Creating and ManagingShipments

The E A Logistics despatching website allows users to manually create, print and manage shipments whilst accessing high volume discount rates through major carriers.

Domestic ShipmentsThe site opens on ‘Create Shipment’ page anything in yellow is mandatory, and must be completed in order to view the services on o�er. - Avoid using special characters, try to keep to the standard alphanumerical (a-z and 0-9) - The country section is set to UK by default. Click the postcode box and enter a correctly formatted UK postcode. The automatic address �nder will give known address options. You can select one of these or manually complete the details. Selecting an address from the drop down list will auto �ll many of the �elds, however you can amend these �elds, or enter the address manually. - If you do not have a contact phone number enter ‘0000’ Please note we provide email and text noti�cations. If you have an email address or phone number for the recipient it is very helpful to enter it here. - Other �elds are optional, and can be used to add additional information such as order numbers, delivery instructions, invoice numbers etc. - The collection date and address should be left alone.- Once you are happy with the information provided you can proceed to adding the package details.

You will then be redirected to the Login page, where you can Login to your account .

Package DetailsThe package details consist of dimensions (cm), weights (kg) value (£) and contents. These �elds will contain default �gures that can be changed. Package details are mainly for international shipments, but some services are a�ected by the weight and dimensions of the goods therefore be mindful of the declared values when searching for a service.

To add a package to the consignment list, click the ‘+’button. You will see the details drop to the package list below where you can see all the package details. To remove a package form the consignment list click the ‘-’ button.

When all of the packages have been added to your consignment list, and you are happy that all of the details are correct, click ‘GET SERVICES’ and you can now search through your available services list.

Go through all the available services and select your required service (it will be highlighted blue) and click ‘CREATE’ to produce the label.

At the bottom of the page you have the option to save the details as a draft, or to clear everything and start again.

You also have the option to add the address to your address book by ticking the box above the create button, or to add a shipment to your drafts by clicking ‘SAVE FOR LATER’

Shipping Within the EUShipping within the EU does not require an invoice for your goods, therefore you do not need to change the value of the contents description from the default.

International Shipments Most of this process is the same as the domestic shipping, however there are a few alterations.

Customs Declaration For international shipping, package details has a second tab - ‘CUSTOMS DECLARATION’ Only the yellow category of item explanation �eld needs completing. A simple description of the item being sent is required.

A contact number is mandatory, not providing one will delay or prevent delivery and providing an email is advised.

Unlike domestic shipping, the only parts of the address that Web Despatch checks for international is the post Code and city. Once you have selected the country enter the post code, and city from the list. The rest of the address needs to be manually competed.

The same applies to international shipping, avoid using special characters, try to avoid using special characters, and keep to the standard alphanumeric characters.

Package Details All international packages must have the correct dimensions and weight declared. Prices for international shipping are based on the size and weight of the package. If the declared dimensions are not accurate you may be charged extra.

Customs Declarations - Category of item - select the category that best �ts the reason for export. Certain categories do not require an invoice, such as a gift or documents. - Category of item explanation - brief description of the item being sent - Terms of trade - this option is set - Commodity code - this is not a mandatory �eld and can be left blank if you do not have the commodity code on hand.

Shipping outside of EU requires some additional information as the item will have to pass customs checks. Along with the additional information you will have to supply up to 5 copies of the sale invoice with the value of the good in £.

The price on the invoice (not including the cost of postage and packaging) must match the value declared on the label exactly in both amount and currency. If the value declared on the label does not match the value of the goods on the invoice, the package will be returned at cost.

The contents description must be speci�c. ‘Goods’, ‘Parts’ or ‘Equipments’ will not su�ce. The description must be short, accurate and understandable e.g. toaster, brake pads, graphics card etc.

Printing a Label

Draft shipment is a simple page to show any saved shipment drafts, which will remain in this section until completed or deleted.

The top of the page shows the consignment details, and the bottom shows the newly created labels. You can either select ‘Print all Labels’ or print them individually (if you have more than one) by clicking the green images (these will turn red once printed)

After you create your shipment you will be redirected to a page similar to this one, to print your labels.There will be one label for each package in the consignment.

Along the top menu you have several drop down options. Click on the ‘SHIPMENTS’ drop down box. Select ‘VIEW SHIPMENTS’ form the selection of options in order to see a list of your recent shipments.

