The document highlights key benefi ts of using the collaborati on platf orm SDL Trados GroupShare, giving an overview of its architecture as well as deployment and migrati on considerati ons.

This document assumes that you are familiar with the new features of SDL Trados Studio 2019 and the concept of translati on memory. If you are not yet familiar with SDL Trados Studio 2019, read the SDL Trados Studio 2019 Product Brief before reading this Technical White Paper.

Why use SDL Trados GroupShare?

SDL Trados GroupShare 2020 is an online collaborati on platf orm that enables translati on teams to work together on SDL Trados Studio projects and share translati on memories and termbases in real-ti me, from any locati on.

Current user requirements

Typically, translati on management users have the following requirements:

• Share projects and translati on memories with internal and/or external users in real-ti me, via intranet or internet. Someti mes, translati on management users also want to work with users who do not have high-speed access to the internet, and therefore want to work with these users offl ine.

• Share medium to large project work quickly and securely, centrally manage project setti ngs while making sure that team members can only access relevant project data.

• Give simultaneous access to shared translati on memories (TMs) and termbases for multi ple users. Language Service Providers share medium, large or extremely large TMs, with sizes starti ng from 100,000 to millions of translati on units.

• Run common project management tasks automati cally, while team members are working with the project fi les. Examples of such tasks are batch Document Analysis or Pre-translati on.

• Reduce translati on review ti me following last minute project updates.

To summarize, translati on management users need support for what can be referred to as heavy-duty translati on logisti cs. They require reliable and robust translati on management technology for processing maximum volume of linguisti c data in as litt le ti me as possible, for both online and offl ine scenarios.

This section presents the SDL Trados GroupShare 2020 system and details the use case scenarios and the user roles it supports.

Project Managers, Translators and Reviewers

SDL Trados GroupShare 2020 uses industry-leading project management technology to enable project managers, remote workers, LSPs or freelance translators and reviewers to collaborate on SDL Trados Studio projects and on translation memories.

Pre-GroupShare workflows Before SDL developed the 2020 Project Server functionality, translation project managers used complicated, error-prone workflows for exchanging translation resources.

Documents, translation memories, termbases, project settings, file type settings and other resources were shared via email, FTP servers or other similar means. Project managers could not combine all translation resources in one project or share these resources with all the team members.

In addition, not being able to use one central translation memory meant that if a translator in one location updated their local translation memory with new translations, no other translator could benefit from this work. Project managers had to update offline translation memories locally and then re-send the new translation memory to all project members.

This led to errors in distributing translation work and lost fuzzy matches. Ultimately, the rate of translation re-use was low while the rate of inconsistencies, administrative overhead and cost was very high.

Central project management and internet TM yield worldwide translation projects SDL Trados GroupShare includes innovative project collaboration features that address the gaps specific to traditional translation workflows. For example, project managers can assign files securely only to specific users and give simultaneous access for all users to a central translation memory.

Team members only need the SDL Trados Studio 2020 client, the SDL Trados GroupShare platform and an internet connection to access the central server that hosts the project, the translation memories and all the other translation resources. This server enables team members to share projects and translation memories with all project participants in real-time, via the internet.

Project managers and translators can also continue to use local translation memories and existing workflows. Switching between local and server-based translation memories allows maximum leverage from all existing translation memory data. The possibility to use both existing and new technology gives project managers maximum flexibility and efficiency when handling worldwide translation projects.

Easy work distributi on and communicati on through project assignmentsSDL Trados GroupShare 2020 off ers unique new ways for effi ciently distributi ng work to project members.

Aft er setti ng up a multi lingual translati on project, now directly from the browser or SDL Trados Studio the project manager can assign one or more project fi les for each language only to the relevant team members. For each assignment, SDL Trados GroupShare 2020 automati cally sends an email noti fi cati on to the relevant users, alerti ng them that a task is ready for them to start working on. Users can then easily open and work on their assigned project fi les in SDL Trados Studio 2020. Aft er completi ng the work, users check-in their work and move the fi les to the next phase in the project.

This way of working allows maximum effi ciency for distributi ng any type of work among self-organizing project team members while reducing manual work and ensuring standardized setti ngs and security.

Radically new features for translati ngWhen opening a GroupShare project in SDL Trados Studio 2020, team members can open their assigned fi les from the Studio Files view.

The redesigned user interface for translati on memory management off ers new features for resolving duplicate translati ons and for editi ng or deleti ng translati on units in batch mode. In additi on, SDL Trados Studio 2020 includes all the other important maintenance features that enable you to effi ciently manage even large translati on memories.

