TO SUN CITY FROM JOHANNESBURG• Travel north along William Nicol Drive

to Fourways intersection at Witkoppen Road.

• Turn left into Witkoppen Road passing Fourways Mall on your right.

• At the first set of traffic lights turn right into Cedar Avenue.

• Proceed for 8.5km to T-junction.• Turn left and take first right-hand turn.• Proceed 2km to T-junction, passing over

R28 freeway.• Turn right at the T-junction into the R512.• Carry on until the next T-junction (R27)

passing Lanseria Airport turnoff.• Turn left on the R512 to Magaliesburg.

9.4km further on, turn right (R512) towards Brits.

• Cross the railway line and onto the bridge over Hartbeespoort Dam, at the T-junction turn right (R512) to Brits.

• Travel to a major 4-way stop.• Turn left towards Brits and Rustenburg.

Pass the first turn-off to Brits.• Travel straight on, passing Tropical

Gardens on the right. • Pass the R27 road on the right and the

signboard: Sun City 89km.• Travel straight on for approximately 10km

until you reach signboards: Sun City 79km.

• Turn right and cross over the highway, and you are on the direct road to Sun City.

TO SUN CITY FROM PRETORIA Select N4, R27, R514 or R513 to the 4-way stop intersection just beyond the tunnel at Hartbeespoort Dam. Follow directions from this intersection as detailed on this route map.

FROM SUN CITYLeaving Sun City, turn left and travel the direct route for 79km. At the T-junction, turn left and travel towards the Hartbeespoort Dam for approximately 15km to the major 4-way stop. Turn right. Travel 5km and turn left. Proceed past the chicken farm on your right. Cross over the (R28) freeway to the T-junction. Turn left then first right and proceed to the Fourways Mall.

GENERAL CONFERENCE INFORMATION

IN ACCORDANCE WITH THE RESORT GROUP POLICY, YOU WILL RECEIVE THE MAIN CONFERENCE ROOM WITH THE EXCEPTION OF THE SUN ARENA (SUPERBOWL), 1 OFFICE VENUE/BREAKAWAY VENUE (IF REQUIRED) & 1 DINNER VENUE, PER DAY, AT NO COST, EXCLUDING THE PALACE VENUES.

This is subject to a minimum of 10 accommodation rooms being booked per night. Our Event Manager can obtain permission should your venue be booked at The Palace and you are not a resident. The following inclusions are standard items in the conference venues:• 1 x standard screen • 1 x fixed white board in small rooms

& limited number of 4 flip charts and markers in big venues with conference pens and pads

• 1 x podium with podium microphone & PA system (when no in-roof system is available)

• 1 x data projector • Ice water and mints

Please note that the above is only applicable to conference venues, and is not included when hotel accommodation rooms are used as conference or breakaway venues. Should your meeting room requirements increase, the appropriate charges will apply.

GUARANTEE The exact number of guests attending a function must be finalised at least 48 hours in advance. This is considered a ‘guarantee’ and will be the basis upon which you will be charged.

LINEN With the new modern clean look of the conference venues, no linen is required.For functions, we have a selection of black and white tablecloths and napkins to choose from for your event. Other linen and colours can be sourced and hired on your behalf at an additional cost.

SEATING Banquet seating will be rounds of ten people per table, unless otherwise specified. For Gala dinners, tables less than 10pax are at an extra cost for waitrons.

OUTSIDE EVENTS Should there be a report of 40% or more chance of rain, the hotel recommends that the scheduled function be moved indoors to the designated back-up area. Rain call will be at 09h00 for lunch and 12h00 for dinner; decisions will be made by client and Sun City management.

EVENTS CONFERENCE & SPORTS Experienced Event Managers and Co-ordinators assist in planning and executing a getaway for any group, becoming the central contact point to ensure that all requirements are of a high standard, and are facilitated to create the best experience for delegates. Working closely with the Events and Entertainment team, is an array of support teams at Sun City, that becomes a centre for all requirements to execute a memorable event. DÉCOR DEPARTMENT The Décor Department provides various decor themes that range from African Elegant themes to fun or fantasy themes. If you wish to create your own theme, we can custom-design a theme to meet your requirements. Other services we provide include:• Pyrotechnics• Table décor and linen• Entertainers/musicians to suit any theme.