To the right of a shipment you can see the ‘ACTION’ tab. Here you have the following options:

View Shipment - A pop up screen that shows the shipment details, and allows you to reprint the labels.Cancel Shipment - providing that the label has been created that day you can cancel it. If this option is not available and you would like to cancel a label please email [email protected] if a cancelled label enters the network it may still be delivered, however there will be an admin fee alongside any other charges. View Tracking - a pop up screen shows the E A Logistics tracking site and tracking status of the item. View Carrier Tracking - A pop up screen that shows the carriers tracking page. Clone Shipment - Takes you back to the create a shipment page with the shipment details �lled in to match the shipment you have cloned.

To print a label from the view shipment screen, select the required shipments(s) (the line will highlight blue when selected) and click ‘PRINT SELECTED LABELS’ You can highlight multiple labels by using the Ctrl function on your keyboard.

When viewing all your shipments di�erent colours stand for di�erent stages your packages are at: Green - deliveredPurple - in transit Yellow - information required Red - issue

Manifesting (your delivery receipt)

Once you have �nished creating your day’s shipments click on ‘REPORTS’ < ‘MANIFESTS’ in the top menu to go to the manifest page. You will see a list of all previous manifests, and the option to create a new one. Click the ‘CREATE NEW MANIFEST’ button.

Address Book

The address book is simply a place to store addresses. The following details can be stored: - Customer name - Business name - Address - Reference number - Phone number - Email

The address data for bulk import must be entered in a particular format. At the bottom of the address book page there is an excel template that can be used to import multiple addresses. Download the sample CSV �le, add the detail to the form, and use the upload function to add the addressto the address book.

Bulk Uploading

A manifest will appear in a new window, with an option to ‘PRINT MANIFEST’ on the top right of the screen.

Click ‘PRINT MANIFEST’ and adjust the number of copies to 2, hand one to the driver and retain a copy signed by the driver for your records.

Please note printing a manifest is not manditory, and is basically provided for your records.

Single Address There are two ways to save an address: 1 - when creating a shipment, or 2- on the address book page.

2. Alternatively, navigate to ‘Address Book’ (’SHIPMENTS’< ‘ADDRESS BOOK’) and select ‘CREATE NEW’ and enter the details manually.

Loading a Saved Address

As you type details on the create shipment page, our software will scan through the address book and o�er existing addresses that match what have been typed so far. Any �eld that has data stored in can be used to search for addresses.

When using a postcode to bring back details, the address book entries will sit above the postcode address lists and will be separated by a thicker black line.

Editing and Deleting an Entry

Or you can use Ctrl button and select multiple entries to delete at once.

To change or delete entries, navigate to the address book. Inside the address book page you have the option to edit and delete entries, by using the action tool.

This will take you back to the Service Preference page and you will see your new list in the ‘SERVICE PREFERENCE LIST’

This will open a new page which shows you all of the of the services which are turned on for your account on the left side. Simply drag and drop the services you would like to see �rst, in the order you would like to see them, from the left hand list to the right hand side box. Once you are happy with your list click on ‘SAVE CHANGES’

From the new screen you will need to create a new Service Preference List. To do this enter a name for the list in the box under ‘CREATE NEW SERVICE PREFERENCE LIST’, and then click on the ‘CREATE NEW SERVICE LIST’ button.

To set your Sorting List click on ‘INTEGRATIONS’ on the top panel, then ‘SERVICE PREFERENCES’

Creating a Preference List

WITH SET PREFERENCE LIST UNSORTED VIEW

You are able to set the order that services appear in the Web Despatch System by using the Service Preference List located in the Integration section of the site. Using the ‘SORTING CREATE SHIPMENT SERVICES’ will allow you to select your most used services to appear at the top of the list when manually creating a label.

Navigate to the eBay integration page (’INTEGRATION’ > ‘eBay INTEGRATION ‘) Clicking ’LOG INTO eBAY’ directs you to the eBay login page. By signing in here you will link your eBay account to E A Logistics.

