Technology Advancements

In its inaugural year, the Annual Fund Drive raised just over

$20,000 and helped purchase 150 Chromebooks for grades

two through four and 6 technology carts for the classrooms.

The Progress Has Begun! As part of the renova�ons completed during the summer of

2017, new electrical and HVAC units were installed, Wi-Fi was

updated throughout the building and several bathrooms were

renovated.

Crea�ng “Classrooms of the Future” will involve both

necessary and aesthe�c improvements, which are s�ll in need

of funding including the installa�on of the following:

•New ceilings

•New flooring

•Upgraded ligh�ng

•Modern desks/tables & chairs

•And more!

Our teachers, along with other professionals, have been asked

to envision the learning environment best suited for student

success and high achievement levels and are aiding in

implemen�ng further design improvements.

Dear Room Parent Coordinators,

Welcome to the 2017-2018 school year and congratulations on being selected as Room Parent

Coordinator. Being a Room Parent Coordinator enables you to have contact with your child,

their teacher, classmates and other parents.

This handbook will serve as your guide throughout the school year. If you find something

that needs to be added or deleted from the pages, please contact me. Things change from

year to year and we are always looking for ways to improve and be better organized. All of

the letters you need are included in this handbook. If you need to send out something other

than what is included in this packet, please email or bring your original to the school office

for principal approval. If anything new arises, I will contact you with instructions.

The current year classroom party and field trip sign-ups can be found on Sign-Up Genius at:www.tinyurl.com/stms2017-18.

The Parents Association and St. Thomas More School Administration have approved all items

presented in this document.

Selection Process & Qualities of Room Parent Coordinator (“RPC”)The RPC is selected by the Principal or President based on a random draw of all interestedparents. Parents interested in volunteering for the role of RPC should have previousexperience with classroom parties and field trips and possess the following qualities:

Virtus Trained

Organized

Detail oriented

Supportive of the St. Thomas More School values

Compliant with the guidelines outlined in the Room Parent Coordinator

Handbook and the Parent/Guardian Student Handbook

Supportive of the faculty and administration of St. Thomas More School; and

Cooperative and Positive Attitude.

Parents can serve as the RPC twice (non-consecutive years) in their child’s classroomwhile at St. Thomas More. For example, if you have two children, you can be the RPC amaximum of four times – twice for each child.

Responsibilities

The RPC responsibilities are outlined below. However, based on the particular dynamics

of a school year, other responsibilities may come along as the school year progresses.

Any additional responsibilities will be communicated to you in writing, as needed.

Parent Liaison — The RPC serves as a parent liaison. Your "beginning of the school

year" parent letter (included in this handbook) informs parents of your role and invites

them to communicate with you for clarification about parties, events, etc. Please make

sure that you sign your letters and include a phone number in case there are questions.

Additional communication to room parents may be indicated throughout the year based

on individual classroom/teacher needs. Any written communication (letters, memos,

etc.) must be pre-approved by the Principal, PRIOR to distribution. The turnaround

time is usually 24 hours. All written documents should be typed in a professional

manner and emailed or taken to the St. Thomas More School office with a short memo

attached indicating the need for approval and the date/time of intended distribution.

Also, please send a copy to the Parent Association Classroom Liaison (PACL) for the

class file.

Classroom Volunteer Coordination — The RPC is responsible for making sure sign-up

genius is updated with all current information for class parties and field trips and

ensuring each party or field trip has a sufficient number of volunteers. To the extent

additional volunteers are needed, it is the RPC’s responsibility to secure parent

volunteers and submit their sign-ups to the PACL to update Sign-up Genius.

Confirming parent volunteer Virtus training status with the Class Teacher. To the

extent a parent volunteer is not Virtus trained, coordinate replacement volunteers as

necessary.

You will be provided with a list of all parents in your class that are eligible to volunteer or

chaperon.

Pre-School through Eighth Grade will participate in the following parties throughout the yearas well as various field trips.

Halloween Party

Christmas Party

Mardi Gras Party (Please note, lower grades may participate in a Valentine’s Day partyin lieu Mardi Gras Party, depending on timing of Ash Wednesday.)

The RPC SHOULD NOT assist with the parties. If you find you need to get involved,

contact the PACL.

