    Chapter 1

    The Project and Its Setting

    1.0 Introduction

    The system design process usually involves creating and evaluating a

    number of possible designs. The researcher team discussed the advantages and

    disadvantages of each of these. The design that was conceived accepted may

    be the most appropriate technically but, more often than not, other factors such

    as the need for compatibility with other systems, the need to use company

    standards, the need to minimize risks in other parts of the system govern the

    ultimate design choice. The design is simply represented as a specification of the

    system which is to be implemented.

    The E-Books and Sales Monitoring System is a complete inexpensive

    system for management of sales, purchases, payments and customer records.

    This system will help the user in creating invoices, sales orders, service/s

    rendered, customer profiles and any kind of the reports for monitoring the

    business. Inventory System allows controlling customer balances and vendor

    balances.

    The developers of the new system can refine its design by breaking the

    system down into smaller tasks and then estimating the time spent to complete it.

    The focus of this study is the use of many tools with a collaborative mindset of

    the developers to systematically improve business through the implementation of

    a new information system. System developers can enhance in its learning

    through the application of new techniques and tools.

    2.0Background of the Study

    INNOVA OPTICS and DENTAL SPECIALISTS is an optical and dental

    clinic located at 2nd Floor Susano Complex, Quirino Hi-Way, Novaliches, Quezon

    City. It was started on December 11, 2004 with one(1) staff dentist and a medical

    secretary. The Innova Optics and Dental Specialist is owned by Dr. Rhona M.

    Subagan, a Doctor of Dental Medicine who graduated from National University

    (NU). The Clinic has a partnership with Optical Clinic owned by Dr. Armila David-

    Cablay and has a branch located at Sampaloc, Manila.

    ` The Innova Optics and Dental Specialists offers Consultation, Extraction,

    Restoration, Prophylaxis, RCT, Denture and X-Ray. This clinic does not have any

    computer based system for its business even though they have an existing

    computer system.

    Clinics Mission:

    INNOVA OPTICS and DENTAL SPECIALISTS strives to meet the needs

    of its customers for total value by offering a good service.

    Clinics Vision:

    Years form now Innova Optics and Dental Specialists will grow and

    expand its business by consistently providing a good and affordable service for

    its customers.

    The E-Books and Sales Monitoring System is an on-line website for the

    Innova Dental and Optical Clinic. This system is especially intended for storage

    of data covering all the transactions in the clinic, for the on-line sharing of each

    branch of the company and to advertise the its services being offered. The

    system is developed through HTML, Php and a little Javascript scripting codes

    using Dreamweaver Cs3 software, phpMyadmin and Apache in Xampp software.

    The system provides an interaction between company and the

    guests/visitors of the system. The partners of the clinic can share the sales and

    transactions privately, because of the confidential nature of sales and

    transactions. In this kind of process, the system provides security in all records of

    the company and no one can easily access the sales record unless the person is

    permitted to do so. The guests can interact with the owner through sending

    suggestions, questions and recommendations at via email.

    3.0 Statement of the Problem

    Based on the interview conducted at the Innova Optics and Dental

    Specialists, it was discovered that the clinic has an unorganized compilation of

    different patient records and lack of information regarding account receivables

    and payables that will be useful in determining if the company is making profit or

    not.

    4.0 General Objectives

    To provide the most effective and flexible system for the improvement of

    Innova Dental and Optical Clinic patients record system by designing e-Book and

    Sales Monitoring Online System .

    5.0 Specific Objectives

    A useful system is essential to ensuring the use and acceptance of the

    information system; there are several specific objectives that the researchers try

    to attain when designing a system:

    To create the most useful system possible

    To lessen the difficulties while searching files for follow-up

    Data flow diagrams are used to describe how the system transforms

    information. They define how information is processed and stored and identify

    When building a data flow diagram, the following items should be considered:

    1. Where does the data that passes through the system come from and

    where does it go?

    2. What happens to the data once it enters the system (i.e., the inputs)

    and before it leaves the system (i.e., the outputs)?

    3. What delays occur between the inputs and outputs (i.e., identifying

    the need for data stores)?

    Entity-An entity is a specific object of interest to the business area. It can be said

    that in an accounting system, two things are basically necessary: Accounts and

    transactions. In a customer support system, we would need to have some

    information about customers, for a start. Each such unit of essential information

    is named an entity, with a name and attributes.

    Attributes-Each entity will normally have one or more attributes. Attributes may

    be thought of as smaller pieces of information within an entity. Together they

    describe our entity to the degree we find necessary.

    Relationships-In a relational database, all entities have bonds between them,

    expressed as relationships. A relationship is a link between to entities, and it tells

    us something about which relationships exists between our entities.

