Purpose
Provide guidance to Bidvest Noonan Services Group Cleaning Staff disinfecting and cleaning on a client
or Bidvest NOONAN sites during the Coronavirus (COVID-19) pandemic.
Scope
This document provides support to Bidvest Noonan Services Group Cleaning Staff disinfecting and
cleaning on a client or Bidvest NOONAN site during the Coronavirus (COVID-19) pandemic.
Please note this document does not include a process for decontamination cleaning. This is a specialist
task to be completed by Bidvest NOONAN Industrial Teams, except for some appropriately trained
cleaning staff, e.g. appropriately trained staff working in healthcare. This is summarized in the below
matrix;

The objectives of the Standard Operating Procedure (SOP) are:
➢ To provide relevant information on Coronavirus (COVID-19) to staff;
➢ To present the minimal set of personal protective equipment (PPE) required for disinfecting
and cleaning tasks;
➢ to provide a procedure for disinfecting and cleaning of areas;
➢ to strengthen occupational safety for staff during the Coronavirus (COVID-19) Pandemic;
This document is based on current COVID-19 knowledge and PPE best practices.
Bidvest NOONAN will update this document based on the evolving situation and if new relevant
information arises.

Definitions
➢ Coronavirus
• Coronaviruses (CoV) are a large family of viruses that cause illness ranging from the
common cold to more severe diseases such as Middle East Respiratory Syndrome (MERS-
CoV) and Severe Acute Respiratory Syndrome (SARS-CoV).
Coronavirus disease (COVID-19) is a new strain that was discovered in 2019 and has not
been previously identified in humans.
Coronaviruses are zoonotic, meaning they are transmitted between animals and people.
Detailed investigations found that SARS-CoV was transmitted from civet cats to humans
and MERS-CoV from dromedary camels to humans. Several known coronaviruses are
circulating in animals that have not yet infected humans.

• COVID-19 is a new illness that can affect your lungs and airways. It's caused by a virus
called coronavirus.

➢ Cleaning
Refers to the removal of germs, dirt, and impurities from surfaces. Cleaning does not kill germs, but by removing them, it lowers their numbers and the risk of spreading infection.
➢ (CDC, 2020)
➢ Disinfecting
Refers to using chemicals, e.g. disinfectants, to kill germs on surfaces. This process does not necessarily clean dirty surfaces or remove germs, but by killing germs on a surface after cleaning, it can further lower the risk of spreading infection.

Symptoms of Coronavirus
It can take up to 14 days for symptoms of coronavirus to appear. They can be similar to the symptoms
of cold and flu. Refer to the ‘The No Panic, No Nonsense Guide to COVID-19’ emailed to you.

What do I do If I think I have the Coronavirus?
➢ Follow the relevant NHS/HSE guidelines. Links to guidance provided in the section ‘Symptoms
of Coronavirus’ and in ‘The No Panic, No Nonsense Guide to COVID-19’ emailed to you.
In the event of an emergency call 112 or 999.
➢ Immediately inform your Bidvest Noonan manger via phone with the below information:
- Symptoms and when they displayed;
- Any recent travel and to where;
- What Bidvest Noonan Site(s) in work;
- Date of your last shift(s) in work;
- What other Bidvest Noonan or client staff you have been in close contact with;
➢ If medical health professionals think you may be a suspect case and require testing, ask them
for a medical certificate.
➢ Provide either a softcopy or photo of the medical certificate to your Bidvest Noonan manager
and any relevant advice you have been given by the NHS/HSE
➢ Ensure you keep your manager regularly updated on the situation, which includes informing
your manager if you have been diagnosed with the Coronavirus

How Coronavirus is Spread
Coronavirus is spread in sneeze or cough droplets. You could get the virus if you:
➢ Come into close contact with someone who has the virus, and are coughing or sneezing;
➢ Touch surfaces that someone who has the virus has coughed or sneezed on

Close Contact
This is only a guide, but close contact can mean:
➢ spending more than 15 minutes face-to-face contact within 2 metres of an infected person
➢ living in the same house or shared accommodation as an infected person

Anyone with symptoms of coronavirus who has been in close contact with a confirmed case in the last 14 days should follow the advice stated in the section ‘Symptoms of Coronavirus’.
Pregnancy & Coronavirus
When you are pregnant, your body naturally weakens your immune system. This is to help your pregnancy continue successfully. It means that when you are pregnant you may pick up infections more easily. Please always your medical practitioner’s advice. Always inform your manager or supervisor as soon as you find out that you are pregnant. If you have any concerns talk to your manager and request to review your pregnancy risk assessment.

