Welcome to the 2015 Summer Student Research Program! This package of material is designed to give you information on the elements of the program that we hope will make your summer a rewarding and enjoyable experience.

The primary purpose of the program is to expose students to a research environment and to have them develop research and laboratory skills. This is done largely by having students work on specific research projects under the direction of a designated supervisor and then present the results of their research in poster format in late July at the program’s Poster Day. Prizes are given for best posters and all participants are given gift cards to the UBC Bookstore.

The program also includes a seminar series on Tuesday and Thursday mornings, commencing Thursday, June 4. Tuesday morning sessions will involve students giving presentations of their research projects. In this way, each of you will be able to find out what the others are up to. Thursday sessions will include Faculty presentations on their research interests or subjects that we think are of interest to you.

On Thursday, June 18 students are also invited to attend the institute’s annual Trainee Research Forum. Graduate students, postdoctoral fellows, and clinical trainees will have posters on display. You are encouraged to view their posters and speak to them about their research. I encourage you to take this opportunity to learn more about a future in science and research.

At the conclusion of the program you will be sent an evaluation form. We ask that you complete the evaluation as soon as you receive it. We depend greatly on your input in designing the Summer Student Research Program for future years.

WELCOME TO CFRIThe Child & Family Research Institute (CFRI) is dedicated to research spanning a wide range of children’s and women’s health concerns. As a member of the CFRI community you are among some of the most respected scientists and trainees in their fields.

Incorporated in 1995, the institute features facilities in the heart of Vancouver that afford researchers close access to leading-edge health care organizations serving children and women from around the province. It is the largest research institute of its kind in Western Canada.

CFRI’s success over the past several years has spurred exceptional growth. To accommodate the boom, a $58.1 million complex with sophisticated equipment was added, effectively doubling the institute’s size. The new facilities, which opened in 2008, were designed to cultivate increased collaboration among basic, clinical and population health researchers.

CFRI is home to more than 200 faculty members associated with the University of British Columbia, BC Children’s Hospital and BC Women’s Hospital & Health Care Centre. Our members cover a wide variety of research interests on the leading edge of children’s and women’s health and health care services, including: Childhood Cancer & Blood Research Diabetes, Nutrition & Metabolism Developmental Neurosciences & Child Health Genetics & Health Immunity in Health & Disease Innovations in Acute Care & Technology Reproduction & Healthy Pregnancy

Research ProgramStudent Expectations

Attendance - The Summer Student Research Program is designed not only to provide you with research experience, but also to expose you to the breadth and depth of research going on the Oak Street Campus, and to maximize contact with your peers and mentors. As such, a number of special events and seminars have been planned. You are expected to attend all of them.

Punctuality - Student attendance is expected. Show respect to your colleagues and mentors who are presenting at these seminars and be on time each morning. Unexplained absences will be reported to your supervisor so remember to sign-in before each session.

Assignments - Summer students are expected to participate fully in the program by presenting on their assigned day and preparing a poster for Poster Day.

Respect - The mentors, peers, staff and facilities at CFRI and on the Oak Street Campus are all resources that together create an outstanding learning environment for students. Kindly treat them with all the respect they deserve.

Program Expectations Quality training - You have been accepted into the Summer Student Research Program on the basis of your application and your potential to contribute to the lab/project of your supervisor. These individuals and their lab members, having made a commitment to host summer students, are expected to provide you with specific mentorship required to accomplish the assigned lab work.

Exposure to a variety of topics - A fundamental component of the Summer Student Research Program is to maximize students’ exposure to the variety of research undertaken on the site. Summer students can expect to learn about the projects within their host lab and across the site through seminars and presentations developed especially for the Summer Student Research Program. Associated skills training - Summer students can expect to learn skills and tips to assist them in the preparation of posters and oral presentations. There will be time to practice these skills throughout the program.

Orientation

Tuesday, June 2 I 9:30 –11:00am I Chan Centre for Family Health EducationAt the orientation students will have the opportunity to learn more about the requirements of the Summer Student Research Program program and the services and resources available to students on the Oak Street Campus. Breakfast will be provided. Students are strongly encouraged to attend. For students unable to attend a late orientation is scheduled for Tuesday, June 9.

