Event Activation Overview

As a sponsor, you have the opportunity to activate at the Little League Baseball® World Series in Williamsport, as well as our five Baseball and Softball Regional Tournaments and six ancillary World Series Tournaments. You may choose to attend some or all of these events.

Activation plans for Williamsport, Regional, and Divisional Tournaments are due April 4, 2018.

Background Checks – All Sites

Background Check Submission Deadlines:

• Williamsport: July 13, 2018

• Regional/Divisional Tournaments: 4 Weeks prior to start of tournament

• Online Submission Link available: April 6, 2018

Any person in a working capacity present at the Little League World Series or at a Little League event, must complete a background check in order to be allowed on-site. No exceptions will be made.

This includes, but is not limited to:

• Persons working any Little League® event where youth will participate.

• Persons working an exhibitor booth during the Little League World Series or related event (including regional and divisional LLWS events)

• Persons assisting with load in and set-up of an exhibitor booth (including truck drivers and laborers pre-set prior to the official start of the tournament)

• Persons requiring access to the complex prior to 7am DAILY once the games have begun (e.g., staff arriving for daily booth set-up).

• Persons requiring access to the complex AFTER games have ended (e.g., staff breaking down booth).

It is vital that you allow sufficient time to complete the online Background Check process, as this is performed by a third-party organization, and Little League cannot guarantee how long a check may take to process. For all other Little League events including Regional and Divisional World Series activations, we ask that all background checks are processed and approved 4 weeks prior to the event.

Please note: Background Check Requirements vary by state, and depending on the event site, additional state requirements may be required as determined by Little League International, in compliance with the state government.

On-Site Credentials – All Sites

Deadline: June 27, 2018

The Credential Request form is used to identify all those working on-site in Williamsport and/or a Regional/Divisional World Series Tournament activation.

Individual will not be permitted to work unless they have credentials and have completed the background check process. The form will be emailed to you by April 6, 2018.

When completing the Credential Request Form, please remember the following information: • For us to process your credential request, you must fill out all fields on the form (including cell phone

number, email, and dates working). We cannot create a credential in our system without all fields.

• Access to areas other than the public concourse or sponsor area are not covered by this credential.

• These credentials are NOT a substitute for a stadium ticket.

• GROVE ACCESS: Grove access is restricted and is for players ONLY. Access to the grove must be requested and approved with reason and additional Background Check processes will apply.

• WILLIAMSPORT PICK UP: Your credential will be available for pick up at the Security Office. Pick up hours will be shared with you in early August

Reminders: • A credential will not be issued until the individual has completed a background check (see

previous page for Background Check Procedure)

• Minors will not be issued a credential and should be accompanied by an adult who has been issued a credential.

• Additional Media Credentials will be required for individuals coordinating filming and/or photo activities as well.

Goodie Bags are distributed to players as they arrive on-site at each event and serve as a welcome to the site. Often they are distributed in conjunction with a “welcome-themed cookout or dinner at each site or as part of team check in. 2018 LLWS Logo Usage Guidelines

General Guidelines:

• The logo design provides a point of connectivity between all Little League World Series tournament events.

• The specific event logo (detailing division and its city, state or regional tournament) can be utilized on promotional giveaways, packaging, advertising and other promotional materials.

• The following copyright and trademark registration notice should appear on all products, packaging, advertising, and promotional materials when utilizing the logo:

• Requests from media for use of the logo should be directed to the Little League Communications Department ([email protected]).

Usage Limitations:

• All artwork that features the logo must be submitted to Little League for approval.

• The logo cannot be altered without prior approval from Little League.

• While acceptable to use over imagery, it should be positioned over an inactive area of the image.

• The logo may not be given to non-Little League affiliated vendors who are fulfilling services to support your participation in the tournament events including giveaways, booth displays, banners, etc. without express permission.

Regional/Divisional Overview and General Information• Overview

• As part of your Event Activation Plan due on April 4, 2018, please include any Regional/Divisional Site activation elements for review. Please reference the Event

Activation Guidelines in Tab 1 for details to consider when planning activations.

• Participation in Regional and Divisional Tournament Goodie Bags is also encouraged (see Goodie Bags in Tab 1)

• General Reference• The sale of products at a Regional or Divisional site will be reviewed on a case by case basis by Little League Marketing

• Shipping times and instructions vary per Region/Division

• Regions: Items should arrive between 9 am and 5 pm. Dates will vary depending on the site.