The scalability and performance benefi ts of SDL Trados Studio 2020 enable you to run common tasks while other team members use the translati on memory for interacti ve translati on. Translation memory administrators

Project managers can connect to the SDL Trados GroupShare website to carry out all types of project management tasks from their internet browser. For example, they can use the web-based client applicati on for:

• User managementAssign users to projects and translati on memories and manage their privileges in a project. Privileges can range from read-only access to power user rights. Power users can read and edit translati on memory data, including making global changes to the translati on memory content.

• Project managementMonitor project status through real ti me tracking, and experience bett er visibility through a dedicated project manager dashboard for project status overviews.

• Translati on memory managementCreate and delete server-based translati on memories, move translati on memory on the database server, export and import translati on memory data using background tasks.

• Termbase managementAssign termbases to organizati ons, manage Multi Term permissions and scheduled tasks.

Technical OverviewFrom a high-level perspective, SDL Trados GroupShare 2020 uses classic four-tier architecture:

• A presentation layer which includes the SDL Trados Studio 2019 client and the web-based administration and project management client.

• A web server layer based on Internet Information Server (IIS). This hosts the router for secure and flexible application access through intranet and internet.

• An application service layer to manage the communication from clients to the user management, project server, translation memory databases and termbases.

• A database layer to host the database back-end and store the translation units and user management data in the supported Microsoft SQL Server database engines. This also provides business logic such as fuzzy matching.

SDL Trados GroupShare 2020 has the following system requirements:

• Database server SDL Trados GroupShare 2020 supports Microsoft SQL Server 2014-2019 (including Microsoft SQL Server Express) on Windows Server platf orms.

• Middleware applicati on server SDL Trados GroupShare 2020 is an applicati on based on .NET and supports,

- Microsoft Windows Server 2012 R2 - Microsoft Windows Server 2016 - Microsoft Windows Server 2019

• Server hardware SDL recommends a recent mid-range server with an Intel Xeon CPU and 16 GB of RAM. SDL Trados GroupShare supports Multi CPU computers. The more cores, the bett er the performance benefi ts as well as more concurrent background tasks.

For larger installati ons, SDL recommends scaling out SDL Trados GroupShare onto two or more dedicated servers, one for SDL Trados GroupShare, and one for the Microsoft SQL Server database back-end. In such multi -server installati ons, as a general recommendati on, the database server should have more powerful hardware than the middleware server. The middleware server can have a slower CPU and 8 GB of RAM, while the database server should have a faster CPU and more RAM.

• SDL recommends fast hard disks on SQL Server with 100 GB or more storage space within RAID architecture. SDL Trados GroupShare also supports other architectures, such as SATA. For more informati on on fi nding the right server hardware and server setup, contact SDL Professional Services.

• Internet connecti on SDL Trados GroupShare is hosted inside Microsoft Internet Informati on Server (IIS) that supports both HTTP and HTTPS protocols. When using IIS versions 8.5 or higher, you can also confi gure IIS to use the TCP protocol to improve client/server performance.

• Client access The team members of a translati on project can access SDL Trados GroupShare projects through the SDL Trados Studio client. SDL Trados Studio runs on Windows 7 or later. The SDL Trados GroupShare administrati on website runs in Internet Explorer, Google Chrome and Firefox.

Network Traff ic

Desktop-based solutions

In desktop-based soluti ons, the client computers – usually PC workstati ons – access the data fi les directly, either on the local hard disk or on a shared network drive on a fi le server.

Desktop database soluti ons off er some multi -user functi onality by allowing several users to open a data fi le at the same ti me, in fi le-sharing mode. However, this fi le-based scenario has severe limitati ons when it comes to network traffi c especially with multi ple concurrent users.

A fi le server only stores the data and does not implement any processing logic. In other words, to process the data – for example when executi ng a query – all data has to be sent across the network to the desktop computer. This usually means heavy network load.

Client/server solutions

In a client/server scenario, only the necessary requests and responses are sent across the network. When executi ng a query, such as searching for a segment in a translati on memory, only the very small search string is sent as a request to the database server.

The database server executes the query without any network traffi c and then sends only the results back to the client computer. This guarantees very low traffi c, parti cularly when it comes to multi -user scenarios.

For SDL Trados GroupShare, benchmarking tests indicate that the network traffi c in the TM Server component is lower than 1% of the traffi c that fi le-sharing soluti ons based on *.tmw or *.sdltm fi les require. When working in a local network, this results in a great performance increase.