To amend, delete or change to another preference list, you will need to return to the ‘SERVICE PREFERENCES’ page ( ‘INTEGRATIONS’ < ‘SERVICE PREFERENCE’ ) Find the list you wish to edit in the ‘SERVICE PREFERENCE LISTS’ and click on the ‘ACTION’ button to the right hand side to edit or delete and drag into a new order. Once you are happy with your list click‘SAVE CHANGES’

Amending and Sorting Your Preference List

Now when you create a new shipment you will see your services in the order you have set, followed by all other services

Below the service preference list is the ‘SORTING CREATE SHIPMENT SERVICES’ section. Use the drop down menu to select your preference list and click on ‘SUBMIT’

Navigate to the Amazon integration page (’INTEGRATION > AMAZON INTEGRATION’) Amazon integration requires you to have a Pro Merchant Subscription, without this E A Logistics will not link to your Amazon account. You will need the ‘Account Seller Id’ and the MWS Auth Token’ from Amazon, and Amazon will need our Developer ID - ‘7111-6206-7819’ and the Developer Name - ‘Parcelhub Website’ located at the bottom of the page.

To link your E A Logistics account with your Amazon account click ‘LOGIN TO AMAZON MWS’ and click ‘SIGN UP FOR MWS’ and login into your Amazon account.

Extra options are available, and are enabled using tick boxes.

Once you are happy to continue click ‘LOAD SHIPMENT’

Note if you have multiple eBay accounts, you will need to click ‘DELETE eBAY LOGIN’ before logging into another account.

Now that your eBay account is linked, and you have a service preference list set up, you can move forward with booking your consignments.The default settings use the �rst preference list available (this only a�ects you if you have multiple preference lists) and will pull back any orders that have been paid for but not yet marked as dispatched in your eBay account

eBay Integration contOnce you have agreed to grant the necessary access to E A Logistics you will be directed back to the eBay integration page, a full set of options will then be available to you.

Amazon Setup Cont

Taking the Developer ID (711-6206-7819) and the developer Name (Parcelhub Website) from the E A Logistics Amazon integration page and enter them into the required �elds for option 2 - ‘I want to use an application to access my Amazon seller with MWS’

Loading Shipments

Now that your Amazon account is linked, and you have a service preference list set up, you can move forward with booking your consignments. Amazon have set rules on reference �elds and their relation to the sold item, so we are unable to change this, but you can add special instructions to the label using the tick box. When you are ready to move forward click ‘LOAD NEW ORDERS’

The congratulation page contains the seller ID and MWS Authorisation Token required by E A Logistics. Take the seller ID and MWS Authorisation Token back to the E A Logistics integration page to complete the set up.

The Spreadsheet Con�guration requires a �le mapper to link the layout of the CSV �le you want to upload to the E A Logistics system. To create a �le mapper, navigate to CSV Con�guration Page (’INTEGRATION > SPREADSHEET INTEGRATION CONFIGURATION’) click the ‘CREATE NEW CSV FILE FORMAT’.

File Format Name - The title of the mapper �le. You can leave this as it is, but if you will be uploading �les from multiple sources it would be helpful to be more speci�c to help identify with mapper links which account.

Delimiter - leave this as a comma

Remove Duplicate Addresses - if the order �le pulls information from multiple sources there may be duplicate orders, this feature will delete orders that have the same delivery addresses. Be aware, if the �le has a line per item this could interfere with order purchases.

Each �eld type can be linked to a column name, a column number on the order �le, or set to a default value. Fields that are not mandatory also have the option to be left blank.

Field by Column Number - if using a �le without a header, enter the column number. If this cell is empty or unreadable, nothing will be used in it’s place, so the in order will not be assigned a service.

Field by Column Number, with default if missing/unreadable – If using a �le without a header, enter the column number. If the cell is empty or unreadable (unknown character or something similar) it will use the information in the Default Value �eld.

Order Retrieval - CSV File Upload

File has Header Row - If row 1 of your �le is a header, enable this feature

Ignore Quotes - Only used with speci�c �les, refer to IT if this is an issue

Field by Column Name – If using a �le with a header, enter the column name. If this cell is empty or unreadable, nothing will be used in its place, so the in order will not be assigned a service.

Field by Column Name, with default if missing/unreadable – If using a �le with a header, enter the column name. If the cell is empty or unreadable (unknown character or something similar) it will use the information in the Default Value �eld.