Student Presentations Tuesday, June 9 - Tuesday, July 28 I 9:30–11:00am I Chan Centre for Family Health EducationTuesday seminars will consist of short student presentations on their summer research project. This is an excellent opportunity to practice speaking in front of colleagues, and will facilitate the sharing of data and research results. Supervisors and colleagues are welcome to attend and assist with questions. Presentation Date - Students will be assigned a presentation date based on the project start date (i.e. Students who start onsite early May will present early June). The assigned date will be emailed to the student and supervisor mid-May. If you have any problems with the selected date please contact [email protected]. Criteria - Student presentations will be 10 minutes in length, which includes 8 minutes for the presentation and 2 minutes for questions. The structure and format of the presentation is at the presenters discretion but while drafting your slides ensure they can be easily understood by a interdisciplinary group.

The auditorium is equipped with a PC computer, overhead projector, laser pointer and Microsoft PowerPoint 2007 (note presenter mode is unavailable on the computer). Internet access is also available. As switching between computers can be time consuming, please bring your presentation on a USB. Presenting students are asked to arrive 15 minutes prior to load the presentation onto the computer. Interested in practicing your presentation in the space prior to your presentation date? Contact [email protected] for room availability.

Moderator - The sessions will be moderated by CFRI trainees who will monitor time and encourage dialogue. Moderators will also be asked to complete an evaluation form for each student presentation. A summary of the evaluation form will be emailed to the presenter the following week.

Top Presenters - New for 2015; Each week students will be asked to select the top presenter based on the presentation content and the presenter’s abilities. Responses will be collected and collated each week. The top presenters will be announced the following week and receive a $10 ‘Bean Around the World’ gift card.

Thursday, June 4 - Thursday, July 23 I 9:30–11:00am I Chan Centre for Family Health EducationThursday seminars will consist of presentations by faculty members on a variety of topics. These seminars will provide an overview of options and opportunities available in the medical research field, both during the student years and beyond. To give students the opportunity to network with the presenter and other students refreshments will be provided after the presentation.

Review the purpose, qualities, guidelines and strategies for writing an effective abstract. Presented by the CFRI Research & Technology Development Office.

Preparing a Scientific PosterMonday, July 6 I 1:00 – 3:00pm I Room 2108 (CFRI)Each year, the Summer Student Research Program concludes with a student Poster Day. This is an opportunity to showcase all the hard work that you have done throughout the summer! Make your poster the best it can be by learning the tools and techniques of poster presentation. You’ll be surprised at the important content and design features that are essential to a good scientific poster. Presented by the CFRI Research Education Outreach Committee.

Academic CV Writing Monday, July 15 I 3:00 – 4:00pm I Room 2108 (CFRI)Your CV is the gateway to scholarships, fellowships and salary awards - not to mention JOBS, tenure & promotion, and acquiring research funds. In this seminar, our primary focus will be the free-form, personalized academic CV (what to include, how best to present it) but we’ll touch on other types of CV’s, and give some tips for staying on top of it all. TGIF brings together established investigators and up-and-coming trainees working in different areas on the campus whose research is united by a common theme, approach or objective. Special Events Trainee Research ForumThursday, June 18 I 1:00pm – 5:00pm I Chieng Family AtriumThis event provides the institute with an opportunity to showcase the outstanding work undertaken by trainees and to recognize their significant contributions to the research endeavors within CFRI. Central to the day’s activities include the trainee poster presentation, professional development sessions, trainee research awards and the annual film competition.

As CFRI’s key funding partner, BC Children’s Hospital Foundation provides essential funding support to the institute. For the fiscal year 2013/14, the Foundation’s total contribution to CFRI’s base budget is $12.2-million, which includes both CFRI’s infrastructure funding and designated funding. These funds help to support more than 200 researchers at CFRI who are working to serve children and families across BC by conducting in-depth clinical and scientific research based on the health needs of children and families. Poster Day

Thursday, July 30 I 9:30am–1:00pm I Chieng Family AtriumPoster Day is held to give students an opportunity to showcase their project and to provide a learning experience in poster presentation.

Abstract Submission Form - Students will receive the link for the online form by the first week of July. To participate the abstract must be submitted by Monday, July 20 at 4:30pm. The abstract must include a title, list of authors and abstract (250-300 words). Previous abstract booklets are available for review at www.cfri-training.ca/research-programs/summer-students.

