National Portrait Gallery Training and Human Resources Assistant The National Portrait Gallery houses a unique collection of all forms of portraiture of the people who have made or are currently contributing to British history and culture; the collection is the most comprehensive of its kind in the world. With around 1.8 million visitors each year and a strong national and international presence through touring exhibitions and special projects, the Gallery is one of the country’s most important and popular galleries. Purpose The Training and HR Assistant is responsible for providing support to the Training & Development Manager while also offering help to other members of the HR team as appropriate. They will be responsible for providing advice across a range of training and human resource activities which includes; communicating training activities, maintaining delegate lists and training records, preparation of materials, delivery of some basic training, preparing interview material, co-ordinating interns, work experience and volunteer placements, along with other important tasks as required. Main Duties Assisting with the co-ordination and delivery of the Gallery’s training and development programme this includes: Training and Development Helping to co-ordinate Monday morning training, learning at work activities, staff development sessions and trips/visits to partner organisations Organising and participating in Welcome Days Assisting with the scheduling of training sessions, notifying relevant people and liaising with both internal and external training providers Preparation of the Monthly Training Bulletin, relevant articles for the Staff Newsletter and updating the Training Schedule Preparing Personal Induction Plans for new starters and following up on Induction Checklists meeting with all new interns, volunteers and work experience people on their first day ensuring the provision of key information Send out pre-course materials as necessary Assist in training events, setting up and clear down of training venue

Training and Human Resources Assistant

The National Portrait Gallery houses a unique collection of all forms of portraiture of the people who have made or are currently contributing to British history and culture; the collection is the most comprehensive of its kind in the world. With around 1.8 million visitors each year and a strong national and international presence through touring exhibitions and special projects, the Gallery is one of the country’s most important and popular galleries.

Purpose

The Training and HR Assistant is responsible for providing support to the Training & Development Manager while also offering help to other members of the HR team as appropriate. They will be responsible for providing advice across a range of training and human resource activities which includes; communicating training activities, maintaining delegate lists and training records, preparation of materials, delivery of some basic training, preparing interview material, co-ordinating interns, work experience and volunteer placements, along with other important tasks as required.

Main Duties

Assisting with the co-ordination and delivery of the Gallery’s training and development programme this includes:

Training and Development Helping to co-ordinate Monday morning training, learning at work

activities, staff development sessions and trips/visits to partner organisations

Organising and participating in Welcome Days Assisting with the scheduling of training sessions, notifying relevant

people and liaising with both internal and external training providers Preparation of the Monthly Training Bulletin, relevant articles for the Staff

Newsletter and updating the Training Schedule Preparing Personal Induction Plans for new starters and following up on

Induction Checklists meeting with all new interns, volunteers and work experience people on

their first day ensuring the provision of key information Send out pre-course materials as necessary Assist in training events, setting up and clear down of training venue Send out course evaluation questionnaires and compile result reports Assist with the delivery of training at a basic level Assist with performance management procedures Helping to co-ordinate intern, work experience and volunteer placements Take minutes at the Equality Steering Group meetings held quarterly Maintaining and updating the training database, other training records and

keeping files up to date Process purchase orders and invoices for training activities

Provide appropriate support to the HR team Preparing application packs, responding to e-mail enquiries, printing off

and organising returned application forms Preparing interview papers including references and effective candidate

liaison

preparing new starters, interns, work experience and volunteer files, checking and following up documentation (references, identity, qualifications, health, work permits, security vetting etc)

notifying IT, Training and Facilities of new starters

This is not an exhaustive list of duties and the Gallery’s management may at any time allocate other tasks which are of similar nature or level.

Person Specification

Experience and Qualifications

A minimum of six months previous office experience

Experience of scheduling and co-ordinating events

Previous experience of maintaining database

Skills

Excellent organisational skills

Ability to manage multiple projects/tasks

Excellent written and spoken communication skills

Ability to deliver, or willingness to develop, basic training sessions and presentations

Able to work well as part of a team

Good IT skills to include; data base management, general Microsoft packages

Be approachable and helpful, with the ability to remain calm in difficult situations and work well under pressure

Able to use initiative

Good attention to detail

Other

Ability to work flexibly

Confident, out-going and enthusiastic

Training and Human Resources Assistant

Details of the post are given below and in the job description. You should take care to show in your application how you can fulfil the requirements of the job.

Period of AppointmentThis post will be fixed for a period of eighteen months.

Hours:This post is for 24 hours gross (3 days – preferred Monday, Tuesday and Thursday) per week, including a lunch break of one hour for a full day worked.

PayThe salary for this post will be pro-rata £17,000 per annum,

Annual LeaveThe annual leave allowance is pro rata 25 days per annum.

Place of WorkMost of the work is based in the Gallery at St Martin’s Place, but all staff are required to work at other locations if necessary.

Probation and Trial PeriodAll appointments are subject to satisfactory employment and character references, security clearance and eligibility to work in the UK. There is a probationary period of 12 months for all permanent posts. For fixed term posts the probationary period may be less than 1 year.