Party TreatsThis year a party fee of $10 per child was collected. The fee covers the cost of the partytreats, crafts and games. It will be distributed as follows, $3.33 for the Halloween Party,$3.33 for the Christmas Party and $3.33 for the Mardi Gras Party. The parties shouldreflect our Catholic values and not be excessive or wasteful. All party treats should behealthy and store bought.

Party Money

Within five days of the party, all Check Request/Reimbursement Forms and receipts from

party parents should be submitted to the RPC for approval and submission to the PACL

for payment. Any party fees not spent will be used for the end of the year Field/Fun days.

Party Crafts

St. Thomas More School does an excellent job providing art and craft experiences for our

children throughout the school year. In addition to an art teacher being on staff, classroom

teachers spend countless hours making holiday projects with the children. In an effort to

reduce waste, conserve resources, and not take away from the "school art and craft"

experiences, please limit your crafts at class parties to one craft.

Party Games

Party games will be an integral part of each holiday party. The "resource" section of this

handbook provides you with web site resources. Whether you decide on playing games as

a "whole" class (i.e. bingo), or dividing the class into "game stations" (i.e. bozo buckets,

bean bag toss (younger grades) etc.), the added time here will prove to be a winner with

the children. No game prizes are provided or necessary. To the extent you elect to have

prizes for any games played, please be sure the games allow all students the opportunity

to feel accomplished and earn a prize.

NOTE: No pinata activities or movie viewing is allowed.

NOTE: No younger siblings are allowed to attend classroom parties.

Follow-up to obtain your Sign-up Genius report of parent volunteers for the class fromthe PACL.

Follow-up with the Class Teacher to ensure that each parent volunteer is Virtus trained.

Send reminder emails and provide guidance to the Lead Parent for each party to ensurethat the Lead Parent is communicating with the other parent volunteers to plan eachparty.

Follow-up with the Lead Parent after each class party to collect the Check Request-Reimbursement Forms and receipts making sure that they did not spend more than theallowed budget.

Follow-up with Class Teacher to obtain final details for planned field trips andcommunicate updates to the parents that have already signed up and the PACL.

Send reminder emails to all parent volunteers for Field Trips of upcoming field trips.

If a party or field trip is short on volunteers, email or call other parents in theclass to sign up to fill the slots. If you are having problems filling the slots,contact the PACL to discuss.

Chaperones MAY NOT bring younger siblings per St. Thomas More SchoolPolicy.

If there is not a parent volunteer for Box Tops, then the RPC will beresponsible for collecting, counting and submitting the Class Box Topcollection.

SEPTEMBER 2017

The month of September marks the beginning of the school year. This is the time that

you establish a relationship with the classroom teacher as well as the parents. The

following items should be accomplished as soon as possible:

Set up appointment with the teacher: Introduce yourself. Always coordinate with the

homeroom prior to ANY and ALL events.

All volunteers must be PRE-APPROVED and VIRTUS trained. Present the "Beginning of

the Year Teacher Letter" to your classroom teacher ASAP. Follow up to make sure the

"Teacher Letter" is returned to you within a reasonable amount of time.

After proper approval distribute "Beginning of the Year Parent Letter" along with

"Room Parent Volunteer Schedule" to every parent as soon as possible so they can

adjust their schedules accordingly. Send enough copies to your classroom teacher with

a note indicating distribution to all children (the office can assist in copying letters, if

needed).

The Lead Parent Volunteer will be responsible for coordinating the other parent volunteers to

determine the treats, games, and crafts. The Lead Parent will consult with the teacher about the

party to (i) ensure that all games, crafts and treats are age appropriate and meet with her

approval and (ii) determine if there are any food allergies. All treats should be store bought.

Parent volunteers are expected to monitor treats, games and crafts at all times. Also, the

Lead Parent Volunteer collects the Check Request-Reimbursement Forms and receipts

for reimbursement (only up to the amount allotted for the party) approving them and

sending them to the PACL.

Dear Parents,

Welcome to the 2017-2018 school year at St. Thomas More. I have been selected

to serve as Room Parent Coordinator for this year. My role is to serve as a liaison

between the classroom and parents for all classroom parties, field trips, and ancillary

events.