Protect yourself & others from Coronavirus
Recommendations and guidelines to prevent infection spread include, but are not limited to;
1. Hand Hygiene
➢ Wash your hands properly and regularly (Appendix 1.2).
➢ Roll up sleeves when washing hands, removing all jewellery (Inc. wedding band, other rings
and watches).
➢ Use soap and warm water when washing hands (Appendix 1.2).
➢ Wash your hands for a minimum of 40-60 second (Appendix 1.2).
➢ Wash your hands after removing PPE, completion of cleaning tasks, after close contact with
another person, before and after completion of shift.
➢ Use hand sanitiser regularly throughout the day to clean your hands and in the absence of
hand washing facilities, in accordance with the above guidance (Appendix 1.3). N.B Do not
smoke or handle any flammable substances if there is residue of hand sanitizer on your
hands, arms or clothes.
➢ Hand sanitiser can additionally be used on disposed gloves, but this should not replace the
regular changing of gloves in accordance with guidance ‘4. Personal Protective Equipment
(PPE)’.

➢ Put your used tissues immediately into a bin and wash your hands.
➢ Do not touch your eyes, nose or mouth with your gloves or if your hands are not clean.
➢ Never pick up items with bare hands, e.g. used tissues that are not yours, wear PPE.
2. Respiratory Hygiene
➢ Cover your mouth and nose with a tissue or flexed elbow or sleeve when you cough or sneeze.
➢ Immediately dispose of the tissue into a bin.
3. Other Hygiene Advice
➢ Remove your uniform and change your clothes before leaving site, if possible. If not possible,
remove your uniform and change your clothes immediately when you return home.
N.B This includes footwear.
➢ Wash your uniform daily.
➢ Shower daily after work.
4. Personal Protective Equipment (PPE)
➢ Always wear disposable gloves during cleaning and disinfecting tasks.
➢ Change gloves frequently throughout the day and:
• If they get torn or damaged;
• After Handling or Disinfecting Touchpoints;
• After Cleaning or Disinfecting Bathrooms;
• After Cleaning or Disinfecting Kitchens/Kitchenettes, Canteens or Coffee Stations;
• Between floors;
• Between buildings
➢ Always take off gloves and wash hands at the end of your shift and before:
• Breaks;
• Going to the toilet;
• Smoking;
• Drinking;
• Eating;
• Touching your face or skin
• Going home.
➢ Never pick up items without your Personnel Protective Equipment (PPE) on or with bare
hands, e.g. used tissues that are not yours.
➢ Always wear task specific Personnel Protective Equipment (PPE).
➢ Always wear contract specific Personnel Protective Equipment (PPE).
➢ Wear PPE in accordance with Material Safety Data Sheets (MSDS) and Chemical Risk
Assessments (COSHH/CRA)
➢ Wash and disinfect all non-single use PPE after use.
➢ Dispose of single use PPE after use.
➢ Doffing PPE, as per Appendix 1.5.

5. Equipment & Materials
➢ Wash and disinfect all equipment after use.
➢ Dispose of single use materials immediately after use. For example, blue roll.
➢ Frequently wash non-single use materials, e.g. cloths.
➢ Use different equipment (e.g. vacuums) and materials (e.g. cloths) for:
• Bathrooms;
• Kitchens/Kitchenettes, Canteens or Coffee Stations;
• Different floors;
• Different buildings;
• In accordance with relevant colour coding guidelines.
N.B If this is not possible for all equipment, ensure equipment is adequately disinfected (Do not damp wipe electrics) in accordance with the above equipment segregation recommendations.
6. Cleaning & Disinfecting Process
➢ Follow relevant procedures and processes, e.g. Method Statements, Standard Operating
Procedures (SOPs), Toolbox Talks, etc, when disinfecting and cleaning.
➢ Prioritise the disinfecting of touchpoints over deep cleaning and cleaning of other areas.
➢ If a site requires a decontamination clean due to a suspected or confirmed case of
Coronavirus on-site, the relevant manager must contact the Industrial team to complete a
decontamination of the site.
➢ NEVER is a site-based cleaning staff to decontaminate a site (or areas on-site) if there is a
suspected or confirmed case of Coronavirus on the site. The only exception is
appropriately trained cleaning staff, e.g. appropriately trained healthcare cleaning staff.
➢ Use a high-grade disinfectant when cleaning or disinfecting on-site. Prepare, use, handle
and store chemicals as per manufacturer’s instructions and training.
➢ Exercise additional care when disinfecting frequently touched objects and surfaces. For
example; Touch Points as per Figure 1.0 (Appendix 1.4).

7. Travel
A. Republic of Ireland
➢ You will need to restrict your movement (self-quarantine) if you’re returning to Ireland from
any country, except Northern Ireland.
➢ Follow travel advise from the HSE and Department of Foreign Affairs (DFA).
➢ Inform your manager if you intend to travel and where to, or if you already have travelled in
the last 14 days.

