State Bank Institute of Rural Banking (SBIRB), Hyderabad (Here in after to be referred as Bank) proposes to hire the services for AMC of Computers and peripherals and the Details of tender are as under :

4. Earnest Money Deposit Rs. 10,000/- all Drafts/BCs shall be in favor of "Chief Manager (Admin), SBIRB, Hyderabad"

TENDER FOR HIRING AMC SERVICES FOR COMPUTERS AND PERIPHERALS

GENERAL CONDITION OF THE TENDER 1.1 The tender process will be in three cover system.

Envelope One: This envelope will contain;

a)The EMD amount of Rs.10,000/- by means of Demand Draft / Banker’s

Cheque in favour of Chief Manager (Admin), SBIRB, LINGAMPALLY.

Hyderabad, payable at Hyderabad only.

b) Undertaking by the contractor in the prescribed format as per Annexure-II

NOTE: TENDER WILL BE REJECTED IF THE TENDERER FAILS TO SUBMIT THE

REQUIRED EMD AND WILL BE RETURNED WITHOUT OPENING THE PRICE BID.

Envelope Two: This envelope will contain the price bid as per Annexure-I.

Envelope Three: Superscribed as “Tender for AMC for Computers and

Peripherals at SBIRB, Hyderabad”. Envelopes one and two are to be placed

in this big envelop.

1.2 All the tenderers are requested to note that SBIRB, LINGAMPALLY.

HYDERABAD will not accept any conditional tender and the tender will be rejected if any tenderer found quoted conditional tender. All conditions, if

any, to be quoted with rate. The rate should be inclusive of all taxes payable including the G.S.T., insurance premium and service charges, AMC

Services etc.,

1.3 The tenderer should satisfy himself of the scope of work before quoting

the rates and clear the doubts if any. No deviation of conditions or request for change of specifications or additional rate will be entertained at any

stage.

1.4 The EMD of the successful tenderer will be converted into security deposit and the same will be refunded one month after satisfactory completion of contract period.

2.0 Tender Documents

2.1 The AMC Services to be rendered strictly according to the special conditions stipulated in tender -

Priced Bid 2.2 The above documents shall be taken as complementary and

mutually explanatory of one another but in case of ambiguities or discrepancies, shall take precedence in the order given below :

2.3 The tender documents are not transferable. 3.0 Site Visit

3.1 The tenderer must obtain himself on his own responsibility and

his own expenses all information and data which may be

required for the purpose of filling this tender document and enter

into a contract for the satisfactory performance of the work. The

tenderer will be fully responsible for considering the financial

effect of any or all the factors while submitting his tender.

4.0 Earnest Money

4.1 The tenderers are requested to submit the Earnest Money of

₹ 10,000/- in the form of Demand Draft or Banker’s Cheque in

favour of “ Chief Manager (Admin), SBIRB, Hyderabad” drawn on

any Bank in India, payable at Hyderabad.

4.2 EMD in any other form other than as specified above will not be

accepted. Tender not accompanied by the EMD in accordance with

clause 4.1 above shall be rejected.

4.3 No interest will be paid on the EMD.

4.4 EMD of unsuccessful tenderers will be refunded within 10 days of

award of Contract.

4.5 EMD of successful tenderer will be retained as a part of security

deposit.

5.0 Initial Security Deposit (ISD)

5.1 The successful tenderer will have to submit a sum ₹ 50,000/- less EMD by means of D/D drawn in favour of Chief Manager (Admin),

SBIRB within a period of 5 days of acceptance of tender. 6.0 Security Deposit -

6.1 The EMD & ISD of the successful tenderer will be converted into

security deposit and the same will be refunded after one month of satisfactory completion of contract period.

6.2 No interest shall be paid to the amount retained with the Bank as Security Deposit.

6.3 Conditional quotes and quotations not satisfying Bank’s terms and

conditions shall be rejected.

6.4 Non submission of required documents, incomplete tenders will be

rejected.

7. Rates and Prices 7.1 The tenderers shall quote their rates both in words and figures, in

case of discrepancy between the rates quoted in words and figures, the rate quoted in words will prevail. 7.2 Each page of the Price bid shall be signed by the authorized person

and cutting or overwriting shall be duly attested by him.

7.3 The rate quoted shall be firm and shall include all costs, allowances,

taxes, G.S.T., levies, service tax, hardware engineer charges etc.

7.4 Bank reserves the right to accept or reject any or all tenders without

assigning any reason.

7.5. The SBIRB, LINGAMPALLY, HYDERABAD does not bind itself to accept

the lowest tender and reserves to itself the right to reject any or all the

tenders received without, assigning any reason.

8. Final award of the contract will be subject to the approval of the

Competent Authority in the Bank.