St. Thomas More School policy states that all volunteers/chaperones, etc.

must have completed or be in the process of completing the VIRTUS program and

everyone must submit to a background check in the fall of 2017.

As a reminder, you can sign-up to participate in Class Parties and any field trips by

visiting the class page on Sign-up Genius.

If I can be of any help throughout the year, please feel free to contact me at the

email or phone number listed below. Thank you in advance for taking the time to

volunteer. Our children, their teachers, and the school administration truly appreciate

your efforts.

ROOM PARENT VOLUNTEER SCHEDULE 2017-2018

Dear Parents,

The following schedule lists the Room Parent Volunteers for the 2017-2018 school year.

Should you be unable to fulfill your volunteer duty, please notify me as soon as you can to

allow me enough time to find a replacement. The Lead Parent Volunteer will be responsible

for coordinating the other parent volunteers to determine the treats, games, and crafts. The

Lead Parent will consult with the teacher about the party to (i) ensure that all games, crafts

and treats are age appropriate and meet with his/her approval and (ii) determine if there are

any food allergies. All treats should be store bought. Parent volunteers are expected to

monitor treats, games and crafts at all times. Also, the Lead Parent Volunteer collects the

Check Request-Reimbursement Forms and receipts for reimbursement (only up to the

amount allotted for the party) approving them and sending them to the PACL. Thank you

again for donating your time and talents to your child's school year.

The month of October finds classrooms preparing for the Halloween Party. The

following lists your responsibilities this month:

Make sure the Lead Parent for the Halloween Party is aware of his/her duties and

that the party is being planned.

Party volunteers will coordinate all treats, games, and activities for the parties. (See

Resource Section for age-appropriate game ideas and web sites).

After the party, Lead Party Volunteers should collect the Check Request-Reimbursement Forms and receipts, making sure that the total is equal to or lessthan the amount budgeted for the party, prior to submitting it to the RPC.

The RPC then reviews, approves and submits the reimbursement forms to the PACL

for payment processing.

POLICIES

End of Year Party — Since all students participate in "Fun/Field Days" activities, there will beno individual year end classroom parties.

No Sibling Policy — Parent volunteers may NOT bring siblings to parties, field trips,fun/field days etc.

Virtus Training — Virtus training is mandated by the Bishop for ALL volunteers. The in-service training and current continuing education status is required by any volunteers whowill be helping during the school year. Also in the fall of 2017, all volunteers will need tocomplete a background check (information will be sent out via the Barrister.) A "grace"period will be allowed for field trips, etc., at the beginning of the school year but by theend of October, all volunteers should have attended a meeting and started their Internetarticles. If not completed, they cannot volunteer. You will receive a list of all eligiblevolunteers from the teacher. You can refer individual parent questions about their Virtusstatus to Emily Hackett, Director of Religious Education, at [email protected].

Written Document Pre-Approval: Any and all written documents must be approved bythe St. Thomas More School Principal, prior to distribution to parents. All documentsrelating to the Room Parent Coordinator Handbook have been pre-approved by the schoolPrincipal and President for distribution during the 2017-2018 school year. Pleaseremember to sign the documents that you are sending out and put a phone number thatyou can be reached at.

Michael & Geraldine felt strongly in the value of the Catholic education and the benefits of being taught and led by those in the Catholic faith. Their son and daughter graduated from St. Thomas More School with a better understanding of their Catholic faith, they obtained values that have stayed with them after leaving STM and have friendships to this day. For the 2017/2018 school year, two St. Thomas More students entering 7th grade and 3 students entering 8th grade will be awarded a $1,000.00 scholarship to attend St. Thomas More School. This scholarship is non-renewing and will be used to pay the student’s tuition and fees. If the scholarship winner is unable to attend St. Thomas More School, the scholarship will be given to the runner-up. There is no cash value. The decision for awarding the Scholarship by the Michael & Geraldine Mezey Scholarship Committee and shall be based upon review of the applications submitted by St. Thomas More students. The criteria for selecting the scholarship winner will be based on a student’s dedication to their catholic faith, parish and community involvement, academic achievements, and need. The applications will be numbered as they are received so as to keep the applicant’s identity unknown.