• Divisions: Please consult the guidelines per Division on the following pages

• Any representative that is on-site at any point on behalf of a sponsor is required to complete and pass the Background Check process. Please refer to the

Background Checks page in Tab 1 for more information

• Booth Needs• Due to the limited number of staff and volunteers on-site, sponsors will be responsible for retrieving any supplies from storage, if available, during each

tournament unless otherwise noted by the Regional/Divisional Director

• Regional/Divisional complex space is limited; therefore, booth space will be assigned when sponsor attendance has been confirmed

• Tents, chairs, tables, storage, etc. are not guaranteed, but suggested rental and storage company information is available for many of the tournaments noted in the

On-Site Guidelines for each location

• If using a tent, 55-gallon water barrels that can withstand heavy winds are suggested to ensure that tents are properly secured/stabilized. Taking the tent down

daily and storing it overnight is also suggested. Please be prepared to take tents down in the event of imminent inclement weather

Mascots or other sponsor representatives will not be permitted on the field during the

games and only on the field and in the stadium with approval. Banners, mascots or

other branded displays will NOT be permitted in the outfield spectator area or in

“camera” view.

The “concourse” area (outlined in red) around and between the stadiums, the pavilion,

the restrooms and the merchandise area is designated for or fans to mingle, trade pins,

and enjoy the event.

Mascots may visit fans in these areas with prior approval.

Shipping Address

Secure storage areas will be available for your LLBWS booth items. We will email you an electronic template for shipping labels to be used to ship items to South Williamsport. Be sure to affix the shipping label to the outside of every package sent to Little League.

If you unable to use our labels (e.g. shipment from a central warehouse), please be sure to address package(s) exactly as shown below. We have many individuals receiving various packages ahead of the Series; using these labels and addressing packages as outlined below will avoid misplacement of items.

Post-Series Breakdown & Shipping Policies - Williamsport

Booth Breakdown

Tear down may begin immediately following the close of the booths on Championship Sunday , 8/26. Vehicles are not permitted on the complex until at least 1 hour after the game ends. Little League Marketing will work with you to coordinate timing of vehicle access. We will be on the complex Monday, 8/27 and Tuesday, 8/28 following the event for additional tear down if necessary.

Shipping After the Event - PLEASE PLAN IN ADVANCE.

You will need to make arrangements for pick-up of items you plan to ship back to your offices using your own shipping labels with your company’s appropriate shipping account numbers and billing information.

All trucking companies need to be called for these arrangements and your account numbers are to be used for billing purposes. Bills of lading are required to be left with your shipments.

If you plan to use FedEx or UPS, you will need to have all slips completed and placed on your packaging before you leave. Please be sure to use YOUR office address tied to the FedEx or UPS account number you will use.

If you are using FedEx, you will need to call them to arrange for pick-up of your items. FedEx does not have regular pick-ups at our location. UPS does have scheduled stops at our facility, so no need to call them to arrange for pick-up.

We will provide 2 parking passes good for daily use in designated stadium parking area. Ticket Allocations - Williamsport

Thursday, August 16 – Thursday, August 23

Little League will provide passes to Section 1 of the stadiums. Section 1 seating is open, on a first come, first served basis. Unless otherwise designated, all other sections will be first come first served seating – no ticket/pass needed for entry.

Championship Weekend, Saturday, August 25th and Sunday August 26th,

ALL sections of Lamade Stadium will be ticketed by section. On Saturday, August 25th, tickets will be distributed for eachchampionship game – 1 US Game and 1 Int’l Game. Tickets will only be valid at game listed on the ticket.

As opportunities arise to reference our partners throughout television broadcasts or during other in-stadium announcements during the LLBWS, Little League would like to have the preferred brand name to use in these instances.

On-air references will begin when Regional Tournaments begin their television broadcasts in mid-July and run through the end of August at the conclusion of the LLBWS. Please note that only brand name can be referenced—we cannot include any company or brand slogans.

If you do not specify any language, Little League will use the terminology referred in your sponsorship agreement.

Throughout the LLBWS, there will be opportunities for announcements over the PA system at the Williamsport complex during games.Messages are typically used to drive traffic to your booth in the Family Fun Zone area. Use this message to remind families about activities or giveaways offered at your booth. Messages should be limited to 15 seconds.

Meal Pass Requests - Williamsport

Each sponsor receives 5 meal passes per day for each day of the Little League Baseball World Series. Passes have a redeemed value of up to $7.50 and can be used at the main concession stand on the concourse, as well the main concession tent located beyond the right field.

Should you require additional meal passes for your staff, please complete the Meal Pass Request form (form will be emailed to you in June). If you will only require the standard 5 passes per day, you do not need to complete this form.