Poster Day Procedure - Poster boards (7ft x 4ft) will be available for setup in the Chieng Family Atrium on Wednesday, July 29 between 2:00 and 5:00pm. Prior to this you will be emailed your board number and location.

On Thursday, July 30 students are asked to arrive at 9:30am for sign-in and to receive a welcome package which includes: an abstract booklet, certificate of attendance and lunch ticket. The poster session will begin promptly at 10:00am and run until approximately 12:00pm.

Students will be assigned to either the clinical or basic sciences category. Each category will be broken down into groups. Each group will have a judge whose role is to score participants based on student presentation and poster presentation and identify the best poster. You will have 5 minutes to discuss the poster and 4 minutes to answer questions.

Awards - An awards presentation will be held at 1:00pm. Best poster recipients will receive a certificate acknowledging them as the Summer Student Research Program Poster Finalist and a $50.00 UBC gift card.

Ready to print your poster? Be sure to check with your supervisor to find out who will be paying to print the poster and where to print. Trainee recommended printing location include FedEx-Kinkos (www.fedex.com), Canadian Drafting Vancouver ([email protected]), or WMW Reprographics LDT (www.wmw.ca).

Communications The Research Education Office uses a variety of communication tools to ensure students are provided with current, accurate information on upcoming events and other education opportunities onsite. Weekly Event Bulletin – Each Monday the weekly event bulletin will be distributed to students outlining the detailed schedule for the upcoming week and any important announcements.

Website - The CFRI training website (www.cfri-training.ca) is a mechanism for providing event, funding and student information to current and prospective summer students. Information on past and current events, funding opportunities, resources, recognitions and program information is located on the website.

CFRI Wiki - The CFRI intranet (https://wiki.cfri.ca), provides information on research support and services, CFRI research groups, communications and core facilities at CFRI. The Directory contains contact information for all CFRI members, trainees and affiliated research personnel on site. Need a CFRI logo, templates or letter head? Branded materials? Did you know?CFRI is the largest research institute of its kind in Western Canada in terms of people, productivity, funding and size. The Institute has both ‘wet bench’ laboratory and ‘dry lab’ clinical research areas, and other areas to facilitate particular areas of research and training, such as animal care facilities, a stores facility, education centre and a study centre. Children’s & Women’s has more than 400 in-patient beds, and is the major referral centre in BC for acutely ill or injured children. More than 20,000 women are seen annually through our specialized women’s health programs. This close proximity affords our researchers access to the largest maternal-fetal-newborn clinical service in Canada.

BUILDING & FACILITIESOak Street Campus

The 46-acre Oak Street Campus (commonly referred to as the C&W Campus) is home to BC Children’s Hospital and BC Women’s Hospital & Health Centre. Redevelopment Process - The Redevelopment Project is an initiative to build a new Acute Care Centre (ACC) and to renovate existing facilities onsite. New construction, renovations and relocations will continue in phases until the projected project completion date of 2018-2019.

Security

The Oak Street campus has full time security personnel who provide overall security services which include security patrols, emergency response, staff and visitor escorts, key control, lost & found, parking enforcement, staff education, security audits and investigations.

During work hours they can be reached via the non-emergency line at x2999. For 24-hour emergency support contact x899. Security will provide safe walk escorts for students on the Oak Street Campus upon request. If you require an escort to your vehicle, contact x2999. If you require an escort from your vehicle, contact 604-875-2999.

To stay save onsite, security recommends the following - • Always wear your Photo ID while on site• Lock/close your work area including windows when you leave, especially if working alone or outside of regular hours• Ensure all personal belongs, including laptops are safely locked up, and do not leave keys in plain sight• When coming or going from buildings outside of regular hours, go in pairs or groups

Smoking Policy All of the hospitals located at the Oak Street site have adopted a NO SMOKING policy. Smoking is not allowed in any hospital building, parking lots or grounds.

CFRI Facilities CFRI’s Facilities team is responsible for waste management, lab & equipment services, shipping & receiving, safety & security and general building info. Transportation

Cycling - The Oak Street Campus has many options for bike parking onsite. For access to locked bicycle cages contact [email protected]. If you are interested in cycling but need more information on bike routes visit www.cyclevancouver.ubc.ca.

