Chapter 1 Customizing email

Email customization in TIBCO Formvine® provides an opportunity for you to extend your company branding and messaging to your Formvine®users, which might include your employees, customers, or the general public. By customizing, you can add to the credibility of the email, which will help reassure users who might be wary of spam and phishing.

This chapter explains the possible customizations for the email generated by Formvine. You can change the style, the headers and footers, the default subject line, and the default text.

HTML and CSS skills are required for the customizations described in this chapter. As a best practice, we recommend that you make a backup copy of each file before editing.

Overview of Formvine emails

Formvine can generate the following types of email.

• User account emails are generated by Formvine for registration-related events, including registration activation and confirmation, as well as password reset.

• System emails are generated by Formvine form system-related events, including adding and removing project owners.

• Notification emails are alerts configured and generated by a project owner for a specific project.

The following table describes the types of email that are generated by specific Formvine events. Email identified in the Type column as Formvine-generated cannot be disabled by the project owner. Notification emails identified as project-owner generated are optionally generated by the project owner on a project-by-project basis.

Why customize?

The content and styling of Formvine emails are based on templates and are written generically to accommodate many use cases. Customizing these templates on a system-wide basis makes the emails more specific to your company and use case. Customization also helps reinforce your company messaging and highlight your company brand.

If form submitters are outside your enterprise, you can tailor the default notification email text to extend your company message to these recipients. Alternatively, if most form submitters are internal, you can make the tone match your company intranet’s voice and style. As you work through these customizations, consider your target audience and the type of messaging they are most likely to respond to.

Some of the options that you might customize system-wide can also be altered by the project owner. For example, a project owner can change the subject line for notification emails and add additional text, including form data and project-specific variables, to the default message.

For help or questions, all emails include an email link to your Formvine support email address. For certain types of emails (for example, those that are sent to recipients outside your enterprise), you might want to remove this link, as internal support resources might not be available to the recipient.

What is customizable?

The following diagram illustrates what parts of an email can be customized. You customize some of the pieces based on system requirements while project owners can configure others, based on project requirements.

The implementation settings (the black labels in the figure) are system-wide. A project owner’s settings (the red labels) apply to a specific project and override the project default that is based on customized system-wide settings.

Customizing email templates and properties files

To edit Formvine emails, you will edit both templates and properties files. These files are located in the following folder: TIBCO_FV_HOME/WebContent/WEB-INF/config/templates/email

Table 3 lists the files in the folder, what they are used for, and if they are editable.

Customization changes are changes made to files in the TIBCO_FV_HOME/WebContent folder. They are not carried forward when you upgrade. You will need to reimplement any changes made to files in this folder.Reapplying customizations after an upgrade is not a matter of copying the customized file from before the upgrade. In some cases, where the underlying file is changed in the upgrade, the actual customizations will have to be applied directly to the new file after upgrade. That is why it is important to back up the default file shipped with Formvine before customizing and also back up customized files before the upgrade.Configuration changes are different from customizations. Configuration changes are the changes applied to configuration property files such as features.properties. These changes are migrated during the upgrade process. You do not have to reapply them after an upgrade.If you are running Formvine on an application server other than the embedded Tomcat, you need to make the corresponding changes to the WAR file and redeploy.

Headers and footers

Although you can’t apply CSS to a Formvine email, you can customize the header and footer (Items 3 and 8 in Figure 1, Anatomy of an email, page 15). For example, if you are confident that all recipients are familiar with the Formvine brand and TIBCO, you can use the default header and footer. Alternatively, you can add your Formvine brand to the header and your company logo to the footer.

As another option, you can customize headers and footers by email type. For example, you can have user account and system emails use one type of header and footer, and set up notification emails to use another type. This strategy allows recipients familiar with Formvine to receive emails branded with your company’s Formvine logo and the Formvine footer, while recipients who are not familiar with Formvine receive emails branded with only your company logo in the header and footer. This can reassure recipients that the email comes from a trusted source.

