New Patient: Creation
Initially, all the demographics for a patient must be entered once to create the
Electronic Chart. Once entered, information can be easily updated whenever needed.
Enter demographic information into the fields provided. The Highlighted fields
are those fields required by ProntoMed© to create a new patient. When all
information is entered, click the Create button to save the New patient.
After the create button is selected, the patient’s chart is produced.
New Patient: Payer accounts
Once a patient is created their payer information can be entered.
Getting to the Payer screen:
While in a patient’s chart, click on the EDIT PAYERS… link.
The First step in entering the information is to first decide whether the payer is private,
Medicare/Medicaid, Personal Injury, or Workers Compensation. Since each of these
payers requires unique information, it is important to chose the correct option.
Once in the Payer screen:
Both Private Insurances and Medicare/Medicaid are entered under the Add Payer Scheme Link.
Add Payer Scheme
This link allows the user to enter all private Insurances.
The information needed falls under the Carrier Info Tab and the Policyholder Info Tab.
Private (hmo, ppo, etc)
Carrier Info
Click into the Carrier Name Field. Enter the carrier name, or PO Box number, located on the patient’s
insurance card, into the search field above the insurance carriers list to
the right. A more specific list containing the search criteria will
Appear.
By clicking on the appropriate selection, the corresponding fields will be populated. Don’t forget to enter the Group number, Policy
number/Member ID, and Co-pay. These DO NOT automatically get
populated into the appropriate fields.
Every Insurance card has a unique design. If there is a question as to
which Id numbers are appropriate, ask your billing department or appropriate
personnel for clarification.
Policyholder Info
The Policyholder may not always be the
patient. Check both the insurance card and the demographics sheet. If
the wrong policyholder is selected the insurance carrier will not pay.
Assigning Priority
Once all information has been entered, the priority screen will appear. Click on the drop down list to chose whether the
insurance is Primary, Secondary, or Tertiary. Insert January 1, of the current
year (mm/dd/yyyy) into the Scheme Start Date field. Once the ok button is
selected, the insurance information is saved.
This link allows the user to enter Medicare and Medicaid.
After selecting the Provider Name Field, a list of providers will be brought up to the right. Select either Medicare or Medicaid,
depending on what the patient has. A shorter, secondary list will appear. When the appropriate selection is clicked, all fields
except for the Billing Number/Member ID are filled. Remember when filling in this field don’t forget to include any alpha
characters that are included on the patient's card.

Assigning Priority

The Bureau of Workers Compensation has several important fields that must be entered into in order to get paid.
Workers Comp
Enter all information into the blank fields.Certain fields require selecting from a list provided. They are: Physician of RecordMCO/TPA/Claim Rep
& ICD-9 Codes. Make the selection from the provided
lists. Do not Directly enter
data into the field.
The most forgotten fields of entry are the Entity Responsible For
Bills and the ICD-9 Codes Location. Pay close attention that these fields are not
missed.
Once the data is entered, select the ok
button to save.
Personal Injury
If the patient is a personal injury case,the data for the patient must be entered into the Personal Injury Section under Case Based Payers.
Every office has its own policies when it comes to how Personal Injury Cases are handled. Check with the appropriate personnel in the office on how your office Personal Injuries are handled.
Remember that as you enter information into the fields, if a dropdown list appears to the right, select from the list provided. If the Attorney’s name does not appear, add them as a contact, so that they appear on the list.