    9.0 Problems/Requirements List

    The companys problem is the growing numbers of papers being stocked

    in the storage box, because of this, it is not easy to find or recover file records.

    Some of the files are not organized, because of the manual errors such as

    instead of arranging the files according to its surname alphabetically and

    sometimes the company employee displaced it. And because of these problems

    the company is just wasting its time and experienced an additional task that

    leads to additional expenses for the company.

    The existing system of the Innova Optics and Dental Specialists is

    currently using the manual information system which lacks the proper

    management and control of the patients records that makes the company files

    unorganized and over populated that caused to the loss of files and it is not easy

    to retrieve some previous records of the patient. The manual system of the

    company entails a lot of time spent in recording and recovering the files of the

    patient. So, the researchers need to propose a system that can help solve all

    these problems.

    Methodology

    1.0 Project Design

    The E-Books and Sales On-line Monitoring System (ESOMS) for Innova

    Optics and Dental Spaecialists is an On-line database website design coded in

    HTML, Php and a little Javasript codes. This system has been developed through

    Php coding using Dreamweaver Cs3 and with the help of Adobe Photoshop CS3.

    The effects and design of the system is made through Macromedia Flash and

    Cascading Style Sheets (CSS) codes.

    1.1 Research Design

    This is a descriptive-exploratory approach on how an on-line solution can

    deliver a big impact in an organization, particularly a dental-optical company

    gearing it up for global competitiveness. The researchers used both qualitative

    and quantitative research methods for this proposition, where they intend to

    identify the perceived strengths; benefits and even weaknesses of implementing

    a website with on-line information system, as viewed by IT professionals and

    students. Further, this proposal analyzes the perceived message transmitted

    through the e-business with regards to the content, structure and strategy used.

    Finally, the proponents look upon the proposed system and the impact it would

    bring to Innova Dental and Optical Specialists Clinic.

    The companys seen problems at Innova are addressed by the proponents

    through the developed system. The system can easily save records for the

    companys customer profiles, sales and daily transactions. The researchers

    designed an organized and a user-friendly system for the company and are

    logically developed to avoid errors and lost of files in the company. The system

    will help lessen the time consumed in recording transactions manually and will

    lessen the paper documents for the company. Most especially, the two branches

    of the said company can share transactions through on-line anytime and

    anywhere.

    3.0 Project Development

    In the first phase of the SMS house alarm system project development,

    the researchers are concerned with identifying the problems, opportunities, and

    objectives, this stage is critical to the success of the rest of the project, because

    no one wants to waste subsequent time addressing the wrong problem.

    The first phase requires that the researchers look honestly at what is

    acquiring in a business. Then, together with other organization members, the

    requirement system.

    In the last phase of systems development, the researchers help implement

    the information system. Some training is done by vendors, but oversight of

    training is the responsibilities of the system researchers. In addition, the

    production.

    So, this is the proposed system, the system is developed through

    Dreamweaver CS3 using the Dreamweaver Php and HTML where the

    researchers wrote the Php and html codes. The researchers created the forms

    4.1 Technical Considerations

    The users only need a computer or a laptop in order to use/access

    to the system, no more high specifications required in this system. The

    current system of the company does not fit to its requirement to fulfill

    the job.

    4.2 Operations

    The system is a very user-friendly, the user can easily navigate to

    this on-line system but not all users can access to the companys

    records of transactions, only the owner/administrator can access to it.

    The on-line system can record the customer profiles, sales and daily

    transactions of the company. The administrator can save, delete edit

    and search the customer records.

    4.3Schedule

    Once the transactions are saved it is already stored in the system

    database and it cannot be deleted unless the administrator will delete

    the record.

    the branch owners must have an Internet connection. The

    4.4 Economic / Cost Effectiveness

    Every owner wants a cost-effective building. But what does this mean? In

    many respects the interpretation is influenced by an individual's interests and

    objectives.

    Is it the lowest first-cost structure that meets the program?

    Is it the design with the lowest operating and maintenance costs?

    Is it the system with the longest life span?

    Is it the facility in which users is most productive?

    Yes, the developed system is very helpful to reduce expenses in the

    company and provide a good storage of transactions in the company. Instead of

    buying papers, printing of forms and providing storage box/drawers for storage.

    This is the system that has a full package of the necessary things for the

    improvement of the company.

    Microsoft SQL Server 2005 (codenamed Yukon), released in

    October 2005, is the successor to SQL Server 2000. It included native

    support for managing XML data, in addition to relational data. SQL Server

    2005 also allows a database server to be exposed over web services

    using TDS packets encapsulated within SOAP (protocol) requests. When

    the data is accessed over web services, results are returned as XML.
