Hi everyone, I hope you all enjoy your position as secretary. Thanks to each and every one of you that sent me your April report! It was very exciting to see all of the wonderfully decorated envelopes & how other clubs conduct their meetings. I really hope that all of you have a fun and exciting summer, but please remember that monthly reporting does continue throughout the summer months. Even if your club does not take part in any service, you should still submit your monthly reports so that I know that your club is active. The summer months can be used to practice your skills as a secretary. The work will really pile on during school and you will want to be well prepared to balance it efficiently. Please be sure to come, as I will be offering advice for monthly reporting as well as answering any questions you may have. One of my goals for the year is to have 50% percent reporting. I can’t accomplish this without the help of all of you. I will be making calls throughout the year to clubs that do not report. As always, don’t hesitate to call, text, or email me. Tips for Better Reporting

6. Include proof! I can’t award points for agendas, service events with 100+ hours, 100% attendance at meetings, newsletters, publicity, article submissions to Keynoter/Tex-O-Key, or recognition and awards without proof. Please, please include proof! I want to give you points J

1. Write article submissions! One submission to Keynoter is also a submission to the Tex-O-Key. Each submission is worth 15 points for submitting to Keynoter and 15 points to Tex-O-Key. That’s 30 points for one article!

2. Facebook & email bulletins! Every message, whether it be to your club officers or members counts as a bulletin. Take a screenshot of the messages & print them out. If you have an overwhelming amount of messages, email me and I’ll talk to you about submitting them in other ways.

3. Put effort into your minutes! It’s very easy to tell when someone took 3 seconds to slap something on a Word document and when someone took the time to carefully explain the details of the meeting. You’re given more points for detailed meetings.

5. Do the Task O’ the Month! It’s intended to be a fun and creative way to award points. I promise, it’s not meant to be a burden. I included a list of ALL of the tasks in my April newsletter. Ask your LTG or me and we’ll forward it to you.

4. Decorate the envelope! I love love love seeing artsy envelopes. I got some really great envelopes for April. However, there were also lots of envelopes that were plain. You get 15 points for simply drawing on a piece of paper. How awesome?!

Secretary’s Spotlight

This year, I will: 1. Organize more interclubs and socials so I can

get to know all of the other 3N Key Clubs better

2. Create a Secretary binder that is BEYOND AWESOME and enter it in the Outstanding Secretary Award Contest at DCON

3. Keep my calendar in April completely BLANK so I won’t have any conflicts with DCON

My first goal would be to make sure I complete everything I need to when it needs to be done. I will do my minutes and reports on time so my club can be as successful as possible. Next, I want to try my best to be at every single meeting and board meeting. I cannot do my job of minutes if I do not attend the meeting and I do not want to let my club down. Finally, I want to get to know the other members of our club.