Grand Slam Parade Information

Due: June 29, 2018 to Lycoming County Visitors Bureau

The Lycoming County Visitors’ Bureau hosts an annual parade to welcome the 16 teams attending the Little League Baseball® World Series.

The parade will be held the evening of Wednesday, August 15, and the Visitors Bureau is offering Little League Sponsors a first look at parade sponsorship packages, including a team float sponsorship.

There will be 8 floats that will carry the 16 teams in the parade, with each float carrying a U.S. and an International team.

If you would like to be a part of the parade, please contact Jason Fink at the Lycoming County Visitors Bureau, 570-320-4213. to reserve a float for sponsorship.

Official packages regarding sponsorship will be available in March.

Please note that this is not a Little League event and may incur additional costs.

• General Guidelines

• Submit proposed copy and creative to Little League Marketing for review 7-10 business days prior to any posting on your or Little League’s social media channels. Doing this well in advance will ensure that Little League can review, approve, and plan to share across Little League’s channels where appropriate.

• Social media posts should highlight the family-focused, child-centric ideals/activities and avoid off-color/inappropriate topics, or foul language.

• Posts, when involving Little Leaguers, should highlight the team effort and overall team instead of calling out a specific player.

• Content should be supportive and representative of your relationship with Little League.

• Use the Little League Style Guide as a reference for proper use of registration and trademarks.

• Additional Resources

• Players, coaches and umpires in photos must be equipped to Little League safety standards, with images not depicting head first slides unless returning to a base, as well as other rules for safe play such as correct standards for patches, helmets, etc. Full guidelines, including Little League patch requirements, for depicting Little League in advertising can be found at www.LittleLeague.org/LLersintheMedia.

• Posting of game action footage from the Little League World Series is strictly prohibited and is in violation of our agreement with ESPN. If you are interested in pursuing use of game footage, Little League can introduce you to ESPN to discuss arrangements

• World Series tournament requests must be made at least 5 business days prior to the start of the event. Submit copy well in advance of the tournament start to ensure appropriate review and approval

• Little League will permit select postings to the Little League social media sites throughout the tournament. These requests must be submitted 24 hours in advance via e-mail. Note that game information, stories and reports may be posted ahead of these requests

• A link for your social media page(s) can be included on the World Series microsite which details your activation/booth activities for the upcoming World Series

• On-Site Photos Utilized by the Sponsor

• If photographs are taken during game action, the person obtaining the photographs must be a credentialed member of the media. Photographs may be used from each sponsors booth location and on the concourse (outside of camera view)

• It is the responsibility of each sponsor to obtain permission from spectators/consumers if posting photographs and/or video from their booth locations. A waiver form may be required*

• *Note: If the spectator is participating in RFID (have received a wristband), they have likely met this requirement via RFID registration process

• When imagery, creative or logos are used that are provided by Little League International, a legal line must be included:

On-Site Filming Guidelines

• General Guidelines

• Please ensure that your videographers and photographers are fully educated on these guidelines. All filming plans require prior approval. Be sure to include your general concepts for filming in your Activation Plans, so your plans for filming can be vetted and approved. Please share this information with all pertinent group members.

• For all videos that interview or capture subjects in an individual way, you will need to capture releases for the subjects you are featuring. LLB should have reviewed your waiver and you should have an approval from us. If you do not have an approval, please submit your waiver ASAP.

• Capturing game footage is strictly prohibited and in violation of our agreement with ESPN. Therefore, no video cameras may appear in the stadium areas. You will not be permitted to capture any “in-game action”. You are encouraged to contact ESPN Licensing if you have specific in-game footage needs.

• **Video footage/editing: Little League reserves the right to have final approval over any usage of the footage used/videos created. SPONSOR must receive approval before publishing.

• Location of Filming

• Security will be briefed on your specific filming needs and will alert us if there is unpermitted filming occurring. Unless you have been approved in your specific filming plan, you will be restricted to conduct filming activity to the concourse area and around your booth location.

• Please avoid filming or having a film crew in the area of the ESPN SportsCenter Set when they are broadcasting. You can expect broadcasting to happen at least once per hour.

• If you have requested access to the Museum for filming, please do not interrupt the experience of our museum patrons. Filming in the Rotunda Theater or the Dugout Theater needs to be approved in advance. Please alert one of the museum workers at the desk when you arrive that you will be filming on behalf of <<SPONSOR>>.

• Identification of Film Crew

• Each photographer and videographer needs to be credentialed. Depending upon your filming goals, Little League will determine the type of credentials needed.

• Your film crew must be in a SPONSOR uniform and wear a Little League credential, in an effort to make them easily identified to security and other volunteers.
