Your NTSWorkplace

Depending upon the information sharing needs of your business, the number of NTSWorkplaces in use by your organization at one time can vary from a single NTSWorkplace to dozens, hundreds or even thousands. If multiple NTSWorkplaces are in use, each member of your team has access to and can “see” only the specific NTSWorkplaces that he or she has been given rights to see.

These default folders are automatically created to organize Documents.

You can:

• Add a new folder by clicking on ADD FOLDER

Documents are organized and displayed in a logical folder structure.

Click on the document name.

To View a Document

The File Summary screen will appear.

From the File Summary screen you can view or download the document by clicking on the VIEW or DOWNLOAD button.

A separate window will then open containing the document.

From the File Summary screen you can also:

Add a version

Edit the profile (if you have rights to do so)

Delete the document (if you have rights to do so)

Sort the order in which the document appears in the Folder

Send an email regarding the document

Respond to the document

Publish the document to NTSDocs

Determine the folder where you wish to add your document.

Click Add Document button to add a new document.

Browse to the document on your computer or network Name the document and Verify the correct file folder Save

Click SEND

Sending Email Notices

Select email group or individuals who should receive notice of posting of the new document.

Add Additional Recipients or Additional Comments which will appear in email.

Include document by Secure Hyperlink or actually attach the document to the email.

If additional documents should be attached, check the appropriate ones available in list.

You may search for word(s) within the document title and the entire document text (provided the document is in a searchable format.)

Enter word(s) to search.

Select Only this Project or My Projects for . . .

Then click SEARCH.

Add a new folder by clicking on ADD FOLDER

Rename or sort a folder by clicking on the folder title

Enter your Status item text (a further description box is also available.)

Select a Responsible or Discussion Party if appropriate.

By default only current items (those that have not been marked “Completed”) are displayed in both Status and Documents.

To view additional items or items from a specific time period, use the Filter option.