INFORMATION TECHNOLOGY Our Information Technology team have qualified engineers who can rig the most intricate network to best facilitate your technology requirements, which includes a simple office set up to a business centre for delegates.

MAINTENANCE A dedicated team of Maintenance Engineers are available to assist with a variety of needs, from cabling requirements to ensuring that we are able to accommodate requirements of any magnitude. These facilities include cabling, electrical, generator, water requirements, to mention just a few.

EMERGENCY SERVICES Sun City’s Emergency Services team are vigilant in ensuring that, at all times, safety is prioritised. Floor plans and technical plans are to be drafted in consultation with Sun City’s Emergency Services team. Where outside production companies are used, a Safe Working Agreement is to be signed that confirms the company operates according to the guidelines set out by South African Law.

SECURITY Working closely with events, Sun City’s Security team can supply Security staff for the various needs of a conference. This includes guards to monitor access control to personal protection for VIPs at a cost. Please enquire about this facility with your Event Manager/Coordinator.

TEAM BUILDING Sun City has concessionaires that provide team building exercises ranging from drumming, adrenaline, zip slide, water world and game drives.

CORPORATE SOCIAL INVESTMENT Sun City strives to improve and socially uplift the community in which it operates, both financially and practically. Together with Sun City’s Corporate Social Investment team, groups are able to get practically involved with our existing projects and/or identify new projects to give to our community. Our Corporate Social Investment team’s finances are audited, to ensure that all donations are accounted for and spent in accordance with your requests. Previous corporate partnerships include building houses, classrooms and other school facilities. At these partnership events, delegates have been practically involved with the actual building as part of a team building experience.

2. Please Note: The Sun Arena (Superbowl), Sun Park and Green House require being booked for 1 set-up day and 1 breakdown day in conjunction with the main event days.

3. All current prices include 15% VAT. Prices are subject to change without prior notification. Prices cannot be guaranteed, due to annual inflationary & producer price increases.

4. Please observe yearly rate increase by 1st December.

5. Kindly note that all buffet menus are subject to groups of 50 delegates or more. A minimum of 50 guests will be charged for all groups choosing buffet menus.

6. Kindly note that all set menus are subject to groups of 10 delegates or more. All groups less than 10 pax is A la Carte at restaurant.

7. All outside venue rain plans must be booked. Sun Arena (Superbowl), Sun Park and Green House are not rain plan venues.

8. All banqueting actual food & beverage charges are subject to a 10% service charge at The Palace and denominated venues. The Palace, Cascades and Legends at SOHO restaurant are subject to a 10% service charge only.

9. The resort reserves the right to approve all items intended for all functions, signage or display requested by the client (or sponsor/s). The Palace permits no signage except for free standing/pull ups – at designated hospitality desks. This is subject to availability and prior arrangement.

10. Use of foyer exclusively for exhibition venues, requires the client to work closely with events. Sun City’s Security team can supply Security staff for the various needs of a conference. This includes guards to monitor access control to personal protection for VIPs. Please enquire about this facility with your event manager. Hire all banqueting venues within the vicinity as a private venue.

11. All day functions must terminate by 17h00. All evening functions must terminate by 00h00, except where otherwise applicable or indicated – including – but not restricted to: Overtime after 00h00 for staff.

a. The Sun City Bomas (Letsatsing & Botsalanong), which have been deemed by the Pilanesberg National Park to end by 22h00.

b. The following areas have loud noise restrictions & require functions to end by 23h00, due to noise consideration for adjacent accommodation units – and have loud noise restrictions: The Palace Pool Deck & Baobab Outlook, The Valley of Waves, The Cabanas Lawns and Beach, Gary Player Country Club and all The Palace banquet venues.

c. The following areas are only able to host functions from 20h00 due to operational set up restrictions: Gary Player Country Club, The Palace Pool Deck, The Valley of Waves, Amphitheatre and Crocodile Lounge.

d. Please note that there will be additional charges for any extra items needed in the venue - Please check with your Event Manager/Co-ordinator when making your initial booking.

