Project Scope Management

• Scope management is mandatory; without scope management there is no project

• “ensuring that enough, but only enough, work is undertaken to deliver the project’s purpose successfully” Turner (1999, pg. 93)

• Through the process of managing the scope the owner’s requirements are converted first into the definition of the new asset

• Secondly, into a statement of the work required to construct and commission that asset

Page 4: Session 5 Scope Management 2015-16 - Samuel Learningsamuellearning.org/Project_Management_Slides/Session_5_Scope... · Project Scope Management •Scope management is mandatory; without

• In the project context scope may refer to:– Product scope‐ the features and functions that characterize a product or service

– Project scope‐ the work that must be done to deliver a product with the specified features and functions

• Scope is developed from the project’s objectives and product breakdown structure

Project scope statement includes the following:

• Product scope description‐ Progressively elaborates the characteristics of the product, service, or result described in the project charter and requirements documentation.

• Acceptance criteria ‐ A set of conditions that is required to be met before deliverables are accepted.

• Deliverable ‐ Any unique and verifiable product, result that is required to be produced to complete a process, phase, or project.

• Project exclusion ‐ Generally identifies what is excluded from the project. Explicitly stating what is out of scope for the project helps to manage stakeholders’ expectations.

• Constraints ‐ for example, a predefined budget or any imposed dates or schedule milestones that are issued by the customer or performing organization

• See handout on Scope of Work

Using Breakdown Structures• Product Breakdown

Structure (PBS)• Work Breakdown

Structure (WBS)• Organization Breakdown

Structure (OBS)

• A technique by which the project is divided and subdivided for mgt and control purposes

• ADVANTAGES• Better control of work

definition• Work delegated in

coherent package• Work can be defined at

appropriate level for estimating

• Containment of risk

Page 8: Session 5 Scope Management 2015-16 - Samuel Learningsamuellearning.org/Project_Management_Slides/Session_5_Scope... · Project Scope Management •Scope management is mandatory; without

WBS‐’Chunking’

• Hierarchical tree of all the tasks needed to complete a project

• Each level progressively gets more and more detailed until the bottom level is reached which shows all the smallest day to day tasks

• Maps out a view of  Project Stages, Phases, Work Packages, Activity ,Tasks or Steps

WBS Exercise

• The construction of Office Spaces at IBIS POINT FORTIN BRANCH

• See handout for Statement of Scope of Works• Draw a WBS based on the specification

OBS

• Identifies the team structure for carrying out the work

• All the people who are going to do the work

Scope Change Control

• Scope Creep‐ subtle changes made to product without approvals

• All change request should be documented and evaluated against the project constraints

• Essentially, an impact assessment• The assessment will determine whether or not the change would be implemented

• Use change request forms, change control log