➢ You will need to self-quarantine if you’re returning to UK from certain countries. ➢ Follow travel advise from the NHS and Foreign Commonwealth Office (FCO). ➢ Inform your manager if you intend to travel and where to, or if you already have travelled in

8. Social Distancing
➢ Maintaining social distance from others is keeping a space of 2 metres (6.5 feet) between you
and other people. (HSE, 2020)
➢ Do not shake hands or make close contact (e.g. hug, stay within 2 meters, etc.) if possible.
➢ Avoid crowded areas, e.g. Cleaning areas during peak times, entering the cleaning store or
other small areas (e.g. individual office) when others are present, etc.
➢ Eliminate close contact with people infected with or suspected to have the Coronavirus.
➢ Eliminate contact with people during breaks, other than staff you are working directly with.
➢ Maintain social distance and avoid close contact when working and at break times, as far as
reasonably practical.
➢ Maintain social distance where possible in vehicles. Refer to specific work-related risk
assessments, where applicable.
9. Self-isolation and Restricted Movements
➢ To help stop the spread of coronavirus (COVID-19) you may need to either Self-Isolate or Restrict your Movements (also refer to as Self-Quarantine).
• Self-isolation means staying indoors and completely avoiding contact with other people.
• Restricting Your Movements (also referred to as Self-Quarantine) means avoiding contact with other people and social situations as much as possible. You will need to do this if you are a close contact of a confirmed case of coronavirus and you are still well.

10. Other Recommendations
➢ If passing someone in a small area, e.g. corridor or stairs, stand to the side and let the person
pass. Avoid speaking to the person or face to face contact. To avoid face to face contact you
may need to slightly turn your body.
➢ Use door stoppers to minimize the touching of doors on-site, if appropriate. N.B Never use a
door stopper on a fire exit, fire door or controlled access door.
➢ Stagger shift patterns.
➢ Segregate teams as appropriate, e.g. One team to clean one building or a floor, etc.

➢ Elimination or minimise contact between segregated teams or other staff on-site, e.g. different
start and finish times, different break times, use different cleaning stores, etc.
➢ Provide relevant and applicable training to staff.
➢ Encourage clients to adopt self-cleaning practices, e.g. client staff clean their own desktops.

Retail & Transport Services
Cleaning staff working in the retail sectors must comply with the section “Protect yourself & others from Coronavirus” outlined in this SOP.
It is essential for staff to remember;

➢ Being mindful of the distance (Minimum 2 metres or 6.5 feet, when possible) between you and others.
➢ Avoid crowded areas. Large establishments will control the number of shoppers/ members of the public in the building. However, crowds can build up in some areas. Avoid cleaning or disinfecting these areas during peak times, e.g. checkouts or ticket machine, and complete cleaning and disinfecting activities at off peak times or out of hours.
➢ Adopt good social distancing behaviours. ➢ If there is someone using a touchpoint, stand back and wait for them to finish using, instead of
cleaning or disinfecting within 2 metres of them. ➢ Avoid face to face contact will people in close proximity. ➢ Use fit for purpose barriers when cleaning and disinfecting, as appropriate. ➢ Close off areas for deep cleaning or complete out of hours, e.g. toilets, floor cleaning, etc.
Further Safety Measures
➢ Inspect equipment and PPE before use.
➢ Wear appropriate, fit for purpose PPE as per appendix.
➢ Do not wear damaged or defective PPE.
➢ Do not use damaged or defective equipment.
➢ Correctly display caution signs in the working area.
➢ Always read container label instructions.
➢ Never dispense chemicals into unmarked containers or mix chemicals.
➢ Avoid strain by alternating hands as much as possible.
➢ Avoid unnecessary opening any doors to contain infection.
➢ Wash hands using warm water and soap, as per procedure (Appendix 1.2).
➢ Use hand sanitizer as per procedure (Appendix 1.3). N.B Do not smoke or handle any
flammable substances if there is residue of hand sanitizer on your hands, arms or clothes.
➢ Disinfect non-single use PPE immediately after use.
➢ Dispose of single use PPE immediately after use.
➢ Store maintain and service equipment and PPE, as per supplier recommendations.
Procedure
(A) PPE Preparation:
(i) Hygiene

4. Use chemical as per instruction, training and manufacturer’s instructions.
5. Ensure cleaning solution is prepared to specified dilution and in the correct
sequence.
6. Spray chemical onto cloth (or single- use cleaning material, e.g. blue roll), not
surface.
7. Disinfect the area as per relevant Method Statement, using smooth motions.
8. Do not touch personal items.
9. Never clean or disinfect a desktop if an employee is at their desk.
10. Do not use excess chemical.
11. Ensure colour coding practices are adhered to.
12. Follow the guidelines outlined in ‘Protect yourself & others from Coronavirus’.
13. Prioritise the disinfecting and cleaning of Touchpoints (Figure 1.0 & Appendix 1.4)
and the multi touched areas over other cleaning and deep cleaning that is
scheduled.
