Teaching with Microsoft Office 2007
Introduction
The new and innovative changes
to Office 2007 will change the way
you teach applications to your
students
Introduction
Students who think they already
“know” how to use Office will need
retraining
Students new to Office will still have
to get used to a different type of
interface
Impact on classrooms
Office 2003 will no longer be
available for purchase after
January 2007
Impact on classrooms
•It will take some time before
students purchase 2007 so
additional open lab time is a must
•Using a simulated environment is
another option.
Office Suite of Products
▫Versions- Office 2007 comes in EIGHT different versions!
▫So which is right for your students?
Results-oriented user interface
As a class, compile a list of
features/tasks/commands used most
often and talk about how Microsoft
created this interface based on
similar research
Interface•designed to be easy and more powerful
•get more done in less time- browse, pick and click
Interface
There is a considerable learning
curve. It takes a while to find
everything.
Interface
Some things are more intuitive than
before (Header and Footer are on
the Insert tab) others are not
(paragraph options are on the
Home AND the Page Layout tabs).

your textbook
Ribbon
•Options are no longer buried in layers
of menus and dialog boxes.
•Even students not familiar with Office
2003 will still expect the typical menu
style interface.
RibbonOffice 2007 -Task Oriented Tabs and Groups
Office 2003- Menus, Sub-menus and Dialogs
It’s all about tasks
•What do you want to do? If you can
think of something you want to do,
you can do it.
• Talk about the types of documents
students might need to create.
Good-bye Clippy
•No more animated paper clips!
• Help is just a click away- press F1
or click the help button-
New File Formats
“The new, compressed Microsoft
Office Open XML Formats offer a
dramatic reduction in file size while
also offering an improvement in data
recovery for damaged files.”
New File FormatsThis might pose some problems if
students create documents in 2007
and submit them to other teachers
still using 2003- it is important to
teach students how to save in older
file types- especially early on.
MS Office Compatibility Pack
Word, Excel, and PowerPoint 2007 File
Formats
allows any user with at least Windows 2000
Service Pack 4 to save as the new formats
allows Microsoft Office Word, Excel,
PowerPoint 2000, XP, or 2003 to open the
new formats
MS Office Compatibility Pack
•Students working at home with
Office 2003 could save as Office
2007 file types- would you know
it?
Microsoft Word 2007
WORD-Here’s the hype
“Microsoft Office Word 2007 helps
people create and share professional-
looking content by combining a
comprehensive set of writing tools
with an easy-to-use interface.”
WORD-Here’s the reality
Word does indeed do these things, but
the “easy-to-use interface” takes some
time to master.
What’s new Building blocks
quickly construct documents from
predefined parts and styles
commonly used objects such as
disclaimer text, pull quotes, sidebars,
cover pages…
What’s new Building blocks
One way to teach this is to talk about a
business letter- to look at it and take it
apart- break into parts/building
blocks, demonstrate by building a
sample document.
What’s new Convert to pdf or XML Paper
Specification (XPS) -allows creation on
non-editable versions of files-
manuals, forms…
PDF files- can be read by most folks
even if they don’t use Office
What’s new Students may find this useful to create
resume which they need to submit
electronically. Many places will not
accept Word files electronically
because of security concerns (Macro
viruses).
What’s new Publish directly to blogs
Use Word’s spelling and grammar
checking before you post.
Word will even help you set it up- it’s
easy.
What’s new Publish directly to blogs
Some students will be familiar with
blogs- but not all- create a class blog and
have students use it to discuss problems
and offer their own tips and tricks- you’ll
be amazed at what you’ll learn!
Better writers Citation
Manager and Reference Builder
Global spell checker for consistency across apps
• Exclusion dictionary
Better writers Citation Manager and Reference Builder
The dialog used to add a new source will
really help students “get it” and they won’t
have to struggle with figuring out the
correct formatting of citations! Maybe they
will even start to use footnotes
Better writers Information Literacy- go through the
various Type of Source Dialogs- discuss
the different Bibliography fields in each
WORD does Math!Equation Builder
Guess what? It’s on the Insert tab!
WORD does Math!Math (science, accounting…)
homework will be much easier to read
when students can type it up- no
promises it will be correct though!
WORD does Math!
Common formulas that can be
used in a project might be- BMI
(body mass index) or converting
between F and C temperature
WORD does Math!Calculation of BMI
BMI is calculated the same way for both adults and children. The
calculation is based on the following formula:
Pounds and inches
• Formula: weight (lb) / [height (in)]2 x 703
• Calculate BMI by dividing weight in pounds (lbs) by height in
inches (in) squared and multiplying by a conversion factor of
703.
WORD does Math!
Equations
can be
saved and
re-used
Advanced toolsSmartArt Graphics- add color, shape, and organization to
information
SmartArt Tie this in with a discussion of hierarchy or cycles- common
themes in Computer Science
SmartArt- Hierarchy
SmartArt- Cycle
Galleries
Simplified formatting by using pre-
defined styles selected from graphic
galleries- browse, pick and click and
the live preview means they can see it.
Galleries
Student typically go overboard on
their formatting- creating documents
that look amateurish. Galleries give
them a more finished looking project
with less work.
Live Previewstudents can
try it before
they buy it-
saves a lot of
grief trying
to undo
changes

Ribbon
•divided into tabs instead of menus

need them
dialog boxes are still accessible when
you need them

many ways
enhance it
Ribbon TabsInsert-discuss and come up with a list
of things that you might insert into a
document- then “find” those options
on the ribbon tabs
Ribbon TabsPage layout – find margins and indents in
one place- maybe students will get the
difference now! Demonstrate this on a
sample document.
Ribbon Tabs
References – incredibly powerful
tools for references in a document
Ribbon Tabs
Mailings- envelopes, labels, mail
merge
Ribbon TabsReview- exchange documents electronically
with your students and use the review tab
features for editing- teach students to work
the way they do it in the real world.

Quick Access Toolbar- customize your
own- this is great
for the student that
is frustrated
looking for features
he always uses
Quick Access Toolbar- Set this up as a class,
discussing what
features would make
sense to add, what
order they should be
in and where the
toolbar should live
Microsoft Excel 2007
Excel Specific Changes
Supports up to 1 million rows and 16
thousand columns per worksheet
Dual-processors and multithreaded
chipsets support= faster calculations
in large, formula-intensive
worksheets
Interface ChangesThe Ribbon tabs are specific to Excel, but function just like they do in Word
Charting
Charting
This is one dialog
box you’ll want
your students to
use.
Explore the
different types of
charts that can be
created.
Charting
Select the cells
and with one
click- you’ve got a
complete chart-
and a chart
specific Ribbon
tab appears
Charting
Easy to
change the
chart type
(maybe too
easy!)
Charting
Students still
need to learn
about chart
types from you
(points for
creativity?)
Formula TabMakes it easier to insert and create formulas
and functions (and to display them)
Formula TabThe built in functions are easier and
more intuitive to use than in Office
2003.
Formula TabDemonstrate common tasks such as
Autosum and finding an average
Microsoft PowerPoint 2007
PowerPoint
Takes maximum advantage of
the new Office interface and
features: SmartArt, Charting,
save as PDF
PowerPoint Specific ChangesCustom Layouts- user created
layouts that can be saved and
re-used
Create a custom class layout,
and if you have access, store on
SharePoint server
PowerPoint Specific Changes
Students tend to go overboard
customizing when a pre-defined
style probably meets their
needs, but often they don’t
want to look like everybody
else.
