SUNA is the professional organization for urologic nurses and associates.Members actively practice in hospitals, physician’s offices, clinics, andprivate offices. In their daily responsibilities, SUNA’s 2,200+ members aredirectly involved in all areas of urologic patient care. They initiate productevaluations, purchase products for use, teach patients about new productsand services, and provide direct patient care utilizing your products andservices.

When you join SUNA as an exhibitor, you will have the opportunity topersonally present your important marketing and sales message tohundreds of urologic nurses who make buying decisions. Policy for Assignment of Space

All applications for space must be filed on thecontract form enclosed. Please keep a copy foryour records. It is not always possible to assignone of your preferred choices. However, we willtry to make assignment in requested area.The primary consideration in the assignment ofspace to exhibitors shall be in the best interestof the Society. SUNA may at its discretionaccept or reject any application for space, andreserves the right to relocate or reassign exhibitbooths at any time.Exhibit space assignments will be made in accor-dance with a two-tiered point system. CorporateMembers will be ranked in the first tier and allother exhibitors will be ranked in a second tier.Companies in the first tier who submit theirexhibit applications by the established deadlinewill be assigned space in the order of theirearned points, from highest number of points tolowest number of points. After exhibits areassigned for companies within the first tier,companies within the second tier will beassigned exhibit space in the order of theirearned points from highest to lowest.

Terms of Payment and Cancellations

Applications should be accompanied by checkor credit card payment (VISA, MasterCard orAMEX) in the amount of 50% for each exhibitspace, checks payable to the SUNA and mailedto East Holly Ave., Box 56, Pitman, NJ 08071.SUNA’s tax identification number is 93-0696206. The balance of payment shall be dueupon receipt of confirmation. Should any con-tingency prevent holding of the Conference orExhibition, SUNA shall not be held liable for anyexpenses incurred by the Exhibitor.

Exhibitor Services:The following services will be provided toexhibitors at no additional charge:• A standard identification sign showing

exhibitor’s name and booth number.• Eight-foot high back wall and 36” high side

rails of quality fabric.• Security Guard service.• Daily cleaning of aisles in Exhibit Area.• Company listing in Program Book.• Complimentary exhibit badges for three

exhibit personnel per booth.

Note:SUNA does not provide any complimentary fur-nishings, electricity, labor, drayage, etc. for yourexhibit.

Hotel Accommodations/Meeting Space

SUNA has made arrangements with the hotelfor an exhibitor block of rooms. Hotel rooms areprovided on a first-come, first-served basis andexhibitors should plan on making arrangementsas early as possible. No hotel accommodationswill be made for non-exhibiting firms. Meeting space/function rooms for exhibitorswill be available in a limited number.Reservations must also be cleared through theSUNA National Office. Meeting space must notbe open during exhibit hours or during sessions.Under no circumstances will companies notexhibiting nor making Conference contributionsequal to the average booth fee be permitted toparticipate in activities during each meeting.

Security and LiabilitySecurity will be provided during non-exhibithours. However, each exhibitor must make pro-visions to safeguard his/her goods from thetime they are placed in the exhibit area untilthey are removed by him/her. SUNA, Anthony J.Jannetti, Inc., and the hotel are not responsiblefor loss or damage due to any cause. Space isleased with the understanding that SUNA,Anthony J. Jannetti, Inc., and the hotels will actfor the exhibitor and his or her representativeonly in the capacity of agent, and not as princi-pal; and that SUNA, Anthony J. Jannetti, Inc.,and the hotels assume no liability whatsoeverfor damages, for any act of omission or com-mission in connection with said agency, andthat the exhibitor and his or her representativeshereby release SUNA, Anthony J. Jannetti, Inc.,and the hotel from any or all liability for lossensuing from any cause whatsoever. The rulesand regulations are to be construed as part ofall space contracts. SUNA reserves the right tointerpret them as well as make final decisionson all points the rules and regulations do notspecifically cover.

Special RegulationsNo Smoking Policy — Smoking is not allowedwithin the exhibit area at any time, includingmove-in and move-out.Subletting of Space — The subletting orassigning of space is prohibited. Two or morecompanies may not exhibit in a single spaceunless special arrangements have been madewith the Exhibit Manager.Installation — Exhibits should be installed sothey will not project beyond the space allottedor obstruct the view of, or interfere with otherexhibits. HCEA standards will apply.

Fire Safety — All structural work, such as extrashelving, standards, display racks, signs, spot-lights, etc., must be approved, and all decora-tions, drapery, and other fabrics must be flame-proofed before being used in decoration of anyexhibit. Balloons are prohibited.Courtesy — The rights and privileges of anexhibitor shall not be infringed upon by anyother exhibitor. Interviews, demonstrations, dis-tribution of literature, etc., must be made fromwithin the exhibitor’s booth. Exhibitors may notenter another exhibitor’s booth orphotograph/investigate another exhibitor’sproducts at any time without the expressedpermission from the exhibitor.Canvassing — Canvassing outside the booth isforbidden. Vendors and/or exhibitors may notdistribute materials to other exhibitors at anytime by canvassing the hall. All business mustbe conducted from within each exhibitor’sbooth.Advertising — Advertising material or signs ofexhibitors other than those who have engagedspace are prohibited. Exhibitors may not displayadvertising, logos, or names for products otherthan those sold by the exhibitor in its normalcourse of business unless approved by SUNA inadvance.Audio-Visuals — Audio-visual presentationsmust be so arranged that aisles are not blockedand be presented in a sound-proof area or soremote that the neighboring exhibitors are notdisturbed. All apparatus must conform to thefire regulations of the convention center.Exhibitors with noisy electrical devices, or otherexhibits or devices which may prove objection-able to other exhibitors because of noise, odor,or other disagreeable features, must agree toaccept booth assignment which will abate rea-sonable objections to these annoyances.Conduct — Unethical conduct or infraction ofrules on the part of the exhibitor or his or herrepresentatives or both will subject theexhibitor or his or her representatives or both todismissal from the exhibit hall. In this event, it isagreed no refund shall be made by SUNA andno demand for redress will be made byexhibitor or his or her representatives.Disregard for any rule stated here is consideredjust reason for SUNA to prohibit an exhibitorfrom attending all future activities.

RegistrationAll confirmed exhibitors will have the opportu-nity to pre-register their personnel. It is to theexhibitor’s advantage to register early by e-mailso as to avoid delays onsite. Three (3) badgesare included with each 10'x10' booth.Additional badges are $80 each. The contactperson for badge registration is Heidi Perret,email [email protected]. The official regis-tration area will be open daily. All attendees willbe required to register, and admission to theexhibits will be by badge only.

For the Annual Symposium, exhibitorscanceling before December 5, 2014 willforfeit 50% of the full booth fee.

Exhibitors canceling after these dates willbe charged full-space rental regardless ofwhether the space can be resold or not.Cancellations must be made in writing tothe SUNA National Office.
