SESIS Security Guide For School-based Staff

Introduction SESIS uses the concept of system roles to determine what aspects of the IEP-development process staff members can see and edit. This is to ensure student privacy, system security, and the integrity of student file information. This document shows how role-based access rights work with documents and process modules and with SESIS reports.

By default, system roles are assigned to staff members based on their job titles in Galaxy, but principals (or designated SESIS administrators at the school level) can re-assign SESIS roles in Galaxy, independent of job titles. A table on the next page shows which system role SESIS associates with each job title in Galaxy. Access to Modules/Documents SESIS has four types of access:

1. View allows staff to open documents but not to add or delete content. Example: Both general education and special education teaches have View access to the Psycho-educational Evaluation Report.

2. Edit allows staff to view and edit documents that are in Draft or Review status. Example: Social workers and IEP Teachers have Edit privileges with regard to the Psycho-educational Evaluation Report.

3. Finalize allows staff to finalize documents so that they can no longer be edited. Example: Psychologists and Supervisors of Psychology at the CSEs can Finalize the Psycho-educational Evaluation Report.

4. None is self-explanatory. Example: Speech teachers and occupational therapists have no access to Assessment Planning documents.

In the interest of brevity and legibility, each summary table in this guide omits documents that staff members in that role do not have access to.

Access to Reports

By definition, reports are not editable so there are only two levels of access: view and none. Most SESIS reports are generally accessible, but a few are limited by role. For example, a principal can view the “Intervention Strategy Report” but a teacher cannot. Printing and Faxing There are no role-based limitations on printing in SESIS. Staff members can print any document that they can view. Faxing, however, requires Edit access because in order to create the appropriate coversheet, you have to be working in the relevant document or process.