12. Wines chosen are subject to availability. Wine vintages cannot be confirmed and are strictly subject to availability.

13 Clients may bring no food or beverage onto the resort for consumption on the premises – in connection with any function.

14. The resort must be given prior written notice of the intention of a client to employ a third party(ies) and the resort reserves the right to object to the employment by clients and guests of any persons in connection with any function.

15. Please note during the months of May-August the average temperatures on the resort are between 5-8 degrees Celsius. This is to be taken into consideration when using outdoor venues.

16. Administration of New Events: • All initial enquiries are channelled

via the Resort Events, Conferencing & Sports: Internal Sales department – who will ascertain availability and costing.

• All tentative/non-confirmed event files will be held at the Internal Sales office, until such time as a signed contract or letter of agreement (in the case of annual contract holders) and initial deposit is received.

• A dedicated Event Manager will be allocated to work on the event file and assist with the planning and finer details, once the event is confirmed.

• If your event is booked within 45 days of start date, full prepayment is to be made in order to confirm your event.

17. Deadlines for deposits, final numbers, submission of rooming lists, and final payments will be set as part of the contract. Should the deadline dates not be adhered to, the reserved accommodation will be released without notice. Where applicable, penalty charges will be raised as stipulated in your contract for accommodation.

18. Cancellation fee for golf bookings: Final numbers to be confirmed 10 days

before the scheduled golf rounds; Any cancellations within 10 days will

be charged in full to the client; New golf bookings within 10 days of the scheduled golf rounds will be charged in full as per the numbers requested.

19. Please note that a minimum of two weeks’ notice is required to order in kosher meals.

20. Sun City Banqueting Department offer halaal meals and 72-hours notice is required.

21. Kosher meals are available on request and we require a week’s notice in order to supply.

EXHIBITIONS

EXHIBITION LOAD-IN & LOAD-OUTThe client must submit a load-in and load-out schedule to the events manager or events coordinator. The schedule must provide for relevant timings and instructions to exhibitors for: • Arrival time and route instructions

(Access/exit)• Queuing policy at arrival & break down• Parking policy (Loading bay and public

areas – in line with legislation)• Off-loading policy – Priority – Loading

bay. The convention centre entrance may only be utilised if approved by the Resort Health & Safety executive officer.

• Load-out policy The schedule must be enforced by the relevant exhibition contractor or representative from the client organisation in tandem with Sun City Security. This person must be introduced to the Event Manager and security staff prior to the event. Each exhibitor must be clearly accredited. SASREA = South African Sport & Recreation Act application must be completed and induction is compulsory for all exhibitors who are doing set up. Please obtain application form from your Event Manager. EXHIBITION FLOOR PLANS & ELECTRICAL SET UPSAll exhibition floorplans must be approved by Health & Safety Officer. The relevant Sun City Resort Safe working agreement must be signed off by each exhibitor and co-signed by the exhibition contractor/organiser.

ACCESS & EXIT FOR EXHIBITORS & CONTRACTORS: MANIFESTSResort Health/Safety and Security policy: To provide a safe environment for all employees/contractors and guests on the resort. To enable this policy – the resort reserves the right to search any vehicles during access/exit stage. Every exhibitor must be in possession of a manifest of goods that is in their possession when coming onto resort:• This should be on the relevant company/

organisation letter head. • Goods will be verified on arrival at

The Resort Entrance and signed in. • This will allow exhibitors to exit

efficiently after the event when searches are conducted.

Please note, all exhibition stand & floor plans must be approved by the Resort Health & Safety Executive and Banqueting Manager, prior to stands being sold.

PREFERRED SUPPLIERS Should you require the assistance of a specialist exhibition contractor to facilitate with the planning, infrastructure & delivery of the exhibition components of your event, we can refer you to the resort’s preferred exhibition contractors, GL Events, DDZ and Circa etc.

The Sun City Environmental Department is tasked with the implementation and management of the ISO 14001 Environmental Management System (EMS). The department consists of three employees, the Environmental Manager, an Environmental Officer as well as the Environmental Training and Awareness Officer.

Due to the size and nature of the resort, the department is further assisted by an onsite Waste Management Contractor with 60 staff, 12 primate management guards and a bee farmer.