SPECIAL CONDITION TO THE AMC CONTRACT

1.0 Scope of Work

The Hardware resident engineer acceptable to the bank, should be available from 9:45 AM to 5:45 PM on all working days of the bank. Breakdown calls should be attended immediately and if systems could not be brought to working condition on the same day or next day, a standby computer or spare part (such as

motherboard, SMPS, DVD drive) should be provided on the second day of call reported. All parts of computers / printers / peripherals except print heads of dot -matrix printers and printer consumables such as cartridges & Teflon sheets, Pressure rollers and Rubber

tubes for laser printers. All other miscellaneous plastic items are included in the coverage. Defective items should be replaced with good working & good looking items or with new

items (if necessary) to meet user satisfact ion. Coverage of onsite maintenance of computers should include loading operating system software, anti-virus software, etc. whenever required. Coverage of spare parts: All parts in computers and printers should be covered under AMC including hard disks, power cables, plastic items, etc. Only exception is for print heads of dot matrix printers. All non-serviceable/ non-available components and sub-assemblies should be replaced/ upgraded at no additional cost to the Bank. A list of computers and peripherals mentioned in the price bid Annexure-I. The resident engineer should be supported by in-house service engineers / Stores-in-charge of your company to attend to breakdown calls on time without disturbing his duty hours of 9.45 a.m. to 5.45 p.m. at the bank, which means the engineer should be provided with necessary spare parts at the end of the day after 5.45 p.m. or an office boy from your company should deliver the spare parts to the resident engineer.

2. The period of contract is initially for 1 year from the date of issue of

work order. On satisfactory completion of contract for one year, it may be

extended for a further period of one year on the same terms and

conditions.

3. The payment to the Contractor will be released on submission of

quarterly bills along with proof of adhering to the contract conditions after

deducting all the taxes at source, as applicable from time to time.

TDS as applicable will be deducted from the charges payable to the

contractor.

4. Signing of Contract Documents The successful tenderer shall be bound to implement the contract by

signing an agreement and conditions of contract attached herewith within

15 days from the receipt of intimation of acceptance of his tender by the

Bank. However, the written acceptance of the tender by the Bank will constitute a binding agreement between the Bank and successful tenderer

whether such formal agreement is subsequently entered into or not.

5. Penalty

Breakdown calls should be attended immediately and if systems could not be brought to working condition on the same day or next day, a standby computer or spare part (such as motherboard, SMPS, DVD drive)should be provided on the second day of call reported. If a system is completely down at the end of the second day of call reported and if standby is not provided a

penalty amount of Rs.500/- per day per system will be charged from 2nd day till such time the system is brought to working condition / standby provided. Attendance of service engineer in all working days of the Bank is compulsory. In case the regular resident engineer takes leave for personal reasons, it is company’s responsibility to send another suitable engineer in his place to

avoid problem of non-service to computers at the bank. A penalty amount of Rs.1000/- per day will be charged if no engineer attends on a working day of the Bank.

6. Bank reserves the right to terminate the contract with one month prior

notice. Contractor can also withdraw AMC by giving two months prior

notice, however, the Bank shall be at liberty to forfeit the Security deposit.

7. Bank is not liable to pay any compensation for the damages to

Hardware Engineer under any circumstances.

8. The Contractor shall fully comply with all the applicable laws, rules and

regulations relating to P.F. Act including the payment of P.F. contributions,

Payment of Bonus Act, Minimum Wages Act, Workmen’s Compensation

Act, ESI, CL(R&A) Act, Essential Commodities Act, Migrant Labour Act and ’

or such other Acts or Laws or regulations passed by the Central & State,

Municipal and Local Government agency or authority, including T.D.S. as

per Income Tax Act, applicable from time to time.

9. The Contractor shall be responsible for proper maintenance of all

Registers, Records and Accounts as required under the applicable laws /

statutory provisions and’ or Rules / Regulations framed there under. The

Contractor shall be responsible for maintaining record pertaining to

payment of Wages Act and also for depositing the P.F. contributions, if

required, with authorities concerned.

10. The Contractor shall be responsible for all the claims of his employees

and the employees of the Contractor shall not make and claim whatsoever

against the SBIRB, LINGAMPALLY, Hyderabad. The Contractor’s workmen

will not have any right whatsoever to get absorbed in the SBIRB,

LINGAMPALLY, Hyderabad.

11. The Contractor shall engage fully trained and adequately experienced

Hardware Engineer, who is medically fit. They should be free from any

contagious diseases.

12. The Contractor shall obtain adequate insurance policy / policies in

respect of his hardware Engineer to be engaged for the work, towards

meeting the liability of compensation arising out of death / injury /

disablement at work etc. A copy of insurance policy has to be furnished to

the Bank immediately after bagging the contract. The Contractor shall

provide weekly off / holidays to his Hardware Engineer as per applicable

laws / labour laws but it will be his responsibility to ensure uninterrupted

services on all days.

13. The Contractor shall bear all the costs and expenses in respect of all

charges, including stamp duty, registration etc. of this agreement and/or

any other documents/agreements, which are required to be executed.

14. All necessary tools required by the Hardware Engineer shall be

provided by the contractor.

15. ESI, PF, labour registrations, Insurance coverage and other statutory

requirements for the Hardware Engineer is mandatory and the contractor

is responsible for compliance of all the rules & regulations.

16. The contractor / firm shall be held responsible for any misdeeds /

misbehavior of their employees within the premises.

17. All statutory requirements shall be at the cost and consequences

risk of the contractor / firm.