Default Value Only - This option will not check the spreadsheet for data, it will automatically use the default value.

Leave Blank - the default setting for most optional �elds, this is only available for optional �elds.

Important Note The mandatory �eld ‘Service ID’ dictates where and how E A Logistics selects a shipping service there are three options:1. If your order �le doesn’t contain a service ID or a service preference ID select ‘Default Value Only’ and declare Auto2. List the service ID in the order spreadsheet, and link the column to E A Logistics in the mapper. A service ID is the number for a particular courier service e.g. Yodel Express 24 = 251, UK Mail XLBag = 14272 etc. Always check with your E A Logistics representative that you are using the correct service IDS. 3. Specify a service preference list that you wish to use

Once you are happy with the details and services selected, you can move onto booking the shipments. ForAmazon, eBay and Woo-commerce, this selection is where you feed details back to the other sites such as order status and tracking numbers; this does not apply to normal CVS integrations. There is no going back after this point as the labels will have been created and data submitted to other sites.

Booking And Submitting Shipments

Edit - located within the ‘ACTION’ menu. Opens the details of the shipment. You can amend the address and package details, or change the shipping service. Delete Draft - Located within the ‘ACTION’ menu. The shipment, if cancelled, will not be marked as dispatched but will appear on the list next time you run the integration. Mass Reselected Service - Only applicable if you have 2 or more service preference lists. This tool lets you select a number of shipments and change the service list that is applied to them. Use the Ctrl key to select the shipments you want to change. Book Shipments and Submit Tracking Numbers - Only click once you are happy that you want to ship all of the consignments on the services that have been assigned.

Once the integration has run, a shipment will appear showing all orders that have been pulled back via the integration, here you can review the courier and service. If you need to change some of the details do it here. The options vary slightly with each integration, the main features are;

There are three core selections to make: - File Format To Use - you can have multiple format �les, one for each �le type you want to upload. - Service Preference List to use - if you have not speci�ed the service ID or the Preference List ID in your order �le, you can select a preference list to run with the �le. Providing AUTO is the default for Service ID. - CSV �le upload - Browse your computer to locate the order �le you want to upload.

Once you are ready to move, click ‘LOAD ORDERS’

Spreadsheet Integration

Click ‘BOOK SHIPMENTS’ and ‘SUBMIT TRACKING NUMBERS’ to move onto the next section.

You still have the option to delete one or more labels, but please remember that data will have already been submitted to Amazon, eBay or Woo-commerce at this point, therefore if you delete an item please remember to change the details in the linked sites.

At this point you have booked all of the shipments and created electronic versions of the labels, so all that is left is to print out the physical labels. You can do this all at once by pressing down the control key and selecting the required labels.

I won’t be there when the driver is scheduled to pick up our collection, what do I do?Not to worry, just let us know! If you are happy to leave the package in safe place for one of ourdrivers to collect it, we’re happy if you’re happy. Your courier can still pickup your collection without you beingthere. Or if you want to be there then just give us a call and we can reschedule to a day that suits you better.

What happens if you missed your delivery? If you have missed your delivery, don't worry, the delivery will be put forward for automatic re-delivery the following day. Your courier will always make three attempts, and they will leave a card advising on when they will come back.

What happens if you missed your collection?Don't stress, keep the labels on your packages and Just re-schedule the collection on our website. (top tight hand corner, button) For same day collections For same day collections, you must schedule a collection before the below times in accordance with your postcodes:IP 11am PE and CO 9am NR and CR 10am How do I put forward a claim?Contact our tracking team, the tracking team will start your investigation and issue you with a ticket number. Once you have your ticket number �ll out the online form.

Does my package already have insurance?It just depends on which carrier you are using. The di�erent insurance options for all your relevant carrier options are on your rate card.

Missed the schedule a collection cut o� time?We will always do our best to meet your collection requests, but if we cannot your collection will be the following day. For same day collections, you must schedule a collection before the below times in accordance with your postcodes:IP 11am PE and CO 9am NR and CR 10am your collection will be the following working day.

Can I print my labels o� my standard printer?Yes! All labels can be printed on any printer, just print in standard A4 format. The label usually takes up half ofa standard A4 piece of paper, therefore just fold in half and stick to your package.