Children’s & Women’s Shuttle - The C&W Shuttle is available to transport trainees between the King Edward Canada Line Station and the Oak Street campus free of charge. The shuttle departs from the Northwest corner of Cambie and W 24th Avenue approximately every 15 minutes (6:38am to 10:00am). In the afternoon the shuttle departs at the BC Women’s Hospital & Health Centre Entrance 77 approximately every 15 minutes (starting at 3:04pm).

Parking - All parking on site is pay parking, effect 24 hours a day and is available on a first come basis. General parking rates are $3.50/hour or $14.25/day. All UBC/PHSA staff and registered students are eligible for the Daily Pay Parking Program. To be entitled to the $6.50/day rate you must apply for a Multi-Site Daily Pay Parking Hanger and provide a $20 refundable advance deposit.

Transit - The Oak Street Campus is easily accessible by public transit. Translink buses #25 Brentwood Station/UBC and #17 Oak/Downtown are within steps from the main buildings. The King Edward Skytrain station is a 15-20 minute walk from the main campus. For more information on planning your route visit www.translink.ca.

Inter-Hospital Shuttle Service - Free shuttle service is available to all the hospitals in Vancouver including the Children’s & Women’s Health Centre, Vancouver General Hospital, St. Paul’s Hospital and UBC Hospital. The shuttle operates from 7:00am to 5:30pm, Monday-Friday. Please note the times below are subject to change without notice due to weather and road/traffic conditions. The shuttle also offers free courier services to and from the shuttle stops. All packages must be properly labelled, handed directly to the driver and must be picked up from the driver at the specified destination.

The Recycling Renewal Program is an important part of the PHSA’s Zero Waste target to reduce land-fill waste by 70% by 2015. Since its beginning in November 2010, the Recycling Renewal Program has been implemented at 12 acute care and 13 residential care sites.

Meeting Rooms

The Oak Street campus has a wide variety of rooms for meetings or event with the capacity to accommodate groups ranging in size from 6 to 200. Most rooms are managed through Outlook and are available on a first-come, first-served basis. The largest and most popular rooms at CFRI, available to both internal and external users, include the following -

How to book a room using Outlook:• Open your Calendar in Outlook and click File > New – Meeting Request • Click on the Scheduling tab, then click on the “click here to add a name” line (it’s just below

your name), and then click the “add others” button at the bottom of the column and select “from address book”

• Type the word “room” in the box that says “type a name ...”, this will bring up all the rooms that can be booked online

• Scroll through the list and when you find the room that you wish to book, double click on it to add it to the ‘Required’ box, then click OK

• Select the date and start/end times (blue bars indicate that the room is already booked) • Once you have confirmed the availability, click on the Appointment tab • Under Subject, type the name of the meeting or education event, and include your name and

phone number • Click Send (upper left corner), you will receive an e-mail either confirming or declining the

booking

Eating Facilities Onsite eateries include the following. -

• Bean Around the World - Lobby of the Child & Family Research Institute 7:00am to 4:00pm, Monday-Friday

• Shaughnessy Cafeteria - Ground floor of Shaughnessy building (B1) 7:00am to 7:00pm, Monday-Friday. 8:00am to 5:30pm, Saturday-Sunday

• Starbucks - Lobby of Ambulatory Care 6:00am to 8:00pm, Monday-Friday. 8:00am to 6:00pm, Saturday-Sunday

• Tim Horton’s - Lobby of Women’s Hospital 6:30am to 5:00pm, Monday-Friday

• Second Cup - Main lobby of Children’s Hospital 6:30am to 10:00pm, Daily

Also within walking distance is the King Edward shopping mall which includes a Safeway and a number of smaller restaurants. Vending machines are also available through-out the campus. Additionally, the majority of work spaces have lunch areas for students. At CFRI there are several lunch areas located in the South Block (3rd floor), North Block (3rd floor), Variety Club Building (3rd floor), and the Translational Research Building (4th floor). Each area is equipped with a refrigerator and microwave. Some also have a kettle and vending machines. When using these facilities clean up after yourself and wash any dishes and appliances you have used.

Secure Storage Built-in lockers are available in various locations through CFRI for students and staff to store personal items (you will be asked to provide your own lock). Check with your supervisor for more information on which lockers are designated for your lab.