The Formvine generic implementation includes headers and footers for user account and system emails, but not for notification emails. Here's an example of a user account email with a logo and generic footer.

Using the same header in all email types

The instructions in this section tell you how to display the same header on all types of email generated by Formvine. Before you start, you’ll need your Formvine brand (the standard Formvine brand with your company mark), sized to about 41 pixels high. The width is not critical.

Shut down the Formvine server before implementing these changes.

When implementing Formvine, you can create default text that is customized specifically for your company and use case. In addition, a project owner can edit various aspects of a notification email, including the subject line and email text. Project owners can also insert variables into notification emails to include data submitted to the form or project-specific data, such as submitter or task assignee name and email address.

Emails are created with the Java-based Velocity scripting language. More about Velocity can be found here:

Default email templateFormvine provides a template for a default email. This template is used when Formvine cannot locate an appropriate email template. The file is called default.vm and is located in the email configuration folder of your installation: TIBCO_FV_HOME/WebContent/WEB-INF/config/templates/email

Do not edit this file.

Project-specific variables in email textYou can add data and flexibility to your emails by using project-specific variables. Project-specific variables represent pieces of data that are associated with a project, like project name and description, details about who created a record and what time it was created, or the details for who submitted a record. These variables are replaced with values from the specific project when Formvine generates an email.

When you’re updating the default personalized text and subject lines, you can add project-specific variables. Variables are proceeded by $ and enclosed in curly brackets: ${...} For example, the variable ${project.title} is used in most default subject lines and is replaced with the title of the project.

For system emails, we recommend that you retain the ${project.title} variable used in the subject line, the URL variable (${server.base_url}), and the support email link (${server.support_email}).

Configuring user account email textIf you are using a Formvine directory implementation, where users self-register, Formvine can generate the following emails:

• The registration activation email can be sent after a user clicks Submit on the Registration page. It includes a link for registration activation. This optional email can be turned on or off at installation. (If the email is turned off, the user is automatically registered and signed in after registering.)

• The registration confirmation email is sent when the account is activated and confirms the registration. It introduces the new user to the public Resource Center.

• The password reset email is sent to a registered user who requests a password reset. The email contains a link that activates the Password Reset page, where the user can complete the password reset process.

For help or questions, these emails include an email link to your internal Formvine support. Because these emails may be the first communication from Formvine to your users, you might want to customize the content and voice to suit your audience.

Configuring notification email textProject owners set up notification emails on a project-by-project basis. Notification emails are sent when forms are submitted or a submission is updated by the submitter, and when tasks are assigned or completed. Notification emails can be sent to the submitter, task assignee, and to any number of email address lists.

The base template for each type of notification email can adopt multiple flavors, depending on the situation. For example, when a form is submitted, the notification email sent to the form submitter has a different subject line than the notification email sent to a list of people announcing that the form received a submission.

A project owner can customize the subject line, the default personalized message, include the data submitted to the form, as well as add individual form data and project-specific variables. You can consider adding or removing project-specific variables, but be sure to keep the project name variable ${project.title}to help orient recipients.

By default, we provide a single template for all audiences. However, you can customize this template for different audiences.

It’s a good idea to customize headers in notification emails to use your company logo. This will help reassure recipients that the email comes from a trusted source. See the section called Use your company logo in notification email headers, page 23 for information.

Configuring system email textFormvine generates the following system emails:

• The owner add email is sent when a project owner adds an additional owner to a project. The email is sent to the new owner.

• The owner remove email is sent when a project owner removes another owner from a project. The email is sent to the removed owner.

The return address on these two emails is that of the project owner, not the Formvine administration account. This allows the recipient to reply directly to the project owner. By necessity, system emails include the project name. For help or questions, these emails also include a link to your internal Formvine support.

Owner add email

The table below shows the subject line and text for the system email that’s sent when a project owner adds another project owner. We did not change the text from the generic text for the Formvine at TIBCO implementation.
