Information from operative applica-tion systems such as ERP systems is a central production factor in global economic cycles, but also represents an important basis for doing business. Some of this data has to be made available for years, if not decades, ac-cording to the applicable laws. On the one hand, national regulations such as the Telecommunications Act, the Federal Data Protection Act (BDSG), and the Principles for Data Access and Verifiability of Digital Documents (GDP-dU) must be observed. On the other hand, companies that operate globally are subject to international law. This ranges from Basel III for analyzing credit-worthiness, through diverse EU regulations, to the American Sarbanes Oxley Act that can have an influence even in German companies if they have business relationships with US companies. dern Information Lifecycle Manage-ment concept involve storing infor-mation securely and inexpensively whilst observing rules and regulations, and ensuring permanent and easy access to it. Data archiving and sys-tem decommissioning are important components of an Information Lifecycle Management concept particularly in the case of large installations. Decom-missioning of SAP systems is often done on the basis of DART extracts, although DART was developed by SAP for tax auditing purposes. If you want to decommission an SAP system, you must be able to store the data con-tained in it and be able to evaluate this data independently of the system that is to be decommissioned. PBS Software offers a wide solution portfo-lio for this and many other scenarios. More than 1400 customers worldwide are using the PBS software solutions.

The PBS Enterprise Content Store solution was developed to guarantee independent management and evalu-ation in the DART environment and in the case of system decommissioning.

The basic functions of PBS Enterprise Content Store consist of data extrac-tion, SAP-independent data access, as well as an easy-to-use evaluation functionality that includes the display of records. Figure 1 illustrates how you can use PBS Enterprise Content Store to access structured ERP data with-out having to have an SAP system. For this, data is extracted in the SAP

system and stored in files. These files are then transferred to PBS Enterprise Content Store and imported. When doing this, the imported data is stored in the ECS database. Access to SAP data can then be performed directly via the Enterprise Content Store inde-pendently of an SAP system. Figure 3 shows the result of a DART view in the financial accounting area.

Figure 2 shows how you can access both structured and unstructured infor-mation using PBS Enterprise Content Store without the need for an SAP ERP system. When doing this, an external storage system for documents and print lists is additionally used compared to the previously illustrated scena-rio. The storage system contains, for example, documents that are linked to

the records from the SAP system. It is seamlessly integrated with PBS Enter-prise Content Store and can continue to be used after decommissioning of the SAP system. Whereas you pre-viously navigated in the decommis-sioned SAP system from a record to a document, you now perform this step in PBS Enterprise Content Store.

PBS Enterprise Content Store enables the storage and evaluation of SAP data outside of an SAP system. For this purpose, PBS Enterprise Con-tent Store provides comprehensive functionality that is illustrated in the overview in figure 4.

PBS Enterprise Content Store ena-bles the management and evalua-tion of data for different application areas: SAP DART extracts and PBS AIS extracts for tax audit purposes, decommissioning of SAP systems, central management of documents and SAP print lists. PBS Enterprise Content Store in- cludes role-based reporting functio-nality that enables an independent tool for creating and executing views. PBS Enterprise Content Store con-tains views that can be executed directly and additional reports based on SAP Crystal Reports® for various applications.PBS Enterprise Content Store is particularly suitable for generating DART views from DART extracts and, in fact, independently of an SAP system. With PBS CONEX, PBS Enterprise Content Store comes with a com-prehensive extraction tool for a comprehensive removal of data from SAP systems.

The transfer of data into PBS Enter-prise Content Store is performed as an import of a single file or as a mass import by specifying a directory. PBS Enterprise Content Store pro-vides extensive functions comprising an export to Excel, a conversion to SAP Audit format, and the creation of XML files for the export of views and data. Enterprise Content Store can be ea-sily integrated in an existing system landscape with a storage system for documents and print lists. PBS Enterprise Content Server can be extended by a further PBS solu- tion, PBS ContentLink, for the transfer of unstructured data. Test data, for example, for DART ex-tracts, is provided in PBS Enterprise Content Store for test purposes. External data that does not origi- nate from an SAP system can also be stored and evaluated based on the SAP AIS format.

Figure 6 provides an insight into how to use PBS Enterprise Content Store. Below the menu bar there is a toolbar with administrative functions. Below this on the left you have the views on the extracts and files, followed by the views, the reports, as well as the

documents and print lists. Details are displayed on the right hand side. In this example, the selection on the ta- ble of business areas and the list of the selected business areas are dis-played for a DART extract.

You log on to PBS Enterprise Content Store by specifying your user name and a password as shown in figure 5.