Study Facilities

Reading Room – Located in Room 3051 (above the coffee shop, between the north and south block), the David Hardwick Reading Room is a quiet study space for students onsite. The space includes a group meeting room and study facility with 4 study carrels, desk space and 3 network computers

Study Carrels - Built-in study carrels are available in various locations throughout CFRI for trainee use. Check with your supervisor for more information about using the carrels onsite.

Study Learning Commons - Learning & Development (BCCW) has partnered with the UBC Faculty of Medicine to provide a Study & Learning Commons (SLC) to all students in F4, Shaughnessy Building, BC Children’s and BC Women’s. The area includes PHSA & CFRI networked computers, a computer lab, group student room and videoconferencing facility.

To access the Study & Learning Commons area go through the North Entrance of Children’s Hospital and follow the corridor, veering left at the junction (past the cafeteria). Continue down the corridor following the signs for “A to L, Women’s Health Centre”. At the intersection take the elevators to the 4th floor. The commons area is on the left (past the red couches)

Mailing & Shipping

For Children’s & Women’s Hospital the mail room is located in the Shaughnessy Building, F100. At CFRI there are three main mail stations. The main station is located on the 1st floor of the Translational Research Building next to the loading bay entrance. The other stations are located on the 2nd floor of the Variety Club Building next to the photocopier, and on the 3rd floor of CFRI South Block next to the photocopier. All outgoing mail must be placed in labeled bins.

Mail going to BC Children’s or BC Women’s Hospital (onsite), PHSA agencies and corporate service offices must be placed in the Inter-Department Mail bin. Mail going to UBC must be placed in the UBC bin. All other mail must be placed in the Canada Post bin. Ensure all mail is appropriately marked and for outgoing external mail ensure each envelope has appropriate postage or is coded on the upper left corner so it can be charged to the appropriate cost centre (ask your supervisor for your cost centre).

FedEx picks up from CFRI at 2:30 Monday-Friday from the shipping and receiving area. If you have something to be shipped out it must be brought to the outgoing packages table next to the mail station with all the necessary paperwork correctly filled out by 2:00. For incoming courier packages ensure that the courier company has your full address including name, lab (PI) name, room number and bay number.

IM.IT Services

IM.IT Services are available to all students onsite and include aspects such as hardware, software, network and security support related to research activities only. In order to access any of the following CFRI IM.IT Services you will first require a network account.

Wireless - Onsite wireless networks allows faculty, staff and students to connect to the internet at high-speeds, 24/7 without plugging in a cable. The following networks are available -

• CFRI: Login - CFRI network acoount• UBC Secure: Login - UBC Campus-Wide login• UBC Visitor: Login - N/A, open network for guests• PHSA-Staff: Login - C&W network account• C&W Guest: Login - N/A, open network for guests

CFRI Drop-Box - The file transfer service provides temporary storage to students wishing to transfer large amounts of data. https://dropbox.cfri.ca/

REDCap (Research Electronic Data Capture) - REDCap is a web-based, metadata-driven EDC software solution and workflow methodology for designing and capturing data for research studies. REDCap allows users to build and manage online surveys and research databases quickly and securely. For more information on REDCap contact [email protected].

SPSS - IBM SPSS Statistics software can be accessed without having to purchase an individual license. CFRI’s Clinical Research Support Unit has purchased several SPSS site licenses to be used as a shared resource. The IM.IT Department is hosting the software on a secure terminal server which can be accessed by researchers with a CFRI login. Note because the number of licenses available is limited, there may be times when all are in use simultaneously and access may be temporarily unavailable. For instructions on accessing visit http://wiki.cfri.ca.

Printing & Photocopying - The majority of work spaces onsite include a printer, check with your supervisor about accessing these. At CFRI 3 multi-function printers/fax machines are available for general use; foyer of the East Block next to the elevators, on the 3rd floor mezzanine and across from the elevators and on the 4th floor of the Translational Research Building. An access codes for using these machines is required, check with your supervisor about the number.

The cost for printing is automatically billed directly to the lab. Printing black and white pages will cost $0.07 per page and printing colour pages will cost $0.14 per page. For large scale printing, copying, scanning and graphic design contact the C&W Print Shop at [email protected].