ENVIRONMENTAL MANAGEMENT SYSTEM Sun City implemented an ISO 14001 EMS which was certified by the South African Bureau of Standards (SABS) in October 2014. The ISO system is based on a Deming Cycle Plan - Do, Check and Act.

Planning the Deming Cycle involves determining the scope of the EMS, identifying the aspects and impacts of the operation, understanding the legal parameters and any additional requirements as well as setting objectives and targets.

• Do - includes the development of resources and responsibilities, communication, document control and emergency response.

• Check - is the ongoing monitoring and measurement, compliance audits, non-conformance management and control of records.

• Act - is when the management reviews the system and recommends necessary changes and sets new goals in order to ensure continual improvement.

SUN CITY’S ENVIRONMENTAL MANAGEMENT

LEGAL COMPLIANCE All aspects of the resort’s daily operation have various environmental impacts. The majority of the impact can be linked to environmental legislation which requires the department to ensure compliance with the thresholds set in the legislation. All new developments require environmental assessments to determine the impact as per EIA regulations in order to attain environmental authorisations to commence the activity. This includes water and waste licenses.

ENERGY AND WATER MANAGEMENT Although the utility operations fall within the scope of work done by the Engineering Department, the Environmental Department sets environmental objectives and targets with the Engineering Teams. The teams have implemented various energy and water conservation strategies since 2008 including solar geysers, heat pumps and LED light replacement projects around the resort which have culminated in a decrease of 1 million Kilowatts per hour each month. Further to this water metres were installed around the resort, awareness campaigns were implemented and major leaks were repaired which have saved millions of litres of water per month and still dropping. Almost a third of the fresh water used each day is recycled, while the waste water from the hotel rooms and kitchens, known as black and grey water, flows to the waste water treatment works where it is cleaned, filtered and disinfected to meet irrigation water standard. The water is pumped to the golf courses for irrigation saving the resort around 2.5 million litres of water a day!

GREEN TEAMS There are 14 green teams on the resort that implement the environmental initiatives. All the management employees in a department or hotel will make up the green team. The purpose is to understand and mitigate departmental and individual environmental impact. As part of this the team complements their efforts with monthly awareness events increasing mindfulness amongst employees and guests.

WASTE MANAGEMENT Waste management has become a massive industry where recycling is regarded as the norm. There are 34 waste streams generated on the resort of which five are landfilled, 16 are recycled, 10 are hazardous and lastly, three are re-used. The resort generates around 230 000kg (1650m3) of waste per month of which 140 000kg (1200m3) is recycled. The recycling rate in weight is around 60% and 75%. Sun City has its own landfill site and recycling plant to manage the waste. All garden waste except palm leaves are composted. The composting facility can generate up to 160 tons of organic fresh compost per month, especially after pruning season when large volumes were processed. All hazardous waste is responsibly disposed of and given a ‘safe disposal certificate as proof, ensuring the least amount of impact on the environment.

FAUNA AND FLORA The resort is situated next to Pilanesberg National Park and our extended gardens and wildlife areas create suitable habitats for various animals. Impala and warthog roam the golf courses while the gardens are home to more than 280 species of birds. Our primates are world renowned for their abilities to take food from rooms and guests. They are therefore under the supervision of a primate management team to reduce human-primate interactions. The animal welfare centre was recently refurbished so that injured or abandoned animals can be cared for and rehabilitated to be released back into the wild. The centre also houses the feral cat clinic where spray days take place to manage the cat population on the resort. Guest are requested not to purchase any animals along the roads to Sun City. Purchasing animals creates a market for them and fuels the illegal trade specifically in chameleons and tortoises.

TRAINING AND AWARENESS Educating people and making them aware of their environmental footprint is an enormous task. The department employs a training and awareness officer to educate all employees on the impact they have on the environment through the implementation of awareness events and projects. As part of this all employees working at Sun City Resort are required to attend Environmental Awareness Training which is a full-day training session. The department also hosts a minimum of eight awareness events annually where guests, staff and local schools get involved to create awareness around a specific topic. These include Arbor Day, Wetland Day and Water Week.
