Count button on the footer if user chooses to save the current session of the cycle count and wishes to continue the cycle count at a later time.

12. Alternatively, User can click on Complete Cycle Count button to complete the Cycle Count.

13. User may click on button to view the report for last Completed Cycle Count. User can export/email the report from this screen in CSV format.

14. The exported file will be saved and can be retrieved from iTunes under the Snr Mobi app -> ExportedFile

15. If the user has saved a cycle count earlier for completing it at a later time, the user can again select the same hospital for cycle counting. The FIMS will prompt the user if he/she wants to continue a saved cycle count or wants to start a fresh cycle count.

4 Locate Item

This module is used to find / locate a particular item (Ref # / Kit #) in a Hospital using TSL reader. For this module, the item must be RFID enabled.1. Select Locate Item from left menu

2. The list of Hospital will be displayed. User needs to select a hospital where Item needs to be located.

3. Select the Ref # / Kit # which needs to be located

4. Scan the RFID Items using TSL reader and if the selected item has been scanned, the status bar will go up/ the iPad will beep as soon as the user goes closer to the item.