PBS delivers three roles with the names Auditor, FI User, and Adminis-trator that are shown in figure 8. Where-as all activities are assigned without restriction to the role Administrator, the roles Auditor and FI User should, by way of example, illustrate the scope and the functions of the role concept:

PBS Enterprise Content Store has a role-based authorization concept (see figure 7). Here, up to 23 activities can be assigned to a role. Examples for activities are displaying views or executing views. At the same time,

PBS ECS contains example DART files that you can find in the installation di-rectory in the folder DemoFiles/DART. After importing the DART extracts an overview of all imported DART

extracts is displayed in the DART ex-tracts view (figure 10). Each DART ex-tract is broken down according to the modules for which data is available.

The classical area in which PBS Enterprise Content Store is used is the central management of periodi-cally generated data extracts for tax audit purposes. Various scenarios are supported when doing this as shown in figure 9: In addition to the data transfer using SAP DART the comple-ted enhancement of PBS CDART to include archive data is also suppor-

ted, as well as the PBS Data Export Interface that works independently of SAP DART. For this purpose, SAP DART or PBS extracts are saved and imported after their transfer into PBS Enterprise Content Store. Afterwards, you can access the extracts and per-form evaluations with PBS Enterprise Content Store independently of an SAP system.

After importing a DART extract you can start immediately with the eval-uation. You can look at the content of tables, execute a DART view or a report. For example, you will find a predefined report based on SAP Crys-tal Reports® as part of the PBS ECS solution. This report is listed in the DART directory for Financial Accoun-ting (figure 11).

The results of the report FI Compact Document Journal is displayed in figure 12:

You can perform the decommission- ing of an SAP system using extracts. Many customers perform decommis-sioning on the basis of DART extracts. In the case that the available extracts do not correspond to the scope of required information, PBS Enterprise Content Store includes an additional program component with PBS CONEX that enables a comprehensive remov-al of SAP data into PBS Enterprise Content Store. The use of PBS CONEX lends itself to cases where a single company area of an enterprise is to

be sold, several systems are to be consolidated, SAP licenses expire, and within the scope of complete system decommissioning. Figure 13 shows how the extraction of the SAP data is performed with the help of PBS CO-NEX, enabling you to extract data per module. Figure 13 shows a scenario in which an SAP system is being decom-missioned. The SAP system has an existing storage system. After the data has been removed, access to docu-ments is performed via PBS Enterprise Content Store.

After importing CONEX data you can start immediately with the evalua-tion. Predefined views are delivered as part of PBS ECS for this purpose. For example, the following views are available for the Financial Accounting area, as shown in figure 15.

display (or to a detail view) of a record (see figure 18).

As a user you can create your own views in order to fulfill specific requirements with regards to the evaluation of information. A view builder is available for you to use for this purpose (figure 19). Execution of the view delivers a result that could be seen in figure 2 previously.

A special requirement within the scope of system decommissioning concerns company sales, where the responsibility for historical data and documents is transferred. In the case where the buyer does not have an SAP system, the unstructured data (documents, print lists) has to be transferred in addition to the

PBS Enterprise Content Store allows you to perform a qualified search for documents of a particular type such as by delivery notes or incoming invoices. Linkage information that forms a relationship between the document and the record is neces-sary for this purpose. Various indices are generated in an SAP system with the help of the Customizing Cockpit in order to generate this information (figure 23). The indices contain infor-

mation about the records and access information for the linked doc- uments. Using the indices you can navigate in PBS Enterprise Content Store from structured data to un-structured data. Accounting doc- uments, sales documents, and cus-tomer invoices belong, for example, to the standard indices. Additional user-specific indices can be cre- ated with little effort in order to fulfill customer-specific requirements.

Through being able to access trans-parent company data and original documents, the use of PBS Enter-prise Content Store is suitable both for tax audits (DART) as well as for system decommissioning and com-pany sales.

In order to fulfill the digital compa-ny tax audit requirements you can provide an auditor the necessary information in the form of views and reports with the help of PBS Enterprise Content Store. Further-more, you can easily make available structured SAP data in a generally readable format on a data carrier. The XML description standard that is also recommended by the legislator is used when doing this.

In addition to direct table access, a view builder, display of individual records, and ready reports based on the SAP report generator, Crystal Reports, are available for accessing your former SAP data.

PBS Enterprise Content Store in- cludes the display of individual re-cords based on the SAP transactions such as the financial accounting doc- ument, material document, invoice, and purchase order. Links between record and original documents are extracted via meta information so that you are able to navigate from a

record in PBS ECS to an original document that is located in a sto-rage system.

In the case of an SAP system de-commissioning, you are still able to access the data of a system that is no longer in use. Various extraction tools are available to enable you to migrate data into PBS Enterprise Content Store.

PBS Enterprise Content Store sup-ports the central storage of print lists in the scope of a system documen-tation and provides extensive evalu-ation functionality.

PBS Enterprise Content Store also provides small and medium-sized companies an efficient and inexpen-sive solution both for performing further processing of SAP data extracts as well as for performing easy-to-use searches for original documents and print lists.

The role-based authorization con-cept enables you to define different views on various applications in a simple yet differentiated manner.
