E-Filing

Default Court Preferences

1. Login. (Refer to Create Account, Dashboard & Navigation User Guide if you have not yet created your E-Filing account).

You can change your default Court Preference at any time. The changes are immediate for when you create a new Filing.

To do this –

1. On the left of screen, click the down arrow next to your name and click My Account.

2. Select the default Location you require.

3. Click Save.

Create a Filing

1. Click Create Filing. Choose from the drop downs on each field. Add in your Law Firm’s Matter number. (a red *asterisk =compulsory fields).

2. Click Save & Next.

3. Fill in Values if known.

4. Click Save & Next.

Add Case Party

5. Add the Case Party information by clicking the link.

Fill out the fields, as per the example –

6. Choose the Role e.g. Claimant and `What is your Representation`.

7. Click Type – choose Organisation.

8. Type in `Organisation Name`.

9. Choose Country.

10. Click `Add Legal Representative` link.

Add Case Party

11. Type in Legal Representative name (the law firm you are affiliated with), click Search and select the result.

12. Review the final screen and click Save.

Repeat Steps 5 to 12 to add in all Claimants and Defendants details.

Filing Information

1. Tick the box next to the appropriate Case Party in the `Filed on Behalf of` field.

2. You will need to Upload the document. Click Browse to locate locally saved documents.

3. Fill in any other details as appropriate. For example you may want it mark it Confidential and add in Comments.

4. If you have more documents, click `Add Another` link.

5. The dialog box allows you to repeat steps 2 to 3 to add a document. Note if the field is not required click X to delete it.

6. When finished, click Save & Next.

Filing Information – supporting documents

A blue preview button located on the right of the document line enables you to check the document.

1. To add supporting documents to the Filing for example `Particulars of Claim`, click Add Associated Filing button.

2. Choose the `Filing Type` as Filing from the drop down list.

3. Click the `Filing Subtype` and choose the appropriate document from the list for example `Particulars of Claim’.

4. Click Save & Next.

5. Tick the box next to the Case Party `Filed on Behalf of`.

6. Click Browse to locate the locally saved document e.g. Particulars of Claim.

7. Click Save & Next.

Filing Summary

The Filing Summary screen shows all Associated Filings on the left.

8. When ready, click Add to Basket.

Payment

Law Firms can submit a payment using a PB number (or use a Credit Card).

• You will receive a Submission Confirmation on E-File.

• You will also receive an email confirmation of payment.

Tip - `Show Printable Version` button gives you a PDF of the E-Filing Submission Confirmation.

Case Status and Alerts

1. Click `HM Courts & Tribunals E-Filing Service` button to get back to the Dashboard.

Both Widgets and the Notifications button are now populated with the Filings submitted to the Court.

Case Status/Accepted

The Case will be looked at by the Courts. All correspondence will come through as Alert into E-File and show in the Widgets.

Note - you will receive an email to notify you that an Alert has been sent.

E-Filing

My Matters – sharing with Colleague(s)

You can share Filings with Colleagues if they are already registered as an E-Filer so that they can view Submissions and documents.

1. Click My Matters button (left of screen).

2. Click Search and all Filings show in the results, or search for a specific matter number.

3. Click the Matter Number on the Filing to share.

4. Click Add Colleague.

My Matters – sharing with Colleague(s)

5. Type the name and click Search. The registered E-Filer will show in the results.

Tip - you can type in %%% to search for all colleagues associated with your law firm.

6. Click the Colleague’s name.

7. You can continue adding colleagues to create a Matter team.

Colleagues will now see this Filing in their Dashboard under Approved Filings Widget.

E-Filing

Edit an Existing Filing – Add Documents or Comments to Court

You can add documents or create comments to Court on an existing Filing.

1. Click Filings – Approved.

2. Search for your Filing in the results area or do a specific search e.g. type in a Case Number.

3. Click the result to open the Filing.

5. Choose both a Filing Type and Filing Subtype as appropriate.

7. You can add in any Filing Comments and upload the appropriate document e.g. Directions Questionnaire.

9. Click Add to Basket. If there is a fee it will show on the next screen.

10. Click Submit Filings.

Law Firms can submit a payment using a PB number.

Resubmit a Rejected Filing

If a Filing is rejected from the Courts, you will receive an email and will need to resubmit the Filing.

1. Login and click Filings – Rejected.

The Filing shows the Rejection and a reason. E.g. Signature required. Amend the document and save it locally to be uploaded again.

Note – You will be resubmitting a copy of the Filing (all details you previously entered are still there).

2. Tick the box on the left of the rejected Filing and click Resubmit (arrow icon).

3. On the popup dialog box click OK.

4. Click Filing Information tab (top of screen) which takes you to the document upload screen.

5. Click Replace. The button changes to allow you to Browse and upload the correct document.

6. Click Save & Next.

7. The Filing is now ready for resubmission. Click Add to Basket.

Resubmit a Rejected Filing – final step

Final Step

1. Go back to the Filings – Rejected screen (you have sent a copy of the Filing to the Courts so this needs to be deleted).

2. Tick the box on the line of the original rejected Filing and click Delete.

Printing

Print a PDF

1. Click Filings – Approved.

2. Click into the appropriate Filing.

3. Click the Preview icon of the PDF you want to print.

Printing

4. Issue when printing.

Sometimes a PDF is larger than a standard A4 sheet when its printed out.

It can look fine in the preview but when it is printed using the default Actual Size option, the printer cuts the edges of the court seal and the text under the seal.

5. Workaround.

In the Adobe Reader print dialog box, choose Fit to size option and then print.