Implementing SDL Trados GroupShare 2020Introducing a large-scale client/server solution always requires careful planning. Involve your IT department and SDL consultants in rolling out SDL Trados GroupShare 2020. Besides the implementation, pay attention to the following technical aspects:

Step One – Plan the implementation

Before embedding SDL Trados GroupShare 2020 in your organizati on’s IT infrastructure, investi gate the physical distributi on of the various components in the overall system. The following questi ons can help to guide this eff ort:

• What should the physical distributi on look like?The third-party database server, as well as the SDL Trados GroupShare 2020 middleware and license server components can all run on the same server computer, or they can be distributed across two to four diff erent physical computers

This depends on:

– The IT infrastructure setup itself

– The overall performance requirements anddatabase sizes.

If several hundred users will be accessing large projects and/or translati on memory databases, spread the system over several computers to achieve opti mum load balancing and overall performance.

• Should users access projects and translati on memories via the internet?If users connect to SDL Trados GroupShare 2020 via the internet, it is important to plan the IT infrastructure accordingly. For instance, administrators should decide whether to run the web server environment in a DMZ or implement a reverse proxy.

• What does the database layer look like?The selecti on of the third-party database system involves some preparati on and/or confi gurati on acti viti es. For instance, SDL Trados GroupShare 2020 requires new databases and logins. Before deploying SDL Trados GroupShare 2020, make sure to purchase and acti vate the licenses for the third-party database system.

• Who will use which client applicati ons?Your IT department should investi gate how many translators, project managers and administrators will use the 2020 client components. This is discussed in more detail below.

Step Two – Manage the users

Usually, the following users work with diff erent roles and privileges in SDL Trados GroupShare 2020:

• Administrator usersSet up and maintain server-based projects, translati on memories and assign users and their access privileges in the SDL Trados GroupShare 2020 system. They need the most comprehensive access privileges and typically use the web-based project management and administrati on client components to set up and manage SDL Trados GroupShare 2020.

• Project managers and CAT specialistsPrepare projects in the SDL Trados Studio 2020 client or website and leverage server-based translati on memories and termbases. Therefore, these users need appropriate privileges. For example, they need rights to set up projects and assign fi les to team members when outsourcing work to language service providers or freelance translators.

• Translators and reviewersThese users need access to the project fi les, change project phase and content of translati on memories and termbases.

Step Three – Manage the license

Before licensing a SDL Trados GroupShare 2020 soluti on, consider the two parameters that defi ne the licensing schemes:

• Translati on units capacityThe biggest value in a SDL Trados GroupShare 2020 system can be directly derived from the size of the translati on memory. You can track the number of translati on units used, to see the value of the SDL Trados GroupShare soluti on and stay within the terms of your license agreement.

• Client access capacitySDL Trados GroupShare 2020 also tracks how many users access the system at any given ti me through the 2020 client components. This helps you track license use and stay within the terms of the license agreement.

Step Four – Create and migrate translation memories

• Migrate users and their privileges to the newly created server-based translati on memories

Once these are ready, team members can start working with 2020 projects and server-based SDL Trados GroupShare translati on memory databases.

Glossary of Terms

Analysis Feature in SDL Trados Studio that assesses how many words in the document still require translation after comparing the document against a selected translation memory.

Batch processing Process that SDL Trados Studio runs in the background when you select a specific individual batch task or a custom sequence of tasks for your files. For example, the Word Count batch task counts all the words in your selected files and generates a report with the word count result.

Concordance Feature in SDL Trados GroupShare that searches the translation memory for text fragments during interactive translation.

Fuzzy match One of the five types of matches that SDL Trados GroupShare 2020 can identify in a translation memory. A fuzzy match indicates that a similar, but not identical, match for the source segment exists in the translation memories assigned for the project files.

Pre-translation Batch task in SDL Trados Studio that runs an automatic translation on the source files and adds matches from translation memories, termbases and previously translated files into the target segments. Pre-translation automatically generates a report to detail how many words have been translated automatically and how many words still require manual translation.

SDL Trados GroupShare 2020 The project management and tracking system based on the SDL Trados translation memory platform.

SDL TM Server SDL TM Server is the core translation memory component in SDL Trados GroupShare 2020. It is an internet-ready client/server implementation of the SDL Trados

translation memory solution. It enables you to create server-based translation memories and store all data on a remote database server on the intranet or internet. This contrasts with file-based translation memories that store data in a group of files on your system.

Termbase A termbase is a database containing terminology and related information. Most termbases are multilingual and contain terminology data in a range of different languages.

Translation memory A linguistic database containing previous translations that you can reuse to translate new documents. Using translation memories ensures that the same sentence is never translated twice. The more you build up the translation memories, the faster translators can work, thus accelerating delivery of translation projects and increasing revenue.
